1. INTRODUCTION This Official Communication No. 1 (Registration) supports all National Federations who are interested in registering teams into one of the CEV European Cup competitions in the 2018 season. It contains important information and detailed explanations about the various steps and requirements for registration. The CEV Office is available to help should you have any questions, or need any assistance during this process. 2. CEV VOLLEYBALL COMPETITIONS REGULATIONS - UPDATE The main changes are: For the CEV Volleyball Champions League: TV PRODUCTION: Following the assessment of the 2017 season, the CEV Board of Administration has approved the request to lower the TV production standards for the upcoming season as follows: 1 st to 3 rd round matches: Standard C HD 16:9 production 4 th Round to playoffs (incl.): Standard B HD 16:9 production Final Four: Standard A HD 16:9 production See Item 14 of this Official Communication. CHALLENGE SYSTEM SPECTATORS ATTENDANCE Whatever the competition phase, a minimum of 1000 spectators per match for the men competition and 800 spectators per match for the women competition shall be present. COMMUNICATION Clubs participating in the CEV Volleyball Champions League shall: - have a functional website with at least one landing page in English - have a Team Media officer (former Journalist) present for each match - produce 1 video in front of the backdrop for each match - produce 2 side-stories /players portraits during the season - Create an I-zone (a relaxed area where players and media can interact) if no press conference room is required. For all CEV European Cups Competitions: TEAM DELEGATION Only the coach can decide and has to sign: - for the list of people allowed to sit on the bench - for the change of the libero. The request can be submitted by the Team Manager COMMUNICATION The presence of the local photographer for each match is mandatory. The preview report shall be replaced by quotes, data, statistics, historical achievements Pictures shall be delivered after the end of a set and not after the end of the match. The 400 words report to be sent after a match shall be replaced by a 200 words one with quotes, statistics ; 4. 2018 EUROPEAN CUPS CALENDAR The proposed 2018 European Cups calendar is currently available in the download area of the CEV Database, but requires final approval from FIVB due to potential clashes with the new Volleyball League. The final version of the 2018 European Cups calendar can only be submitted after the final feedback from FIVB. 5. 2018 REGISTRATION PROCEDURE Registration will be done via the CEV Database, using the 01 form. Deadline for registration is Wednesday 24 th May 2017 at 23:59 CET Before proceeding to the registration, we remind you to consider article 19.6 of the Volleyball Competitions Regulations concerning financial stability and commitment. A separate 01 form is required for each gender. Instructions to complete the 01 form for National Federations are here and for clubs here. Once the 01 form is closed the data is fixed and cannot be changed. The CEV will set the form as Accepted when they have checked the form. Once the signed and stamped originals are received the CEV will set the form as Confirmed. To be accepted, the 01 Form Signature and Stamp Output must be printed out and handwritten signed. 6. COMPETITION HALLS All applying clubs are required to nominate a Competition hall that complies with the CEV Volleyball Competitions Regulations (articles 61.4 and 61.5.2). If the Competition hall is not already in the CEV Database, the following items are additionally required to be sent to clubs@cev.lu by the stated 01 form deadline: - Recent photos of the new Competition hall - An architectural plan 7. CEV SUPERVISORS Based on the proposals made by all National Federations as well as the selected experts by the European Cups Commission, the CEV is analysing the performance of the proposed supervisors in the previous seasons and will take the final decision over who is selected to act as a CEV Supervisor in the 2018 European Cup season. Please take note that a National Federation President shall not act as a CEV Supervisor. The confirmed list will be sent to all National Volleyball Federations by e-mail. E-LEARNING PROGRAMME For the 2018 season, the clubs, the new NF s European Cups Responsibles and new CEV Supervisors must complete the E-learning programme. Information and deadlines will be sent to all concerned in due time. 11. DRAWING OF LOTS Please take note that this season, the 1 st, 2 nd and 3 rd Round of the CEV Volleyball Champions League will be drawn in Luxembourg at the same time than the CEV and Challenge Volleyball Cups Drawing of Lots on: The results will be published on the CEV website. 12. EUROPEAN VOLLEYBALL GALA It has been decided that the European Volleyball Gala will be held on Thursday 16 th November 2017 (venue to be confirmed). The gala will only focus on the 4 th Round. This event will focus on the elite side of our sports and aim at showcasing all that we have to offer to the watching world, political leaders at all levels, as well as current and future sponsors, partners, etc. Meaning that the clubs main decision makers and most important stakeholders, namely the club Presidents and their leading sponsors are expected to attend. 