Meeting Minutes Saturday, March 12, 2011 Officers Present: Emma Kwapiszeski (President), Mikayla Hanssen (Vice President), Brittany Cain (Secretary), Teresa Cain, and Jenna Striffler (Advisors) Officers Excused: Madeline Keyes (Director), Virginia Beaton-Weyers (Advisor), Alex Colling (Treasurer) The meeting was called to order at 7:06 p.m. New Members: The new members that were welcomed were Marissa Olsen, Jackie Kehoe, Shannon Driess, Kassie Voelpel, Deanna Ziemathis, Meghan Shaw, Kelly Cleveland, Meg Logan, Bailey Gavenda, Abbey Ring, and Samantha Lippert. Old Business: New Business: 1. We reviewed the clubs fundraiser idea of a picture frame full of lottery tickets and gift cards to be given away at the April 22nd Horse Show. Everyone was asked to consider donating a $5-$10 gift card or lottery ticket for the frame and to bring it to the next meeting. 1. Tickets for our picture frame fundraiser were given out to all youth club members, they were asked to return the stubs and money at the April Meeting. 2. The youth club members received the spring Yankee candle fundraiser forms and were asked to return the packet at the next meeting. 3. Cheryl Bish presented to the youth club for its consideration the opportunity to begin an Educational Program; the options being Horse Bowl, Hippology and a 5 Star program. Cheryl runs a similar program with the 4-H and is willing to help out. a. Horse Bowl is a contest, similar to Jeopardy, which takes place at the Ohio Quarter Horse Congress with a 4 player team (and one alternate), each member must be 14-18 yrs old. This contest is double elimination, with 24-32 questions being asked, some questions will be one on one while others will be a toss-up for all to answer. The entry fee will be $150 per team. b. Hippology is a contest that takes place at the Ohio Quarter Horse Congress. It consists of 4 phases: Judging, exam (both writer and verbal), Stations (usually 4), and a Team Problem. The team consists of 3-4 players, each member must be 14-18 yrs old. The entry fee will be $150 per team. c. 5 Star Program would require each member who joins to demonstrate to a panel of their peers that they know how to hand a horse or work around one and they would also be asked to identify parts of a horse, tack, diseases, feeds and their use. 4. Board of Directors Meeting, March 12, 2011 Marvin s Grill, Clarence, NY The meeting was called to order by President Robert Hicock at 7:24 p.m. Present were: Robert Hicock, Karen Randall,, Cheryl Bish, Tracy Kalinski, and Joseph Stoelting. Absent were: Amy Hanssen-Keyes, Bill Hopkins, Jenny Wegrzyn and Virginia Beaton-Weyers. The Horse Show Committee was meeting before the BOD meeting. Robert sat in on the CAC meeting and they are working out a flat fee for the show. Tracy Kalinski made a motion to waive the reading of the minutes since they were sent to everyone. Seconded by Joseph Stoelting, motion passed. Cheryl has been in contact with Cindy at Stagecoach West about the open show there. She sent Cindy and Trish a tentative schedule. They made suggestions and sent it back. Cheryl will look into judges. They are going to limit the Senior classes to non-youth riders. They are also going to keep walk/trot/canter classes for RIDERS in the first and second year of cantering. Stagecoach will still give prizes. Treasurer s report We sent in a Candy Apple Classic futurity payment for a person who had not filled out their W-9 form until now. Additional Open show Newstead Farms on Route 93 in Akron has August 20th open if we are interested in an open show then. Website youth pages Cheryl will have the person get a hold of Regina. Alecia Oberholtzer gave Regina a proposed bylaw change. Debit Card vs. Credit Card The bylaw committee rejected the debit card idea and suggested a credit card. As a club we cannot get a credit card. So the suggestion was made to see if we can get a debit card with a limit. New members: Eight new members were present Minutes: A motion was made by Karen Randall to waive the reading of the February 12, 2011 meeting minutes since they were published and sent to all the members. Seconded by Linda Ward, motion passed. Regina asked if there were any corrections to the minutes. No corrections were requested. Motion to approve the minutes as published by JoAnne Paxon, seconded by Emma Kwapiszeski. Motion passed. Motion by Liz Smith to waive the reading of the February 12, 2011 Board of Directors meeting minutes since they were published and sent to all the members. Seconded by Karen Randall, motion passed. Expenses included stamps, mailing meeting notice, meeting cost, bill for directory, the embroidery for an award, plus the futurity payment for the person who finally sent in their W9 form. Communications and bills presented bills for sending out the newsletter for $13.64. Wendy Nigro made a motion to pay the bill, seconded by Alecia Oberholtzer. Motion passed. Communication from Oakhill Farm & Ranch that their facility would be available for shows. Since it is outside of the Western New York counties we will file the information but probably not use their facility. New York State Horse Council is going to have a expo at the fairgrounds on March 20th. Committee Reports AQHA Show Had a committee meeting March 12. The dates for the Candy Apple Classic will be August 6 & 7. They are trying to reduce expenses on this year s CAC in order to money without impacting show. Last year at the CAC all around awards were given 4 cont d pg5

