MINUTES OF THE 3 rd CAPTAINS COMMITTEE MEETING HELD ON MONDAY 10 th JUNE 2013 @ 17.55 PRESENT: M Izzard (MI) (Captain/Chairman), S Haines (SH), J Rich (JR), S Skelton (SS), C Fletcher (CF), J Wilson (JW), H Harris (HH), J Burnett (JB), P Fletcher (PF), Apologies: H Cottrell (HC) In attendance: D Nelson (Manager) (), R Edwards (Professional) (RE Item Issue Action C03/1 Minutes of the last meeting Minutes of the previous meeting were signed off by the Chairman C03/2 Matters Arising No Matter arising C03/3 Yellow Rose Catering SH reported that the new Social Sub-Committee had a meeting with YRC to discuss forthcoming social events menus and it was agreed that for the majority of the time it was unnecessary for YRC to attend the Captains Committee meetings. SH, CF and HC will have regular meetings with YRC and report back to the committee at their monthly meetings. SH CF HC C03/4 Captains Report From the last meeting on the 20 th May we have had club matches against Corhampton won 3 ½ - 1 ½, South Winchester away, lost 3-2. Stoneham home won 4-0 and Shanklin & Sandown away won 6 ½ - 5 1 ½ Shirley & I, Steve Haines & Carol Fletcher played in the Promethean Cup at Royal Winchester, sadly unsuccessful, but the weather was much kinder to us than last year. C03/5 Lady Captains Report The Hayling Trophy matches are now finished and whilst we did not always win, there were some very close matches. Thank you to all who played for keeping the flag flying for Lee. A special thank you must go to Sue Nelson for organising all the matches. The Stoneham Cup matches are now well under way with 3 losses and 2 wins. All to play for! Carol and I enjoyed our day at Royal Winchester in the Prometheon Cup with the Captain Micky and Vice-Captain Steve. Not the winners but at least we weren t rained on like last year! Congratulations to Sheila Harris for gaining the 4th place nett in the Bronze division of the County Championships. What a wonderful achievement at such a young age! Elaine Taylor and Gill Legg qualified for the play-offs in the County Championships and at the time of writing this report Gill went through to
the next round beating her opponent 3-2. We now look forward to fine weather for The Captain s Weekend and Lady Captain s Day on 13 th June. C03/6 Senior Captains Report With the good weather continuing playing in our Club Matches has been an enjoyable time for all. We lost to Stoneham away 5 to 1 on tricky greens which got the better of us all another loss at Basingstoke 6.5 to 1.5 for very much the same reason. We played Cams Hall in a mixed match a new fixture but lost 5 to 1 on a very windy day but did win the Mixed match against Hayling Island at 3 to 2 at home. Our best result to date was wins against Hayling Island where we had a win at home of 6.5 to 1.5 and a very good win away at Hayling 5 to 3 despite having to leave the course for lightning and very heavy rain. We look forward to our Open in a few weeks time followed by my Captains day a little later on in July. C03/7 Junior Report Match against Bramshaw was lost 5-1 but had 2 juniors making their first appearance in a club match. New red club shirts have been ordered for the juniors and should arrive this week, all funded by the club. Match this weekend against Southampton 3 juniors have had a coaching session with Rob Future plans for a junior day are under way for July All juniors have white shirts and ties now for after the matches C03/8 Managers Report Course We have now the whole of Tojans Hockey Pitch on site in readiness for bunker refurbishments and pathways, including some sections on the Practice Range to aid in the recovery of over practised areas. We hope to have the rolls covered in due course with a sheet to reduce them for absorbing rainwater and adding to their weight. JW asked whether the Astro-Turf if used as a path would freeze in the winter. & RE said they did not know for sure, but as the material is filled with sand as part of its structure, this should have some resistance to completely freezing and becoming like a skating rink. Club Systems explained that a Till Transactions button had been added to the Members Hub section of our website, where you can view your current balance and recent transactions. He also asked via a request from Kevin Smith, if they could facilitate a feature whereby members can view a Live Leader-board from the member s hub. This may come as an upgrade later in the year if deemed a feature Club Systems wishes to roll out? Bar Fullers Brewery will be sponsoring the club Score-Cards again which have been ordered for delivery in July. Fullers will also be refurbishing the Bar with new individual pumps and re-organising the cellar to incorporate a Real Ale automatic tilt stillage
