Elmbrook Youth Hockey Association Board Meeting Minutes October 13th, 2016 7:00pm Present: Brett Black, Matt Jensen, Jennifer Decker, Katie Hillig, Leslie Harrison, Jason Freitag, John Mader, Brian Kennedy and Kelly Morrison. Guests: Eric Cole and Sean Lau. President Locker Room Policy WAHA and USA Hockey are placing more emphasis on locker room policy. The updated WAHA locker room policy was handed out to the board at the last board meeting. The President is working on an updated draft of the EYHA locker room policy. This updated version will be discussed for board approval at an upcoming meeting. EYHA will implement the locker room monitors this year. Coaches are aware of the changes in the changes in the locker room policy. Parent monitors are to be in charge of the locker room when coaches have left. VP On Ice Start of Season Tryouts/Jerseys The tryouts went well. The V.P. On Ice mentioned there was a lot of depth on the ice this year due to summer camps and other off season skating opportunities. All evaluators were non-parents and selected teams based on what skills were displayed on the tryout nights.. There are two teams at the Squirt C level. There will be two more practices to make sure the teams are balanced. The parents are aware of this. The U8's are sorted into a Red, White and four Blue teams. Several Mites that ordered jerseys were placed on a Mini-mite team and will need to pay for their jerseys and keep them for next year. 1
There will likely be a few jersey ordering issues each year at the Mite and Mini-mite levels. Some skaters trying out will be moved up to Mite, and some will stay at Mini-mite level that have already ordered a jersey. Mini-mites are issued jerseys that are returned at the end of the season. New tryout jerseys were issued to skaters at the squirt level an up. These jerseys will be kept for the season and returned at the end. There will be a $20 charge if not returned. The new jerseys should arrive on October 28th. Coaching Needs The V.P.On Ice is still looking for a non-parent head coach for the Bantam B team and an assistant for the Peewee C team. Currently, Tony Fields is the head coach for the Bantam B team. Schedule All team schedules have been entered into the system. Each team have been given their schedules. They should go in and double check their team schedule matches the master schedule. Goalie clinics will show on all families' calendars so that any skater interested in trying goalie is aware they can attend these nights. Referee Coordinator The Elmbrook referees are now a part of Arbiter scheduling program. There will be an informational meeting and on ice portion held on October 23rd at Arrowhead. The Referee fees for a 3 man system at the Bantam are $40 for the referee and $30 for each linesman. The fees for a 3 man system at the Peewee level are $30 for the referee and $25 for each linesman. Last Thursday was the last of the jerseys were ordered. Level directors will distribute jerseys to team managers. The Treasurer will be at one of the jersey distribution times to collect balances. Spirit Wear The Spirit Wear store is open currently and will close on October 23rd at midnight. Photo day Photo days is Saturday, November 12th. Rosters are on website. The Squirt C rosters may still change. Marketing -Try Hockey for Free The second Try Hockey for Free was held at the Ponds on October 8th. There were about 40 skaters in attendance. The next Try Hockey for Free skate will coincide with the USA Hockey national Try Hockey event. It will take place November 12th from 4:10 pm to 6:10 pm at the Ponds. The K4 and K5 age groups are the prime audience for these events. EYHA will try to have the community liaisons deliver information to preschools and daycares about these events. Fundraising - Wreath Sale The Wreath sale is in progress. The Wreath order forms are due November 5th and pick up will be on November 19th. Wreath sales will go towards lowering individual families' ice fees. - Kohl's Community Volunteer Program 3
Two EYHA association members that work for Kohl's, (Stacy Kennedy and Julie Wasielewski) arranged for five other Kohl's employees to volunteer at the last Try Hockey for Free event. This is part of Kohl's Community Volunteer program and the company will be donating $1500 to EYHA. There will be more Kohl's community volunteering events scheduled at the Ponds this season. -Colectivo Coffee Fundraiser The Colectivo fundraiser will count towards the fundraising fee. Families selling $250 worth of coffee will completely cover the $100 fundraising fee. Coffee sales will go on from November13th through November 30th. The order forms and payment are due on November 30th. Families can pick up their orders at the Ponds on December 12th. The Fundraising Coordinator will deliver orders to teams at their practices. Sponsorship The Sponsorship committee is awaiting state approval before moving forward. Registration The Registrar will have until November 15th to get rosters in. The supplemental roster are due on December 31st. Treasurer Report WAHA has given a grant to EYHA for $1000. The Treasurer is currently working on ice fees. Ice fee invoices will be sent to association families on November 1st. There have been six rental equipment bags rented out and paid for. Goalie clinics will be ran by Dave Desander once a month and Dan Leveritt will run the other scheduled clinics. Level Directors U8 4
There will be 2 level directors for U8. Sean Lau is now the U8 Stars level director and Kelly Morrison is the U8 Eagles director. The U8's will be attending the Admirals game on November 5th. They will play on the ice inbetween periods at the game. Squirt The Squirt level director reported there has been some discipline issues. There were some instances of name calling on ice and in the locker room. The skaters are on separate teams. It was explained to the skaters that the name calling was in violation of EYHA code of conduct. Parents were reminded to review the EYHA Code of Conduct policy. The Squirt level director feels the situation has been resolved. Along with the Squirt level director, the director of hockey and V.P.On Ice were made aware of the situation. On Saturday October 15th several Squirts and U8 skaters will be going to the Chicago Blackhawks game and playing a game on their ice before the Chicago game starts. Some parents are requesting a laminated sheet next to the game clock with reminders of warmup and period lengths for the different levels. Peewee The Peewee level director will work on drafting an instructional sheet that would be kept next to the time clock at the Ponds. The Peewee A team have 45 games and 3 tournaments scheduled. A few parents are surprised there is a limit on games this season. The V.P.On Ice does not want skaters to burn out physically and mentally, therefore doesn't think it's a good idea to let teams schedule to too many games. The Peewee level director will get an email out to all level directors asking parents to make their coaches aware of any special needs or issues for their skaters. This should be done by parents in an private dialogue or written form. Bantam John Mader will be the new Bantam level director. He will take the place of Roy Stone. Secretary The September meeting minutes were accepted by the board with revisions. 5
