Pre-Season Swim Team Information 2014 Practice Calendar Starting on May 27 th, Tuesday Afternoon Practice Begins (Monday Friday) 4:30 pm 5:30 pm 9 12 Year Olds 5:30 pm 6:15 pm 8 & Under 6:15 pm 7:15 pm 13 & Older Starting on June 16 th, Monday Morning Practice Begins (Monday Friday) 8:00 am 9:00 am 9 12 Year Olds 9:00 am 9:45 am 8 & Under 9:45 am 10:45 am 13 & Older Team Swim Suit Information The Team suits are Speedo Navy Endurance. The girls suits are navy with red trim. The boys suits are navy, brief or jammers. Both will be embroidered with the WYCC burgee and WYCC on the back. The supplier is The Swim and Sport Stop Shop. It is highly recommended to bring your swimmer to the store for proper sizing by the store staff. The sign on the shop also includes Elliot and Duggan s Trophies. Time Trials This is a WYCC only swim meet held at the beginning of the season. This meet provides each swimmer and the coaches with bench mark times, to aid in meet and practice planning. This is considered an official meet and therefore qualifying times do count. Often this is first team event where all swimmers and their families are present and therefore it is great opportunity to have fun together as a team as well as welcome new team members. General League Meet Information WYCC is a member of the Greater Peninsula Swim Association (GPSA) GPSA is a league comprised of four Divisions and over 20 teams. WYCC is in the Blue Division with 4 other teams. All regular season meets are held in a Dual Meet Format, and are staffed entirely by teams families. Each WYCC Family is required to work 3 meets. Please refer to http://www.wyccseaturtles.com/volunteering.php for detailed Meet Positions descriptions. The season consists of 4 Divisional meets, a Mini-Meet all leading up to a league wide Championship Meet, referred to as the City Meet. Helpful Hints: The order of events can be found on page 14 with the City Meet qualifying times. Please bring chairs, hats and sunscreen. It is also important to keep your swimmers with you and settled down. This helps swimmers to line up as well as have energy for their event. During a League Meet, the scoring table area is restricted to officials. Our team can be disqualified if an unofficial parent or swimmer approaches the scoring table. It located near the starting blocks with the scorekeepers, ribbon writers, etc. seated. If you have a question please ask one of the coaches or one of the committee members that is not seated at the scoring table. GPSA also does not allow alcoholic beverages on the pool deck during a swim meet. For more information please refer to the GPSA Website http://gpsaswimming.org 4
Home Meets WYCC Swim Team sets up the pool area to host a meet. In addition to getting the pool ready, this includes setting up a scoring table, selling concessions and spirit items, and an area for our fabulous announcer. The Sea Turtles sit on the side of the pool near the pub and restrooms. The visiting team area is the side of the pool near the club house and kiddie pool. Away Meets Pool directions are provided on page 15. There will be a designated area for visiting teams. Most pools sell concessions. You may also bring your own food and drinks. In addition, we have scheduled restaurant spirit nights after our away meets. We hope to see you there! Don t forget the helpful hints under general meet information. Swim Team Pictures and Social This year we have scheduled Team Pictures with a Team Social. Family and Team pictures will be taken. Price sheets will be available to our families on picture day. The pictures that are ordered will be delivered to the club for distribution to our families. Mid-Season Pancake Breakfast and Fun Practice We will serve up a Pancake Breakfast near the pool deck followed by the swimmers hanging-out in the pool with their team mates. This is an event that our swimmers look forward to every year. Mini Meet Mini Meet is league wide meet held at Fort Eustis. It is a great opportunity for the swimmer that has not yet met the time qualifications for city meet. If you are interested in more information or think this is a great opportunity for your swimmer, please let one of the coaches know. Graduating High School Seniors If you have a swimmer who is graduating this season please get in touch with one of the swim team committee chairs. We like to recognize these individuals 5
in several ways. We would also like to work with you to include a handful of photos in the annual DVD that will be shown at the Banquet. City Meet City Meet is the GPSA Championship meet of the season. Swimmers who meet the qualifying times may participate in city meet. WYCC sets up a tent area and the families who attend traditionally pool their resources for breakfast, lunch, snacks and beverages. It is a long, hot day. Bring chairs, battery operated fans, card games, etc. to keep the kids entertained between events. Banquet & Silent Auction The WYCC Sea Turtles end their season with an awards banquet and silent auction. One of the highlights of the event, is the Silent Auction. Not only is it is a great fundraiser, it provides entertainment throughout the event. The banquet is traditionally themed and held topside at the WYCC club house. Every swimmer and their families are invited to celebrate, since all swimmers are recognized. Dinner is provided and prices will be announced as the date of the banquet draws near. This is also a time to thank our coaches and volunteers who have supported the team for the season. The team DVD and senior memoirs are shown. 6
