1:08pm call to order Minutes May 2011 approved General chair (Reynolds) -LEAP program: OSI is required to comply by March 2012; apply end of this year, early next year (business and organizational success; level 1, 7 criteria; registration is a concern and criteria listed; track new clubs better; compliance regarding executive board and meeting 2 additional times outside of HOD. Randy Julian: OSI s primary contact with USA swimming Well wishes for high school and USA short course season; please contact with help and any questions. Finance (Wolford) Loss of $6000 due to new programs and senior circuit meets and officials reimbursement Budget moving forward, decisions regarding funding Online bill pay: quickbooks has a program to pay for registrations online; is a secure system; natural progression for LSC; $1 charge per batch; continuing programs we implemented last year; officials expense should be decreased each year. Online payments for registering coach, officials, etc. See OSI website for full treasurer report. Long range planning: role of OSI is to provide opportunity for the athletes; LSC is a support role and LSC is working to define what that role is. Admin (Alt) No report Membership Committee (Alt) Tried to identify services; that is all we do; looking into new services; any ability to work on cost containment as an lsc; 2 more conference calls to have solid presentation for May HOD. Registration (Schwab) -clubs can get a portal set up on USA website; can check anytime to see that Erin has correct/all information - publishing approval use for board members or any club members to allow contact information on the team website (suggested practice) -transfer info: Erin notifies former club of any transfers; NEW when they come to your club and send the transfer form at the same time as all new swimmer registrations; -transfer dates: YMCA champs are not included.. last date of comp is last USA meet date. -Pre-employment screening: information is posted on OSI website; new checkbox on club registration form indicating compliance with the pre-employment screening process. -athlete protection requirement (background check): must have completed training before can be registered for 2012; certificate does not need to be turned in to Erin -new membership requirements on registration section on web -clubs should keep info on file in case there is any question. -OME: hopes OSI will consider using this system for championship meets; Erin will set up for host teams; validates membership and times; deadlines are finite; can make changes until pay at checkout. Allows deck passes; checks coach certifications; will be used for JO and senior meets; -website changes: added links to all required training; new sub tab for coaches and a new sub tab for forms related to meets ( Meet forms ). -last minute coach forms; coach can fill out and get sent to Erin after the meet;
-problems with deck entries at meet: time trials at championships athletes are not actually registered which is a problem; Check One box to catch the stragglers and to catch time trials non-registrants -online payments - check only routing number; no cc -creating LSC portal for ourselves; Times (Schwab) -print new documents, Erin has moved, mail is no longer forwarded Records (Peaden) -Records are posted on OSI website Safety (Pristash) -Down nationally, up in LSC (can be due to more reporting) -Form is same as 2011; but now must have parent sign refusal of care if athlete is under 18 -Sandy Blument: manages insurance; encourages lsc s and teams to contact with any questions or issues whether related to the pool usage or general pool contact questions; -Bottom of pool strikes: 1 st two questions will be if pool conforms to pool depth; and if 5 step diving certification has been followed Age group (Back) -confirmed OME usage at JOs -dates for 2013 are confirmed. -Chris Pierson has been working on short course meter time standards for those with meter pools -Benson Spurling will have out be the end of the week the changes in relay time standards after a lengthy discussion on other options -convention: Deck Pass ; coaches can award immediately on deck, best times, achieve a goal, ranks them in their imx in lsc, zone and nation -athlete protection COACHES MUST GO ONLINE AND COMPLETE THIS COURSE -proposals: meet templates getting fixed Camps (Billhimer) -41 athletes to Colorado Springs -Tentative dates for age group select camp 4/22/12 or 4/29/12 at Miami; Oct 12-15 2012; if interested, send Todd an email Adapted (Ewald) -trying to get more regional meets for development of emerging standards for athletes; email Peggy contact information coachewald@hotmail.com so she can send out information for coaches, athletes, parents, etc. 2 developmental meets in 2012; trying to grow the grassroots of disability swimming; if not nationally classified, there are three meets left before trials (moved from March to June); trying to create a regular quarterly informational newsletter; -Erin Popovich is coming to ONU on October 22, 2011; conducting coaching seminars, etc. -TEAMS NEED TO HAVE ATHLETES CHECKED AS DISABLED FOR PEGGY TO GET THEIR INFORMATION; Senior (Roberts) -Working to establish a committee such as age group has -athletes qualifying for sr/jr nationals is greater than those who actually attend; not sure why -10 18&unders qualified for trials; 41 in college qualified for trials (currently) -concerns of the senior meet; timelines; largest # swimmers with shorter timelines check order of events with Steve Nye
-purpose of senior meet; short course: discussion on Sunday scratches after return to Sunday finals in 2011; teams will be responsible to scratch as a team or identify scratches by 5pm night before. -senior circuit meets: host teams would like to run, but need the subsidy to be there because of the size of the meets. Concern is LSC looks to avoid dates with long-standing team meet dates -Miami dates 5/18-20; gr cols is 6/15-17; April date is yet tbd either OSU or OU -possibility to add in winter senior circuit (pre-high school season); -reimbursement for nationals: restructuring amounts; checks went to the athletes (looking to see if lsc can revise) -change in participation # for college students; -revision of forms for reimbursement request -champ dates; senior meet July 26-29; sect 7/31-8/3, Miami; US Open Aug 7-11; Aug 13-17 (both Aug at IUPUI) -OME process beginning March 2012 Coach (Bachman) High School rep (Bachman/Peterkowski) High School state same format as last year except for diving -autos from ALL dist is 2 across the board; allows more at-large to go Communication (Van Bracken) -with osi to membership -some info is available on the website, but not everyone is going there. -newsletter??? -facebook page???? -strong request for meet results -whether the current website being used by osi is being utilized properly Officials (Bockstiegel) -Joe Sobczak has decided to resign as official co-chair of NW Commission. -Bill Hopkins will take his place Athlete (Galvin) -Only 8 athletes were at meeting; better job sending out notices to teams and remind athletes -reviewed convention and meetings went to; -different committees discussed -jr rep temly from mhsw -use facebook to increase participation at meetings and dissemination; -possibly create a Deck Pass patch Old business -website: Chris Pierson must get meet information to upload to the website; records- form must be submitted to Brent in order to get record changed/updated; trial qualifiers to Chris; New business -sr circuit meet motion to continue to subsidize with same structure as had 2011.
