REGIMENT WAY GOLF CLUB - COMMITTEE MEETING MINUTES OF THE MEETING HELD IN THE TROPHY ROOM, CHANNELS, ON TUESDAY 11th July 2017 MINUTES Present: Mrs J Everard (Captain), F Bakare, L Worwood, Mrs J Carlton, D Carlton, J Levermore, M Franks, R Smith, J Thwaites 1. Apologies for Absence: T Morgan, J Palmer, 2. Minutes of Last Meeting The minutes of the meeting held on the 6 th June were discussed and agreed by the Captain. 3. Matters Arising The situation regarding people needing a medical certificate to use a buggy in a competition was discussed and decided that the rule would stay the same, if anyone needs a buggy in a competition it must go through the committee and approved. The minutes from the committee meeting in June did not state what had been discussed regarding the buggies and what the outcome was, the minutes from June have now been amended and corrected accordingly. it was discussed how many members we have in each category, Mick Franks supplied a list of the numbers of how many people we have in each category. If anyone needs this list please contact Jason. A list of officers has been put up in the ladies and gents changing rooms with a note asking anyone needing the contact details to ask in the range. 4. Reports: 4.1 Captains Report Competitions June was a busy month with ladies PING, Jubilee Cup & Harris Bowl matches, not to mention the Midsummer Shield and Friendlies. All of these went without a hitch except for the friendly match away at Gosfield. We were unable to raise a full team and the match was cancelled. When Foley organises his calendar next year he may wish to reconsider this fixture. Whilst on this subject, the Midsummer Madness competition was also poorly supported by the members and maybe this is something that has had its day something to look at for the 2018/19 calendar. Upcoming competitions in July - The President s Cup is coming up on Sunday and unfortunately Richard Stubbings is unable to attend. He has therefore passed on the prizes for presentation on the day. Following this is the Greenkeepers Putter which Ray assures me is going to be a great day. The 9 & Dine supper evening follows this with Captain s Day on the 30 th. Preparations are going well; the sign-up sheet is up in the range and of course more details will be emailed out to the entrants the week before.
The Charity recent events such as Ascot Ladies Day Afternoon Tea and the BBQ went well raising close on to 1,800 between them. Hopefully the Captain s Day will also do well. Committee Members Since our last meeting, Mandy has stepped down from the committee due to family reasons. Kevin has also had to resign due to health issues. We wish Kevin all the very best and a speedy recovery. Tee times this still seems to be an issue and will be covered later. Expenses Receipts for 196.53 has been passed onto Dan for trophies purchased. A further 100.00 has been spent on engraving used trophies. Finally, Richard Smith has taken on a great deal of work with both Junior organiser and temporary Competition Secretary. I personally would like to thank him for his support and assistance and would ask that all members of the committee try and make his job a little easier and help at competition times. 4.2 Vice-Captain No Report 4.3 Immediate Past Captain No Report 4.4 Treasurer I attached accounts made up to 10th July 2017. These show the following key figures: Accumulated Fund Adult Members: 4659.39 (Previous Month: 4269.89) Junior Members: 884.53 (Previous Month: 866.53) Cash at bank & in hand: 13279.12 Captain's Charity Reserves: 2868.91 There are half a dozen signatories on the club account and this needs to be updated so only committee members are signatories. 4.5 Competition Secretary To say that it has been a smooth start to too my reign as Competition Secretary is a bit of an understatement. Finding my way around the computer has been challenging but with the help of my daughters I feel that at last progress is being made. To make it easier Mick Franks has taken charge of the money side so it leaves me time to get on top of the competitions. Not too much to report but there have been a few new members entering comp s. And hopefully this trend will continue.
