Entries Meet Information & Conditions 1. Entries may only be accepted from competitors registered as members of Affiliated Clubs, holding either primary or multi-registration membership. 2. Entries should be made via clubs ONLY and should be sent electronically using Hy-Tek Team Manager. The events file for use with TM is available from the Swim Wales website and upon request from nofio.swimming.gala@sky.com 3. Electronic entries should be emailed to nofio.swimming.gala@sky.com 4. Original entry forms and payment should also be submitted to the meet organiser, with a stamped selfaddressed envelope to allow confirmation of entries to be returned. Completed forms should be sent to: Elaine Lemin, 85 Maes y Gog, Rhyl, Denbighshire, LL18 4QA 5. Entries from clubs should be accompanied by a payment summary sheet and a single cheque to cover all entries and coach/chaperone poolside passes. Cheques should be payable to Denbighshire Development Team. 6. Please note that entries will be refused if: a. They are received without the relevant fee b. They are completed incorrectly (membership number must be included) c. They are received after the closing date 7. All entry submissions must be received by 10 th March 2017 : late entries will not be accepted 8. The entry fee is 4.50 for individual events 9. This is a Level 3 Open Meet with Consideration Times 10. In the event that the duration of the meet could extend beyond the session time limit as per the meet license regulations, the Meet Organisers reserve the right to restrict entries with the fastest entry times being given priority. Any swimmers not accepted will have their entry fees refunded. 11. No competitor s passes will be issued. 12. Swimmers may only swim for one club during the meet. 13. Competitors must have been registered members of the Club in whose name they are entered at least 30 days prior to the first day of the Meet. 14. Full payment must be received by 2 nd April 2017 If payment has not been received by this date the club will be deemed as default and will be excluded from the rest of the Meet Age Groups Age as at 9 th April 2017 Age groups for girls and boys: 9,10,11,12,13,14,15, 16& over Meet Office A Meet Office will be open for the duration of the Meet and can be contacted on 01492 575904. Medical Conditions It is the responsibility of the swimmer and / or parent to declare to the referee any disability or medical condition that could present a safety risk. If such a disability or medical condition exists swimmers must produce a medical note confirming that their participation presents no health or safety problems. Now that FAC cards are no longer used it is the responsibility of the swimmer and/or parent to declare in advance of the meet any disability previously covered by an FAC card. Session Times To be confirmed following receipt of entries. Clubs will be notified by Email; please enclose SAE if printed confirmation is required. General Conditions 1. The meet will be swum under FINA Technical Rules, Swim Wales Laws and Disciplinary Code and any additional conditions (printed in the respective Meet Information). 2. No alcohol or tobacco advertising is permitted on any clothing. 3. The organisers reserve the right to alter any part of the programme or amend any of these conditions, if necessary, without notice. 4. All decisions made by the Meet Directors shall be final and binding 5. Events will be held as shown on the attached programme of events 6. Time trials will not be permitted. 7. All events shall be heat declared winner (HDW) 8. Competitors will be seeded according to submitted entry times, fastest to slowest.

