2. Minutes of Last Meeting The minutes of the June AGM and Committee meeting had been circulated by JMH prior to the meeting. Agreed as a correct record JMH to upload to website 3. Matters Arising (not addressed elsewhere on the agenda) None 4. Burnley Leisure (b) (c) Pitches All pitch bookings at The Prairie (3G and grass) are now handled by Wes Kellow. Need to send a list of requirements to Wes by Tuesday lunchtime if at all possible. Burnley Council (Steve Hastings) will still be responsible for cancelling games in inclement weather. Considering adding 9-a-side markings to the 3G, but struggling to justify the 800 cost. The 11-a-side pitch at The Prairie (the wet one down at the very bottom of the site) is available to all teams if you want to book it Grass pitches at The Prairie are: - 5-a-side = 2-7-a-side = 4-9-a-side = 4-11-a-side = 1 Bookings On the 3G the new rate for a 90 minute game (full pitch) is 100. Due to a block booking taken by Burnley Leisure (13 th November 2016 to 19 th February 2017), it is necessary to move the SDS games. The option being considered is the FA approved 3G pitch at Nelson & Colne College, although there are other options in Rossendale and Hyndburn. The club has expressed its displeasure to Burnley Leisure, believing that it had a gentlemen s agreement in place to host SDS games on the 3G at 2.00pm on Sundays throughout the season, although it is acknowledged that nothing was in writing. The late release of fixtures by the FA meant that the dates could not be confirmed before the block booking was taken. Any ad hoc bookings MUST be paid for in advance on the day. If appropriate the club will reimburse via the Claim system. Parking The first option for overflow parking is Colne Road NOT Windermere Avenue or the streets off it. Council will be putting down double yellow lines in the near future. If your team is using the furthest 9-a-side pitch, you may wish to consider parking opposite the Oaks Hotel and walking down the ginnell/snickett/path which comes out alongside the pitch. (c) Storage A changing room has been made available where we can store equipment. Health and Safety requires that this is stored neatly (in bags) and that it should be kept well away from the showers. To start with we will allow teams to store goals in the changing rooms and if room permits, ball bags and other training equipment. Each team must clearly mark their equipment and NOT borrow items from other teams without their prior consent. Please note when any large scale events are held at The Prairie we may be requested to temporarily remove our equipment. 5. Team Updates JDS / U9 - The North Valley League has bounced the U9s around between their U9s and U10s League over the last week or so, trying to balance the numbers. - JMH wrote to the WLGFL asking if they could take the U9s if matters couldn t be resolved. Whilst they had agreed, the NVL has now confirmed that our team will once again play up a year this time in the U10s league. - The new Mini Kickers set-up has started. Whilst well attended MH requested that it be publicised by BFCitC and on social media. - A total of 18 players currently signed. U11 - Almost enough players now attending training to operate a second team. - Team is fortunate enough to have three coaches on hand, so numbers are not an issue as they are in other teams. - Dual signing within the WLGFL is not allowed. - Consideration to be given to setting up friendlies for players who are training with the team but not registered to play in the league. - A total of 19 players currently signed. U12 - No issues. - A total of 19 players currently signed. U13 - BT helping out with training following the loss of the team coach over the summer. Additional help required as a priority. MP to see if BFCitC can promote. DMC to publicise via Facebook and Twitter. MP to see if BFCitC can supply a coach for the U13s (6-7.30pm on Wednesday evenings) 3
- A total of 18 players currently signed, with more interest shown. U14 - No issues. - A total of 16 players currently signed. U15 - Still awaiting three registration cards from the WLGFL. - Opponents on Saturday only have eight registered players, so agreed to play as a friendly and re-arrange for a later date. - Two nets on order from Samba Sports. - Needs ice packs for the First Aid Kit. - A total of 16 players currently signed. U16 - Awaiting two cards from the WLGFL, one a dual-signed player with the U18s. - Agreed that the presentation of the NVL Trophy can be made at half time of the Everton game on 22 nd October. - The additional trophies have been ordered. - Club agreed to fund the cost of tickets for players ( 12.50) and coaches ( 17.50), but parents will have to pay ( 17.50). - Team has been forced to move training to Monday evening (6-7.30pm) as coach Paul McGladdery cannot make Thursday evening. - DMC and JR volunteered to take the team for the match against Academy Juniors on Sunday 11 th September. - A total of 15 players currently signed. U18 - ID Cards from the WLGFL have not arrived presumably lost in the post. Dispensation received to play at the weekend. - CMC confirmed that playing kit would be available ahead of the game. - Team no longer requires the 6-7pm slot for training. Instead they will train alongside the SDS from 7-8.30pm. - A total of 14 players currently signed. SDS - A couple of players are still missing training kits. - Opponents have cancelled opening two fixtures. - Some issues with payments of subs to be resolved. - Query regarding the payment of referees. In junior ranks all teams pay from their own subs, no different at Open Age. - CMC confirmed that playing kit was now available. First Team - Drawn against Wigan Athletic in FA Cup. - Prize money for First Round win is 100 rising to 200 CMC to order ice packs for all teams. 4
