Invitation Bulletin 5 18.04.2017 (changes from bulletin 4 in blue) All rogainers are cordially welcome to participate the 14th European Rogaining Championships in San Gimignano Tuscany ITALY. At the same event, it will be held the first Cyclogaine Championships 6h/24h. Rules The rules of the International Rogaining Federation are followed in the competition. Moreover, we want to put one eye in some of these, and we also have some additional rules (in bold) as follows: - B5(e) it Is prohibited to light fires in the competition area. - B13 Mobile phones must be carried for safety purposes. Emergency contacts will be on bib number. - B14 Any compulsory material must be carried at all times. - B15 Additionally to IRF rules, only whistle is mandatory, following some obligatory equipment to preserve your security: Each competitor must have: 1. A whistle 2. A hat (buff, cap) 3. A windproof jacket (this must be of competitor s own size; single use rain jackets or ponchos are not adeguate) 4. An emergency blanket (minimum size 200 cm x 130 cm, with no cuts or tears) 5. A torch or a headlamp with batteries Each team must have: 1. A first AID KIT. This must contain first aid gauze (pack or two rolls) band aid and 2 meters of the least 2 cm wide sports tape, and an antiseptic liquid (50ml) 2. A mobile phone (sealed, only for emergency purposes) - C9. The first digits of the checkpoint number, reflects its points value (multiplied by 10), for example, 67 has 60 points and 114 has 110 points. The championships are held in 24-hour competition format. Also will be organized promotion rogaining event in 6 hour competition format. By registering to the ERC 2017, you agree the IRF rules. Event Centre The event centre is located in San Gimignano City, in the core of Tuscany Region, at Boschetto di Piemma Camping, Località Santa Lucia, 38/c. The site can be founded at the link. The race office is located at the Boschetto di Piemma Camping. 3

Teams A competition team consists of 2 to 5 members. A team which has a member who is under 18 years of age, shall also have a member who is over 18 years of age. All participants under 18 years need to have a written permission (from their legal guardian) for taking part on the competition. It is mandatory to fill, sign and give us the parental/guardian consent, you will find the form at the race office when registering. Competition categories In the ERC 2017 there are several competition categories: MO Men open WO Women open XO Mixed open MY Men Youth, at least 14, but under 23 years of age (born after 22.4.1994) WY Women Youth, at least 14, but under 23 years of age (born after 22.4.1994) XY Mixed Youth, at least 14, but under 23 years of age (born after 22.4.1994) MV Men Veteran, at least 40 years of age (born before 22.4.1977) WV Women Veteran, at least 40 years of age (born before 22.4.1977) XV Mixed Veteran, at least 40 years of age (born before 22.4.1977) MSV Men Super veteran, at least 55 years of age (born before 22.4.1962) WSV Women Super veteran, at least 55 years of age (born before 22.4.1962) XSV Mixed Super veteran, at least 55 years of age (born before 22.4.1962) MUV Men Ultra veteran, at least 65 years of age (born before 22.4.1952) WUV Women Ultra veteran, at least 65 years of age (born before 22.4.1952) XUV Mixed Ultra veteran, at least 65 years of age (born before 22.4.1952) The teams compete in every category for which they are eligible, i.e. youth, veterans, super veterans and ultra veterans compete in open category too. In the 6hour Rogain the categories are 3: Men, Women and Mixed. ROGAINERS SEARCHING TEAMMATE All who are interested in participating and do not have a teammate can indicate this on the application form. We will try to find a suitable partner, and the team will be announced on the web and facebook Registration Registration for all rogainers starts on 01.08.2016 00.00 Italian time (GMT +1.00) The registration is at: ERC 24h: https://www.rogaining.it OPEN 6h: https://www.rogaining.it 4

