Sevenoaks Leisure Centre, Buckhurst Lane, Sevenoaks, Kent, TN13 1LW Affiliation Sevenoaks Swimming Club is affiliated to Swim England South East Region & Kent ASA. The meet will be held under Swim England Laws and Swim England Technical Rules. The meet is licensed at level 3 and held under license number 3SE191883. Age Groups Ages as at 31st December 2019. Age groups 10&11, 12&13, 14&15, 16+ Entries Closing date for entries is Midnight 18th June 2019 Entry Times - No Time (NT) entries will be permitted and swimmers must be slower than the NFT (Not Faster Than) times stipulated per event and age group. Each Club that is found to be represented by more than 8 swimmers may be asked to complete a club entry using the Hy-Tek Lite electronic entry system. All entries must include Date of Birth and Swim England Registration Number details. Club entries should be submitted using the Hy-Tek s TM Lite entry system (download available via www.sevenoakssc.org). Individual entries may be accepted using individual entry forms also available via the website. All clubs submitting entries are requested to assist in the running of the meet by supplying details of any Licensed officials who are willing to assist at this Gala. Accepted Entries Will be posted on the Sevenoaks Swimming Club website: www.sevenoakssc.org on the 2nd July 2019. It is the responsibility of the club representative to check the entries for any errors in names, ages, times etc and to notify the Meet Organiser of any such errors. Failure to do so may result in swimmers being excluded from events. Once entries have been published as accepted, entry fees will NOT be refundable, except when due to injury or illness and where a doctor s certificate is provided. All entries using the electronic system do not have to send entry forms. All entries and cheques should be posted to the Meet Organiser: Rejections Entries may be restricted in order to keep the session times within appropriate timescales slowest times per individual age within each age group will be rejected. We will look at overall percentage of swims and reject individual age groups based on these figures. For example, rejections from 10 & 11 age group will be made for both ages. Sevenoaks Swimming Club reserve the right to reject any entry. The submission of entries either electronically or by entry form indicates acceptance of the Meet Rules. Sevenoaks Swimming Club reserve the right to alter the entry closing deadline. If the information required on the entry form is not given fully or is found to be materially incorrect, irrespective of any previous acceptance of entry, the Promoter may at his discretion reject the entry.

Please do not send Entry Forms or cheques by Special Delivery. Time trials Will be accepted time permitting but will not be entered into the results for award purposes @ 8 per trial. Entry Fees Entry fees are 5.50 per event. Spectators fees 5.00 all day, 3.00 for OAP s & Children. Events THIS IS A SIGN OUT MEET swimmers and coaches will be required to confirm any withdrawals at the beginning of each session at the recorders desk. Sign out will close at the start of warm up commencement for each session. Events will be seeded, by time. All events will be swum on a heat declared winner basis. It is the responsibility of the swimmer to report to the stewarding area in sufficient time for each event. Sevenoaks Swimming Club will not be held responsible for any swimmer missing the start of their particular heat. Awards & Results The electronic timing display results are only provisional and may be overruled by the Referee. Awards will be made to the first six placed swimmers in each age group and medals can be collected from the medal table after the results of that event are published. No medals will be posted. Full results will be available on Sevenoaks Swimming Clubs website during and after the event. Results will also be passed onto the Swim England for inclusion in the rankings. Warm Up Swimmers and coaches must ensure that they take no action that would endanger themselves or others. Swimmers should swim in the direction indicated by the lane direction cards. Swimmers must swim in their appropriate warm up. Sprint lanes will be announced. Swim Down No swim down facility is available. Starts It is the responsibility of the competitor, coaches and clubs to ensure that all swimmers are competent to the standard of the Swim England competitive start award to perform a shallow racing dive into the water. Swimmers are permitted to start in the water for all events, but must advise the referee of this prior to the start of their heat. In the event of a false start, the swimmer must make a safe entry. The competition will operate over the top starts throughout, at the referee s discretion, with the exception of the backstroke events. The referee s decision is final.

PROMOTER S CONDITIONS Safety & Security Everyone is to familiarise themselves with the emergency exits which must be kept clear at all times. Anyone observing anything they consider to be a safety hazard must report this to the Meet Director or one of the organisers. The pool depth at the starting end is 1.8m the distance between the top of the diving block and the water level is 400mm. All swimmers must be under the direct supervision of the Club Coaches or designated Club Official (who must be in possession of a poolside pass which must be visibly worn at all times), during warm up, in competition and whilst in the vicinity of the pool and whilst in the pool building. In the absence of a Club Official this responsibility then resides with the parent/carer. This responsibility applies especially to periods of non-competition or between sessions. Competitors and spectators must not leave their belongings unattended. Neither Sevenoaks Swimming Club nor the pool management will be held responsible for the loss of any property. Poolside Passes - One required for each Coach/Team Manager who will be poolside. Various pass options are available - cost of passes is shown on Summary of Entries sheet. Includes entrance, poolside access, programme/s, heat sheets, poolside refreshments, and food where the appropriate pass is purchased. It is the responsibility of attending clubs to ensure that poolside passes are only issued to people who are members of the Swim England and have up to date DBS checks. Cost of pass is 10 per day of 20 for the weekend. Bags - large swimming bags will not be allowed on poolside - please bring a small poolside bag. Lockers are available to leave belongings (a 1 coin, which is returnable, is required). Changing - please note, as this venue is a Leisure Centre the changing facilities are open to the general public during the Meet. Sevenoaks Leisure Centre & Sevenoaks Swimming Club do not take any responsibility for any damage/lost or stolen property. Swimmers must wear suitable clothing and footwear on poolside and when moving around the Leisure Centre. Swimmers wearing wet clothing are NOT allowed in the spectator seating area. Coaches are asked to ensure swimmers leave the water by the side, and do not climb over the timing pads. Photography Anyone wishing to take still or digital photography (including the use of mobile phones or other devices to do this) must, do so in accordance with Swim England Child Protection guidelines. Photographic equipment should not be used at any time in the changing areas. Behaviour The promoters and the pool management reserve the right to remove any swimmer or spectator from the pool area whose behaviour is either against pool rules or is affecting the running of the meet. Anyone found causing damage or misbehaving will be banned from the meet. Refreshments A Cafe selling hot and cold food will be in operation throughout this event. Data Protection Entries will be entered onto a computer. By submitting entries, consent is given under the Data Protection Act 2018 to holding of personal information. Any matters not covered by these conditions will be at the Promoter s discretion subject to Swim England Laws and Technical Rules of Swimming.
