Dear Parent, Thank you for your child's participation in the 2016 production of Portland Ballet's The Victorian Nutcracker. In line with our dedication to providing clear communication with parents and guardians of our students, please see and sign below. We are all looking forward to an exciting production and we are very happy to have your family involved! (Hereafter, the prior set of events is collectively referred to as The Production ). They will be representing Portland Ballet and any imagery taken at or for The Production will remain the intellectual property of Portland Ballet and can be used at the discretion of Portland Ballet both in print or electronic format. I also agree that I will not hold Portland Ballet, Portland School of Ballet, Westbrook Performing Arts Center, Merrill Auditorium, or any faculty, teacher, or employee of the above mentioned, liable for injuries or illness contracted while preparing for, traveling to or from, or participating in The Production. Congratulations!! Being a youth cast member in a professional ballet production is an exciting experience and an important commitment. The following rules are designed to allow the production to run smoothly and be a positive experience for everyone involved. By accepting a role in The Victorian Nutcracker, you are agreeing to the information provided in this document. 1. Communication CHECK EMAIL AND CAST WEB PAGE REGULARLY FOR UPDATES. EMAIL: All communication will be sent to the primary email address you provided at registration. Please ensure any spam filters are adjusted to accept email from Portland Ballet, Nell Shipman: nshipman@portlandballet.org, Kaitlyn Hayes: khayes@portlandballet.org \ 2. Attendance ATTENDANCE IS REQUIRED AT ALL REHEARSALS. ONLY ONE ABSENCE is allowed for studio rehearsals ABSOLUTELY NO ABSENCES during Production Week Missing more than one rehearsal is cause for replacement. Emergency notifications: If an emergency may result in absence to a rehearsal or performance, you must call or email the Portland Ballet immediately at 207-772-9671. 3. Schedule STUDENTS MUST BE AVAILABLE FOR ALL REHEARSALS. SCHEDULES ARE SUBJECT TO UPDATE. PARENT MEETING: (Important informational meeting for all parents and students). STUDIO REHEARSALS: Saturday schedules will be announced via email by Nell Shipman and Kaitlyn Hayes. PRODUCTION WEEK: This includes costume fittings, spacing/tech rehearsals, dress rehearsals, and school and public performances at the theater. Students may need to be 3 of 14

excused from school on days for Final Dress or School Show. Absolutely no absences allowed during production week. 4. Locations PRODUCTION WEEK REHEARSALS/PERFORMANCES: Merril Auditorium, Westbrook Performing Arts Centre For Production Week: arrive early according to schedule - check in on call sheet AUDITIONS: STUDIO REHEARSALS: 517 Forest Ave, Portland, ME, 04101 Arrive 15 min. early 5. Attire STUDENTS SHOULD WEAR PROPER BALLET ATTIRE FOR ALL REHEARSALS. Girls: leotard, tights, ballet shoes, hair secured neatly in a bun. Boys: t-shirts, tights, ballet shoes. 6. Behavior Arrive promptly. Students should arrive dressed appropriately for dance at least 10-15 minutes prior to rehearsal. Habitual tardiness may be cause replacement. Although we suggest that all students arrive earlier to properly warm themselves up. Students wearing pointe shoes and age 12 and above are strongly encouraged to attend the Saturday morning Drop-In 10-11:30 class prior to rehearsals. All students cast in Victorian Nutcracker will receive class at $13 instead of $15 on rehearsal days. CORPS students attend for free. Pick up promptly. The staff of Portland Ballet and your rehearsal instructors are otherwise scheduled after ballet rehearsals. We are unable to accommodate late pick- ups. Show respect for instructors, staff, volunteers, and fellow students at all times. Inappropriate behavior may be cause for dismissal from the production. Clean-up after yourself. Keep studio and theater neat and clean, including common areas and dressing areas. Please leave outdoor shoes/boots in the outtermost lobby cubbies across from restrooms as you enter the Studio. Only eat in designated areas. Pick up belongings and throw away trash before leaving. Keep bathrooms clean always flush toilets and dispose of trash properly. No running in hallways. 4 of 14

