Volunteer Handbook Galena Illinois May 16, 2015 Welcome to the Galena Triathlon & Duathlon Volunteer Team! In an effort to make your volunteer experience an enjoyable one, we have created this handbook for your reference. This should help answer many questions commonly asked and provide you with the information needed to make your volunteer experience a positive one. It includes updated information about volunteering, information for the athletes regarding the race, schedule of events, parking, shuttle buses and frequently asked questions. Volunteers must be 18 years of age to work independently. Volunteers between the ages of 12-17 will be able to perform some clean up duties with adult supervision. Thank you for volunteering for the 20 th Annual Galena Triathlon & Duathlon. We appreciate your support and look forward to working with you. 1

Directions to the Event Locations From Galena to Nixon Beach, Apple Canyon Lake: From the intersection of N. Main & Meeker St., turn right onto Stagecoach Trail. Drive east for approximately 12 miles. Turn right onto Pea Ridge Rd. Pea Ridge Rd. will turn into W. Apple Canyon Rd. Turn left onto S. Apple Canyon Rd. Turn left onto Eisenhower Dr. Nixon Beach is at the end of Eisenhower Dr. From Stockton to Nixon Beach, Apple Canyon Lake: Take U.S. Hwy. 20 west to the village of Woodbine. In Woodbine, turn right onto Scout Camp Rd. Turn left onto E. Lake Rd. No. 1. Turn left onto S. Apple Canyon Rd. Turn right on Eisenhower Dr. Nixon Beach is at the end of Eisenhower Dr. From Nixon Beach, Apple Canyon Lake to Recreation Park (Bike Course and Site of Finish Line): From Eisenhower Dr., turn right onto S. Apple Canyon Rd. Turn right onto W. Apple Canyon Rd. At the Y in the road, veer to the left which will be Pea Ridge Rd. Stay on Pea Ridge Rd. until it intersects with Stagecoach Trail. Turn left onto Stagecoach Trail. Travel approximately 12 miles and once you enter the city of Galena, Recreation Park will be on your left. This route will be closed during the race. Please use the detour route. From Nixon Beach, Apple Canyon Lake to Galena (Route to be Used During the Event): From Eisenhower Dr. turn left onto S. Apple Canyon Rd. S. Apple Canyon Rd. will turn into E. Apple Canyon Rd. Turn right onto E. Lake Rd. No. 1. Turn right onto Scout Camp Rd. At the village of Woodbine, turn right onto U.S. Hwy. 20 and travel west through Elizabeth and onto Galena. Park in the remote parking lot (see Remote Parking Lot) and take a free shuttle (see Shuttle) to Recreation Park. Stagecoach Trail Detour on Saturday, 8:45 a.m. Noon: All through traffic on Stagecoach Trail (between N. Main St. in Galena and Elizabeth-Scales Mound Rd. in Scales Mound) will detour on Broadway Ave., Dewey Ave. Council Hill Rd., Jewell Ln., W. Culvert Rd., and Elizabeth-Scales Mound Rd. Volunteer Parking Parking at Nixon Beach, Apple Canyon Lake on Friday and Saturday: Parking for volunteers will be available near the corner of S. Apple Canyon Rd. and Eisenhower Dr. Do not park along the sides of Eisenhower Dr. Parking at Recreation Park, Galena on Saturday: The parking lot for volunteers is the West Parking Lot. Parking is very limited at the park, please carpool if possible. Let the attendants know you are volunteering for the event and please follow the instructions. X X Volunteer Parking Lot Event Info Tent/ First Aid Tent Volunteer Check In Please be at your assigned location at least 15 minutes before the start of your shift. Report to the Event Information Tent to sign in and receive your name badge, ticket for lunch and register to win some great prizes donated by local businesses. Please remember to return your badge to the Event Information Tent after your shift. Apple Canyon Lake, Friday and Saturday: The Event Information Tent is located by the pavilion at Nixon Beach which is at the end of Eisenhower Drive. Recreation Park, Saturday: The Event Information Tent is located near the Finish Line until 10:30 a.m. and in the post-race party area after 10:30 a.m. Volunteer information-continued 4

