Conference of Chiefs Meeting Minutes 10/5/14 A. Section Chief Dominic Mathews opened the Council of Chiefs with the OA Obligation and Pledge of Allegiance a. All lodges were present at the beginning of the meeting B. Acting Secretary Forrest Gertin presented the Conclave Business Council of Chiefs minutes for review and approval a. Motion for approval by Ho-De-No-Sau-Nee, seconded by Tschipey Achtu, motion passed unanimously C. Section Vice Chief Forrest Gertin led the group In an ice breaker activity involving giving your name and an adjective that describes you. D. Section Chief Dominic Mathews opened the floor for nominations for Section Secretary. a. CJ Long was nominated by Ho-De-No-Sau-Nee Lodge; Motion seconded by Ashokwahta Lodges, and accepted his nomination. b. Ho-De-No-Sau-Nee Lodge moved to close the floor for nominations; Ashokwahta seconded the motion; Motion passed c. Each nominee spoke for 2 minutes on their qualifications and vision for the section d. The election was conducted in accordance to the rules stated in the Guide for Officers and Advisors e. CJ Long of Ho-De-No-Sau-Nee Lodge elected 2014-2015 Section Secretary E. Lodge reports a. Lowanne Nimat i. No report was submitted to the Section Secretary b. Ho-De-No-Sau-Ne
i. 3 induction weekends were held this fall 1. 112 brothers were in attendance 2. 40 ordeal members were inducted into the lodge, giving the lodge a 31% conversion ii. The Lodge s annual Summer Fellowship was held at Camp Scouthaven in August iii. 8 members received the vigil honor at our Summer Fellowship iv. Our Lodge s Lean-to project is still being worked on v. 24 members are signed up for NOAC, others are on the waitlist c. TKäen DōD i. No report was submitted to the Section Secretary d. Tschipey Achtu i. The lodge has inducted 86 new ordeal members and 40 new brotherhood members ii. At one of the lodge s induction weekends a Cub Pack attended a presentation on native dance iii. The Lodge has two more brotherhood and service opportunities coming up iv. Other events include Camp Cutler s Cubs in Camp program and the lodge s annual Adopt-A-Park event at the Trail of Hope in Lyons, NY. v. Both the annual Lodge Banquet and LLDC are being planned, with the Banquet set for January and the LLDC for February vi. 42 brothers are registered for NOAC and 38 have been waitlisted. vii. Harry Santora has been selected as this year s CVC for Tschipey Achtu e. Ashokwahta i. There are currently 250 dues paying members in the Lodge ii. 66 ordeal members were inducted into the lodge iii. 24 new brotherhood members were converted, giving the lodge a 42% brotherhood conversion rate iv. 1332 service hours were given to council camps this year v. Upcoming events include cub scout orientation event, a fellowship weekend, as well as the winter banquet vi. Tyler Davis, a member of Ashokwahta, is starting a dance team vii. Members of the lodge have been placed on the NOAC waiting list F. Conclave 2014 Overview a. 222 total people attended this year s Conclave b. Our training courses were successful
G. Section Calendar a. Section Chief Dominic Mathews reviewed the Section Calendar and opened the floor for discussion. The Section Calendar, below, was revised and achieved by consensus. b. The COC Reviewed the budget that was accepted last January 2014 I. CVC responsibilities a. The list of duties for each Lodge as well as each CVC was given to each Lodge b. Ho-De-No-Sau-Ne moved to approve this list of responsibilities; The motion was seconded by Ashokwahta and the motion was approved c. Tschipey Achtu is in charge of Special Events e. Lowanne Nimat is the Service Lodge f. Tyler Davis is in charge of American Indian Affairs g. Forrest Gertin is in charge of Shows h. Tim Jordan is in charge of Training K. Zack Hill, 2015 Conclave Coordinator, led a discussion about the 2015 conclave a. The Proposed Theme for the Conclave is We are the Storm b. Lowanne Nimat moved to approve this theme; The motion was seconded by Ashokwahta and the motion was approved c. A Patch Design for the conclave was presented i. Lowanne Nimat moved to approve this Patch Design concept and allow the Section Officers to approve the final design; The motion was seconded by Tschipey Achtu and the motion was approved
