Important Procedures, Timelines and Suggestions The key to a successful event is planning and preparation. Give yourself enough time to take care of all the little details. Northview receiving timely and accurate information is critical to the success or your event and allows us to provide the best possible service to your guests! Provide Your Guests With An Information Sheet Describing: Date of event, location, arrival & registration times/tee times/dinner time etc Start Time and Tournament Format (including a map & directions to the course) Organizer s name, phone number & e mail address for questions/inquiries Dress code, course policies, pace of play (see terms and conditions) Rental Club availability (call the Golf Shop to reserve) Reception & Dinner Time Frames Pre Game Food and Beverage Outlets/Time Frames 21-30 Days Prior (together with the Tournament Director) Confirm Tournament Formats/Contests Remember that multiple on course events equates to a longer time on the course for all guests. (long drive/closest to the pin/straightest drive/ hole in one contests with minimum yardages) Confirm registration area requirements Confirm food & beverage requirements (banquet details) Confirm banquet set up (prize tables, auction tables, A/V etc.) Confirm post event cleanup plan of action/volunteer schedules etc 14 Days Prior Provide guaranteed number and finalize payment. PREPAYMENT IS MANDATORY Finalize rental equipment required Finalize list of signage, on course competition requirements Communicate dress code, rules, pace of play, etc to your guests 72 Hours Prior Confirm any final increase in banquet numbers Provide foursome draw including starting times and/or shotgun starting holes 24 Hours Prior Ensure that signage/logoed pin flags have been delivered to the golf course, with signs clearly labeled with course name & the hole number where it is to be placed Day of Event Check in with the Golf Shop & re-confirm day s events, sign off on tournament sales report. Please assign one designated person (please provide name of contact and phone number) to pick up all items at the end of the day. 4

Terms & Conditions 2017 CONTRACT, DEPOSIT, GUARANTEES & PAYMENT A non-refundable deposit of ($500 less than 50 players, $1500 between 51-100 players, $3000 single shotguns, $6000 double shotguns) along with a signed event contract will confirm your event reservation. Northview Golf & Country Club Ltd (Northview G&CC) reserves the right to release all space for re-sale if the deposit and contract are not received on or before the date indicated. All events require 100% pre-payment of the Event Estimate 14 days in advance of your event date. The deposits will be regarded as a down payment towards the total cost of the event. All deposits are non-refundable and nontransferable. Should your numbers decrease for any reason and you choose to reduce to a tee time event from a shotgun event, a new contract and deposit are required. A valid credit card number (including Expiry Date and CVC Code) is required for our files. Final payment of your event must be settled within 15 days of receiving your final invoice. Any balance remaining unpaid after this time frame will be applied to the credit card number on file. A 2% per month compound interest charge will be applied to all unpaid accounts after a period of 15 days from the date of final invoicing (and each subsequent month). In the event of an "overpayment", the Club will issue a refund cheque within its current billing cycle or credit card on file. TEE TIME TOURNAMENTS Minimum number of participants required for a tournament package is 24 golfers. Tournament increases may not be possible due to advance booking of public play. All tee time events must adhere to Northview s 4.5 hour pace of play requirements. Events will be charged $400 for each 15 minute block of time exceeding the 4.5 hour time limit. (if slow play has been deemed to be caused by your guests) SHOTGUN TOURNAMENTS Single Shotgun bookings require a guaranteed minimum purchase of 144 complete tournament packages. Double shotguns require a guaranteed minimum purchase of 288 complete tournament packages. Additional players attending above and beyond will be charged the full tournament package rate. All shotgun starts will tee off at 1:30pm (1pm during Sept). Shotgun events may start at other times subject to the approval of Northview G&CC. There is an additional charge of $1,000 per half hour, per course for any events starting prior to 1:30PM. From May 1-July 31, 10am or earlier shotguns are also available at no charge. Please ask for details.

ON COURSE SET UP Sponsor Signage: Must arrive at the Golf Shop a minimum of 24 hours in advance. Please provide specific instructions for sign placement and have all signs labeled on the back for location. Northview G&CC will place all signage on course. All signs must be free standing. Additional labor charges will apply for signs that do not fall within Northview G&CC standards. Hole In One Vehicles: Vehicle placement on course will be weather dependant and at the sole discretion of the Golf Course Superintendent. Equipment: Northview G&CC has a limited supply of tables, chairs and umbrellas for on course as well as a limited supply of ice. Please advise sponsors wishing to set up that it is always advisable to bring in their own supplies. Please note that Northview G&CC does not supply pop up tents or extension cords for on course use. Hole sponsors will be responsible for providing these supplies. Any tents brought on site will be the responsibility of the event/volunteers to set up/teardown. Any additional requirements for the event must be supplied by the tournament and approved by Northview G&CC two weeks in advance. Utility Carts: Event organizers will have the use of 2-4 Toro Workman utility carts on event day to help with on course set up and hauling of supplies/equipment onto the grounds. Please note that Northview G&CC s golf carts/committee carts will no longer be permitted for use as hauling vehicles. Please designate a person(s) to arrange for the removal of signage and other materials at the completion of your event. Northview G&CC will assume no responsibility for any signs, banners, prizes etc left on the premises following your event. Please note that we have limited storage and would not be able to accept deliveries of prizes, supplies, table centerpieces etc until the day of your event. POWER CARTS & RENTAL CLUBS Northview G&CC has a large fleet of golf carts for tournaments. For larger events, rental clubs and power carts are available on a first-come, first served basis. Carts and clubs may be reserved up to 14 days prior to your event (based on availability). Any damage to rental equipment or power carts will be charged to the event. Northview G&CC reserves the right to restrict power cart access on course at the discretion of the Golf Course Superintendent. (i.e. full access, cart paths only or the 90 degree rule). Power cart signage must meet Northview size standards of 4 high x 8.5 wide. The use of tape to apply signage to power carts is strictly prohibited. A labour charge will apply for cleanup if required. *Any static windshield advertising decals are to be installed by the client/volunteers. Northview G&CC is not responsible for any setup of windshield advertising decals on carts.