Skins Event This will be by invite only to the eight male & eight female swimmers with the fastest times from the 200 I.M. (Events 3 & 4) This Skins Event will be a continuous competition commencing with 8 competitors and over a continuous series of races over a distance of 50m. One or more competitors to be eliminated in each round until a winner is determined. Races in each competition will take place following an interval of 3 minutes from the start of the previous race a warning being given 10 seconds prior to the start of each round. Events will swim concurrently with a separation of 90 seconds between races. The Prizes for each event will be: 1st - 40, 2nd- 35, 3rd - 30, 4th - 25, 5th 20, 6th - 15, 7th - 10, 8th - 5 Swimmers must withdraw within 30 minutes after results from event 3 & 4 have been released. Lanes will be allocated on the basis of spearheading in accordance with fastest time Swimmers are required to swim in their allocated lane whilst they remain in the competition until the final race. The remaining two swimmers will occupy the centre lanes the fastest qualifying swimmer occupying Lane 4 the second swimmer in Lane 5. The stroke for each individual race will by random draw from a choice of Front crawl, Breaststroke, Butterfly and Backstroke. The draw for the stroke to be contested in the first round will be undertaken by a person to be nominated by the meet promoter. Draws for subsequent rounds will be by the swimmer eliminated from the previous round. If more than one swimmer is eliminated in a round, the draw will be by the first swimmer eliminated, or by decision of the Referee if eliminated at the same time. The first race in each Event will commence in accordance with ASA Swimming Rules governing the Start of the selected stroke. Each race shall be over a distance of 50m. Swimmers must compete in a minimum of 3 events including the 200IM in order to be eligible to enter Skins. Subsequent rounds will start at the starting end of the pool, following an interval of 3 minutes from the previous start. The starter will give a 10 second warning. Competitors feet, or hands in the case of Backstroke must be in contact with the Starting Platform or Grips when the Start Signal is given. For Backstroke rounds competitors will start in the water with both hands holding the starting grips. For forward starts swimmers are required to have at least one foot at the front of the Starting Platform. In all races swimmers are required to comply with the FINA Swimming Rules regarding Stroke and Finish conditions failure to do so will lead to elimination by disqualification any competitor so eliminated will receive any prize money won to that time including the round in which eliminated. The slowest competitor in each round shall be eliminated unless a competitor has been eliminated by disqualification, in which case the slowest competitor remains in the competition. Times achieved by swimmers are not to be used for any other purpose. Determination of the slowest swimmer will be by the Referee utilising either Automatic Officiating Equipment (AOE) or manual Finish Judges, in accordance with FINA Swimming Rules governing placing. Should AOE be used the Referee shall determine whether it operated correctly. In the case of more than one swimmer being disqualified, or a dead heat for the slowest swimmer all affected swimmers are eliminated and the accumulated prize money for the positions divided equally between the relevant swimmers. Should for any reason the competition have to be halted before its conclusion it shall restart with a reswim of the round halted or subsequent round if halted following the correct completion of a round. The Start of the recommencement of the competition will be in accordance with the FINA Swimming Rules of the relevant stroke. In the case of a dead heat in the final race, the race will be declared a tie, and the remaining prize money will be divided equally between the two remaining swimmers. In the event of a faulty start, the round will be delayed, and will resume after 3 minutes. If any issue arises not covered by the above then that issue will be determined by the meet promoters.

Medals & Trophies Medals will be awarded for 1 st, 2 nd & 3 rd places in all age group events. Awards to the Boy Champion and the Girl Champion in each age group scoring the highest number of FINA points Spot prizes will be awarded to the winner of randomly selected heats and events (regardless of any disqualifications). Officials The organisers would appreciate if participating clubs could supply a minimum of one qualified officials (judges) to help with the running of the event. Officials will be required to follow the protocol which can be downloaded from the Swim Wales website. Poolside passes All coaches and chaperones that will be on poolside at any time during the competition must have individual accreditation obtained by completing the official form enclosed in this information pack. Poolside passes will be transferable between coaches and chaperones from the same club who have completed an official accreditation form. Accredited coaches and chaperones from the same club may use poolside passes on rota. One coach pass will cost 10 each. Please note the number of coaches & team managers on poolside at any time will be restricted to 1:10 swimmers and must not exceed the number of passes that have been paid for. Passes must be worn at all times. Anyone without a pass will be asked to leave the poolside or changing area. The closing date for passes will be the same as the closing date for entries. Applications will not be accepted during the meet. Withdrawals All withdrawals must be notified to the day of meet recorder no later than 30 minutes before of the start of the appropriate session. Withdrawals must be made using the relevant withdrawal form. Start Sheets Start sheets will be prepared after the withdrawal deadline each session Marshalling Coaches should ensure that the swimmers make themselves available for marshalling at least 2 events prior to the event they are competing in. Heats Competitors shall be seeded according to submitted times, checked with ASA database. All heats shall be swum fastest to slowest Over the top starts will, where necessary or appropriate, be used during meets (except in backstroke events). Camera Use When a competition involves children under the age of 18 years of age it is a mandatory meet license requirement that all persons (including competitors / officials / volunteers / spectators), wishing to engage in any kind of photographic activity including video, zoom, close range photography, irrespective of the nature of the device / equipment used for taking / recording such images must register their details with the event management in advance of taking any images. This includes; but is not limited to: Still cameras Cine Cameras Video cameras Camera / video enabled mobile phones Camera enabled PDA s

