Position Description General Manager/COO Position Title: General Manager and Chief Operating Officer COO Reports to: Country Club of Spartanburg Board of Directors Job Summary: The General Manager serves in the capacity of Chief Operating Officer of the Country Club of Spartanburg and implements the policies established by the Board of Directors, and Bylaws of the Club. The General Manager, who reports directly to the Club President, develops operational policies and is responsible for the creation and implementation of standard operating procedures for all areas. This includes the preparation of the annual operating and capital budgets and, after Board approval, the management and control of the operations to attain the desired results. The General Manager coordinates all management functions of the Club and works in concert with the Board and committee chairs in assisting them in the development of proposed policies, programs, events, etc. The General Manager is responsible for the promotion of the Club and the overall hospitality, friendliness and goodwill experienced by all members and their guests. His/her goal is always to help members and their guests enjoy the facilities and programs of their Club, and strive to create an exceptional experience of gracious hospitality provided by the General Manager and the Club staff. 1

Job Tasks (Duties): Member Services Provides quality leadership and a positive upbeat image for the Club and its amenities. Leads with the desire to provide members with premier service in casual and fine dining, recreational excellence, quality products, and an exciting calendar of Club events. Maintains detailed records on events, and reviews with the appropriate parties to seek continuous improvement. Plans his/her work schedule so as to be personally visible and readily accessible to members and their guests at the right times and in the right places. This includes regular presence at lunch and evening meal times and during Club special events. Assures the smooth, efficient daily operation of the Club to provide the members and guests with an environment of excellence in gracious hospitality. Oversees a top-flight food and beverage operation, with appealing menus, properly priced, and featuring exemplary service. Develops and executes a highly regarded member event program and a limited but quality orientated special event business for Club sponsored special events. Addresses and resolves member complaints and suggestions, in such areas as general service, athletic programs, employee attitude and their desire to provide outstanding service. Responsible for the maintenance and cosmetic appearance of the Club property to include the clubhouse, kitchens, grounds, pools, fitness center, tennis facilities and golf course. Furthers his/her own continued development as a Club management professional by participation in appropriate Club Managers Association of America (CMAA) seminars and conferences, and others as budgeted and approved, thereby enhancing his/her value and quality of services to the membership, and the proper training and development of Club staff. Employee Relations Coordinates with the Board, and, as appropriate, committee chairs, on all department head compensation, benefits, performance appraisal, disciplinary, and other significant personnel actions. Interviews and appraises all applicants for key positions, and exercises final approval authority over all Clubhouse hiring. Acts as a resource person to the Head Golf Professional, Head Tennis Professional, Executive Chef, and Greens Superintendent in their hiring. 2

Initiates employment programs and recruitment efforts that result in the club being viewed as a good place to work, especially for wait staff and entry level employees. This includes the seasonal staffing of all operating areas. Interacts with department managers pursuant to the appraisal, discipline, and/or discharge, of any employee. Ensures that there is a formal review and compensation program in place. Provides for the training and further development of all department heads and other personnel. Creates an environment of true team spirit among the staff. Ensures that a positive and healthy working environment exists throughout the Club, one that is free of safety risks and all forms of employee harassment. Maintains all necessary employee records, to include performance appraisals, discipline, and complimentary records, payroll and benefit details. Financial Management Prepares annual operating and capital budgets and, after Board approval, manages and controls the operations to attain the desired results. Provides input to all department heads, professional staff, and key personnel, projecting and developing budgets, capital spending plans, fiscal controls and operational guidelines. Installs controls and cost-effective procedures related to employee payroll, purchases, inventories, and supplies. Oversees the approval of contracts, all accounts payable and receivables, all labor cost payouts, and maintains them within the constraints of the budgets and through close coordination with the Board of Directors. Maintains the JONAS management information system which can be counted on for timely and accurate information for all parts of the Club. Communications Develops ongoing dialogue and rapport with Club members through recognition, communication, the newsletter, and follow through. Assures exemplary communications between the Club members and employees. 3