two tier racking system, which will not only improve quality, but reduce wastage. Diary Fixtures for 2014 proposed a meeting with all section representatives for week commencing Monday 8 th July to discuss 2014 internal fixtures and social events. There are a number of competitions and social events which need forward planning, such as Opens, Turkey Trots etc. and the earlier we can get together and formulate an agreed fixture list the less likelihood of mistakes/double bookings taking place. SS asked if we could arrange a date whilst at the meeting and this was discussed and Thursday 11 th July 18.00 was decided upon. RE said it would be better to start the Christmas Turkey Trots in late November as opposed to last year where we only held one in December which was too late. This will be formulated in the fixtures list meetings in July. JR asked once the fixtures are decided upon will this be the template to be used in the BRS System. said that once the sections have agreed on a master spreadsheet he would upload this to the BRS database and this will become the master fixtures/diary list. RE BRS Golf Tee-Booking System Visitor tee-times booked via our own website is currently non-existent and I have signed up to two companies which will sell our designated tee-times with a 20% commission. These companies are; Teeofftimes - 20% per booking Onlineteetimes 20% per booking We retain full control of price and availability of tee times, through BRS Golf and promotion of our course to their Group database of over 400,000 golfers. We therefore should get increased visitor green fee revenue from unoccupied tee times which the Pro-Shop control. This option will interface through our BRS Golf System and be live exactly the same as per member bookings, so no possible way of double booking. Summer Ball Booked AJ & Bonita Singing Swing, Soul, Motown & Popular hits for Saturday 13 th July who also provide DJ services all PA & some lighting. The draft poster of AJ and Bonita needs to be finalised with relevant information on it i.e. dress code etc. Club Championships Currently we have 35 entrants in the Scratch 36 Hole championship & 55 entrants in the Nicholson Cup. The Proshop will be making the tee-times draw over the weekend and uploading the times onto the BRS System. PRO-AM
Currently we have 20 Teams for the 27 th June and there is still room for more should members wish to enter. The PGA will assign the teams a Professional unless already invited as part of the team. General asked to remind all members to report to the Proshop before play commences to ensure they are aware of who is on the course for safety reasons? C03/9 Past Events 31 st May Quiz Night went well although a little down on numbers, but the event did manage to cover the costs of the staging the event. 8/9 th May - Captains Weekend On behalf of my wife and I, I would like to thank you all for your support of The Captain's Weekend. We were blessed with fantastic weather conditions, which allowed a total of 294 members to take part over the two days. The course was presented in its best condition for some time, by Jason Diment and his team, and I hope you join me in congratulating them on their efforts. We enjoyed the many visits we received to the gazebo by everyone and the friendly banter which ensued. My charity benefitted considerably with the tricky flag placement on the 13th. (Total raised to follow) All in all, it was a lovely weekend and a memorable time for my family and myself. The turnout for the presentation evening on Sunday was magnificent and my thanks must go to Ross Perks and BMW for their support and sponsorship of the event, The Vice-Captain and his wife Jan, Rob, Terry and Mark in the Shop and David the Manager for their assistance. Thank you once again. C03/10 Forthcoming Events 16 th June Lunchtime Carvery & Music This event has been postponed to later in the year to be finalised at a future meeting, but is likely to be on Sunday 6 th October. 22 / 23 rd June Club Championships RE gave an overview of the format for the weekend and resources needed to allow the event to run as smoothly as possible. There are currently 28 male members signed up to play in the event and RE reminded everyone that the event is open to Lady members too.
