Ohio High School Athletic Association Northeast Ohio District Sectional Swimming & Diving Swimming: The Spire Institute Aquatic Center February 9th, 2018 To: From: Subject: Swimming and Diving Coaches, Northeast District, Division II Beth Sonnhalter, Sectional Meet Director and Meet Manager 216-513-2942 Email: beth.sonnhalter@chagrinschools.org 2018 Sectional High School Swimming Meet Location: The swimming competition will be held at the Spire Institute Aquatic Center Friday, February 9 th, 2018. The Spire Aquatic Center is located at 5201 Spire Cir, Geneva, Ohio, 44041. Facility: Swimming Competition: The competitive swimming pool measures 10 lanes by 25 yards in a 50-meter Olympic sized pool with two movable bulkheads for subdivision of the pool. The competition will be held in the diving board (deep) end of the pool with a uniform depth of 14. The permanent seating capacity is 1200, with a further 1000 temporary seating capacity. Additional handicapped seating and elevated access to the spectator stands is available. Ten lanes at the scoreboard end of the pool and an adjacent six-lane pool will be available for continuous warm up and warm down throughout the meet. Men s and women s locker rooms are located off the pool deck. A Colorado timing system and scoreboard will be in use. GIRLS DIVISION II AND BOYS DIVISION II: FRIDAY, FEBRUARY 9, 2018 Girls and boys competition will be held simultaneously, alternating events by gender and beginning with the girls 200 medley relay. The pool will be open for general warm up beginning at 2:00 PM and specific warm up with assigned lanes will begin at 3:00 PM. Competition will begin no earlier than 4:30PM. The facility will not open before M. Competition will take place in ten lanes. Continuous warm-up will be available in the scoreboard end of the pool and the adjacent 6-lane 25-yard pool. Note: There will be a 10-minute break after the 50 free. Coaches Meeting : There will not be a coaches meeting before the day of the meet. All communications will be done by email. The psych sheet will be e-mailed out no earlier than 6:00 PM Tuesday, February 5th. Coaches must review the psych sheets for correct events and times. Scratches should be made and sent back to Julie Bare by noon Wednesday, February 7 th. The corrected psych sheet will then be forwarded to you. There will be a coaches meeting 10 minutes before each warm-up session to review pertinent meet conduct information and to take any last-minute scratches as noted below. Attendance at the coaches meeting is mandatory. Entries : All entries are to be submitted electronically using the Hy-Tek software as outlined in OHSAA tournament regulations. Tournament event files for the sectional tournament are located on the OHSAA website ( http://www.ohsaa.org/sports/sd/default.asp ). Schools are to download the appropriate tournament event file based on Boys Division II or Girls Division II. Be certain to use the state-assigned code for your school, use the athlete s correct name, include athlete s grade, as well as complete contact information for all team coaches expected to be on deck. This coach information will be used to provide deck credentials for Districts and States and should duplicate that provided on their Team Entry Form submitted on myohsaa. For USA Swimmers, do not forget to build into your entry their USA Swimming membership number. Remember to include names of relay only swimmers and divers. 1

All electronic entries must be in the possession of Julie Bare at jbare@roadrunner.com by Noon on Monday February 5, 2017. Hard copies are no longer required but coaches may wish to attach a copy of their entry to the Hy-Tek entry submitted to Julie Bare as protection. A copy of the submitted entry will be returned to the coaches on Monday February 5, 2017 for corrections. (Note that no corrections beyond scratches may take place following the publication of the corrected psych sheet on Thursday.) Any questions regarding entries should be addressed to Julie Bare at jbare@roadrunner.com. Late entries will not be permitted without approval by OHSAA and a payment of a $150.00 fine. Coaches must include their phone number and email address with the entry. All scratches should be submitted by noon Wednesday, February 7th. Only illness or injury scratches will be taken on the day of the meet. In addition, schools shall submit the official OHSAA swimming and diving entry form, which will include information formerly collected on a separate School Information Form, to myohsaa,. The OHSAA Eligibility Certificate NO LONGER needs to be submitted to the Tournament Manager. Entry Limitations: Each participant is permitted to enter a maximum of four (4) events, of which no more than two (2) may be individual events. A school may enter one (1) team in each relay event and four (4) swimmers in each individual event. Relay-only swimmers must be included on the original entry. Divers should enter a 6 dive score. Qualifiers: Scratches: Injuries/Illness: Girls Division II/Boys Division II In all individual events and relays, each of the Sectional Tournaments will qualify two (2) automatic qualifiers in each event. In addition there will be individuals and relays qualifying at-large from the combined Sectionals. There will be 26 at-large qualifiers in both Girls and Boys Division II individual events for a total of 30 competitors, and 16 at-large relay team qualifiers for a total of 20 relays. If an automatic qualifier in an individual event should replace a faster swimmer from another Sectional, both the automatic qualifier and the replaced swimmer shall qualify and advance to the Districts. Scratches from Sectionals to Districts: Any scratch that would result in the next fastest swimmer being pulled into the field of District qualifiers must be done by the completion of our Sectional Meet. Any swimmers who will not be available for the District Meet should be reported as scratches to the scorer s table. No changes to the entry shall be permitted after the posting of the first psych sheet with the exception of students who must be withdrawn due to medical reasons verified by a physician. A substitute may replace the injured/ill athlete provided the substitute is listed on the eligibility certificate, has not exceeded the entry limitations as prescribed by NFHS rules and is submitted to the tournament manager NO LATER THAN 7:00 AM on Friday, February 9, 2018, for a swimmer who is injured/ill, or on Wednesday, February 8 th for s diver who is injured/ill. After that time, no substitutions will be accepted. It is not permissible to replace the injured/ill student with a student who has already been entered into the tournament in two individual events. Swim-Offs: Diving: Medical Forms : Swim-offs will be done though 16th place. District qualifiers: Due to the anticipated smaller number of diving competitors in Division II, girls and boys will not compete in a Sectional Tournament, but will advance directly to the District Diving Tournament. Divers, however, must be included in your Sectional entry or they will not be advanced to districts. Please be sure that you bring your Medical Information Forms with you for all swimmers and divers. 2