Medical issues. Disclose to the artistic director, ballet master, or dance administrator any pertinent medical issues the student may have. AT THE STUDIO: Do not leave the rehearsal space alone. Student must always remain under the supervision of an instructor or within the rehearsal studio space during scheduled rehearsal times. AT THE THEATER: Enter and Exit through the main doors at Westbrook Performing Arts Center and through the Stage Door at Merrill Auditorium. No parents (unless they are a backstage volunteer) will be allowed past the sign in desk. Sign in policies will be reviewed with all parents/students during rehearsal process. Please be aware of no parking zones at Merrill Auditorium as they are reserved for essential staff. DO NOT WAIT OUTSIDE FOR A RIDE. Students must wait inside the building for their ride. 7. Performance & Tickets Show assignments: Some roles are double cast, meaning the student shares a role with another student and performs in one show or the other. Some roles are single cast, meaning the student performs in both shows. Casting is at the sole discretion of Portland Ballet. No casting requests are permitted. The performance lasts approximately 1 hour and 45 minutes with one intermission. Tickets: Contact the Portix to reserve tickets: https://tickets.porttix.com/public/. Volunteers may receive comp tickets in exchange for their work either backstage or front of house. Please contact Brianna Wing, bwing@portlandballet.org, with any questions. 8. Costumes Treat costumes with care. Always hang up your costume neatly in the dressing room. Do not touch other dancers costumes. Make sure to check for all of your costume pieces when you arrive at the theater and before you leave the theater. No eating or drinking in costume. Costumes are sole property of Portland Ballet. All costumes will remain at the studio or theater and are never taken home. Hair and makeup should be done prior to arriving at the theater, unless otherwise discussed. Shoes, tights, undergarments, hair, and makeup requirements are listed by role in the attachment. Dance tights are designed to serve as undergarments. No underwear may be worn under tights (unless a designated undergarment for your role). These items are 5 of 14

purchased by the student and will remain property of the student. Please make sure to bring an extra pair of tights in case of emergency. No plastic straps on nude camisoles. Shoes, tights, and undergarment must be clean and free of holes or runs. Hair must be securred neatly with lots of gel, hairspray, bobby pins and hairnets no wisps of flyaway hair falling out of bun or around face. No eyeglasses should be worn for dress rehearsals or performances. No glitter, jewelry or nail polish allowed. Pointe Shoes must be properly sewn (use floss, I will never come un-sewn). Dull shoes with either powder, foundation or calamine lotion before you come to the theater. Have an extra pair prepared just in case. Treat all dress rehearsals like a performance with proper shoes, tights, undergarments, hair, and makeup. Note: We strongly suggest that all students order shoes, tights, and undergarments far in advance of the performances. www.discountdance.com is a good place. We will make tight style # s available. Make-Up List We do supply the make up for the dancers. These are for your reference in the event that there may be allergies and your dancer needs to have their own makeup. Please make sure that if you choose to have your dancer use their own makeup, that they have it in a bag 8 of 14

marked with their name, so it doesn't get lost, and bring it with them when we let them know it is time to do makeup. Backstage Sign in on the call sheet upon arrival to the theater. Dressing Area: Assigned dressing rooms Students will be chaperoned backstage. Sign-ups will be available for parental assistance backstage. Students will spend time waiting in the dressing area before going on stage. Bring non- messy snacks, water, and books or simple games. Do not bring valuables to the theater. Keep wings clear. Students must remain backstage in the dressing area until their part is called and are not allowed to wait/watch from the wings. This important requirement is due to space and safety issues. No observers allowed in the house (audience) during theater rehearsals. No recording or photos of any kind during performance. Parents are welcome to photograph students in costume in Studio 3 after studio dress rehearsal. There will be no photos in costume backstage or in the lobby during the production. Students who are in ACT I only are welcome to watch the rest of the performance from the audience with a purchased ticket. Enter theater only during intermission. No costumes in the audience. 9 of 14

Students who are in ACT II only may watch ACT I from the audience with a purchased ticket. Please check-in backstage prior to the start of the show. Exit only during intermission. No costumes in the audience. Quiet- Please use proper theater etiquette, whisper if it is necessary to speak while backstage. NOTICE: If a traumatic injury occurs outside the studio and the student is not allowed to dance by doctors orders and with a doctor s note, there are walk roles available to allow student to still perform. 10 of 14