RE said he could ask his fellow PGA members in the Southern Region to bring a team, but that would mean no LOTSGC members would play in their own Pro-Am, which defeats the purpose of holding the event. JB suggested that we send out a further email via BRS to the members to seek additional entries. suggested has we had already sent out an email to the members and that the day was looming closer it would be a good idea for RE to contact his regional PGA contacts to get an optimum 40 teams in the event. 28 th June Quiz Night HH & SH will be running this event with JW on standby and the poster & menu are now displayed in the foyer. RE HH SH 1 st July Seniors Open JR reported that the event has been well supported and everything was in place for the day. Mazda are sponsoring the Hole-in-one competition on the day and JW asked if it were possible to use the Managers & Captains Parking places to display the cars on the day? & MI said that this would be ok. There are currently 38 external members playing in the Open this year and once the list goes up our own Seniors will fill the remaining places. 5 th July Ladies Open SS reported that the Ladies Open was also well supported with 20 pairs and the section was well prepared to host the Open. RE asked whether this competition was also open to LOTSGC members. SS said it was but generally our lady members didn t normally play in our own Ladies Open. 6 th July Men s Open With only 11 entrants to date it was decided to cancel this year s event. to notify the entrants. We have not had a good history of holding Men s Opens in the past and the committee needs to look at the reasons why it has not been supported. suggested that next year we host a Team Open and have the 2015 Open posters printed to hand-out to the entrants having played and seen how the course is improving. 13 th July Summer Ball The entertainment has now been booked AJ & Bonita Singing Swing, Soul, Motown & Popular hits for Saturday 13 th July who also provide DJ services all PA & some lighting. The poster is now in the club foyer with menus to take away and places are been booked quickly. C03/11 Suggestion Book There was one suggestion in the comments book, regarding to the ridge in the 14 th bunker which were referred to the HGK & Course Member to add to their list of to do s. MI replied in the comments book which is available to read in the main clubhouse.
PF said there were other areas around the course bunkering which required attention. & RE said that the workforce at present were struggling to cope with the existing workload and this would not be a quick fix and would have to wait until times allowed in the bunker programme. C03/12 Captains Blog JW said that the 1 st Captains blog had been released and will soon be distributed in the clubhouse. MI thanked him for his efforts. to circulate. JW C03/13 A.O.B PF asked whether we needed to enforce the dress code on the course as there have been several recent sightings of gaudy clothing and members not tucking their shirts in. said that our current dress code rules does not specify what colours cannot be warn and that not all golfers report to the Proshop before teeing off which makes this difficult to Police. The only way this could be done is if we employ a permanent starter or a course marshal, which would cost a considerable amount each year. The committee discussed at length and decided that we continue to monitor the situation and review at future meetings. JW will include regular reminders in the Captains Blog. PF said that he was part of a small Swindlers team which now goes around the course doing cosmetics, tidying up/weeding etc. and will liaise with the HGK on future tasks. PF proposed the 26 th July to host a new members meeting in the Pilcher Room, This was discussed and agreed with format to be decided. JW PF ALL PF advised that the Competition s Sub Committee had a meeting where they had discussed creating a competition checklist for major events and this would be an on-going plan. MI asked how the off-cuts from the Enviro-bunker project which had been dumped in the Greenkeeper s compound were to be disposed. reported that once there was sufficient material/rubble to fill a skip the HGK would dispose of. SS said she had received a request from the President of Tylney Park GC to see whether would be interested in playing in a Mixed Foursomes Competition. said that we can discuss this at the first Diary Fixtures meeting on the 11 th July. JB asked if the Greens Noticeboards could be updated and any outdated information be removed. & RE said that they would do this in due course. RE
MI had received a request from John Florance if we could remove the other half of the metal guards on the gates as it was difficult to negotiate. MI had discussed this with the Management Committee previously and it was agreed this could be done.