13. SEMINARS A seminar for all CEV Supervisors selected for the CEV Volleyball Champions League will be held, alongside the 2017 CEV U16 Volleyball European Championship Women Final Round in SOFIA (BUL) on 28 th and 29 th July 2017. Arrival scheduled on 27 th in the evening or 28 th early morning (The seminar should start around 12h00) Departure on 30 th July 2017 in the morning. More information will be released on this in due time. 14. CHALLENGE SYSTEM You will find below the 3 suppliers currently approved by the CEV. LED SYSTEM For the use of a dynamic advertisement system - LED system - around the playing area, the latest LED system application form (to be downloaded from the CEV database) must be submitted to clubs@cev.lu before 30 th June 2017. 16. COMMERCIAL RIGHTS The table hereafter shows the split of Advertising spaces on the Playing area between the CEV and the organising clubs. For the CEV Volleyball Champions League Final Four, CEV Volleyball Cup and CEV Volleyball Challenge Cup Final matches, the below-mentioned commercial rights distribution may change. Sportswear 8. Sweets 9. Courier services & logistics One or more categories of the above list may be released by CEV upon request or if not used by the CEV. 17. MEDIA RIGHTS All Media rights originally belong to CEV. The CEV Media agency, the sportsman media group, is the exclusive, global agent of the CEV in marketing and distributing all Media rights of European Cups competitions. As per the CEV Volleyball Competitions Regulations, we would like to remind all teams about the mandatory production of the matches (incl. putting at disposal of the international signal upon an established European satellite) as follows: CEV Volleyball Champions League: all home matches and all matches of the final four, if appointed as a final four organiser CEV Volleyball Cup: semi-finals and finals CEV Volleyball Challenge Cup: finals The sportsman media group will do its utmost to negotiate license agreements covering also the production of the matches. In case a license agreement does not cover the production costs, the clubs will be responsible for the production. 18. 2018 EUROPEAN CUPS METHOD On the following pages you will find a flow chart outlining the three European Cup competitions. For the CEV Volleyball Champions League, this example method is based on there being a Final Four club organiser determined after the 4th Round and all seeded slots in this round being used. REMINDER - CLUB LOGOS As stated on the 02 form, any team participating in the CEV Volleyball Champions League must upload their logo(s) via the Club Area of the CEV Database. 1.1 TYPE OF LOGOS For CEV club competitions there are 2 different types of logos: - The club institutional logo, which is linked to the association to which it belongs to - The team emblem/logo, which is used for the team within the club, for the upcoming season. For instance, this emblem may include a sponsor s logo or other features. 1.2 LOCATION All club institutional logos must be uploaded in the Contact List section whereas the team emblem/logo must be uploaded in the Team Info section of the Database. The team emblem/logo must be uploaded 5 times whatever format is used (.jpg,.ai,.eps) as follows: 1. One high resolution logo: 1200 pixels x 150dpi 2. Three image logos with the requested widths: 32 pixels, 100 pixels and 150 pixels. 3. One logo in vectors: no limitation for this file If a registered team does not have a team emblem/logo, their club institutional logo should be uploaded here instead. These logos will be made available via the CEV website to the opponents for promotional purposes as well as for television graphics. Missing logos have serious consequences to the corporate visibility and presentation of your club and the competitions on the CEV website and in the media and on television starting with the European Volleyball Gala. 2. 4. MIKASA BALLS The official ball to be used during the is the Mikasa MVA200CEV (Green Ball). CEV has decided to provide all participating clubs of the 2018 CEV Volleyball Champions League with 12 Mikasa balls (MVA200CEV) bearing the current valid competition logo, free of charge in terms of production and transportation. These balls will be shipped directly by Mikasa to the respective National Federations which will be responsible for dispatching the balls to the various clubs. Please note that the CEV partner Mikasa is in charge for the delivery and the respective receiver for the custom clearance.. The Mikasa balls with the current valid competition logo are also available via the Mikasa distributor network and each participating club takes the responsibility to have enough balls for games. The Champions League games can be played solely with the current valid competition logo. For the training and warm-up sessions, each club has to ensure to have a total number of at least 30 Mikasa balls per team (recommended are 12 balls for the warm-up and 20 balls for each training session per team) with the current or older competition logo to be purchased through a local Mikasa distributor. 5. 