6. Business Arising From Previous Minutes 6.1 Petanque Promotion on 5 October in the Melbourne City Square Max Chaperon provided a brief verbal report. A fine day, a good turnout by petanque players and helpers, and a steady stream of interested members of the public. All Metropolitan petanque clubs were represented on the day along with a number of players from Woodend Hanging Rock Petanque Club and Nagambie Petanque Club. The VPCI Committee expressed their thanks to all who attended and particularly to Sue Gray and John Paul Ernst of the Camberwell Petanque Club for organising and setting up the activity. 6.2 Petanque Promotion on 26 October at Mornington and Somers Graeme McIntyre presented a written report (attached). 6.3 Championship Triples at Dove on 19 October Peter Wells provided a brief summary of this tournament. Fine day with 13 Men s Teams and 8 Women s Teams. The day was well organised and well hosted by Dove Petanque Club. 6.4 Championship Mixed Doubles at Caulfield on 30 November In previous Championship Tournaments the Qualifying Rounds were based on a Random Draw. It was decided from now on that the Qualifying Rounds should be based on the Swiss System. The Qualifying Rounds at the Championship Mixed Doubles will be 4 Rounds using the Swiss System. The Finals will be an Elimination Series as previously specified in the Championship Triples and Doubles documentation. It was decided to change the venue of the Tournament from Caulfield Park Petanque Club to Dove Petanque Club as the new pistes at Caulfield are unlikely to be ready on time. Dove Petanque Club was thanked for their offer to host the event on such short notice. Richard Tarlinton agreed to source the required medallions. 6.5 Date for AGM It was originally agreed to hold the AGM after the Mixed Doubles Tournament on 30 November, but this was now deemed inappropriate. It was then decided to hold the AGM on or about 13 or 14 December. Max Chaperon agreed to find a venue and get back to the Committee Members to confirm a date, time and venue. 6.6 Shooting Mats and Circles Gerard Finette will finalise purchase and delivery of these items on a forthcoming trip to Thailand and report back to the committee through Patrick Dufresne. 6.7 Senior Festival Week Danny Green reported on Mt Macedon Petanque Club activities associated with the Seniors Festival Week in the Macedon Ranges. As it turned out it was a wet and miserable day and only 2 people turned up! 7. Other Items of General Business 7.1 Formats for Victorian Championship Events It was decided that all future Victorian Championship Tournaments (Triples, Doubles and Mixed Doubles) would be conducted on 1 day and comprise a 4-Round Swiss System Qualifying Series followed by an Elimination Finals Series. In these events the Principale Final Series will be either a 2-Round Single Elimination Series or a 3-Round Single Elimination Series depending on the number of registered teams in the relevant Divisions. It was suggested that an attempt be made to hold these 3 Championship tournament in the daylight-saving period. Page 2

It was confirmed that the Victorian Shooting Competition would be held each year just prior to the National Easter Triples Tournament and comprise 2 separate rounds of 20 throws each. 7.2 Interstate Challenge of 8-9 November Patrick Dufresne reported on this event, informing the committee that this was well run, well hosted by Weird Petanque Club and gave the coaches from the various States attending a good opportunity to think about the best team to represent Australia at the 2015 Trans-Tasman Tournament to be held at Avoca. It was also pleasing to be able to report that the Open event was won by Victoria, as was the overall win based on the combined results of the Open and 60+ challenges. The Committee congratulated the State Coaches and Representative Players on their great performances. 7.3 Smythesdale Petanque Club VPCI received an application from Smythesdale Petanque Club (a few km S-W of Ballarat) to join VPCI (attached). Motion: That VPCI accept this application from Smythesdale Petanque Club to become a member of VPCI. Moved: Richard Tarlinton Seconded: Max Chaperon Vote: Carried unanimously Peter Wells is to write to Smythesdale Petanque club informing them of this decision and welcoming them as a member of VPCI. 7.4 Benloch Boules of Steel Petanque Club VPCI received an application from Benloch Boules of Steel Petanque Club (a few km N-W of Lancefield) to join VPCI (attached). Motion: That VPCI accept this application from Benloch Boules of Steel Petanque Club to become a member of VPCI. Moved: Graeme McIntyre Seconded: Peter Wells Vote: Carried unanimously Peter Wells is to write to Benloch Boules of Steel Petanque club informing them of this decision and welcoming them as a member of VPCI. 7.5 Replacement for Richard Tarlinton Committee members were asked to consider talking to players in order find a replacement for Richard Tarlinton as a VPCI Committee Member at the forthcoming AGM. 7.6 Bendigo Bank as Main Sponsor Graeme McIntyre led a discussion on this topic, noting that the Bendige Bank had recently indicated that they were not taking further applications for state sponsorship for the time being. Graeme outlined various other possibilities, with Patrick Dufresne indicating that there were (according to a recent document) around 800 French-owned companies operating in Australia. Committee members were asked to come back to the next meeting with more concrete ideas on this topic. Page 3