ii. Each Lodge is required to have sent a totem of their lodge to conclave_coordinator@ne3a.org, this was due one week from the COC (10/12/2014) L. Zack Hill and the rest of Lowanne Nimat Lodge led a tour of Camp Woodland M. Trading post (each lodge can sell their own wares) i. Ho-De-No-Sau-Ne moved to approve this change; The motion was seconded by Lowanne Nimat and the motion was approved N. Jacket order form a. Anyone who wishes to obtain a section jacket may get one for $60, order forms were given out b. Order forms had to be turned in at the COC O. Training a. Each lodge should give Tim Jordan ideas for trainers, including some form of contact information i. 25 trainers are needed by Nov 2 nd, 5 trainers per lodge b. If any lodge has a projector that could be loaned for the weekend see Tim Jordan c. The annual Train the Trainer seminar will be held on 1/17/2015 i. Non-experienced trainers are welcomed to come learn the ropes of training d. A Trainers meeting will be held on 4/11/2015 e. There will be more interest based classes then last year f. If you have any ideas for training courses contact Tim Jordan P. Backdater Presentation a. Each lodge broke into teams in order to plan their backdater for the 2015 conclave Q. National Information a. Summit Dedication Ceremony i. The home of the OA has been moved to the Summit Bechtel Family Reserve ii. Lodge rocks, made as part of the 100 th anniversary celebration, will be going to the summit b. The new brotherhood ceremony is optional for the remainder of 2014, but will become mandatory in 2015 c. Lodge History Books should be turned into National, these should include past section and area officers from your lodge, these will be due at some point in 2015 d. Arrowman service award
i. This patch is available to both youth and adults ii. This patch is to be worn on the sash iii. There are many requirements to complete, more information is available online e. The Centurion Award, considered the Hall of Fame award recognizes Arrowmen who have played a large role in your lodge s history i. The recipient may be living or deceased and each lodge is allowed to nominate one Brother for the award per 100 Arrowmen currently in your lodge f. The NOAC promo patch has been awarded for giving a $100 down payment for NOAC. i. Your lodge s Staff Adviser needs to fill out a form in order for you to receive your patch ii. Any Arrowman who receives the Vigil Honor in 2015 will receive the Centennial Vigil Honor card, any other Vigil Honor member can buy the card for $10 g. The Centennial logo and Totem are the brand of the 100 th anniversary celebrations. These are to be used on 100 th anniversary memorabilia, the branding guides can be found online h. The Region s National Leadership Seminar will be held on November 14 th -16 th at Camp Alpine in New Jersey i. Arrowtour 2015 is NOAC on wheels, a celebration for those who will not be able to attend NOAC, i. Arrowtour will not be coming to every single lodge, but it will be coming June-August j. The Chief s Circle & 100 plus club are both awards for lodges, leading to preferred housing at the 2015 NOAC i. The Chief s Circle is earned when a lodge either double its attendance at the last NOAC or brings 15% of their lodge to the 2015 NOAC ii. The 100 plus club is earned when a lodge brings 100 members to the 2015 NOAC R. Conclave Budget i. The registration fee of the 2015 conclave was increased from $35 to $45 ii. Lowanne Nimat moved to approve this change to the budget; The motion was seconded by Tschipey Achtu and the motion was approved b. The Special Events requested an increase from $150 to $700 to accommodate an appropriate 100 th anniversary program
c. TKäen DōD moved to approve the budget, as adjusted. The motion was seconded by Lowanne Nimat and the motion was approved S. The Section Centennial Award is an award given by the section to commemorate the 100 th anniversary. a. Rewards include: a certificate, an invitation to the next subsequent VIA luncheon b. Ho-De-No-Sau-Ne moved to approve this award; The motion was seconded by Lowanne Nimat and the motion was approved T. For the Good of the Section a. Section Vice Chief Forrest Gertin revealed the proposed NOAC section patch i. Ashokwahta moved to wait until the next Council of Chiefs meeting in order to give others an opportunity to design a patch; The motion was seconded by Ho-De-No-Sau-Ne and the motion was approved ii. Any NOAC patch design MUST be submitted at Nov 2 nd Teleconference b. Vice Chief s Minute i. Section Vice Chief Forrest Gertin reminded us the excitement was in the air and that we must push to make this conclave a success c. Chief s Minute i. Section Chief Dominic Mathews thanked the service lodge for access to Camp Woodland for this Council of Chiefs, he reminded everyone that communication is key, and told everyone to continue working hard d. Adviser s Minute i. Section Adviser Mr. Farnsworth reminded everyone to buy a jacket today if they would like one. He also told everyone of the NE region section patch, also available for purchase. Mr. Farnsworth announced that Rick Coloccia is the newest Section Associate Adviser, assisting Section Secretary CJ Long. Finally Mr. Farnsworth told everyone to prepare for what might be the biggest conclave ever for Section Ne-3A e. Section Chief Dominic Mathews led the Section in the Song of our Order and closed the meeting
