ALBANY SWIMMING CLUB INC 2015/16 Annual Report An affiliated club of:

1 President s Report Your Committee has been working closely with Swimming WA to embrace best practice governance through process changes and updates to our constitution, financial and asset management policies. Swimming WA has encouraged us to pursue growth and I am pleased to report record membership, record attendance at Club and Championship nights and an increase in our trained Technical Officials. We have been negotiating with the City of Albany and Squad Coaches to increase our lane space. This has the potential to limit further growth and has necessitated some changes to squad training times. The Committee is very conscious of avoiding overcrowding and providing a safe, quality training experience. Albany Short Course and the untiring efforts of our members in fundraising helped return a sound 'cash at bank' position. The Club recorded a net loss for 2015/16 FY after transitioning Accounting firms and accounting software to a standard financial year. Our Club's position is underpinned by our many loyal and committed sponsors. We encourage all our Membership to be aware of, and support locally, those businesses that so generously support us. Of course the 'business' of the Albany Swimming Club is to provide a solid platform from which our talented Coaches, Nola Osborne and Nicole Beattie, led by head coach Marshall McAleese, impart fun, fitness and self development to our Swimmers. We thank the Coaches for their commitment and passion. They often act as Carers, Facilitators, Mentors, Advisors, Counsellors, Friends, Instructors, and Torturers. If it were not for the tremendous commitment of the Coaches, our Swimmers would not have performed as well as they have during the season. I would like to make a special commendation and thanks to Louise Ireland who steps down after many distinguished years on the Committee in crucial roles. Thank you for all your assistance and support, you will be sadly missed.

My sincere thanks to the Committee and everyone involved with the Albany Swimming Club for a successful year. The Club does everything to the best of its ability to provide Swimmers with every opportunity to succeed and reach their goals. We do this with the help of many fantastic people. They go out of their way to make things work without any fuss or public recognition. They are people who are happy to contribute in any way to see our Club continue to grow and prosper. You know who you are, thank you. JOHN CANNON President 2 Head Coach Report Season 2015/16 has again been a very busy one for the Albany Swimming Club. My thanks go to the committee for their tireless work to keep the Club in great shape and provide the support required by the coaches to run the swimming program. I would also like to thank the coaching staff for the dedication and passion they apply to their squads. Our member numbers have increased significantly this year which has prompted some changes to training times to continue to provide a quality coaching environment. For the 2016/17 season squad training times will be: Dolphins and Sharks 3 x 1 hour sessions from 4 available time slots Monday, Tuesday, Wednesday & Thursday. Sharks 3 x 1 hour sessions from 4 available time slots Tuesday, Wednesday, Thursday pm & Friday am. Shark Gold 5 x 1½ hour session Tuesday, Wednesday, Thursday pm, & Tuesday & Friday am. Marlins 5 x 2 hour sessions Monday, Tuesday, Thursday, Friday pm, Saturday am plus 3 x 1½ hour sessions Tuesday, Wednesday & Friday am.

You will note the addition of a 1 hour Friday am session for Sharks to accommodate our larger member base. The coaches and committee will continue to monitor squad numbers and explore any other training time options should they be required. Coaching costs for squads: Marlins $720.00* Shark Gold $480.00* Sharks $380.00* Dolphins $340.00* *Please note these are coaching fees only and do not include Club and SWA fees. Coaches Nicole and Nola have done a great job with their respective squads despite some difficult circumstances, ensuring a clear pathway from novice to competitive swimming. The selection criteria for squads have been made with consideration to several factors other than times. Swimmers age, commitment, attendance and discipline are among these using the Swimming Australia Multi Age Group Model as reference. Any movement between squads will be approved by me in consultation with the coaching team and parents of the swimmer involved. The swim team have enjoyed much success during the year, some highlights being: 2 National Qualifiers who competed in Adelaide at the National Championships. State Age 2015 LC Championships - 9 competitors. 2015 Junior LC Championships - 13 competitors. Adelaide State Championships 15 competitors. Country Championships 25 competitors. Country Pennants, Moora won B Grade earning a promotion back into A Grade. Regional Championships 25 competitors. Winning both overall and handicap trophies. Performance Squads 25 in JX Program. 2016 State Age & Open SC Championships just completed 8 competitors. 66% PB rate, numerous finals & 3 medals. Albany Short Course 58 competed many medals and Junior and Senior Swimmers of the Meet. Albany Swimming Club also hosted a round of the OWS Series in March which saw our swimmers perform very well in tough conditions. Numerous Regional records and many Club records. The year ahead: 2017 National Championships, Brisbane. State LC Championships December. 2016 Junior SC Championships 12 competing.

3 Membership The Albany Swimming Club Inc increased its competitive membership from 104 in the 2014/2015 to 117 in the 2015/2016 season. 25% of those registered in 2015/2016 were new to the club and 75% had renewed their membership from the previous season i.e. a 75% retention rate. Target 2016/2017: 80% retention rate The swim club attracts a much larger number of female swimmers 72 (62%) to 42 (38%) male members. Many swim clubs have very strong junior squad participation (12 years and under) with a drop off in the older age groups, however, the squad membership for the Albany Swimming Club is relatively balanced i.e. Jnr Swimmers 67 (57%) Snr Swimmers 50 (43%). The 16 years and over age group however only represents 7% of membership. See graph for age group breakdown. 5 Performance Targets 2016/2017 Targets: 25% of members qualify for LC and SC State Championships 20% of members compete at LC and SC State Championships 6 Financial Report Financial Governance Move to NAB for timely processing of financial transactions via EFT & online approvals Improved compliance with accountancy standards by contracting a CPA and the support of an external book keeper. Improved detail in financial reporting to improve budgeting/costing processes. Financial performance $10k deficit 2015/2016 This came about primarily through the change in accounting periods to a standard financial year and transitioning Accounting firms and software. The club is in a stable financial position with bank balance sitting at approximately $34980 at the end of the 2015/2016 financial year. 2016/2017 Financial plan Membership fees cover: coaches' wages and travel to target meets Club fees cover: club room rental, utilities, insurance, equipment maintenance, book keeping/accountancy, club night & annual medals and awards Albany Short Course profits cover: funding national qualifiers & coach Red carpet awards Country Pennants The main income for the club is, of course, membership fees. We also generate revenue from hosting the Albany Short Course (average $6000 per annum), sponsorship (average

$4000 per annum), fundraising and possible Grants. This financial year we received a grant for $500 towards the purchase of equipment. The main expenditure for the club is wages for the coaches, Country Pennants, Medals/trophies, Club Room rental and utilities, Insurance for Dolphin Timing System and Accountancy fees. This financial year the club also contributed $2500 towards the Head Coach to attend the Adelaide State Championships with 16 swimmers. The $2500 went toward the coach s travel/accommodation/meals/pool entry and also paid for parent support accommodation and meals. Two of our swimmers went to Nationals and both were assisted in the tune of $600 each. Attached is a financial report for the year ending 30 June 2016. Rebecca Murray Treasurer
