THE CORPORATION OF THE TOWN OF COBOURG CANADA 150 ORGANIZING COMMITTEE MINUTES November 1, 2016 Board Room, Victoria Hall The regular meeting of the Canada 150 Committee was held at 4:00 pm in the Board Room, Victoria Hall, with the following persons in attendance: PRESENT: Co-Chair Peter Delanty, Lara Scott, Councillor Debra McCarthy, Mayor Gil Brocanier, Graham Beer, Tony Pitts, Alistair Commins, Joan Chalovich, Jamie Simmons, Suzanne Sèguin, John Farrell, Bill Prawecki, Ross Quigley, Bruce and Beth Bellaire ABSENT: Co-Chair Nicole Beattie, Lynda Kay, Scott Fraser, Gail Rayment, Don Conway, Bill Pyatt, Trenholm Parker and Paul Allen CALL TO ORDER Co-Chair Peter Delanty welcomed everyone and called the meeting to order APPROVAL / ADDITIONS TO THE AGENDA Moved by Bill Prawecki that the Agenda dated November 1, 2016 be adopted as presented ADOPTION OF MINUTES Moved by John Farrell that the Minutes dated October 4, 2016 be adopted with the following changes: a) Present: change... 'Sèquin' to Sèguin; b) Reports: 2. Sub-Committee Chair Reports, h): delete... and the Dragon Boat Club CARRIED DECLARATION OF INTEREST No declaration of interest REPORTS 1. Chairs' Report - Peter Delanty: a presentation of events was made to the Sunrise Rotary and Cobourg Council which was well received. (see link) A press conference was held on November 1st attended by Peter Delanty, Suzanne Sèguin, Don Conway, Nicole Beatty and Lara Scott. The Banners will be hung all over town. The Marina asked if they could design their own banner, which doesn't seem to be a problem. Chair Peter thanked everyone and paid complementary remarks on how well the Committee is working together, and what a great team we have. Page 1 of 24

Canada 150 Organizing Committee Meeting Minutes NOVEMBER 1, 2016 2. Sub-Committee Chairs' Reports a) Canada Week - Chair, Lynda Kay (regrets): Lara relayed that the scheduled events throughout Canada Week are coming together nicely. The Time Capsule, Confederation Tea, '150 Day', Family Picnic in the Park and Fireworks are being finalized. A drone will take a picture of people around the Logo on the beach sand during that week in a world record attempt. b) Education & Community Awareness - Chair, Scott Fraser (regrets): Scott emailed that Rob Majdell, principal at St. Mary's Catholic Secondary School will be sharing the Canada 150 list of activities with his staff and three elementary schools (St. Michael's, Notre Dame and St. Joseph's). Connie Davey will be sharing the list with CR Gummow, Grant Sine and Burnham Schools. c) Arts & Culture - Chairs, Gail Rayment (regrets) and Tony Pitts: an e-mail blast is scheduled to be sent to the arts and culture organizations in the community asking for project requests. 1st Nations will be asked to participate in the Canada Day July 1st Parade, and Anne of Green Gables production dates are finalized. There will be an art competition set up at the Library. More events are listed in a print out from Lara. d) Heritage & History - Chairs, Alistair Commins and Joan Chalovich: George Parker will be organizing an historic rail walk starting in Hamilton Township, James Cockburn Day will be celebrated on August 7th, and Keith Oliver is responsible for coordinating the Canada Book. A model of early Cobourg is being created by the same group of volunteers that restored the Crossen Ore Car. e) Volunteers & Community Engagement - Chair, Jamie Simmons: nothing to report. There seems to be a good supply of volunteers. f) Marketing - Chairs, Suzanne Sèguin and Don Conway (regrets): a manual is being created to help market events, including a template for press releases and the proper use of the Canada 150 logo with a call to action to include photos, etc. The website will be upgraded to include icons for the categories such as History, sports, etc. The Marketing team will follow up with letters that went to the manufacturing sector, and a flash drive was created and given out at the media meeting which includes the proper logos, etc. Decals are in for retail windows display, as well as the banners and pins. A logo package will be put together and be given to 3rd party vendors for promotional items. Events will hopefully be displayed in a loop at the CCC, YMCA, Northumberland County, and advertised on the bus calendar. A media release is going out next week about the Canada 150 Kick-off and how to list events on the website. g) Finance & Sponsorship - Chairs, Bill Pyatt (regrets), John Farrell and Bill Prawecki: contracts will be sent to those groups that qualified for funding and cheques should be ready to be sent out by next Friday. Again, Chair Peter thanked this committee for their commitment and a job well done. h) Sports & Sports History - Chairs, Ross Quigley, Bruce & Beth Bellaire, Paul Allen (regrets) and Trenholm Parker (regrets): a new display offered is the history of motorcycle racing in Cobourg, and the history of Pratt's Fishing Club. Canada 150 Organizing Committee Meeting Minutes NOVEMBER 1, 2016 the Sifton-Cook Museum will be displayed at the CCC. Yacht Club history is coming together. i) Youth Report - Graham Beer: CCI students are documenting '150 Moments' of Cobourg experiences, and both St. Mary's SS and CCI will participate in the Terry Fox Run 150 th theme to be determined. Cobourg-Coburg, Germany Twinning Committee is working with students to bring the two cities together in 2017, and for Remembrance Day while at Vimy Ridge, France, students will look up what soldiers went to school in Cobourg.. Other Projects The 150 Challenge Cobourg Public Library challenge the community to read as many Canadian books as they can over 150 days. The list of books will be displayed at the CPL. Prizes The Story of Canada s History Book to be published by the Cobourg Museum Foundation and provided to the over 10000 residents mailboxes of Cobourg History of Sports in Cobourg over 65 sports in Cobourg are being researched and written. Watch for displays at the CCC etc. Celebrating 150 years: Discovering Cobourg s Heritage presented by the ACO Cobourg & East Northumberland. (Summer 2017) Signs will be placed outside all building and houses that were standing in 1867 within the Town limits.