Proof of identity is required to register any photographic / video equipment. Acceptable forms of ID are: photographic driving license passport - household bill for proof of address You will be issued with a tag for your photographic equipment and this must remain attached within the pool area. By entering this competition, the swimmer, parent or guardian accepts photographs taken by an accredited photographer may be used for promotional purposes by the County or the Governing Body. Data Protection The region, along with the governing body, may use computers to record entry times and results. By submitting entries you are accepting the conditions and consent is hereby given for holding personal information relating to the sport of Swimming as required by the current Data Protection Act. Mobile phones Mobile phones must not be used in the building at all. Medical Conditions It is the responsibility of the swimmer and/or parent to declare to the referee any disability or medical condition that could present a safety risk. If such a disability or medical condition exists swimmers must produce a medical note confirming that their participation presents no health or safety problems. Health and Safety The Health, Safety and wellbeing of all swimmers, officials, volunteers, spectators and visitors is paramount all Health and Safety rules / regulations / requirements must be complied with at all times. A full risk assessment must be carried out in accordance with the Swim Wales Meet License Report Pack. A copy of the Pool Operating Procedures and / or the Normal Operating Procedures & Emergency Action Plan for the facility being hired for the meet must be obtained in advance, and must be available throughout the meet. All swimmers, officials, volunteers, spectators and visitors are required, at all times, to abide by the rules set out in the Pool Operating Procedures and / or the Normal Operating Procedures & Emergency Action Plan for the facility being hired for the meet. Disposable snap-off tops from drinks bottles must be placed immediately into proper waste bins as they are almost invisible in water and represent a significant choking hazard to swimmers. All litter must be disposed of in the proper waste bins provided. Unacceptable Behavior Behavior becomes unacceptable when it is considered Offensive to others; this includes, but is not limited to, the following: Theft, willful damage to property and / or equipment, acts of vandalism, abuse of alcohol and / or drugs, bullying, offensive language, aggressive / violent acts, threatening behavior, all breaches of safety practices, failure to comply with instructions / directions, actions that bring the sport of swimming into disrepute. Competitive Start Award Swimmers must have attained the standard of the Competitive Start Award in order to start from the blocks; (this is the responsibility of the club coach). Swimmers who have not attained the standard of the Competitive Start Award must lower themselves into over the side into the water, on the long whistle of the Referee before starting at an appropriate place. Jewellery For safety and security reasons, the wearing of jewellery is not permitted while in the water during warm-ups / swim-downs and / or competition. This includes watches, necklaces, chains, bangles, wrist bands, ear-rings (except studs), and rings (except wedding bands). Swim Wales will not be responsible for any jewellery brought to events and will not be liable if such jewellery is lost or damaged.

Spectator admission fees Admission fee shall be: 6.00 per person, per day (inc programme) 3.00 per person for one session Children under 12 accompanied by an adult free admission Car Parking The Swimming Centre is situated next to a council pay & display car park. There is limited free parking available close to the centre on Mostyn Broadway. Catering Catering facilities are available at our neighbouring theatre/conference centre, Venue Cymru. Alternative facilities are available in close proximity within Llandudno Retail Park. The organisers retain the right to alter these conditions, if necessary, without notice. Information for Spectators with Disability Are you a Registered Disabled person or have a disability that makes it difficult or uncomfortable for you to queue prior to paying entry as a spectator? If so: - On arrival at the pool please go to the reception where you will be advised on access. You will then be able to access the balcony via the lift or stairs directly. NO queuing will be necessary. If you have any questions or queries during the event a member of the Meet Team will endeavour to assist you. Within the spectators gallery we have 7 designated Wheel Chair access. We are only allowed by Health & Safety regulations to admit 427 spectators on to the balcony. It would be appreciated therefore, that spectators who need assistance would arrive at the start of the warm up session thus ensuring a suitable seat is available. (It is difficult to allocate a specific area on the balcony seating area for spectators with a disability as it might not be where they would choose to sit. Also, if there are no disabled spectators present then we would have seating which cannot be used).
