Facility Emergency Action Plan Overview Emergency Action Plan: This emergency action plan, for the Suffolk County YMCA, is to institute procedures and guidelines in case of an emergency. We have an EAP to ensure that our staff is fully prepared with the proper information for smooth communications in the event of an emergency. Components of an Emergency Plan: 1. Emergency Personnel During an emergency, our first responders are certified athletic trainers and our certified lifeguards. Also, the schools, which will be competing, will provide their own certified training staff. Each athletic trainer must be CPR (cardiopulmonary resuscitation) and AED (automated external defibrillator) certified. Copies of their certifications will be kept in our main office. Our emergency staff will consist of EMT s, certified athletic trainers, certified lifeguards, coaches and YMCA staff. These people will be present and in the building during all times of the event. They will respond to emergencies quickly and professionally. The emergency team has four basic roles they follow: 1) Provide Immediate Care and Safety: a. The most qualified person will respond to the emergency. 2) Initiation of Emergency Medical Services: a. There will be an ambulance on site with a certified EMT and staff. If the emergency requires more than 1 ambulance our event manager (Sarah Grzybowski) will call 911 for more assistance. If the event manager is not on the scene look for the closest staff member to call 911. 3) Equipment Retrieval: a. Our certified staff will retrieve emergency equipment in situations that call for it. 4) Getting EMS to the Event: a. The local EMS team will be notified of our large event. They will be briefed at their location on where to go incase an emergency were to occur. 4
Emergency Communication Communication is essential for a safe, efficient and effective emergency response. Every individual working an event at the Suffolk County YMCA is given an Emergency Action Plan packet. There is an established contact tree list to ensure all parties are notified and aware of the given situation. The contract tree list includes all key personnel and phone numbers linked with that individual, as well as local emergency contact numbers. All members of the emergency team are informed of the locations of telephones, exits and emergency equipment in the facility. A formal, detailed map is provided in this plan as a precautious reminder. All members are provided with walkie-talkies with a pre-set channel that connects with all other members of the team. Emergency Equipment All necessary equipment will located at the site of the event and therefore can be accessed immediately. YMCA personnel will be fully knowledgeable with the function, location and steps of operating each piece of emergency equipment. All equipment is checked on a regular basis, prior to each event hosted or provided by the Suffolk County YMCA facility. If any of the equipment seems to lack a proper condition or function, immediately contact the facility s supervisor on duty to ensure it is properly taken care of or replaced. A logbook is kept at the front desk, that notes when the equipment was last checked and what condition it was left in. It is mandated that the last supervisor on duty make sure that every piece of equipment was checked for its current condition daily. Examples of various types of emergency equipment at the facility include but is not limited to: first aid kits, spines boards and straps, automated external defibrillators (AED s), AED pads, AED batteries, splinting equipment, crutches, etc. 5

Non-Medical Emergencies Weather Related Emergency Give warning to all attendees of the event prior to the weather emergency to allow them time to relocate to a safe location. Based on your location in the building, relocate everyone at the event to the hallway or a safe room. Keep everyone away from all windows and anywhere with glass. Leave telephone lines open for emergency calls. Have everyone remain inside until further instructions from YMCA and emergency staff. Power Outage YMCA staff office is the storage for flashlights. Shut down the power of all electric equipment Follow the instructions of YMCA staff. If needed, have everyone safely evacuate the facility. Suspicious Individual Have staff member write down a description of the individual including: o Age, race, gender, physical description, any distinct markings. Contact staff representative and local authorities Disturbance and/or Confrontation Report all disturbances to staff members Use calming words and verbal skills to settle the person until staff members can handle the situation All implied threats should be taken seriously Confrontational behavior should avoided at all costs Fire and /or Smoke Notify staff representative immediately Provide accurate information regarding the severity of the fire and/or smoke Use fire extinguisher for minor fires (waste basket, etc.) o PASS: P Pull the pin on the extinguisher A - Aim the nozzle or hose at the base of the fire S - Squeeze or press the handle S - Sweep from side-to-side at the base of the fire until it is extinguished 9
o Incase of a serious fire beginning to spread remember RACE: R - Rescue any participants in immediate danger, paying close attention to your own personal safety A - Activate the building alarm C - Confine the area as best as possible E - Evacuate the area and pay close attention to handicapped/disabled persons that may require your assistance 10
Medical Emergency Transportation During all sporting events held at our complex, it is a priority of ours to have an ambulance on site. There is a designated area for the ambulance to park during the event taking place, as well as a clear route to travel, in case of an emergency. In the event of a load and go situation, (loss of consciousness, drowning, airway, breathing, or circular/neurovascular damage) it is strongly advised that a speedy evaluation, treatment, and proper transportation are in place. Non-Medical Emergency In the event of a non-medical emergency refer to the specific non-medical emergency checklist. Conclusion The most important part of an event held at our facility is being properly prepared for all emergencies that may or may not take place during the event. We take pride in making sure that our EMS personnel and athletic trainers on staff are trained correctly to ensure the participant s safety at all times. We take the time to review our Emergency Action Plan at a staff meeting once a month to ensure that all staff members and healthcare personnel are prepared for any emergency that may arise. Due to thorough development and precise application of our emergency plan, Suffolk County YMCA confirms that all athletes and spectators will be provided with the best possible care if and when an emergency does arise during the event. 11
