Team Parent Responsibilities Welcome to TELL and thank you for volunteering to be a TEAM PARENT! Your primary responsibility is to relay information about TELL activities to your team s manager, coaches and parents and to distribute your team s duties among the parents on your team. All parents are required to volunteer for some activity. Your job is to organize their efforts so everyone participates. Don t be afraid to make assignments. A form is attached on the next page to make this job easier. Primary communication will be via email. Please ensure that your email address is current and you check it regularly. Any items for distribution will be at the bins near the Snack Shack. Please check before or after every game. Website www.tellbaseball.org The website is a great place to obtain current information regarding Tustin Eastern Little League. You will be able to access game schedules, upcoming events, standings. etc. Teams can also create their own page for photos and information such as practice schedules. Contact Brian Alexander at Bd_Alexander@hotmail.com to obtain access to set up your team site. Team Banner Teams must have their banner completed by February 21, which is Picture Day! We have several flyers for companies that have worked with the league before. We suggest either a parent make a banner or you split the cost of the banner amongst all team members. Team Sponsors The main fundraiser for the year is securing sponsorships for the league. Each team needs to obtain one or two sponsors. Sponsor sheets are included in this folder. Sponsors can be a family or a business. The sponsor sheet lists the sponsorship benefits at all levels. Each team must have one sponsor. We play nearly 1,000 baseball games at Utt Middle School from early March through June. As a growing Non-Profit organization, we have earmarked our donations towards the following projects: 1. Refurbishing the snack bar. 2. Replacing or refurbishing our major field scoreboard. 3. Upgrading our batting cage facility. 4. Purchasing a portable batting cage. 5. Field refurbishment. Every year over 500 Copies of the TELL Directory go out to the families of TELL. The banners are displayed for nearly half a year at UTT Middle School s baseball fields. Baseball Team Volunteer Assignments Every parent/family on every team must be signed up or assigned for one of the following areas of responsibility. Picture Day & Ball Toss Picture Day is scheduled for Saturday, February 21 Rain or Shine! The schedule is included in this packet. Individual and team photos will be taken near the snack shack according to the schedule. Rain location is the UTT multi-purpose room. This moves very quickly so please be early! Uniforms must be on and all teams ready to go. Team moms should have already gathered all photo information from the team. Players with individual packages will hold onto their own information. Every player will receive the standard picture packet. If players want to purchase additional pictures, they must complete the order form and include a check for the extra pictures. When the pictures come in, the team parent coordinator (Carrie Helmick) will email every team parent to pick up the entire batch of photos for your team from the boxes near the snack shack. Don t forget to bring your banner! Ball Toss The Ball Toss takes place immediately following team pictures on the track. Every team should proceed to the track for the Ball Toss competition. Each player should get sponsors for their Ball Toss effort. This is a big fundraiser for the league. Each player should receive a Ball Toss fundraiser packet which are enclosed. Opening Ceremonies February 28 th 8:00 a.m. TELL Opening Ceremonies will be held on the Major Field (Phillips Field). The program lasts about one hour and includes team introductions and a speaker! Teams and their banners should be lined up outside the outfield fence by 7:45 a.m. Teams should be in full uniform, near their division sign posted on the fence, in alphabetical order. Please see the enclosed diagram on the next two pages. The introductions go very quickly so, managers, coaches and players must be ready to run onto the field by 7:45 a.m. Parents may sit in the bleachers or bring chairs and blankets to sit outside the fence. If you have an early game, please remind your players to bring their equipment. Uniforms TELL provides uniforms (cap, jersey, pants) to Pee Wee, Rookie, A, AA, AAA and Major players. Socks and belts must be purchased by the players. Colors recommended by the league for socks, belts and pants are not allowed to be changed. All players must wear nonmetal cleats. Lost and found is at the Snack Shack. This is the SECOND year that all players will KEEP their uniforms at the end of the season! This can be done through Chick s Sporting Goods for a nominal fee. This must be done as a team, not as individuals. Any other type of merchandise or addition to the uniform package is not allowed. Snack Shack & Schedule TELL is a volunteer organization so, each team is assigned Snack Shack duty twice during the season. Details are as follows: Parents work a four (4) hour shift No dividing shift hours 4 parents per shift Every team will be assigned to snack shack duty 2 times during the season It is the team parent s responsibility to schedule parents to work and confirm their attendance at the shifts The Snack Shack schedule will be distributed soon after the game schedule is released, check your email and team parent bins near