6. CL-S FORM REQUEST FOR APPROVAL OF SPONSORS All teams shall fill in the CL-S form with all sponsors contracted for the 2018 CEV Volleyball Champions League. The CL-S form will be available online in the CEV Database as from Monday 21 st August 2017. All clubs have to duly fill, save, close and send the CLS form to CEV via the CEV database no later than 21 days (3 weeks) before their 1st match in the Competition. 7. TEAM UNIFORMS When ordering the team uniforms, clubs must make sure they are produced according to the CEV Volleyball Competitions Regulations. For more details please follow this link: http://ebook.cev.lu/competitions/regulations/index.html#40. CEV has reserved a set number of product categories for advertisement during the 2018 CEV Volleyball Champions League, however this rule does not apply to team uniforms and the choice of sponsors is free. Clubs are allowed to have sponsors from the CEV protected product categories on their team uniforms. All sponsors appearing on the uniform shall first be approved by CEV through the CL-S form. Each set of uniforms shall be checked and approved by CEV. Therefore, teams are required to upload the pictures of their 2 sets of uniforms, shirt and short with a front side and back side view produced in the colours confirmed by the O2 form, via the CEV nftp server: ftp://nftp.cev.lu/ UPLOADS//*.* by 18th September 2017. COMPETITION BADGE: The CEV Volleyball Champions League badge has to figure on the team uniform as from the first match, namely on the right sleeve for jerseys with sleeves or on the upper right chest for jerseys without sleeves. Clubs have two options: 1 ) Order the badges via the CEV Office. The deadline for ordering such badges is set for Monday 21 st August 2017, by sending an email with the exact number of badges to: marketing@cev.lu. 2 ) Produce the badges using the heat transfer method. Teams using the heat transfer method have to download the new logo from the CEV ftp server. Download folder: /DOWNLOADS/VOLLEYBALL COMPETITIONS/2018/2018 CEV VOLLEYBALL CHAMPIONS LEAGUE/ CHAMPIONS LEAGUE LOGO The dimensions of the logo are as follows: 7,2 cm x 7,8 cm (width x height) All 1st ranked teams from previous Champions league editions have the right to use the Competition logo badge with stars. The number of stars indicates how many times the respective team won the CEV Volleyball Champions League. The colour of uniforms required for each match will be communicated by the CEV via the 09 forms on the CEV Database. Teams will be responsible for bringing the correct set of uniform and presenting it at the Preliminary Inquiry. If either team does not bring the required uniform, or there is a colour clash, the home team must change their uniform. Failure to do this will result in a financial sanction being issued. 8. MEDIA & COMMUNICATION From the next season, clubs are no longer required to send through to the CEV the PCL-01 (List of Accredited Media form) and the CL-PC Form (Press Clippings form). In their place there will be a new form entitled Match Media Form, which will outline all requirements and act as a checklist for those working on site. 9. SOCIAL MEDIA The official #hashtags for use are: #Volleyball when referring to the sport of Volleyball #CLVolleyM for the Men s competition #CLVolleyW for the Women s competition CEV operates on four social media platforms, namely: Facebook (www.facebook.com/cevolleyball) Twitter (www.twitter.com/cevolleyball) YouTube (www.youtube.com/cevolleyball) Instagram (www.instagram.com/cevolleyball) Next to these, the CEV also operates two dedicated Champions League competition pages, namely: Facebook (https://www.facebook.com/cevolleyballcl) Twitter (www.twitter.com/cevolleyballcl) Clubs are requested to link to these whenever posting or tweeting about the competition. It is expected that clubs are also active on social media, with a focus on those channels that are dominant in their country. It is imperative that clubs take the time to ensure that their social media contact details are inserted and correct in the 02 form (Organisation Chart) and 04 form (Registration of Players). Champions League clubs are encouraged to develop more visual ways of communicating on social media using imagery and graphical design work to promote the competition / matches, announce scores, recognise special achievements etc. Live photos from the match should also be posted throughout accompanying a live match commentary focusing on the highlights of the game for fans to follow on-line, especially on Twitter. 1. CEV ORGANISATION GUIDELINES FOR CLUB COMPETITIONS Shorter, simpler and tailor-made for you, the Organisation Guidelines for Club Competitions has been fully reviewed. This document contains references to the Volleyball Competitions Regulations for each specific topic. It also includes some explanation and details which would help you fulfilling the regulations. Highlighting best practices is also an objective. Feel free to share with us your successful ideas! We will update the guidelines during the season according to the questions asked and issues raised by the Clubs. 2. COURT LAYOUT As already mentioned in our mail dated 7 th September 2017, you will find hereafter the technical court layout also available in the download area of the CEV Database. Displaying other or unapproved advertisement jeopardises the sustainability of the organisation of the CEV competitions. Such behaviour is a breach of the Volleyball Competitions Regulations.
