Introduction For each respective Sport Venue, there are seven key roles in the Medals Presentations: Suggested Roles: Medals Coordinator/Volunteer Host act as the stage manager for this medal presentation operation Sport Chair approve the final medal results and clarify expected time of medal presentation Hosts serve as a support person, counting medals, service the waiting participants, assemble the audience at the medal presentation location Presenter Vernon & Area 55+ Games Guests (dignitaries) are offered the opportunity to present medals throughout the Games. We would welcome hearing from Sport Chairs on suggestions for Presenters. BCGS and FOG may assign a presenter above the suggestion of the sport. Event Announcer reading and announcing medal finalists (could be the Medals Coordinator, Sport Chair, or Host Volunteer) Photographer takes pictures of the medal presentation. Each of these volunteers play an integral role in the Medal Presentation Ceremony and therefore all must be involved, as a team, in the training of how to stage a Medal Presentation Ceremony. Collaboration is required which reflects the community togetherness and concept of these Games. Roles & Responsibilities - 1. Medal s Coordinator The Medal Coordinator is responsible for stage managing all aspects of the Medal Ceremonies. One Medal Coordinator will be assigned to a sport. The Coordinator reports to the Sport Chair. The Medal Coordinator will attend a Mock Medals Ceremony on August 30 th at the Schubert Centre. Two sessions 10am and 6pm. Expected to last no longer than 3hrs. They will meet with the Sport Chair before the start of the Games to review the format of each ceremony and review key roles and responsibilities. During the Games, the Medal Host(s) is responsible for: 1. Pick up Venue Specific Medals Kit from the Games warehouse office starting 6 th September. 2. Ensure the set up of the medal presentation ceremony. This includes ensuring all properties are in place, as well as the waiting area and marches (in/out routes) are clear and marked off if needed. Here is a list of the properties needed: Podiums, if required Flags Flag Poles & Stands PA System - microphone CD / MP3 / Download of - Celebrate, Crown Imperial March and National Anthem 2
Medals Medal Pillow (Individual or Small Team Presentations) or Medal Tray (Large Team Presentations) Script includes; Names of presenters and final results. 3. Coordinating the medal presentation ceremony: Be at the venue one hour prior to presentation or ceremony time Set up the podiums with Flags, as per diagrams attached Consult with Sport Chair for expected time of medal presentation. (Sport schedules can change. Please be flexible). Coordinate marshalling of participants, officials, VIP, presenters, etc. PA System Arrange Medals on Pillow/Tray for presentation Check with Sport Chair for final results Provide announcer with final script, including names of Participants/Teams winning medals (where applicable) Greet presenters upon their arrival and brief them regarding the presentation NOTE: All sports that do not have 85 and 90+ age groups in their sport will recognize any Participant in this age group by presenting them with a gold medal recognizing their participation. Still seeking final confirmation on this from Kyler Nurmsoo BC Games as at 29 th Aug Medal Presentations - Guidelines 1. Extra Medals / Unclaimed Medals Any medals remaining after completion of the medal ceremony must be returned to Rodney Goodchild, Medal Chair. See attached sheet. 2. Special Considerations ABSENT MEDAL PRESENTER: If medal presenters do not arrive at the venue, proceed with the Ceremony as scheduled and recruit another presenter (i.e. Sport Chair, Official). Do not delay the Medal Presentation Ceremony. Be sure to advise announcer of the change of presenter. ABSENT PARTICIPANT: If a Participant must leave prior to the Medal Presentation Ceremony, check with the Sport Chair that he/she is in fact a medal winner. If so, give the medal to Participant and inform announcer that the Participant has already received a medal. MULTIPLE PRESENTATIONS: For some sports (i.e. Swimming, Athletics, etc.) there will be several Medal Presentations done at one time. This is considered a Multiple Presentation and can be managed in one the following ways: a) Present all events in succession, taking photograph of each event. O Canada is played once during the final event within the series. The last group of Participants will remain on the podium for O Canada. All Participants will exit as a group. b) One presenter will present the Bronze, Silver and Gold medals for all of the events. 3
Considerations for Presentations for Persons with Disabilities PARTICIPANTS WITH A VISUAL DISABILITY: Ensure Participant s coach/guide is available to assist during the procession onto and away from the podium. If the guide is to receive a medal, he/she should stand on the podium with the Participant. WHEELCHAIR PARTICIPANTS: Ensure the path towards the podium is accessible by wheelchair. If a regular podium is used, these Participants will wheel themselves to the podium and are to position themselves in front of the podium. Flag & Podium Placement The flags are placed in the flag pole holders behind the podium, directly behind the gold platform, as follows: Canadian flag is placed in the middle (behind the gold platform) Province of BC flag is placed to the left (behind the silver platform) when facing the platform.