Bus/Van Parking : Facility Entry : Team Areas/ Locker Rooms : Coaches: Admission: Awards: Drivers should drop off teams at the swimmer entrance north of the loop (see enclosed map) and then proceed to the north lot and park. All buses and team vans are to park in the lot closest to the soccer facilities at the north end of the complex. All spectators are to enter the Spire aquatic Center through the spectator entrance. Swimmers are to store their belongings on deck rather than in locker rooms. Only participants, coaches, meet workers and officials will be allowed on the deck. Swimmers will not be allowed in the spectator stands. Both the male and female locker rooms will be available for changing and restroom use during the assigned sessions. Lockers will NOT be available. All clothing and personal items must be kept in the team area on deck. Access to the locker rooms will be from the pool deck. Neither Spire, Meet Management nor Hawken School will be responsible for personal belongings. There is to be no shaving down allowed in the facility. Upon arrival on site, one coach should stop at the registration table and check in the team, the coaches and any school officials named on the admission sheet (see attached). This will be used to admit all persons associated with any team. Please email this form to Beth Sonnhalter at beth.sonnhalter@chagrinschools.org. The Deadline is Wednesday, February 5, 2018. Only Coaches named on the admissions sheet will receive a Sectional credential. Fees are $6.00 for adults, $6.00 senior citizens, and $4.00 for students for each session (OHSAA pricing). There will be no advance sale of tickets. Heat sheets will be $3.00. Only contestants for that session will be admitted free to the meet. The stands must be cleared following the Division II meet and only spectators paying for the afternoon Division I meet may re-enter (OHSAA rules). No awards will be given at Sectionals. Scoring: Individual: 20, 17, 16, 15, 14, 13, 12, 11, 9, 7, 6, 5, 4, 3, 2, 1. Relays: double the individual points for that place Representation: Code of Conduct: No team or individual will be allowed to compete in Sectionals unless a coach or person authorized by the related school s Board of Education is present throughout the meet. Teams and individual entrants unaccompanied by such a school representative will be disqualified. During participation in OHSAA Tournaments any student or coach ejected for unsportsmanlike conduct shall be ineligible for the remainder of that day as well as for all contests in swimming and diving until two regular season/ tournament contests are completed at the same level as the ejection. The meet manager, with concurrence of the meet referee, reserves the right to disqualify any swimmer or team for behavior (horseplay, fighting, etc.) that results in injury or damage or that has the potential to do so. PA announcements will be made regarding events on deck; however, it is the participant s responsibility to be on time for the event(s) s/he has entered. Swimmers are asked to listen for their event call. Concessions: Concessions will be available for swimmers and spectators. There will be a hospitality area available for all coaches, officials, and meet workers with light snacks. Spectators: S pectators will not be allowed on the deck. The meet manager reserves the right to eject a fan or non-swimming student from the premises. All workers and volunteers will be provided a meet identification tag. No swimmers participating in the day s session will be allowed to sit in the spectator area. 3

Volunteers are needed for timing. To the extent any parents or non-swimming students would like to help, please inform Beth Sonnhalter, beth.sonnhalter@chagrinschools.org, and they will be notified where to report and what their duties will be. Each school is asked to provide 2 timers. See attached form to submit timer information. Results: T-Shirts: Directions : All Sectional Meet results and psych sheets for District qualifiers will be available at www.nedab.org website by following the Winter Sport Swimming Link. Please inform teams and parents that the Hawken Booster Club will be offering the official OHSAA Sectional T-shirts for sale. Exit off I-90 at the Geneva exit (exit # 218/Route 534). Travel north and Spire entrance will be approximately 100 north of interstate on right (slightly before Wendy s).