Be comfortable & have fun! We recommend you wear comfortable shoes and clothing. Dress for the weather, plus, bring sunglasses, hat or cap, sunscreen, a smile, promptness and a great attitude! Cheer on the athletes and have a great time. Schedule of Events Friday, May 15 1:00-9:00 p.m. Race packet pick-up, bike check-in (security provided) at T1, and periodic course talks at Nixon Beach, Apple Canyon Lake 5:00-9:00 p.m. Race gear drop-off (security provided) at T2 at Recreation Park in Galena Saturday, May 16 6:00 7:30 a.m. Shuttle buses leave from the Depot Parking Lot to Recreation Park (T2) and/or to Nixon Beach, Apple Canyon Lake (see Shuttle & Parking sections for information) 6:15-7:45 a.m. Run gear drop-off at T2 at Recreation Park 6:15-8:15 a.m. Race packet pick-up and bike check in at Nixon Beach, Apple Canyon Lake 8:45 a.m. Course talk at Nixon Beach, Apple Canyon Lake 9:00 a.m. Race starts (Triathlon and Duathlon wave starts listed at packet pick-up) 9:00 a.m.-3:00 p.m. Shuttle buses run between Recreation Park and the Remote Parking Lot 11:30 a.m.-3:00 p.m. Post-race party at Recreation Park in Galena Noon-3:00 p.m. Shuttle buses run from Recreation Park to Apple Canyon Lake (one-way) (Departures start at Noon and every half hour until 3:00 p.m.) 11:30 a.m.-3:00 p.m. Gear (from T2) pick-up at Recreation Park 1:30-3:00 p.m. Gear (transported from T1) pick-up at Recreation Park 2:00 p.m. Awards ceremony at Recreation Park in Galena Unclaimed Gear Email events@galena.org for unclaimed gear. We will be happy to ship it back to you by FedEx with your credit card information. Athlete Packet Pick-Up Please Note: There is no packet pick up at Recreation Park. You MUST show a race number in order to check in gear at T2 in Recreation Park. Check in at Endure it! Sports in Naperville during the week or at Apple Canyon Lake race weekend, prior to dropping your gear off at Recreation Park. This policy is for both Friday and Saturday. Parking for Athletes and Spectators Parking at Nixon Beach, Apple Canyon Lake on Friday: Parking is available near the corner of S. Apple Canyon Road and Eisenhower Drive. Do not park along the sides of Eisenhower Drive. Shuttles are available to transport from the parking area to Nixon Beach. Registration is located at the Beach House at Nixon Beach. Parking at Nixon Beach, Apple Canyon Lake on Saturday: There are two parking areas at Nixon Beach on race day. Park in Lot A if you plan to leave after the last athlete has left Nixon Beach. Parking Lot A is located near the corner of S. Apple Canyon Road and Eisenhower Drive. Parking for athletes and spectators-continued 5

Park in Lot B if you plan to leave after the last duathlete is off the first run course and on the bike course. Parking lot B is located near the corner of S. Apple Canyon Road and Pierce Court. Parking at Recreation Park, Galena on Saturday: Extremely limited parking will be available at Recreation Park. Vehicles will only be able to enter the Recreation Park parking lot prior to the race starting. Vehicles parked at Recreation Park will NOT be able to leave the parking area until the race is finished. Participants wishing to leave early or to have the flexibility to leave when desired, should NOT park at Recreation Park. Park in the remote parking lot at the Old Train Depot and take a free shuttle to Recreation Park. Remote Parking Lot: Old Train Depot Remote Parking Lot (101 Bouthillier St.): Parking is free in this parking lot. From the East: Travel west on U.S. Hwy 20 to Park Ave. Turn right onto Park Ave. Travel one block and turn left onto Bouthillier St. Cross the railroad tracks and turn left into the parking area. Follow signs into the lot. From the West & Galena: Travel east on U.S. Hwy. 20 across the Galena River bridge. Turn left onto Park Ave. Travel one block and turn left onto Bouthillier St. Cross the railroad tracks and turn left into the parking area. Follow signs into the lot. Shuttle Park in a remote parking lot at the Old Train Depot and take a free shuttle. Shuttles will transport athletes, spectators, and volunteers. Shuttles will run according to the schedule below. There is no guarantee of shuttle arrival or departure times. Plan ahead and take the earliest shuttle possible. Bikes and pets are not allowed on shuttles. 6 a.m. - 7:30 a.m.: Shuttles will depart from the remote parking lot at the Old Train Depot and shuttle to the Recreation Park and the lake. Take the earliest shuttle possible. Shuttle buses will not leave at specific times; instead shuttles will leave as they are filled. 9 a.m. - 3 p.m.: Shuttle will run between remote parking lot at the Old Train Depot and Recreation Park in Galena. Noon, and every half hour until 3 p.m.: Shuttle will run from Recreation Park to Apple Canyon Lake. Spectator Transportation Shuttles will also be available to transport spectators from Apple Canyon Lake to Recreation Park (finish line) after the last athlete has left Nixon Beach and is on the bike route. There is no guarantee of shuttle bus arrival time at Recreation Park. Spectators may not get to Recreation Park in time to see loved ones reach T2 or cross the finish line. Spectators who choose to drive themselves from Apple Canyon Lake to Recreation Park will need to park at the Remote Parking Lot at the Old Train Depot (see Remote Parking Lot section for information) and take a shuttle to Recreation Park. Shuttle buses will be available to transport spectators from the Remote Parking Lot to Recreation Park between 9 a.m.-3 p.m. Information for athletes and spectators-continued 6