Keeps the Club President, or in that individual s absence, the appropriate Officer or committee head, informed of all significant, or potentially significant, operating matters and problem areas. Possesses a general knowledge of and responsibility for the Club s social media and website presence as effective marketing and communication tools to members, staff, and community. Club Management Assumes responsibility for all Club administration and community relations. Provides ongoing continuity from year to year, and Board to Board, on all plans and programs. Provides for Clubhouse security, its campus grounds, and member s belongings. Oversees the general care, maintenance, and upkeep of the physical plant and facilities, and ensures that appropriate monies are available for their upkeep and timely maintenance. Delegates appropriate authority to department heads, yet remains responsible for all operations of the club, making those changes deemed necessary for the club s successful operation. Attends meetings of the Board of Directors and the various committees to which he/she is designated an ex-officio member. Arranges for proper minutes to be maintained for all Board and committee meetings. Operates an outstanding Country Club with anticipatory service, gracious hospitality, intentional proactive vision, and tasteful amenities. Individual Attributes Character The successful candidate should: Possess unimpeachable integrity. Have a passion for the Club and its mission. Be outgoing and approachable to members, their children, and staff. Be a gentlemen or lady with initiative and outstanding leadership ability. Be a self-starter, enthusiastic and able to motivate and properly train other members of the staff. Display proven leadership skills and the ability to interact effortlessly with the members in the various Club venues. Presence and a desire to provide gracious hospitality are key qualities. Possess a professional dress sense and appearance. 4

Other Qualifications Be able to create and maintain a positive employee work environment. Possess strong team building skills and willingness to take the hands on approach and physically assist the team in accomplishing tasks at busy times. Possess the knowledge and skill to plan special events and provide outstanding, consistent food and beverage operation appropriate for the Club. Possess strong computer skills to include Microsoft Office and a complete understanding of the JONAS management system. Possess an eye for detail, and a desire for continuous improvement. Possess a sense of urgency and the ability to follow through on tasks. Possess excellent communication skills, both written and verbal. Possesses an excellent memory and the ability to recall members by name. Be able to achieve high operational standards and to respond with tact and diplomacy to all members even when they are not quite satisfied. Experience The successful candidate should have experience in the Private Club field as a Club Manager or Assistant Club Manager who is ready to handle increased responsibility. Education An undergraduate degree from an accredited college or university is preferable. A degree from a leading hospitality institution and the CCM designation or working towards becoming a CCM is a plus. The Country Club of Spartanburg Tucked away in the gently rolling upstate lies The Country Club of Spartanburg, one of the most treasured clubs in South Carolina since 1908. For over one hundred years, The Country Club of Spartanburg has been an Upstate tradition. Much more than a golf club, the Club has grown into one of the finest full service country clubs in the Southeast. The Club is open 6 days per week, 12 months per year. The private 18 hole 6,648 yard par 72 course was totally renovated in 2008, and features immaculate bent grass greens, and a style reminiscent of the work of Donald Ross. For 2011, The Club was named Country Club of the Year by the South Carolina Golf Association. The Club is proud to host the Bobby Chapman Junior Invitational, a nationally ranked junior event that draws top juniors from around the country. Led by our veteran hosted many South Carolina professional golf staff, The Club has prestigious tournaments, including the Amateur, and US Open qualifying. A new junior golf program has recently been added and soon to be the best in the region directed by a certified Aim Point Express instructor along with his US Kids and PCA certification. He has a PGA tour player as well as 65 students who have earned college scholarships and 21 in the last 3 years. 2

Renovations in 2008 also included a welcome addition of our new fully equipped fitness and aerobics center. We are also proud to offer 9 Har-Tru clay and 3 hard tennis courts known as the best in the region and directed by the renowned CCS tennis pro and support staff. The junior tennis program is measurably one of the most successful junior programs in the region. The Club has an Olympic sized pool with a resort style food and beverage program. With hundreds of children on the swim team, the CCS Sailfish actively compete each year against the other area club and swim teams. The Casual Dining Room is an ideal venue for family dining and casual dining. It adjoins the member s private lounge with windows that provide a magnificent view of the golf course s 9 th and 18 th greens and tee boxes. The ballroom and adjoining main dining room are ideal venues for banquets, buffets and cocktail receptions. The ball room and main dining room are surrounded by a slate tented terrace and stone fire pit which sits above the 18 th green and overlooks the panoramic view of the 18 th fairway.
