HOLIDAY HARBOUR BOARD OF MANAGERS MEETING April 27, 2016 CALL TO ORDER/ROLL CALL: The meeting was called to order by President, Lori VanDerlinde at 6:59pm. Tom Roach, Ray Barrese, Ted Storto; Kenrick Representatives: Michelle Alvaro; Recording Secretary: Stacy Fox; Via Phone: Amelia Keller, Claire Fisher; Absent: Denny Essom, Bill Mapes, Bill Metherell, Dick Aikens APPROVAL OF MINUTES: A motion was made by Ted Storto, seconded by Ray Baresse, and carried by the Board. The laundry income for the past month was $220. MANAGEMENT REPORT: Ms. Alvaro reported that Kenrick met with on-site staff on a regular basis; attended budget meeting on April 12, 2016; provided information for the docking committee and followed up with several residents regarding docking questions/issues; Steve Rose returned to work on April 11, 2016; forwarded letters to residents to clean-up patio and remove electric box and wires where an air conditioner was removed; forwarded retaining wall report to the Board; forwarded the Parrone engineering report to the Board; the trees were removed per the contract with Genesee Tree Service and the project is complete; Pettinger Sheet and Metal Fabric removed the clubhouse railing for repair; completed second draft of the 2016-2017 annual budget; forwarded coupons to residents for the months of May and June; met with the Shield Alarm regarding the key fob system on April 19, 2016. Approved invoices for March 2016 in accordance with HH Budget & service contracts; prepared & distributed financial statements for March; prepared & distributed Board of Managers meeting packets; logged furnace inspections and dryer vent inspections; gathering and updating lease information; fielding questions for and forwarding questions to Docking Committee; coordinated getting payments from those in arrears before they could get their docking stickers. Superintendent s Report: On-site staff completed the following tasks, in addition to the routine daily, weekly, and monthly tasks: completed pressure washing vinyl on canal side; replaced photo cell eye at 2
#101 simplex; cleaned windows in Clubhouse; unloaded new pool furniture and put it in pool house; put out bike racks; met with Shield Alarm about card system; talked with Lakeview Landscaping scheduled to begin on 4/19/16; patched hole in driveway (on Enter side); delivered one table and four chairs to unit #142; opened units #22, #43, #45, #124 and #135; replaced 13 of 12-2 wire that was broken underground at #100; removed snow plow stakes; completed first grass cutting; raked out dirt and seeded behind units #103 and #104; worked on trailer; three service requests were received and completed. OLD BUSINESS: Pool Committee: Approved to purchase pool toys, planters, and flowers Used Pool Furniture Sale: Saturday May 21 st 10am-12pm on the Basketball Court. Prices are $5 for chairs, $5 for tables, as set by the Pool Committee. Purchases will be on a first-come, first-served basis. NEW BUSINESS: Review and Approve Variances: Unit #51-B, request to replace original windows; Unit #35, request to replace windows and sliding door; Unit #420, request to install two privacy panels on patio; Unit #140-C, request to replace sliding door. Ted Storto made a motion to approve the above variances subject to adherence to Holiday Harbour specifications. This motion was seconded by Tom Roach and passed by Board. Adjournment: 8:02 PM NEXT MEETING: May 25, 2016 @ 7pm Holiday Harbour 2016 Swimming Pool Rules Pool Schedule: The pool is open from Memorial Day weekend (Friday) to Labor Day weekend (Monday). Pool hours are from 7 am 10 pm, daily. The pool may be reserved for Water Aerobics on Monday, Wednesday and Friday from 10:00 11:00 am. The pool may be closed for daily maintenance from 9:30-10:00 am. 3
Residents Only: The swimming pool is for use by Residents, their families and guests. Residents may not pass this right on to non-residents, nor may Homeowners retain this right when their unit is rented to others. Entry Cards: Each unit is provided with one entry card. Your entry card is required to access the pool. Do not fold, bend, staple, or punch holes in the entry card as that may prevent it from scanning properly. Please be sure to carry the entry card with you when you enter and exit the pool area. Replacement cards can only be issued when the maintenance staff is onsite. Replacement cards will not be issued over the weekend or after hours, so please plan ahead. No Lifeguards: Residents and their guests are welcome to use the pool when there are no Lifeguards on duty. However, under no circumstances, may a person swim alone. The following rules apply when there are no Lifeguards on duty: Adult swimmers there must be at least one other adult present in the pool area while you are in the pool. Child swimmers (under 18) a responsible parent/guardian must be present in the pool area while you are inside the fenced pool area. The parent/guardian is responsible for actively enforcing all pool rules. Children who cannot pass the deep end test may go in the deep end under the following conditions: The child must wear a Coast Guard approved life vest The child must be within an arm s reach of parent/guardian All adults in the pool area are expected to be alert to dangerous situations and to enforce all pool rules. It is anticipated that there will be at least one Lifeguard at the pool during peak hours (10 am 6 pm daily, with half hour lunch break from 12-12:30). Additional Lifeguards may be added for scheduled private-pay pool parties. When Lifeguards are on 4
duty, they are the authority in the pool area and may establish and enforce additional safety rules. Safety: There is an emergency phone at the pool, to use for calling 911. 1. Residents are reminded to use good judgment regarding use of the pool during inclement weather conditions or when there is low visibility in the pool. Evacuate the pool during rain or hail, a thunderstorm or lightning, the threat of an approaching storm, or main pool drain not visible. Pool chemicals will be monitored by Lifeguards when they are on site. If chemicals are outside acceptable limits, a notice will be posted and the pool should not be used. Access to the Clubhouse and Pool The Clubhouse and Pool are monitored by a security system. A special access card (entry card) is needed for use of these facilities. Each unit is provided with one entry card. Entry cards are good for as long as you own your unit and should not be discarded. Please do not fold, bend, staple, or punch holes in the entry cards as that may prevent them from scanning properly. Entry cards will be deactivated upon sale of the unit and a new entry card will be issued to the new unit owner. Rentals: If an owner rents his or her unit, it is the owner s responsibility to pass the entry card on to the renter. The owner remains responsible for any damages to the Clubhouse. Lost cards: Entry cards will be replaced at the owners expense ($25.00). Contact onsite management staff for replacement of an entry card. Please note that replacement cards can only be issued when the maintenance staff is onsite. Replacement cards will not be issued over the weekend or after hours, so please plan ahead. Entry cards reported lost will be deactivated. 5
