REQUEST FOR QUOTE: Ranch Rodeo Livestock Quote: #19-109 RFQ Released: October 29, 2018 Deadline for Quotes: Monday, November 26, 2018 by 2:00 p.m. The Houston Livestock Show and Rodeo (the HLSR ) promotes agriculture by hosting an annual, family-friendly experience that educates and entertains the public, supports Texas youth, showcases Western heritage and provides year round educational support within the community. As the world s largest livestock show and rodeo, the largest fair in North America and the site of 20 concerts from top-flight entertainers each year, the show attracted over 2.4 million spectators in 2018. A Section 501(c) (3) charity, this organization has committed approximately $450 million in youth and educational support to Texas students since it began in 1932. HLSR is backed by more than 34,000 volunteers serving on over 108 different committees. GENERAL REQUIREMENTS FOR REQUEST FOR QUOTE PRICING Pricing for all goods/services must be very specific, all-inclusive and firm. All administrative fees, shipping, expedited delivery costs, labor, etc. must be included in the quote. All shipping, drayage and other charges are to be listed as a separate line item. Based on your line item bid price for shipping on the Price Sheet, HLSR may require that product shipments are to be done via Federal Express or UPS, using the HLSR s existing account. Moreover, all design work, product set-up, production, repair work, etc. must be done according to HLSR s schedule, which may include weekends, nights and early mornings, at no additional cost to HLSR. HLSR will pay only for goods/services stated on the Price Sheet unless otherwise agreed to in writing by both parties before the order is placed or work is started. No price changes, additions, or subsequent qualifications will be honored. INTELLECTUAL PROPERTY The provider acknowledges that the names, logos, copyrighted material and trademarks of HLSR are the sole and exclusive property of HLSR (the HLSR Marks ) and nothing herein shall provide the provider any right, title or interest in HLSR Marks. All HLSR Marks included in this Request for Quote ( RFQ) are for bidding purposes ONLY. They may not be used for any other purpose, now or in the future, without the express written consent of HLSR s Marketing and Public Relations Department. PROVIDER ADVERTISING, MARKETING AND PROMOTION The provider may not promote itself in conjunction with HLSR, use the HLSR as a client reference or display HLSR goods in any advertising, marketing or promotional materials. Exceptions may apply to current licensed providers.
Page 2 of 5 SPECIAL REQUIREMENTS / INSTRUCTIONS The following requirements and instructions supersede GENERAL REQUIREMENTS where applicable. 1. Provider s Obligations. Provider shall provide (126) head of 400-500 pound yearlings; (12) cow/calf pairs, to be used for wild cow milking; (90) head of broncs for bronc riding for the main ranch rodeo event. Provider shall deliver livestock to NRG Arena no earlier than Thursday, March 7 @ 11:00 p.m. and remove all livestock at the conclusion of the event on March 9. Provider shall ensure livestock provided is not blind or crippled and all are in good physical condition and able to withstand the demands of this event, in addition, ensure livestock is uniform in performance, size and weight. Provider shall ensure all animals must meet Texas Animal Health Commission regulations and arrive with proper health certificates. 2. HLSR Obligations. HLSR shall provide good quality feed/hay and fresh water for livestock while they are housed at NRG Arena. HLSR shall provide hotel room for Thursday, March 7 - Saturday, March 9 for Provider. HLSR shall pay Provider for livestock, freight, labor and production costs associated with this event. HLSR will pay fair market value for each cow, calf or yearling for any animal that dies or breaks a leg during the ranch rodeo activities, immediately following event. Fair market value shall be determined by the average pricing of these animals during the second week of March, 2019. There shall be no replacement cost paid on any bronc which dies or is injured during the event. 3. Animal Care and Welfare. Provider agrees to adhere to HLSR s standards of humane treatment to animals. In particular, HLSR prohibits the use of any hotshots and sharp instruments. 4. Clothing. Provider s employees and agents will only wear clothing that has been approved or provided by HLSR. Under no circumstances will vendor wear clothing at any HLSR event or function that contains any promotional material (specifically including, but not limited to, brands and logos) other than those of HLSR. 5. Media Coordination. Provider shall immediately notify HLSR of all media requests prior to conducting any interview, photo shoot, or other production that in any way relates to HLSR.
Page 3 of 5 6. Not Exclusive. The Livestock Provider Agreement requires no minimum use by HLSR and Provider acknowledges that this is not an exclusive relationship. 7. Consequential Damages. Notwithstanding anything to the contrary herein, under no circumstances shall HLSR be responsible, for any reason, for incidental or consequential damages arising from any breach, cancellation, or termination of a Livestock Provider Agreement. CONTRACTING PROCESS A Livestock Provider Agreement will be sent to the selected provider. TIMELINE 1. Request for Quote (RFQ) a.
