RECRUITMENT RULES OF PANHELLENIC ASSOCIATION AT EASTERN KENTUCKY UNIVERSITY I. Statement of Positive Panhellenic Contact We, the women of Eastern Kentucky University, will promote Panhellenic-spirited contact with all potential new members throughout the year. Strict silence will begin at the conclusion of events on Sunday, August 27, 2017 and last until bid distribution is complete on Monday, August 28, 2017. No sorority member, including alumnae and new members, may communicate or live with potential new members during this period. Strict silence is defined as verbal, nonverbal, written, printed, text message, electronic communication, or communicating through a third party. If potential new members live in a residence hall with sorority members, casual greetings and contact are permitted. II. Statement of Adherence to NPC Unanimous Agreements and Policies Regarding Recruitment All NPC member organizations represented at Eastern Kentucky University believe in strictly adhering to NPC Unanimous Agreements and policies. These valued and nonnegotiable policies will be followed by all organizations during the recruitment process. III. Statement of Membership Recruitment Acceptance Binding Agreement The Eastern Kentucky University Panhellenic will uphold and use the Membership Recruitment Acceptance Binding Agreement (MRABA) for each potential new member interested in joining a women s sorority, whether during primary or informal recruitment. We agree to all policies and steps pertaining to the MRABA. IV. Statement of Values-Based Recruitment We, the members of Eastern Kentucky University Panhellenic Council, pledge to promote the following practices during membership recruitment: 1. Engage in values-based conversations. 2. Choose recruitment activities and behaviors that reflect the core values of our organizations. 3. Make informed choices, based on shared values, about potential new members. 4. Educate potential new members about the chapter s values, and connect to these values. Eastern Kentucky University recruitment events shall consist of maximum conversation time, tables with displays pertaining to the event, and water for potential new members. Skits, recruitment videos for purposes other than Philanthropy or Preference round use, food, or costumes may not be included in recruitment. V. Statement of Automatic Reset of Total To allow chapters to achieve parity as quickly as possible, the Eastern Kentucky University Panhellenic Association shall reset total automatically every regular academic term. This is to be done no later than 72 hours following bid distribution in the academic term that primary recruitment is held and within one week (no more than seven days) from the start of the academic term(s) in which primary recruitment is not held. Total will be determined by the median chapter size (MCS). Revised: April 9, 2017 P a g e 2

DATES: Eastern Kentucky University Formal Panhellenic Recruitment Logistics Formal Recruitment 2017 will begin on Thursday, August 24 and will conclude on Monday, August 28 Monday, August 28 around 8:30pm is Candlelight/Bid Day Formal Recruitment 2017 Registration for Potential New Members begins on Saturday, April 15 and concludes on Tuesday, August 22. Panhellenic Council will host 1-3 Panhellenic Socials event during the summer and/or the time period before the start of Formal Recruitment. Panhellenic Council with host Formal Recruitment Orientation on Wednesday, August 23. Informal or open recruitment will begin immediately following Bid Day on Tuesday, August 29. STRUCTURE: Recruitment rooms will be reserved and assigned by the Panhellenic Council. Recruitment rounds will follow the 8-5-2 structure. Panhellenic will provide all chapters with bottles of water to serve to PNMS during each round. ROUND ONE Will consists of 30 minute parties with 15 minute breaks. No food or beverages shall be served during first round other than light refreshment provided by Panhellenic during breaks. Chairs will be provided by Powell or supplied in the assigned room. Decorations should be meaningful and relate back to the chapter, and must be approved by the Panhellenic Recruitment Staff. The chapter will be given an opportunity to make modifications if changes are deemed necessary. Decorations are not allowed to be hung from the ceiling or walls. The first night of recruitment is casual. Chapter attire will be the unified shirt agreed upon by a majority vote. Chapters must adhere to the recruitment attire guidelines (pg. 6). ROUND TWO Will consist of 45 minute parties with 15 minute breaks. No food or beverage shall be served during the second round other than light refreshment provided by Panhellenic during breaks. Chairs will be provided by Powell or supplied in the assigned room. Decorations should be meaningful and relate back to the chapter. Revised: April 9, 2017 P a g e 3

Decorations are not allowed to be hung from the ceiling or walls. Chapters must adhere to the recruitment attire guidelines. Chapters may select to use a brief video presentation that solely focuses on their philanthropy. The chapter should facilitate an activity with the PNMs that demonstrates the chapter s philanthropy. PREFERENCE ROUND Will consist of 1 hour parties with a 15 minute break. No food or beverage shall be served during the second round other than light refreshment provided by Panhellenic during breaks. Chairs will be provided by Powell or supplied in the assigned room. Additional furniture may be utilized with prior approval of the Panhellenic Council. Chapters may use battery operated candles. Chapters must adhere to the recruitment attire guidelines. Gamma Chis will knock to provide a five, two and one minute warning before each event. She will open the doors to relay information to the chapter regarding the PNMs. Gamma Chis will knock when five, two and one minute remains for each event and will await the departing group. Guests (non-affiliated guests who will speak or interact with PNMs) may only be permitted at the Philanthropy round and when directly associated with the service or project being performed by the chapter. Those guests must are limited to three individuals, and the Panhellenic President or VP of Recruitment External must approve the attendance of such guests in advance. Men are not permitted to be present during formal recruitment events. They may assist with pre- and post- event activities, such as furniture removal and storage. However, men must be out of recruitment rooms 30 minutes before the start of the first event of each round. They may return at the conclusion of the last event once all potential new members depart the area. CHAPTER REQUIREMENTS: Each fraternity/sorority must submit an updated roster electronically to the Panhellenic Advisor by August 1st. Any changes after August 1 st should be provided to the Panhellenic Advisor within 48 hours. All room set-ups and decorations must comply with EKU policy regarding use of facilities as well as the commitment to No Frills recruitment. Chapters cannot block fire exits, cover exit signs, or cover exit/emergency lighting. In order to cause the least amount of damage, chapters may not use glitter/confetti or decorations with glitter/confetti for Recruitment activities including bid day. Chapters may not hang anything from the ceiling or affix anything to the walls. Revised: April 9, 2017 P a g e 4