As Julie has already said the Midsummer Madness was a bit of a disaster but everything else has been reasonably well supported. 4.6 Handicap Secretary Mick wants all past printed competition results go into a file for anyone that has not got access to master scoreboard. Handicaps - All Known Handicaps are up to date and accurate as of 09 th July 2017 Current Membership Seniors Members 154, Senior Away Members 5, Adult Members 126, Adult Away Members 9, Junior Members 25, Junior Away Members 4. Total Member as or 1 st July 2017 323. County Fees have been paid for 306 Members. This agreed figure is subject to audit by England Golf (see attached notification) Past Printed Competition Results With the Committee s agreement, can the Past Competition Results be removed from the Noticeboard and filed in a folder? The proposal is that at the beginning of end month (after the Monthly and Midweek Medals have been played) the past results are removed and filed prior to the current results being displayed. Supplementary Scores Members are not signing the Supplementary Scores Book (Red book held in the Range) prior to playing. Can we remind all members that intent must be shown by signing the book prior to play commencing? As per CONGU the maximum number of supplementary Cards that can be submitted by a player (Category 2-4[5]) with a CONGU Handicap is 10 within a twelve-month period (UHS Clause 21.4). There is no limit on supplementary scores for CONGU Club Handicaps (29 [37] 54). Recording Non Qualifying Competition Scores The folder (Black) is now in the Range. All Non-Qualifying Competition Scores must now be recorded with your Home Club. Full details and process are in the folder. The research will be twofold: 1. Quantitative research taking the form of an online survey in many countries around the world 2. Qualitative research taking the form of focus groups in 6 key markets around the world. England Golf will be hosting one of these Focus Groups and you will be asked during the survey if you would be willing to take part, if this is of interest please sign up and participants will be selected at random by the R&A. A weekly competition will be running on alternate Saturdays and Sundays and Jason is giving block tee times of 13.30 hrs. on Saturdays and 14. 30hrs.on Sundays. A letter outlining these has been handed out to the parents/guardians of our junior members. In the letter, I have asked for help in running these and Jason has offered me the use of a buggy to enable me to get around and monitor what is happening. I have asked Jack Cole to spend a short time with the Juniors to explain the basics of course etiquette and he has gladly agreed to do so. It was agreed that Richard Smith will have to get a DBS check.
4.10 Secretary Richard smith, Jack Cole and myself had a meeting about trying to improve the junior section at Regiment way, we have decided to book out some time for the juniors on weekend afternoons to try and encourage juniors to come and play in the competitions. We have also added junior and lady s beginner tee markers next to the 150 yard posts to help encourage new juniors and ladies to get onto the course and start playing. We will be bringing the 150 yard markers down from Channels and adding these in place instead of the blue 150 posts as it is, the new one s are solid wood and will be cemented in place. We have paid the county fee s which are now up to date, we will receive another letter form the county requesting any new member s fee s that have joined between now and the 1 st of December which we will have to pay by the end of December. We now have 6 buggies at Little Channels, 2 of which are being kept in the greenkeepers shed until Ray can cut the bushes back for us to fit them in the buggy storage area, but they are here to be used if you need any more for special days. Richard Stubbings will not be here for the Presidents cup as he is away on holiday, I have bought the prizes for him and will give to Richard Smith to give out on the day. 4.12 Ladies It was proposed with no objections that Jacqui Carlton would become the lady s representative on the committee. 4.13 Course Matters there will be Junior Tee s next to the 150 yard markers which will be around 8ft by 8ft wide. 5. Any Other Business it was discussed and agreed that we would change the Gosfield friendly alternate years. it was noted that Colin Minns was thanked by the Committee for everything he has done for Regiment Way Golf Club in the past. Dan Carlton bought up the idea about Regiment Way produce their own Members Handbook and this needs to be looked into. The signatories on the bank account need to be changed. Roy, Colin & Lorraine Doy are no longer on the committee so should be taken off and replaced by Richard Smith & Foley Bakare as Competition Secretary & Vice Captain respectively. Each member of the committee needs to write a role description of their job so it will be easier for anyone taking over the role going forward. Pamela Cant and Valerie Newman have both been approved to use a buggy in competitions. They have both been added to the list and can now use buggy s in competitions.
Can lee put something in the monthly newsletter regarding the rules of golf and try to help educate members on basic rules, can Lee also make a local rule giving free relief for the OB Posts to the right of the 9 th hole to save golfers taking the posts out of the ground. Ex channels members need to adhere to the competition rules at Regiment way golf club Can we look into purchasing a projector for committee meetings and who will run the projector and organise it. Can we ask the greenkeepers make a conservative effort to allow golfers to play through when they are cutting the fairways and doing maintenance work on the course. Jason has spoken to the green keepers and made them aware of the concerns that the members have. 6. Date of Next Meeting 8 th August 2017-7.30pm.
