MVSA FASTPITCH MOUNDS VIEW SOFTBALL ASSOCIATION March 2017 Board Meeting Ted Labey called to order the March board meeting of the Mounds View Softball Association on Wednesday March 2, 2017 at 7:03pm. The meeting was held at the Shoreview Community Center. Board members in attendance: Ted Labey, David Van House, Nate Urfer, Scott Louder, Dave Barrett, Lora Hanks, Brian Olson, Troy Gaul, Leah Kluz, Mike Larson, Debbie Teske, Absent: Mike Robertson Guests present: John Peschel President s report (Ted Labey) Ted pointed out that setup for tryouts will be tight this year. Board volunteers should arrive at 4:00 on Saturday and 9:00 on Sunday. Secretary s Report (Troy Gaul) The website has been updated to indicate registration was closed and people should contact Nate if they have a player who wants to play. Troy has updated the bylaws on the website to indicate the change to playing-up that was voted on in November. Minutes from the February meeting had been distributed via email. A motion was made and seconded (Troy/Scott) to accept the minutes from the February meeting (Troy/Scott). The motion passed Ted pointed out that we owe Tom $20 for the website s URL address expiration, which he dealt with for the board on March 2. Treasurer s Report (Mike Larson) John Peschel was present to hand over the bag. Has has written some checks, but hasn t signed them for some things that were due, including a Sam s Club membership fee which is due by end of March if we want to keep it. John pointed out that the board will need to pay evaluators for the try-outs this weekend.

It was pointed out that there was a need to get Ted, Mike, and John to Wells Fargo together to get the bank account transferred. Lora mentioned that she wants to have a better setup for doing concessions when it comes to purchasing and accounting for the money. A motion was made and seconded (David/Nate) that that the board ratify the recent actions that John has taken on behalf of the board and that he be allowed to sign checks through March 15. The motion passed. Mike Larson had the certificate for tax exempt status. He reminded everyone to make sure the people you deal with when purchasing have it on file. John had brought the PO box key, and pointed out that the board secretary normally would keep it. However, Mike Larson, as new treasurer, took it from John instead. Sam s Club seemed to have an old Circle Pines address (from 8 years ago) on file. Mike Larson suggested that we might want to move the PO Box to the Mailboxes Etc. near the Panino s in North Oaks in the future. Nate pointed out that he told parents with late registrations to send check to PO Box (since the online process was not available to them any longer). So the board will have to look for those to arrive. Mike Larson mentioned that he needs Troy to change his privileges on Sport Ngin so he can access the financial information. (This has since been done.) VP Traveling (Nate Urfer) Nate reminded everyone to be at Irondale HS at 4:00 on Saturday. Mike Larson has stuff for the tryout in his pickup, including pitching machine and a bucket of softballs. Ted will bring the file box with the forms. Ted reminded Nate that he will need to bring stickers for players tryout numbers. Nate gave an upstate on registration numbers: 10U: 50 planning to do 5 teams of 10, lots of pitchers and catchers. Need 3 more head coaches. David pointed out that Nate should bring that up at the parent meeting. 12U: 33 three teams of 11, need 1 more head coach 14U: 34 three teams 2 coaches set up, Maggie Schely for A, Tess and Erin for one of the B teams. Need one more coach. Good numbers of catchers. 16U: 20 Nate got a call from players in Mahometi one is willing to play at B level, another needs to talk to daughter. Will have 22 if these other girls sign up. 18U: 2.

After a discussion, the stance from the board is that player needs to be at try-outs to have chance to be on A team. Nate had interest from a player from St. Anthony who played with MVSA through 12U, who made high school team as 8 th grader, but they no longer have a team for her to play on. He wanted to know if she should be eligible for A team? This brought about a wide-ranging discussion about the rules around returning players and/or players from outside the association. A motion was made and seconded (Nate/Leah) that a given 16U player from St. Anthony be allowed to return and play on a B team, but not try out for the A-level team. With 2 abstentions, 2 nays, and 7 ayes the motion passed. Debbie proposed that the board have working meetings to improve the bylaws that explain how this should work in the future and that it should be clearly laid out. Nate requested that Troy add a note to the website to say that we are still looking for people to fill out a B team at the 16U level and they should talk to Nate. A motion was made and seconded (David/Nate) that a specific 16U out-of-district player who registered on-time and played A last year for MVSA be allowed to try out for A-level this year. The motion passed. A motion was made and seconded (David/Ted) that a specific 16U player from out-of-district be allowed to play on a B team. The motion passed. A motion was made and seconded (David/Ted) that Nate be allowed to pick up additional players for a 16U B team from out of district. The motion passed. 8U and Player Development (Leah Kluz) Leah said that 21 8U players had registered on-line and since registration closed 4 more had trickled in (but may not have paid yet), which brings 8U to 25 players. So far there haven t been any coaches who are willing to volunteer. Leah is looking for more, perhaps players and/or high school kids. Leah was going to hold a parent meeting. To encourage parents to attend, she was going to allow parents who come to the meeting to make friend requests, and she would talk about coaches there (would like 2 sets of coaches). The commitment is 2 nights/week at Rice Creek Fields. The board may need to pay for 8U coaches.

