Through this online web portal, you will be able to manage your interactions with SCW in a variety of ways. You will be able to: View your property/rec card holder assessment balances Book tee times View golf play history View pro shop purchases, which include items purchased in golf course pro shops. Rec card holders must have an e-mail address on file with the SCW Membership Office in order to use the SCW Web Portal. Rec Card holders may not use a shared e-mail address with another rec card holder. 1
Accessing the SCW Web Portal 1. Navigate with a web browser to http://scw.totalegolf.com For New Users of this Web Portal Only 1. Click the New User Password Retrieval link on the Login page 2. Enter your member number in the username field and click the Send Password button. 3. The assigned password for your login will be sent to the email address on file for your SCW recreation card number. 4. The following message will be received if a password is requested for a rec card holder number that does not have an email address on file. You will need to contact Member Services to have an email account added to your record. 2
5. The following message will be received if a password is requested for a rec card holder number that has already been active in the web portal. The supplied username is already linked to an existing web portal account. Please use the forgot your password? link on the main login page in this case to have your current password sent to your email address. Type in your member number and click on Send Reset Link. For Existing Users 3
1. Enter your member number in the Username field and password in the password field, then click the Login button to login. Main SCW Web Portal Page 1. The name of the logged in SCW rec card holder is displayed 4
2. The current expiration date for the logged in rec card holder is displayed (Currently not available) 3. My Profile Allows the ability to change your login password only. All other changes must be made by contacting Member Services. 4. Rounds History Displays a grid with the most recent golf rounds played. Use the scroll bar to scroll through all displayed rounds on one screen 5. My Statements (Currently not available) 6. Lottery Requests Allows the ability to enter the lottery for a given day. 7. Booked Rounds Displays future booked tee times including course, date, tee time, and starting tee. There is also a link to show the names of the other players in the booking. 8. Purchases Displays pro shop purchases and centers visited for the selected month. 9. Book a Tee Time Book a future tee time. 10. Cash Equivalents Check your Member Credit & Tournament Winnings 11. My Account Returns the user to the main web portal page displayed above. My Profile 5
1. Click the My Account button to change your password. 2. Click the section control to expand the Manage Password section. 6
Enter your current password in the Current Password field Enter your new password in the New Password and Confirm Password fields. Passwords must be a minimum of 8 characters long without specific character requirements. NOTE: Passwords are not set to expire or change over time. Click the Change Password button to complete the password change. A Password Mismatch error will be displayed if the New and Confirmed passwords do not match. Rounds History 1. Clicking the Rounds History link on the My Account page will display all recent rounds played in a scrolling window with the most recent rounds at the top of the list. 2. Click the PRINT link above the rounds display grid to print a sequential list of all rounds displayed. The textual report will open in a new browser tab and can be printed or viewed as a single page. 3. There are no options to change the rounds displayed on this page. Use the Round History report to select a specific date range for round history. Book a Tee Time Tee times may be booked through the web portal and follows the 6 day advance booking schedule. Future tee times made on the day in the Today is column cannot be made further than the day in the Furthest Tee Time for column. Today is Sunday Monday Tuesday Wednesday Thursday Friday Saturday Furthest Tee Time for Saturday Sunday Monday Tuesday Wednesday Thursday Friday Web bookings will be available starting at 12:00AM on the day in the Today is column for the day in the Furthest Tee Time for column. 1. Click the Book a Tee Time link from the My Account main page or click on Resident or Public Tee Times header on the Welcome screen. 2. The following available tee time search page will be displayed: 7
3. Enter the desired tee time search criteria: Course Players Select the desired course from the drop down list Select the number of players in your party. The default is the maximum number of players for the course selected. Date Select the date of play from the calendar. Note the future date restrictions indicated above. Time from Holes Search Enter the starting time of the day for the available tee time search Select the number of holes for the tee time booking The search process happens automatically 4. When selecting a course, a popup window will display with current course maintenance or closures for the selected course(s). This will aid the rec card holder in making the course selection should scheduled maintenance affect the booking decision. 8