this year they will give out ribbons for all around winners. The club can save ribbon expenses by giving a simpler ribbon or giving an alternative prize such as a towel. All around awards usually do not get presented since the majority of the people have already left the grounds by the time the points are tabulated. So we end up having to try to get a hold of them in order to give them their award. Susan has been talking to people about why they go to the shows they attend. Several people have pointed out the one price package deal was why they choose to go to a show. We have high priced facilities so we need to cut expenses. We need to get horses to the shows and get the horses out of their stalls and into the classes. The committee would like to give special awards in Open, Amateur, Youth, Novice Youth, Novice Amateur, and Select divisions. They also would like to remove payback classes outside of futurity classes. They would also like to offer a one price package deal. $200 which covers stall, unlimited entry fees, drug charges, office charges and warm-up fees. In order to get the package deal you must show in halter. No additional fees for showing off the trailer. There would be individual class fees for people who did not want the package deal. Futurity classes are down across the country. Breeding is seriously down and futurity classes are directed to young horses. We will offer sweepstakes classes. Showmanship $250 added with a $25 entry fee Yearling Longe Line $1000 added with a $100 entry fee We are trying to attract trainers so they bring their customers. Must have 10 in a class to get 100% of the added money. 50% of the added money for 5-9, 0% for 1-4. We will still offer the payback classes: Two Year Old Western Pleasure has $250 added and a $25 entry fee Green Western Pleasure has $1,000 added and a $100 entry fee Open HUS has $1,000 added and a $100 entry fee The committee is still discussing advertising for the CAC. They would like to send out the booklets. Exhibitor party will be charged. Alecia Oberholtzer will do awards and vendors, Liz will do sponsorships. Liz talked about how the directory ads were deducted from her sponsors and should have been shown as income for the directory. Club s jumps CAC is looking into leasing the jumps. It cost the club $350 to move the jumps to the CAC show. Last year they offered to rent us a set of jumps for less than that. Susan needs the jumps moved since they are on her property that is going to be sold. They need to be moved by June 1st. Stable54.com also rents jumps. Awards no report Directory No report. We need someone to chair this and work on the directory. Newsletter No report. Open shows (Cheryl) Stagecoach West has May 29th (Sunday) open for us. Cheryl has been in contact with them about it. The show flyer has been revised from suggestions from Cindy and Trish. The payback classes have been removed. Saturday, August 20th Newstead Farms on RT 93 in Akron has open. They have both an indoor and an outdoor arena. Marilyn Lee suggested advertising the open shows in the Buffalo News. Points No report Program and Entertainment No report. The next two meeting are tentatively set for Holland (April) and the Niagara Co Fairgrounds (May). Scholarship Jenny sent Regina the form for the website. Web site Regina is still working on changes. Youth club They will be selling Yankee Candles, they will have a picture frame raffle and 50/50 tickets. Unfinished Business The bylaws committee met about the proposed bylaws from February. The Debit card bylaw has been sent back to Cheryl for revision. High Point Awards clarification was approved by the committee. It will need to be sent out for a vote. Regina will hold this until next month s meeting to send out so the vote can be for multiple items. We do have additional bylaw changes to address tonight. New Business - Alecia Oberholtzer presented bylaw changes which were read by. Current Bylaw: Article IV. Officers and Directors Section 1. e. Term The term of Office for all Officers shall be twelve (12) months from their installation at the October general membership meeting or until their successors are duly elected and installed into office. Officers shall be limited to two (2) consecutive terms. Officers who have served two (2) or more consecutive terms in the same office are prohibited from running again in the next election for the same office, but may run for any other office. Proposed Changed: Article IV. Officers and Directors Section 1. e. Term The term of Office for all Officers shall be twelve (12) months from their installation at the October general membership meeting or until their successors are duly elected and installed into office. The proposed change will be sent to the bylaws committee. 5 cont d pg6

Bill Hopkins is going to have shows April 10 and July 4th that offer AQHA introductory classes, novice classes and up to five other classes. Susan made a motion that the club points any AQHA introductory classes help within the eight counties of Western New York. Karen Hurtgam seconded, motion passed no one opposed. Amy and Virginia want to know if the club would like to have the banquet at the Niagara Co Fairgrounds. There was no opposition. Brenna Ward made a motion to adjourn, seconded by Tracy Kalinski. Complete the form below and send in with your check for the nomination level selected. 2. WNYQHCI points earned at WNYQHCI approved AQHA shows will be counted. 3. Purse is 90% of all incentive fund monies plus $1,000 added money. 4. Points earned will be paid out in proportion to nomination level you select, i.e. points earned by horse nominated at the $100 level will be paid out at 4 times the value of points earned by horse nominated at the $25 level. 5.
