Rick will chair tonight s meeting. Steve and Rick would like to have the executive decide on whether or not the non chair should vote, like the past president. Motion by Scot Robertson: To have the non chair Co-President be involved in the voting, they will vote like the position of the past president. Second by Brian Taylor Co- President (Rick): There is no agenda for tonight s meeting. This meeting will be any reports for each position and if you are looking for any directors to make help make up sub committees. Co-President (Steve): The AGM information for OMHA is in, is there anyone interested in attending. Steve cannot attend this AGM meeting. The Sturgeon Lake registration forms are in and they have been signed by the necessary executive members. Will make sure that the name is changed from Sturgeon Lakes to Sturgeon Lake by OMHA.
First Vice President: Main thing at this time will be to help Kirk with the numbers for the teams and number of children on a team. Looking to see how many children have pre-registered. Looking ahead to see how many teams for each level we will have. Talk to past coaches to find out what the caliber might be for upcoming year, to help us know if we have OMHA, AE, and Three County (T/C) team(s). Register each level with an OMHA, AE, and T/C for now and with draw the teams that might not exist. Second Vice President: Working with Joe, Kirk and Chris as far as levels and numbers for 2010-2011 season. Supporting each other. Joe and I will have to co-ordinate for the upcoming team sponsors and other sponsors. Registration Convenor: At this time we have 134 registered and just received 2 more today. At this time it is mostly Fenelon Falls children registered, not a lot of Bobcaygeon children. Have the registration broke down by birth year. We need to set the registration fees and more dates for registration. Put the registration fees and dates in the newspaper. Early registration discount will be until June 15 th, 2010. Another registration date will be May 27, 2010, @Bobcaygeon Public School 6-8 Fenelon Falls Arena 6-8 Families will need to bring form and $25.00 non-refundable deposit. Only new children will need their birth certificate Secretary: No report Treasurer: Sent out a copy via email of the budget and the suggested rates are proposed with an increase of approximately $25.00 for each level. We have had in the past $50.00 family fundraising fee which can be earned back by working 5 hours in things such as snack bar, skate hoc etc. We have $50.00 per family for book of tickets. There are payment options: $25.00 deposit and post-dated cheque for Sept 1/10 for the remaining amount or paid in full or $25.00 deposit and post dated cheques for June 1, July 1, Aug. 1, and Sept.1/10. Rates: Initiation $225.00, Mite $275.00, 1 Player $575.00, 2 Players $950.00, 3 Players $1225.00. These fees are not with the $100.00 discount for early registration. Motion to accept the new rates Second: Brian Taylor Past executive has not paid the family fundraising fee for their time on the executive Motion that executive does not pay family fundraising fee and that the head coaches get their family fundraising back at the end of the hockey season. The executive has been given $25.00 to help compensate the cost of printing reports and also given a pack of paper.
