Entries All entries must be submitted using Team Manager. The Team Manager event file can be found on the Excel Aquatics website: www.excelaquatics.org Entries should include the following information: Full Team name. Team Initials (4 character limit) No Nicknames. Division. Contact person with phone number. Swimmer s full name. Swimmer s best time IN YARDS for all events entered. Each swimmer is limited to four (4) individual and two (2) relay events. Relay event numbers and relay entry time IN YARDS should be listed. If swimmers are swimming relays only, list their names on the appropriate entry as relay only swimmers. Swimmers must be entered in the meet to be able to swim relays. Meet entries must be e-mailed to the Entry Chair at xcelmeetentries@gmail.com by 11:59pm, Thursday, June 21, 2018. Please include in your email a summary of the number of swimmers, the number of events, and the number of relays entered. If you do not receive a confirmation email from the Entry Chair by 12:00pm on Monday, June 25, 2018, please contact the Entry Chair. This confirmation email will contain a copy of the team s entry. No changes may be made to your entry after the June 21 deadline. No entries will be taken from parents and no phone calls or emails will be answered from parents. Late entries from coaches will be accepted until 6:00 pm Sunday, June 24, 2018. Late entries will only be accepted on a lane available basis only. NO NEW HEATS WILL BE FORMED. Fees Fees are: $8 per swimmer, $4 per event, and $8 per relay. Late fees are: $10 per swimmer, $8 per event, and $12 per relay. **Payment must be received on or before the Coaches meeting on Thursday, June 28, 2018 or the swimmer will not be allowed to participate. Coaches Meeting The Coaches meeting will be held at 6:00pm in the Hospitality Room of the ISC on Thursday, June 28. At this meeting all teams will receive information about relay cards & sheets, warm-up lane assignments, and hospitality passes. The Summary Sheet/Release form and all entry fees must be turned in to the Excel representative at the meeting on Thursday, June 28, 2018. All checks should be made out to Excel Aquatics. All breaks during the meet will be at the discretion of the Meet Referee and will be announced during the course of the meet. Relays Relay work sheets must be turned in to the score table by the deadlines stated below. The relay work sheets serve to verify which team is actually swimming in the meet so that the Referee and Starter can be notified of any absent relay teams. Relays will be combined but will be scored separately by division.
Relay Cards are due according to the following deadlines: Session 1 7-8 boys/13-18 boys Friday June 29 7:30am Session 2 7-8 girls/13-18 girls Friday June 29 12:30pm Session 3 6 & Under Friday June 29 6:00pm Session 4 11-12 Saturday June 30 7:30am Session 5 9-10 girls Saturday June 30 12:30pm Session 6 9-10 boys Saturday June 30 3:30pm Awards Individual events: Medals 1 st -8 th place; Ribbons 9 th -16 th place. (Each age group and gender) Relay events: Medals 1 s t - 3rd place; Ribbons 4 th -8 th place. (Each age group and gender) All 6 & Under swimmers will receive a participation award All Individual High Point trophies will be awarded after each session. Scholarship Awards will be given out during the Friday award session. Team Awards for the Dual Meet Season will be given at the end of Friday s events. Team Awards for the Championship Meet will be given at the end of Saturday s events. Rules and Regulations All questions concerning swimmer eligibility should be directed to the Meet Referee. Pool All sessions will run in one pool. **Spectator Seating Restrictions Spectator (Non Athletes) seating is provided for approximately 750 people. To help provide as much seating as possible for spectators, all meet participants (athletes) must sit outside with their teams and will not be allowed to sit inside on the bleachers without the meet directors approval. No athletes, athlete s bags, coolers or any towels may be in the bleachers. No seat saving will be allowed. No outside food, chairs, strollers or coolers are allowed inside the pool area. Spectators must comply with all signs or verbal directions from meet officials limiting or restricting the use of certain areas for seating or standing or they may be asked to leave the facility. No smoking is allowed. No team, parent or press photographers will be permitted on deck unless the Meet Director has issued them a credential.
Hospitality Breakfast and lunch will be served on Friday and Saturday. Hospitality is for coaches, officials and WCSL Board Members only. Admission/Concession Admission is free. Concessions will be sold on site. Parking/Misc. Williamson County Indoor Sports Complex requires that you park in one of their 3 parking lots. Please no parking on the street, in the turn-around or along the entrances of ISC. No parking at the senior center (south of ISC) or the Heritage Sales Center. Psych Sheets and Heat Sheets Psych Sheets will be posted on the Excel website the Tuesday before the meet. Heat Sheets will be posted on the Excel website the day before the meet.