Participation will be confirmed after the payment is cleared to the organizers. The maximum number of participants is 1000. If there are more applicants, the excess teams are placed on a waiting list in the order the registrations are made. Entry fees The entry fee for a team is the sum of individual fees of the team members. It is compulsory to fill a disclaimer document which must give to organizers in the race office at the event center. Cancellation policy In case of a cancellation, the organizers refund the team as follows: The cancellation done by 15.03.2017, 70 % is refunded. The cancellation done by 30.3.2017, 40 % is refunded. The cancellation done after 1.4.2017, no refund will be made. A team can change its members using the ERC2017 e-mail service free of charge until 31.3.2017. Any other change, after given date, or change requiring manual labor, costs 5 euro, and must be paid in cash at the event centre before the competition material is handed to team. Event map The map uses personalized symbols. Its scale will be 1:25.000 with a contour interval of 10 meters. The map will be printed in synthetic antitear and waterproof paper on an extra size format (68x98 cm), and is specifically made for the ERC2017. Each team member receives his/her own map. One extra map will be provided each team in order to draw his rogaine's strategy choice. This map must be returned to the organization before the start. 5

Training Two dedicated training maps are also printed, as a model event maps. The training map will be in use since 31.12.2016 until 20.4.2017. There will be training controls on the maps which are available from 18.4.2017 to 20.4.2016 with only control flags. Moreover, they will be other two ortophotomaps (ortophoto and or slope shading with contours and paths but without field work), to get a bigger area to train in a similar terrain. Both will be for free downloading in pdf format in a A4 as a maximum size. After 17 April the training maps are for free downloading in pdf format in A4 Size. These will be also available at the Camping Boschetto di Piemma and, for Casole d Elsa at the Antica Fonte Guest House and, for Monteriggioni at the tourist information inside the castle. Existing maps One existing map used in past years 6h rogaines (Me.it.Ing 2012-2015) are available for free in the website Forbidden area Competition area is forbidden to be used in anyway. The embargoed area is in the official website. The embargoed area in in this link Timekeeping People who don t have a Sportident card must not worry. You can rent one from us for 2. You must give us your identity card or passport as a guarantee. Your documents will be returned to you on the return of the SI card. The unfortunate loss of the SI card in the 24hour event, entails a payment of 100 to organization or 60 for a card in the 6 event. Please check the number of punches of your SI card can register. You must have space for around 80 controls in 24h event, and no more than 30 in 6h event. You can consult the SI cards specifications in SI official web (www.sportident.com) If you arrive late than race time finish, penalty procedure starts as follows (taking in account that points are tens of code controls multiplied by ten): From 1 to 5 = -50 points. 6

From 5 01 to 10 = -100 points. From 10 01 to 15 = 200 points. From 15 01 to 20 = 300 points. From 20 01 to 25 = 400 points. From 25 01 to 30 = 500 points. More than 30 = Disqualified Route planning place Each team can define its strategy in their tent, in their car or wherever they want. We offer a common space with tables to those teams who don't have a tent or personal space. One extra map will be provided for each team in order to have a copy of the teams strategy in case we need to find you for any emergency. This map must be returned to the organization before the start. Transport and Accommodation info Transport: The Event centre can be reached by car (own, rental) from Pisa or Florence international airports (low cost companies also provide services to and from the airports mentioned). Both Florence (61 km) and Pisa (85 km) are located within a driving distance from San Gimignano hosting town of the event. Participants can arrive also to Rome Airport and with rental car they can drive to Florence. The driving distance from Rome is 267 Km and it takes less than 3 h by motorway. Specific car, bus, bicycle, motorcycle and caravan parking areas will be designated at the Event centre. Accommodation: local tourism information bureau offers a wide range of different level holiday options. (Hostels, rural apartments, farmhouses, rural stays, hotels and camping sites) Different tourism related agencies are established around the Tuscany County competition area: Pro Loco San Gimignano. (www.sangimignano.com) If you travel with an autocaravan, or if you have your own tent, we recommend you to book directly at the Boschetto di Piemma Camping (www.boschettodipiemma.it), please specify you are a competitor of the race. A mobile phone (sealed, only for emergency purposes) Compulsory equipment must be with the participant during the whole race. Rogainers are not allowed to leave the compulsory equipment in a backpack and then leave the pack for example 100 meters behind while visiting control. Compulsory equipment checks can be performed at any time, before the race, during the race or right after finishing the race. Missing compulsory equipment is penalized as in the rules. During the race the time spent on checking the equipment is counted as race time and there is no compensation on time lost. Keep the compulsory equipment easily accessible. Indemnity form All competitors shall sign an indemnity form to confirm that they are participating in the championships at their own risk. The indemnity form shall be signed by each member of the team before the team receives the event materials. We will have these forms at Competition Centre. 8