the snack shack Snack Shack substitutes may be hired in advance for $50 and will be collected prior to the shift schedule No show fee is $100 per family and will be billed Snack Shack Tickets Available February 21 st at 8:00AM Snack Shack Snack Shack tickets will be provided for Pee Wee Major, Pee Wee Minor and Rookie league players Single A through Major players need to purchase snack tickets for 50 cents each (value of ticket is $1) on Saturday, February 21st (Picture Day ONLY) Tickets will be available at the Snack Shack Collect money from the team to purchase tickets for the entire season at one time Have the coaches distribute Snack Shack tickets after the dugout area and field are clean from trash and equipment after every game Snack Shack Substitutes Maximum of 2 substitutes per shift allowed Cost of substitute is $50 per substitute and collected prior to the shift Minimum of 48 hours notice required by the team parent Request substitute through Snack Shack coordinator Shift Hours Monday Friday Snack Shack 4:00 8:00 p.m. Saturday Snack Shack 8:00-12:00/12:00-4:00/4:00-8:00 Saturday BBQ - 12:00-4:00 (2 People) Snack Shack Training/Basic Guidelines No children allowed in snack shack area Your team volunteers will be trained upon arrival Basic training is use common sense and sell! A Message from Kathy Mara Snack Shack Coordinator SNACK SHACK & BBQ SUBSTITUTES Tustin Eastern Little League prides itself on the efforts and commitments of its parent volunteers, and hopes to continue with its legacy. This year, the snack shack has compiled a list of responsible, energetic and more than willing students to substitute for a volunteer. Although, the hours required of us as parents may seem to be interfering with our lives, the snack shack is actually very fun and allows us to get to know each other a little better. However, there are some who cannot meet this obligation, so this program has been constructed for them. The way this works is as follows - Your team mom will appoint a time for each family to work, this time frame is one consistent 4 hour shift. In the event you cannot work the shift that has been specified for you, you may contact the snack shack coordinator to arrange a substitute. Umpires Managers, coaches and parents of Major through Single A players who will be umpiring this season are encouraged to attend one of the umpiring clinics offered by TELL or District 30. There are classroom rules sessions and field sessions. Parents should give manager and coaches a break by volunteering to umpire. TELL is presenting a field clinic, Check T.E.L.L. website calendar. In addition, there are monthly sessions on the 2 nd Tuesday of each month sponsored by the District. The meetings are held at Lamppost Pizza (Chapman and Tustin). Meetings will start at 7 p.m. and last for 1 hour. Approximately 45 minutes of instructions and 15 minutes of open forum. The meetings are open to any and all league participants who want to learn more about umpiring. During the meeting, different rules, situations and questions will be covered. Angels Game Little League Day / Sunday April 26th District 30 Little Leaguers, including TELL, are invited to attend the Sunday, April 26th game of the Angels vs. Seattle Mariners. The game begins at 12:35 p.m. with the parade of players, managers and coaches beginning at 11 a.m. There is a limited number of tickets available, therefore, we will on a first come first serve basis. Tickets are $25 for field level. More information will be sent via e-mail The parking lot opens 2 1/1 hours prior to game time. The pre-game parade on the field is for Managers, Coaches and Players WITH TICKETS. Limit four (4) adults per team. All Little Leaguers participating in Pre-game ceremonies should be in full, clean uniform. No Cleats. Pee Wee Trash Pick Up All Pee Wee Minor, Major and Rookie teams will be assigned two Sundays during the season for trash pick up. On Mother s Day, it is recommended those teams sign pick up on Saturday evening after the last game. The schedule is attached. It is imperative that the team parent coordinate and ensure everyone attends to keep our relationship with the Tustin Unified School District in good standing. It is recommended everyone bring plastic bags and gloves. Thank you for your efforts! Action Photos Action photos will be taken during the first part of the season for every team. We will place the notebooks in the team parent boxes adjacent to the snack shack upon arrival. Parents are asked to purchase the pictures they wish to keep and provide payment upon receipt. Specific instructions will be attached to all notebooks. Team Parent Files/Box It is imperative each team parent or a representative from the team check the team parent boxes weekly that are located adjacent to the snack shack. This is the main form on distribution of items that need to be handed out to each team other than email correspondence. Thank you! End of Year Party and Coaches Gifts ***Ideas Most teams enjoy celebrating the end of the season with a party. Ideas for team parties include: Pizza party Kids vs. Parents game and potluck Pool party Other Agree with the team parents on type of party and budget. Divide the cost of the party between all parents. This is also a great time to recognize the coaches. The team parent is responsible for coordinating the coaches gifts. Suggestions include gift certificates, baseballs autographed by the team, team pictures etc. Again, divide the cost between all parents. 20