Frequently Asked Questions by Athletes Will inclement weather affect the race? Race staff and officials will closely monitor the weather forecast. If inclement weather is a potential issue, race staff and officials will make a decision based on the safety of athletes, volunteers and staff. A final decision will not be made until race morning. Any changes/announcements will be made race morning at Apple Canyon Lake. Where and When is registration/packet pick-up? Registration and packet pick-up will be at the Beach House at Nixon Beach, Apple Canyon Lake. The Beach is located at the end of Eisenhower Drive. Registration will open from 1-9 p.m. on Friday and 6:15-8:15 a.m. on Saturday. Athletes arriving after 9 p.m. Friday will not be allowed to register or drop things in the transition area. Please Note: There is no check in at Recreation Park in Galena. You MUST show a race number in order to check in gear. This policy is for both Friday and Saturday. Can someone else pick-up my participant packet for me at the Lake? No, each athlete must show photo ID and then sign the participant waiver. You must pick-up your packet in person. Can someone else compete under my registration? No, the registered athlete is the only athlete that may compete. Since the event is USAT sanctioned, we must follow USAT rules and ask each athlete to show a photo ID at registration. What is the temperature of the water at the Lake? The Lake temperature will be posted at the Event Information Tent. Water temperature and event updates will be posted on the event Web site at www.galena.org/triathlon. If the event will be a Duathlon, instead of Triathlon, due to water temperature, it will be posted. Can I leave gear in Transition 1 and Transition 2 overnight? Yes, you may leave gear in Transition 1 and Transition 2 overnight. The event is providing overnight security at both locations. Is there parking at the Lake and/or Recreation Park? See information included in this packet for detailed parking information. Is there a shuttle? Where is it located and what time does it leave? See information in this packet for detailed shuttle information. Are bikes allowed on the shuttle? No, bikes are not allowed on the shuttle. Are pets allowed on the shuttle? No, pets are not allowed on the shuttle. Are pets allowed at Apple Canyon Lake? No, pets are not allowed at Nixon Beach. 7 Frequently asked questions by athletes-continued

Are pets allowed at Recreation Park? Yes, Recreation Park is pet friendly. All pets must be leashed and cleaned up after. Are spectators allowed on the shuttle? Athletes will be allowed on the shuttle buses first. If there is room for spectators and volunteers, they will be allowed to board. If I ride the shuttle to the Lake will I make it back to Transition 2 to see my athlete finish the race? There is NO guarantee that spectators will be able to see an athlete both start and finish. Shuttles will transport spectators as quickly, and safely, as possible. What time is the post-race party? 11a.m.-3 p.m. at Recreation Park in Galena. Lunch will be provided from 11a.m.-2 p.m. Is there a charge for food and drink? Athletes, volunteers and uniformed safety and law enforcement personnel receive one plate of food and one non-alcoholic beverage free. All others will need to purchase food and beverage. A plate of food (including one non-alcoholic beverage) will be $9 for adults and $4.50 for children under 10 years of age. There will be beer and wine available for sale too. What time does the gear arrive from the Lake at Gear Pick-Up at Recreation Park? The gear from the Lake will be transported to Recreation Park by event staff. It is due to arrive at Recreation Park at approximately 1:30 p.m. All gear must be picked up by 3 p.m. What time may I remove gear from T2 at Recreation Park? Athletes may begin removing bikes from T2 beginning at 11:30 a.m. All gear must be removed by 3 p.m. Where can I receive first aid? First aid services will be provided by Warren Ambulance at Nixon Beach, at Apple Canyon Lake and at the First aid tent located near the finish line in Recreation Park. What time is the awards ceremony? The awards ceremony is scheduled to begin at 2 p.m. The presentation will be held at the post race party at Recreation Park in Galena. When and where will results be posted? Spectators and athletes can receive timing updates via text message, facebook, or twitter, (instructions and information will be provided closer to race date on our website at www.galena.org/triathlon.) Results will be posted by 6 p.m. on the Galena Triathlon & Duathlon Website at www.galena.org/triathlon on race day. 8