7.7 VPCI Grant to Regional Clubs for Trophy Graeme McIntyre led a discussion on the possibility of VPCI providing grants to the 3 Regions in order to purchase Regional Perpetual Trophies. It was decide to make a grant (subject to a suitable Regional application) of $100 per trophy. 8. Date of Next Committee Meeting The next General Meeting of the VPCI will be the AGM at a date, time and venue to be decided upon in the near future. The date of the next VPCI Committee Meeting will be decided later in December. Attachment: Related to Item 6.2 SE Region Come and Try Petanque at Mornington and Somers Petanque Club Open Day Sunday 26 th October 2014 Mornington We had a very successful day with four Mornington Petanque Clubs taking part in our Petanque promotion. In all some 24 members, our state coach Guy Bahler and VPCI Vice President Graham Jones made significant contributions to ensure things flowed smoothly. Our playing area was 32 metres x 15 metres with 6-7 Pistes. An information desk was in a marquee (supplied by Bendigo Bank Mt. Martha) at the front entrance which obtained visitor details and controlled the flow of people on to the Piste. The banners were placed at the park entrance and marquee. We used flags & bunting to add movement and colour. We estimate that 50 to 60 people took part in the coaching clinic who then progressed to playing social games. Some even came back later for a second game. I believe the success of Mornington & Somers was due to effective promotion through several publications. The most effective advertising was from the councils Peninsula Wide publication following a meeting with department officials and the articles that appeared in the Mornington News and the Westernport News from a press release I issued with the accompanying photograph (apologies to Camberwell). They added the editorial comment possibly from our website. http://issuu.com/westernportnews/docs/wpn_current/1 The best aspect was that 85 % lived in our target market of Mornington, Mt Martha and Mt Eliza. Some 30-35 expressed interest in playing Petanque in Mornington with 23 leaving email and phone numbers for Mornington Peninsula Petanque Club to contact them. We also gave details to one group each for the Camberwell, Sunbury and St. Kilda clubs. Somers Stephen Brown is the new President. He said they had between 15-20 people visit them on their open day. He believes that up to 4 couples will possibly become members. Mornington Shire Council s Department of Recreation & Leisure has advised both me and Michael Harrisson of Mornington Peninsula Petanque Club that they will be inviting us to a meeting on Friday 14 November to discuss the possibility of finding a site for them in Mornington. There is provision for a Piste/Croquet expansion in their future plan for the Civic Reserve and we will be pushing for this to be expedited ASAP. A strong case for a Mornington base has grown very quickly with the MPPC now having 21 members and discovering a group capped at 24 with a waiting list from the U3A playing in the Rose Gardens on a regular basis. When we add a conservative percentage of the U3A players plus the expressions of interest received from our promotion day we could well be looking at a club of some 30-40 members. 2 Page 5

Beach Petanque January 2015 I am now looking at the logistics and costs to run a beach competition over three consecutive days in the Council s foreshore caravan park(s). The Council has provided $200 towards the cost of social boules. I have bought 3 sets of 8 costing $94.36 at this stage which we used at Mornington. If it is staged as a council event there will possibly be a charge of $176. The fee was waived for our Come & Try promotion. I will forward a breakdown of costs shortly.
