ClubNet System Instructions 1) How to Log into the Website Enter the address www.hgsrc.co.uk Select Court Bookings from the Top menu and you will be presented with the login screen below Enter your Username and Password If you have forgotten your password, click on Forgotten Password link and enter your Username. Your new password will be emailed to you If you have forgotten your Username then email chairman@hgsrc.co.uk
2) How to Book a Court via the website using your Personal Device (e.g. Laptop, Phone) Navigate to Court Bookings from the Top menu and then login Select the Date you wish to book the Court for by using the Calendar Select the court you wish to book by clicking the court required In the screenshot below, Court 1 at 18:00 to 18:45 on Wed 6 th Jan has been selected If you wish to book a court time not shown on the screen, then use the Earlier and Later buttons (at the bottom left and right of the screenshot below). When you click on the selected court, you are presented with the screen below. If you are playing a member, start entering their last name in the Select Opponent box and then select the name from the list displayed. In the screenshot above, Steve Winterborne is being selected as the opponent. If you are playing a non-member then type the non members name in the Non Member as Opponent field and tick the Guest checkbox. When you have selected your opponent, select OK. You will then be asked to confirm your booking. Select OK to confirm the booking. Note: You can change your opponent before your match.
3) How to Book a Court via the kiosk (touch screen) Select the Date you wish to book the Court for by using the touch screen Calendar Select the court you wish to book by touching the correct cell on the screen. In the screen below Court 1 is being booked from 11:15 to 12:00. Court cost is 4 When you have selected the court, the following screen will appear. Scan your access card against the scanner until it beeps and the booker swipe box is automatically populated with dots (see screenshot below) Then select your opponent (in this case Rachel Albin). The process is the same as selecting an opponent via the website.
Once you have selected the opponent, confirm your booking by selecting OK (touch screen), see screenshot below Note (1): You can book a court after the court start time but you will be charged the full cost of the court
4) Checking In before your match at the kiosk (touch screen) The opponent MUST check in at the kiosk, ideally before the match (up to 15mins before the start of your match) but no later than two hours after the match. The opponent checking in MUST be the same opponent as selected by the Booker otherwise the system will not recognise the opponent To check in, the opponent must click (touch screen) on the court booked. The following screen will appear The opponent moves the cursor to the opponent box (touch screen). The opponent then scans their access card on the scanner until the scanner beeps and the opponent box is automatically populated with dots (see screenshot below) An OK, Cancel message will appear. Select OK (touch screen) to complete the checkin This ensures that the cost of the court is shared between the two players. Note (1): If the Opponent does not check in then the total cost of the court will be charged to the Court booker. The court lights will still come on though Note (2): The Court booker does not need to check in to the kiosk before their match Note (3): Checking In may not be instantaneous due to the fact that we currently only have a standard BT internet connection
5) Booking an extra 15mins at the kiosk before or after a booked court To book an extra 15mins before or after a booked court click on the booked court (touch screen), then the screen below will appear Move the cursor to the Add Extra Post-booking Minutes (touch screen) Scan your access card on the scanner until the scanner beeps and the Add Extra Post-booking Minutes box is automatically populated by dots You will then be prompted with the message saying Booking added successfully Select OK (touch screen) and your extra 15mins (pre or post your match) will have been added Note (1): It can take up to 1 minute for the lights to turn on
6) How to cancel a Court via the website via your Personal Device Log onto the website and select Court Bookings Below the court bookings, select the My Future Bookings Dropdown and select the court you wish to Delete and then select the Delete button. Please Note: Club Cancellation Rules o If you cancel the court before the start time of the court you will get a 100% refund o Once the court start time has started the member will not get a refund
7) How to enter League results via the website via your Personal Device Log onto the website Click on Leagues and select the league you are in (e.g. All Members in screenshot below) Your name will automatically appear in the Name column. Select Your Score from the dropdown, then select your Opponent from the dropdown and then select your Opponent s Score from the dropdown Finally select Save Scores Please note, it is currently not possible to enter league results via the kiosk
8) Checking your Club Account via the Website via your Personal Device Log onto the website Click on Court Bookings and select My Menu and then select My Account (highlighted below) This brings up a list of your transactions. You have the option of Exporting all your transactions to a.csv file by selecting the Export button. These transactions can then be displayed in Excel. In the screenshot below you can see four transactions o On the 29 th Dec at 14:47:37, Court 1 was booked for Sat 2 nd Jan at 15:00. Cost 4 off peak rate. A credit of 2 will appear when the opponent checks in on Sat 2 nd Jan. o On the 29 th Dec at 11:15:07, Court 1 was booked for Tue 5 th Jan at 20:15. Cost 5 peak rate. A credit of 2.50 will appear when the opponent checks in on Tue 5 th Jan. o On the 23 rd Dec at 21:42:04, a guest fee of 3 was charged to the booker because the opponent for the match on the 23 rd Dec at 18:45 did not check in correctly o On the 22 nd Dec at 17:17:28, an additional 15mins court time was booked at the kiosk, costing the booker 1.67
9) Topping Up of your Club Account via the Website via your Personal Device Log onto the website and access My Account as explained in Section 8 Scroll down then screen until you see the screenshot below. You have the option of either creating an automated top up of your account or you can make a one of payment. In the screenshot below, the automated top up has been created where if the Account goes down to 10, then the Club Account is automatically topped up with 30 To make a one off payment, enter an amount and select Transfer For both methods of adding funds to your Club Account you will need to set up a Go Cardless Account.