in the Second Round. - Agreed that the club would pick up the cost of officials for these games. - KJ would like to film games and enquired about purchasing a video camera as the one they have only has a battery that lasts for one hour. MP advised that BFCitC may have a video camera that could be borrowed. - Recently signed two plays, so cheques required for their registration ( 4.00 per player). - KJ has made the final selection to appear on TV programme The Chase. He needs the agreement of Burnley Football Club to mention on the show that he is the manager of their Ladies Team. - A total of 33 players currently signed by both Open Age teams. Dual signings to be confirmed. MP to investigate possibility of the First Team borrowing a video camera from BFCitC. MP to ask Siobhan at BFCitC to provide necessary clearance, if possible. 6. Chairperson s Report Nothing of note to report this month, other than to acknowledge that there is an awful lot more work goes on behind the scenes than first thought. 7. Secretary s Report (b) General Comments Overall things have gone reasonably smoothly over the summer and certainly much better than last year. The Player Registration / Training Kit Collection evening at The Prairie proved to be a major success and time-saver. At the time of the meeting almost 170 players were registered with the club, with several unsigned players in the younger age groups currently on their three-week trial periods. Winter Training JH confirmed that Winter training would start at The Prairie from w/c/ 12 th September 2016. With the U16s moving training to Monday night and the U18s training alongside the SDS, the 6.00pm to 7.00pm time slot on 2/3 of the 3G pitch is now surplus to requirements. MP asked if BFCitC could be given first refusal if the club intends to give up these slots. 8. Treasurer s Report Subscriptions Subscription had once again fallen off slightly at the end of the season. At this time it is unclear whether it is necessary to remind parents and open age players that payments are required over the full 12 months of the year. - June 112 payments - July 123 payments - August 120 payments 5
Only three players have debts over 100.00. Their managers will be advised not to play these players until the debts are cleared, or an agreed payment plan is put in place. If players are two or more months in arrears, in accordance with the Club rules and Constitution they should not play and will not be covered by the clubs insurance. Accounts JL confirmed all accounts had been handed over to CMC on 1 st August 2016. Closing Balance = 14,092 across both accounts The large payment for training kits this month is the main reason for the reduction. Please note all cash transfers need to be fully referenced so that we can be sure what the payment relates to. Managers to note and remind parents/players. 9. Burnley FC in the Community (b) Club Shop Club Members should NOT try to exchange items in the club shop. This is part of the football club and not part of BFCitC. They have separate cost centres. Any equipment exchanges must be done through BFCitC. Managers & Coaches Meetings MP is keen to get out and start observing managers and coaches at training. One-hour chats to be arranged over the next few weeks to discuss coaching experience, team needs etc. with the intention of preparing a bespoke development plan for each team. He will email managers and coaches to arrange these meetings in the coming days. MP is flexible about where and when these meetings can take place, but at Turf Moor would be the preference. MP to contact managers and coaches 10 Publicity JMH introduced Jo Day (a parent with the Under 14s) who has kindly volunteered to pull together articles for the Burnley Match Day Programme. The first few fixtures will feature the SDS, First Team, U14s and U16s. After that it will be the luck of the draw. Articles are 300 words and should be accompanied by a good quality photo (2MB). The club also hopes to be able to submit News Releases to the local media whenever possible Burnley Express (Chris Boden), Lancashire Telegraph (Steve Tinniswood) and 2BR. MP advised that BFCitC has a good marketing/media section headed by Nathan Rodgers, who would be happy to help out if needed. BFCitC have a standard template they could circulate for information. Jo Day to take over responsibility for the Programme articles from the Watford game. Managers to help out as necessary in a timely manner MP to see if BFCitC templates can be circulated. 6
11 Child Welfare Faced with the need to renew her licence Jo Bennett, the clubs long-serving CWO decided that the time was right to step down from the role and concentrate on her commitments outside the club. JL put on record the clubs appreciation for her valuable work over the last few years. Long-time Assistant CWO Joanne Butterworth has agreed to take over the role. She is still awaiting clearance and a password re-set to carry out DBS accreditations on behalf of the club. 11 Any Other Business Match Day Experience Attendance at the Everton match on Saturday 22 nd October 2016 is open to all players from the JDS through to Under 16s. There is a limit of 176. Adult tickets are 17.50, whilst those for juniors are 12.50. Players qualify to take part in a pre-match training session in the Sports Barn behind the James Hargreaves stand. Managers are responsible for telling their parents/players and for collecting in the money. Cheques should be made payable to Burnley FC in the Community.