Special notes on the terrain Forest area = green fill: There is a wide variety of tree vegetation on the ERC area. Most forests are difficult to run and some of the Mediterranean scrub (Macchia Mediterranea) and blackberries are impossible to cross. When you find a control in the forest that is not on a track, the forest is open and can be accessed from 360. Creeks, in open areas with some vegetation, are difficult or near impossible to cross, due to the high amount of blackberries that grow along it. In some areas to assist your route choices we have places a symbol to indicate possible crossings points. Open areas are generally good running and we have tried to show areas that are infested with blackberries with the green hatched symbol so you can avoid them. Semi open areas are not to be trusted for good running as they vary. Olive groves and vineyards are good running, we have tried to show the direction in the vineyards. Other plantations are usually good running however as they are not looked after as other agricultural plantations you may encounter thick undergrouth. Road and track system. Generally the road system follows a normal track hierarchy. However you may strike differences and some additional interpretations in the following; Private roads shown with the double border line and grey infill are generally useable they are shown differently as they may start with a gate from a main road. When private roads reach private areas then you must respect not to proceed into that area. The forest trails are classified under not drivable by a normal car. Two symbols are used; wide, 2 to 4m and a thinner for agricultural tracks less that 2m. Old forest trails with some vegetation on them have not been shown as overgrown. There must be a lot of vegetation on them before they are considered overgrown. Some interpretations overlap so be tolerant. Out of bound areas (shown in orange and some with orange with a vertical hatch). The orange hatch is used more in the forest areas to help you more at night but they all mean that the areas are not to be crossed Normal tracks and roads that cross through private areas are useable. Only roads in with the private symbol in private areas are not usable. Pastoral areas We have permission from all land owners to cross grazing paddocks. Where there are problem dogs we have barred the area and put a symbol of a dog so you are warned, but you may still encounter sheep so please jump fences near posts and close gates behind you. If you strike some sheep dogs it is advisable not to run but proceed at walking pace away from the sheep. There are some freshly planted oat and grass fields, we have tried to show all of them, in case that you come across a freshly planted field you may proceed around its border. All borders on planted field can be used. Land forms We have used state map contours (not leader), so the deepness of valleys is not well represented, you can find some deep cut valleys with unmarked cliffs, be careful. Additional Refreshments Additional to the Hash we have places you can access water. There are water fountains shown with a blue circle in built up areas. We will highlight these with the drinking water symbol. 9

Wildlife and cattle Competitors may encounter roe deer, wild boar, fox, alone wolf and smaller animals. Cattle are composed by horses, sheep and goats. The only care you must take is not to scare and respect them. If you encounter sheep dogs don t run, just walk away. Hazards and annoyances Weather conditions could be very different, from hot and sunny day, to foggy and rainy (good rain jacket recommended), even in 24 hours is possible to have both. Forecast will be an important factor to make strategies. Due cattle and roe deer there are ticks, mainly in undergrowth areas. Mappers are used to arrive home with some of these. No special cares are necessary, only remove them preferably in first hours, when you take a shower after race. Touristic plan Touristic plan consists in the afternoons from Monday 17th to 22th, and could enjoy it by singe days.