WYCC Swim Team-Meet Responsibilities As a GPSA swim team WYCC is required to provide volunteer officials at every meet. It is important that all parents do their part for the team and their children. To level the amount of effort required by our volunteers, we require that each family work three to four meets. To ensure we staffed all of our meets, we use the Sign Up Genius via our website. Emailed invites will also be sent to each family. Each team must provide the following officials at every meet: Home Team Visitors One referee * Two timers One starter * One stroke judge * One stroke judge * One turn judge * One turn judge * One sweep judge Two timers One assist. scorekeeper One stand by timer Ribbon writer One sweep judge One scorekeeper Ribbon writer Two runners Some positions (*) do require training, therefore, we are always in need of trained & available stroke and turn judges. GPSA provides a 2 hour training course for those interested in becoming certified as a GPSA stroke and turn judge. It is also a good refresher for returning officials. WYCC Volunteer Opportunities Being members of a Swim Team can feel like a family affair. If you are interested volunteering for any Sea Turtles activity, please contact any of the swim team committee members. SOCIALS Home Meet Morning Activities: We would like to have a planned activity during morning practice before each home swim meet. In the past, activities have included spirit shakers, car streamers, turtle posters, spirit necklaces, etc. A few parents normally provide a small snack during the activity as well. Mid-Season Social: This event is a relaxed pool party with the primary goal of having fun. Mid-Season Pancake Breakfast: Banquet: If you enjoy planning a party, this is the opportunity for you: themed decorations, fun give-aways, invitations, menu, etc. This group will work with the General Manager, Lindsay Lindsay throughout the summer to plan an end of season banquet for our swimmers and their families. This is a much anticipated event for our swimmers. SWIM MEETS Volunteer Coordinators: This person(s) will coordinate with the GPSA Rep, the volunteers and officials at the various home and away meets throughout the season via SignUp Genuis. As well as, being the on-deck POC the official jobs required by GPSA such as S&T judges, timers, ribbon writers, and runners, etc. 8
DJ/Sound System: Cooperating with the Announcer, this person sets up the sound system and oversees the music selection during warm ups and the meet. Ribbon Coordinator: This person maintains and prepares the ribbon inventory before each home meet. City Meet Hospitality: As part of our GPSA responsibility, WYCC is assigned the Hospitality Room at City Meet. This group organizes and prepares breakfast and lunch for all coaches and Officials who work the City Meet. OTHER Administration: This group provides administrative support such as the forms, handbook, emails, records, etc. Banquet Awards: This person(s) would coordinate the awards and/or trophies that will be handed out at the banquet. Opening Season Welcome Bags: The group coordinates the tradition of delivering of the goodie bags to each swimmer before the first meet. Photographers: This group would volunteer take pictures throughout the season at swim team events with the intent of sharing the photos with all families though the Anchor Lines, team website and the development of a Banquet DVD. Also, assisting any graduating senior s family who needs help with their banquet photo tribute. Fundraisers: See the next section. 9
Fundraisers Money that is raised from WYCC Swim Team fundraisers will be used to support the purchase of awards, goodie bags, meet entries, ribbons, additional t-shirts, etc. Funds are necessary for annual expenses as well as occasional equipment expenses. If additional funds are available they will be used to purchase items for our swimmers at the end of the season. Each of the following activity needs a lead and/or a group of supporting parents. Concessions: This group will organize and sell concessions at the two WYCC home swim meets. We ask swim team families to sign-up to donate food and beverage items to the concession stand. We plan to use Signup Genius be on the lookout for the e-mail. Restaurant Nights: Several locally owned restaurants host WYCC Swim Team Family Nights. These are historically scheduled on the nights of our away meets. Leave the cooking to them while you come out to enjoy a good meal and some camaraderie with other Swim Team families! WYCC Sea Turtles receive a percentage of the proceeds from the evening s food sales. This year we have scheduled Plaza Azteca and hopefully, a favorite, Schooner s, As we move towards summer, we will also schedule Team Night at Rita s Ice and Yogurtini. 10
Silent Auction: The Silent Auction has been one of the most popular traditions of the WYCC Sea Turtles Swim Team. Young and old enjoy this event, there are items for everyone. Families search all year long to find the perfect item(s) to donate. Examples include: anything Sea Turtles, WYCC memorabilia, swimming items, pool toys, fun toys for the kids, gift bags and gift certificates, etc. On the night of the auction, families may purchase tickets and place them in the designated containers for the items they hope to bring home. Winning tickets will be randomly drawn from the designated containers and announced during the Banquet. The Swim Team Committee requests each family donate one or two items to the auction. Spirit Items: There is a wide selection of swim team spirit items available. Please check out the spirit shop table at WYCC home swim meets. Items include towels with the WYCC burgee, hats and visors with the burgee, silicon swim caps, and kanga sacks. We will also place an additional t-shirt order for our swimmers family members. All Club members may purchase our environmentally friendly plastic cups with lid and straw. Proceeds from the purchases support the Swim Team and the Club will honor $1 soda and tea refills throughout the summer. Mini-Meet and City Meet Heat Sheet Ad: The proceeds from WYCC purchased Heat Sheet Ads are divided between GPSA and WYCC. 11

Directions for Mini Meet and City Meet Fort Eustis Aquatic Center Take Warwick Boulevard North toward Denbigh. Turn Left onto Fort Eustis. Drive onto base and follow signs for visitor check-in. Vehicle registration and picture ID s are required for all adults travelling in vehicle. Proceed 1 mile into Fort Eustis. After traffic circle, turn right onto Tyler Ave. The Aquatic Center is on the left. There is also parking available if you travel one block past Tyler Avenue on Fort Eustis. 12