No art work may be removed from any building utilized for recruitment. Chapters will be responsible for damage or failure to clean rooms. The Panhellenic President and the VP of Recruitment External will inspect all rooms prior to the start of the first event for each round. Chapters must report any damage made to a room, immediately following that night s final round to the President or VP of Recruitment External. All chapters must complete a post room inspection after the final event of each round. No decorations are to be displayed outside of the event rooms. This includes room signs. A PNM may not leave a chapter event with anything including, but not limited to: flowers, notes, poems, and cards. No favors or gifts may be given to any potential new member at any time prior to the start of Formal Recruitment or during Formal Recruitment. This includes Colonel Craze, Big E Welcome, and Welcome Week activities. Chapters with designated chapter housing and chapter room space in New Hall B MAY NOT invite unaffiliated women into chapter space prior to the conclusion of bid day. GAMMA CHI and PANHELLENIC OFFICER DISSAFILIATION: Panhellenic Officers will celebrate their selection of the Recruitment Counselors (Gamma Chis) on April 30. The members of the Panhellenic Executive Council and the Gamma Chis will remain unbiased and operate with Panhellenic Spirit in all dealings with PNMs. Gamma Chis and Panhellenic Officers must represent Panhellenic at any official event hosted by the University or the Fraternity and Sorority community. Examples would be, open houses, Admissions events, and other related activities. This means Gamma Chis and Panhellenic Officers should wear Panhellenic or University attire, unless otherwise specified. To assist the Gamma Chis and Panhellenic Officers in their endeavor to remain impartial in the eyes of the potential new members, they may not wear chapter letters or have stickers on cars revealing their affiliation 30 days prior to the first day of primary recruitment activities through the conclusion of bid day. Gamma Chis and Panhellenic Officers shall have no contact with members of their chapter during the disaffiliation period unless otherwise directed by the Panhellenic President or the Panhellenic Advisor. Gamma Chi team members and Panhellenic Officers may not attend chapter meetings, ritualistic functions, scheduled social events during the disaffiliation period. Further, Gamma Chis should not be required to attend Recruitment Workshops or Chapter Retreats after May 1, 2016registration for primary recruitment opens. Revised: April 9, 2017 P a g e 5

Panhellenic Officers and Gamma Chis will not announce their affiliation and should do all that they can to direct conversations regarding affiliation to values based discussions with the potential new members. Chapter members should exercise positive Panhellenic contact and spirit and endeavor to not place Gamma Chis or Panhellenic Officers in potentially questionable situations. Gamma Chis should work in pairs to best manage their PNM groups and alleviate any attempts by the PNMs to lead the Gamma Chi into specific chapter conversations. Questions asked by PNMs that speak directly to a chapter s specific activities or policies should be directed back to the chapter or to a member of Panhellenic Executive Council. RECRUITMENT ATTIRE GUIDELINES: The Eastern Kentucky University Panhellenic Council follows NPC Policy in regards to values based recruitment. This states that recruitment attire for chapter members will reduce individual financial burden and eliminate costuming. 1. Chapters shall try to reduce individual financial burden. 2. Bulk buying of recruitment attire is prohibited. Exceptions are shirts for Round One. 3. Chapters are allowed to choose a color scheme and length of garment. 4. Chapters are encouraged to allow individuals to express personality with recruitment attire. 5. Chapters are not allowed to dictate where the attire is purchased or how much individuals should spend. 6. Recruitment attire shall be appropriate. MARKETING GUIDELINES: 1. Chapters shall maintain and utilize Positive Panhellenic in all forms of marketing. 2. Chapters shall use Be Greek or Go Greek on marketing materials, including social media, and must be included if marketing materials state Go XYZ or Be ABC. 3. Chapter marketing for Recruitment shall consist of Facebook, Twitter, Instagram, Tumblr, Snapchat, and national or local chapter websites. 4. Before you put something on social media, consider the value and purpose of it. Suggestion: If you have to question it, you probably should not post it. 5. Recruitment videos with the exception of the one used during philanthropy round, shall be no longer than 60 seconds. Chapters are encouraged to include: events, chapter diversity, values, philanthropic activities, and positive Panhellenic. a. We discourage you from including the following: Gamma Chi s, blowing glitter, releasing balloons, men, inappropriate clothing, violence, drugs, alcohol, and alumnae. Revised: April 9, 2017 P a g e 6

b. No men, Greek or non-greek, should be included on the chapter s page(s). This includes chapter sweethearts. 6. All marketing throughout the summer until the conclusion of bid day will be facilitated by the Panhellenic Council. Unified public relation activities and events will come from the Panhellenic council and the office of fraternity and sorority life. a. Chapters should not engage in any marketing on campus such as but is not limited to: banners (welcome back banners, go greek banners, etc.), chalking, car paint, window paint, flyers, and tabling. INTERACTIONS WITH PNMS: 1. Actives members may not intentionally interact with PNMs prior to recruitment with the exception of Panhellenic marketing events for the purpose of educating. 2. Active members shall not attend parties or events hosted by other Registered Student Organizations where alcohol is being served beginning the Monday before Big E Move-In and during formal recruitment. 3. Active members shall not purposefully engage with PNMs on social media. This includes but is not limited to: accepting follow/friend requests and following/friending PNMS on social media from the time of registration through bid day. Revised: April 9, 2017 P a g e 7