Motion to have each executive member $25.00 for ink and a pack of paper Second: Brian Taylor Carrie Tournament Entry Fees $500.00 with lunch for Tyke to Atom Tournament Entry Fees $600.00 without lunch for Peewee to Midget Prices were based on a 6 team tournament. Motion to accept these tournament fees New bank account opened when name is approved from government. Motion: Upon approval from the government for our association name, a bank account will be opened in Fenelon Falls at the Bank of Montreal, with access to deposits etc in Bobcaygeon. Second: Vern Sudsbury OMHA Convenor: Batch team registration needs to be done, which means finding out our numbers. Boundary meeting next week, May 25, 2010, will determine the right of choice and forms will be needed for these families to register. OMHA will notify the families that are in a right of choice situation. Will most likely attend the AGM for OMHA, for those going please contact Sandy for reimbursement of your registration fee for meeting. Three Counties Convenor: No report at this time, later in the summer, early September Referee-in-Chief: First thing is to speak to Jill Junkin to find our who she had from Bobcaygeon to ref last year and compose a list of referees for upcoming season. Would like to see experienced referees working with junior referees for several games. Greg will be the contact for both arenas this year. Cell # best way to contact him, 647-219-5755, this will be added to our contact list Try to get young referees this year, to have for future years. Ice Convenor: Looking at the numbers and have worked out a schedule for tryouts and tentative ice schedule for this seasons. Possible numbers could mean: 3 Midget teams, 3 Bantam teams (small teams, 5 goalies), 2 Peewee teams(3 goalies), 4 Atom teams, 4 Novice teams, 2 Tyke teams, 2 Mite teams and Initiation. This would mean for levels that have 4 team: OMHA, AE, and 2 T/C (Three Counties) Levels that have 3 team: OMHA, AE, and T/C Levels that have 2 team, OMHA and T/C Tryouts will start with trying out for OMHA, then AE and then T/C Requesting that ice not start before 5:30 this year. Teams will play games in both arenas (Friday nights a good gate night in Bobcaygeon, and Sunday a good gate day in Fenelon Falls)
Requesting 48 hours of ice per week Need to book picture day soon Look at skills clinics at a later time, no ice in Bobcaygeon until Oct. 10/10 Supervisor of Coaches: 1 coaching application in but Registration Convenor says there some parents that are interested from their children s registration forms. Applications are available on the Fenelon Falls website at present time. Will look at booking PRS, trainer, coaching and refresher clinics Put together a selection committee to help assess the teams for this year Need a list of coaches from Bobcaygeon from 2009-2010 season. Refresher coursed must be completed before August 31, 2010 or you will have to start process again. Fundraising Convenor:.Will need directors to form a subcommittee and will let the executive know how many are needed. Look at getting tickets for picture day to hand out. Paused regular meeting to have Kirk Figueria stop in and tell us that things are proceeding well for the new arena in Fenelon Falls, had drawings, proposed start date is after the Fenelon Falls Fair, in August. Arena name is Fenelon Falls Community Centre and Arena, with rooms and ice surface name after people that have contributed a lot to our community. On track for building and budget. Tournament Convenor: Looking to set the dates for 2010-2011 tournaments, tentative dates are set.\ Tournament permits have to be sent in soon, with # of tournaments we are hosting. No one has shown interest in being on a subcommittee, if there is no one to help, Teresa will delegate the team managers to run their tournament. She will have the games sheets, schedules and would be available by phone each tournament. Trophies will be ordered once tournaments are finalized. Will look at using any unused trophies and re-plating them to use at the Tyke level. Will look at running OMHA & AE teams in one tournament. It was suggested that AE could have it s own tournament, due to very few of these tournaments available. Have to remember to not book tournaments on weekends of the Paul Thompson (Nov.27-28/10), Kawartha Cup (Jan.29,11) and Skatehoc (Feb 20-21/11). Communications Director: Setting up the website, which will be very powerful for the executive and users. Can have online registration in the future. Can launch website when the logo is ready. www.sturgeonlakethunder.com Privacy policy is being changed over to be effective for SLMHA for members. Equipment Supervisor: Have to make a decision on how to approach the First Aid kits and the trainers kits. Have in the past had a small tool box that had the First Aid items as well as things like screws, screwdrivers, mouthguards, etc in case of an equipment fix.
Have some pucks that can be used for practice. \ Look into getting a sponsor for the game pucks, cost for the sponsorship is $600.00 Mites will need to have sponsor such as Tim Horton s or Maplelodge, Teresa will look into this. Kitchen Director: Have Rhonda Thomas for Fenelon Falls Canteen and Cindy for Bobcaygeon Canteen as managers. Have a new kitchen in the Bobcaygeon Canteen after the arena renovations. Hoping to not rent increases this year for either canteen. Bobcaygeon Canteen has been asked to be open for the fall fair. Co-President(Rick): Need to confirm logo and colours in order to proceed with tenders for this years jerseys.