FOOD & BEVERAGE - BANQUET A guaranteed number of additional dinner guests are required 14 days prior to your event. This number may only increase. Final increase in numbers is required two business days prior to the event. Final numbers are considered firm and may not decrease. All food and beverage must be purchased from Northview G&CC. A 16% service charge plus applicable taxes applies to all food & beverage purchases. Dinner will be served at the scheduled time as noted on the Event Contract. By law, all alcohol must be provided by Northview G&CC. Corkage events are respectfully declined. Northview G&CC will be responsible for calling tables to the buffet. Banquet rooms and bars will be set according to Northview G&CC standards to ensure the most efficient use of space for your event. The use of tape, nails, and pins (on the walls) is strictly prohibited. Signage/banners (maximum 4 banners/signs) will be hung by Northview staff only, based on pre-approval through our event coordinator & General Manager. Northview G&CC s Tournament Director must be informed of all deliveries and arrival times. FOOD & BEVERAGE ON COURSE For events wishing to have vendor(s) preparing food on the course, Food Safe Guidelines MUST be followed. Large commercial BBQ stations are not permitted on the golf course. These BBQs must be designated/located on the paved area adjacent to our kiosk(s). Requests for approval must be made in writing. TOURNAMENT LIQUOR STANDARDS Due to the liquor primary licence afforded to Northview G&CC, and in conjunction with current liquor laws, Northview G&CC will no longer have alcoholic sponsored or unsponsored tasting stations at tournaments. Special Occasion Permits are also no longer permitted on courses. Northview does have alcoholic and non alcoholic beverages available at our Kiosks and Beverage Cart. All alcohol; service, locations and hours of operation will be at the discretion of Northview G&CC. Two pieces of ID (one picture ID) must be provided when purchasing alcoholic beverages. At any given time, if the guest is deemed to be intoxicated, Northview G&CC will not serve alcoholic beverages to that particular guest and arrange a means of transportation to leave the premises at their own expense. There is a zero tolerance for any consumption of alcohol/drugs in vehicles or parking lot areas. Exiting and re-entering of the clubhouse will be monitored and enforced by the Northview G&CC security team. Alcohol brought on to the premises will be confiscated and guests will be asked to leave the premises. Smoking is strictly designated to the West balcony under the canopy. Northview s Banquet Manager/Supervisor will keep the convenor informed and up to date on all incidents. Northview G&CC reserves the right to close the bar for the safety of its guests and employees and/or close down the event.

DRESS CODE Presentable attire is required and applies to all golf participants, volunteers and sponsors while on the premises. No soiled, ripped, vulgar or offensive clothing permitted on the property. Unacceptable attire includes, but is not limited to, swim wear, jogging shorts, short shorts, cut off shorts, tank tops/sleeveless shirts or sweat suits. Golf shoes or running shoes only are permitted. Soft (non-metal) spikes are recommended. The dress code is mandatory and will be strictly enforced. Please ensure that your tournament participants and volunteers are aware of our dress code. GENERAL RULES & CONDITIONS Play will be foursomes (only exceptions: special format or shotguns i.e. Texas Scramble). Each player must have a full set of golf clubs. Outside alcohol will NOT be permitted on the property. Cooler bags will only be permitted with soft drinks and will be subject to inspection by Northview staff (strictly enforced). Any outside alcohol will be confiscated for the day and can be picked up upon departure. To ensure the highest quality of organization for your event, Northview G&CC will accept organizational instructions from ONE event planner only. You are responsible for communicating the rules and regulations of Northview G&CC to your participants, volunteers and hole sponsors. Anticipated length of your shotgun tournament play is 5.5 hours (maximum). Groups falling behind may be asked to pick up their ball and move to the next hole (strictly enforced). Tournaments will play as scheduled unless the General Manager/Golf Course Superintendent determines the course to be unplayable. FACILITY IMPROVEMENTS Northview G&CC continues to evolve and efforts to improve the facility are ongoing. Please be assured that every effort will be made to avoid impacting your event with any improvement projects that may be underway. We thank you for your understanding and appreciate your support in choosing Northview to host your event. LIABILITY Northview G&CC reserves the right to inspect and monitor your event and discontinue services to all guests in the case of any violations of Club Policy or Provincial law. Northview G&CC assumes no responsibility for any loss or damage to persons, goods, property, and/or equipment brought onto the facility by the organizer and guests. The GOLF EVENT HOST will be held responsible for any charges due to damage to Northview Golf & Country Club s property during their event and is responsible for the actions and/or conduct of their guests. RE-BOOKING POLICIES Northview G&CC does not hold dates for events without a signed contract and a deposit on file. Dates are NOT guaranteed for any event until a signed contract and deposit are received. Shotgun events will be booked for the following season during the current season. Tee time events will be booked for the following season starting the first business day in January of the New Year. CANCELLATION Our cancellation policy requires that Northview s Tournament Director be notified in writing.