5. The following screen will be generated: Complete the required player information and click on I have read and agree to the Tee Time Policy (policy may be read by clicking on the words Tee Time Policy ) and Confirm My Reservation. 6. Click the BACK Button and then the CANCEL button to cancel the booking and go back to the search screen. 7. IMPORTANT NAVIGATION NOTE: Do not use the browser s Back button to return to the previous page. Use the BACK button on the page and then the CANCEL button to return to the search page in order to change cart selection or number of holes being played. 8. The logged in rec card holder will automatically be added as the first player in the booking. This player cannot be changed. 9. Enter the rec card holder number in the Member ID box for rec card holders playing in the party. The rec card holder number will be verified as it is entered. The booking cannot be completed with an invalid rec card holder number in any of the fields. 9
10. For Guests: Click on guest & enter the Last Name and First Name for any guests playing. The Member ID field is not completed for guests. Email address not required for guests. 10
11. Click the Book button to complete the booking once all of the player information has been entered. Clicking the Book button with incomplete player information will display the following error message: 12. The following booking confirmation page will be displayed: Click the appropriate button at the bottom of the screen to leave this screen. 13. Cancellation of a booking cannot be made online. Cancellations can only be made at the pro shop. 14. The pro shop must be contacted to change or remove players from a booking. These changes cannot be made through the web portal. 11
Booked Rounds Click the Booked Rounds link to see the listing of all future rounds booked for the logged in rec card holder. 1. The following booked Rounds grid will be displayed: 2. Place the mouse over the player icon to see the names of the players in the booking. 3. Clicking the Print Data button will display a new web browser tab with the details of the tee time, including player names, which may be printed. Purchases Click the Purchases link to see the listing of all pro shop purchases, food and centers visits for the logged in rec card holder. The following history screen will be displayed and will default to the current month. 12
1. Change the Month and Year boxes and click the Show Purchases button to search for purchases in a different time period. 2. The display grids will be fixed in height and allow scrolling through all history for the month selected. Use the scroll bar on the right side of the display grid to scroll through the search results. 3. Clicking the Print link above each display grid will open a new browser tab with all of the display results shown. This page may be reviewed or printed. Member Credit/Tournament Winnings Click the Member Credit/Tournament Winnings link to view details for on-account balances. 1. Each category of balances will initially be displayed in summary form with the current balance being showed in the Amount column. IMPORTANT NOTE: These balances will not show transactions from the current day until the pro shop closes. 2. Click the + icon next to each on-account balance row to expand the transaction view. 3. Click the + icon next to each negative amount row to see the transaction details for the selected transactions where balances have been used. See the highlighted rows below. 13
4. There are no transaction details for additions to on-account balances. 5. Clicking the Print Report link above the display grid will display the on-account report. This is the same report used by the Member Services Office and the pro shops. This report may be reviewed or printed. Lottery Requests After logging into the web portal, click Lottery Requests. Now enter the details of your request. Search Priority You can search by time or by course. Check one of the following: 1. Date of Play Enter the date in format MM/DD/YYYY or click the Calendar icon on the right to choose a date. 2. Desired Time You can enter a desired time, for example 8 AM. Or, you can click the Clock icon on the right and choose your desired time. You must also request an Earlier or Later time by checking one of those options. 3. Players You must choose the number of players for your lottery request from the drop down. 14
4. Course You must choose the course you want to play for your lottery request from the drop down. You may choose up to two more alternatives. Player Details - Now you have to enter the player details. Player 1 will always default to the person logged in to the web portal. If the other players are guests, you can check the Guest checkbox to the right. If you want to enter the names of the players in our database, please follow these instructions: 1. Next to the Member ID field box, click on the magnifying glass icon. There will be a pop up window. 2. Filter using either the member ID or name. You can narrow down your search using the full name/member ID or part of the name or member ID. Enter the information in the Filter textbox and click the Filter icon. 3. Once the system filters out the names of the people with similar names you entered, you may choose the correct member from the dropdown and press Select. 4. Once all the players are entered, click Submit. Browser Requirements Internet Explorer 8 or higher required. Google Chrome, Apple Safari, Mozilla Firefox also supported. Cookies must be enabled in order to access the RCSCW Web Portal. 15