Concessions (Lora Hanks) Lora requested to be added to list who are allowed to purchase with the MVSA bank card. It was pointed out that Ted should also be on the card as President. Lora had acquired the Costco paperwork to set up a business account. Currently MVSA had been go to Sam s Club and Restaurant Depot. Lora was waiting for business contacts for Pepsi, etc. Lora suggested MVSA perhaps do away with Cold Stone and instead get a freezer and purchase ice cream sandwiches, etc. Ted pointed out this has to be a small freezer because of a power issue in the concession area. Lora asked about popcorn. There were fans of selling popcorn on the board. It was suggested that perhaps boxes instead of bags of popcorn might be better. Lora wanted a set maximum amount of money to be allowed to remain in the concessions room and the remaining amount be put in deposit bags and not left in there. Equipment (Mike Robertson) Mike Robertson was not present at the meeting, but had previously sent the equipment update via email to the board. In it, he said: I have 10 dozen 12" balls and 5 new duffel bags on order. I will order more collapsible carts if needed once the equipment bags get distributed. I have the first aid kits and will be restocking them. I have collected websites and youtube links for the training equipment we have and will send that to coaches this year. I will also have most of the equipment out during field set up day to let coaches see how things work and what's available. Let me know if you have any suggestions on additional equipment. Umpires (Brian) Brian pointed out that Lori offered two dates to train umpires, which would allow them to be ASA certified. For example, they need to be trained how to spot concussions. Nate had given Brian a list of the umpires he used last year. Lori is willing to come out early in April (on a Thursday) to give a training session as she wants to give back to the association. MVSA will keep the same arrangement with her as a backup. She would like a schedule.

Brian would like people to let him know if any of the older players are interested in being an umpire for younger girls. MVSA Tournaments and Clinics (Dave Barrett & Scott Louder) Scott pointed out that there are dates being considered for the MVSA tournaments this year, specifically: 12U: May 6 14U: June 3-4 8U: June 17(-18) Mike Larson will provide Dave and Scott information from last year s tournaments. Mike Larson noted that next week (following the meeting) was going to be the last week of the spring pitcher/catcher clinics. Mike pointed out, regarding tournaments, that ours cost $270-290 per team last year, but we should check what seems to be the going rate. A suggestion was made that the 14U tournament be B/C and we should try for 8 teams. Two Nationals berths are available for each tournament. It s pretty much a requirement these days to get team to come to the tournament since most other tournaments offer them. Uniforms (Debbie Teske) Debbie noted that the website had been updated with uniform information. She was going to open the online store on March 17 for two weeks. The jerseys will arrive by April 20. After that, it should take only 2 weeks got get jersey orders fulfilled. The cost for the new jerseys is $22.50 per jersey, so $45 per player (10U and above). Debbie was working on apparel for the season. The ordering windows for this are on the web page. Debbie pointed out that MVSA will have a window decal available for purchase this year. Fields (David Van House) David was handling the permit from the city of Shoreview for the coming year and provided the insurance certificate to the city. Field setup will be on April 15. Mike Larson mentioned that the next meeting about the scoreboard was being held the following Tuesday. The scoreboards will be replaced at end of April. MVSA has agreed to pay half, which is $13,000. Mike Larson will contact the high school about chipping in.

The city/county will be developing the land across the street from fields eventually. This will reduce available parking area once it happens. It was pointed out that we get one weekend where city works will do field prep. MVSA might want to talk about what it would cost to have them come out for other tournaments. They would like schedules and know what level the tournaments were for. The bathrooms at the fields are on automatic lock. Do not prop those doors. David pointed out that he sends email on Mondays during summer to remind people of the field schedule. A motion was made and seconded (David/Ted) that the association contribute half the amount of the scoreboards, up to $15,000. The motion passed. New Business & Discussion No new business.
