JEC 2016 Scotland Bulletin 3

Organisers Members of Scottish & British Orienteering. Special thanks to members of Forth Valley Orienteers and Clydeside Orienteers. Lead Organiser: Jason Inman +44(0)7967 976059. Website: www.scottish-orienteering.org/jec2016 email: jec2016@scottish-orienteering.org Thank you Thank you to the Forestry Commission Scotland who have given us permission to use South Achray and Fairy Knowe & Doon Hill Forests and to Stirling University for allowing us to use their University grounds. Thanks to all the dedicated volunteer helpers who have delivered this major event. And to our sponsors and supporters see final page without which we would be over budget and have naff prizes! Venue Central Scotland There is a lot of history to the area around Stirling and a heap of wonderful countryside within the Loch Lomond and Trossachs National Park. Look around you when you re not racing hard. Here is a handy Googlemap which shows where all the training, racing and accommodation venues are. Please print off all travel details/maps you will need for JEC as the organiser will not provide further support here. Travel Teams will be expected to make their own transport arrangements both to and from the airport and between accommodation and race venues. Accommodation All entered teams will be accommodated at the Scottish Outdoor Education Centre, Dounans, Aberfolyle. http://www.soec.org.uk/our-centres/dounans/ Teams will be accommodated in a number of large multiple-bedded units with toilets and showers in the same block or very close by. Bedding will be provided, please bring towels. The accommodation is basic but adequate ( please do not expect hotels). Each Team should also be able to find a suitable meeting/chill-out area close to their block. Any questions about the accommodation please report to our on-site volunteer Louise Longhurst. Upon arrival, teams will be given Team Bags which will have a few final bulletins, start lists, meal time details, SI-Air dibbers and competitor bibs for all three events and other useful things. Teams going directly to the sprint race can collect their Team Bag from the Sprint Arena. Catering Breakfasts and evening meals will be provided at the accommodation in a large dining hall. Please adhere to the eating times given in your team packs. Packed lunches for each day must be collected at breakfast by Team Leaders. We will do our best to cater for special requests such as vegetarians. We will also try to ensure an adequate supply of food and carbohydrates for hungry athletes. However, this centre is used to catering for younger people it is advised that teams bring their own back-up supplies of late evening snacks and pre and post-race snacks.

Programme Friday 30 th September Saturday 1 st October Sunday 2 nd October Sprint, Airthrey Castle and Stirling University Relay, South Achray, Aberfoyle Long Distance, Fairy Knowe & Doon Hill, Aberfoyle There are spectator races following the JEC events on the Friday and Saturday see www.oentries.com for more details. There is a Scottish Orienteering League open race on the Sunday alongside the JEC Long Distance details can be found on the Clydeside webpage. Categories The Junior European Cup is open to national teams of competitors not older than 20 years of age on 31 December 201 6. If any nation fields one or no runner in any class then the non-existent starts will be counted by taking the maximum number of points (total number of starters in that class) + 1. Relay: The highest placed team for each nation in each class will be counted and its position will be multiplied by 6. The National Team with the lowest sum after the three competitions will win the National Team results and will be crowned Junior European Cup Team Champions 2016. As the accommodation is in the centre of the relay area teams will receive a map in their Team Bags highlighting where it is safe to train and warm-up/down. Electronic Punching System SportIdent SI-Air (SIAC) system will be used in all JEC 2016 races. JEC 2016 will supply all athletes with one SIAC dibber for use over the weekend; they will be in the Team Bags. Please do not use your own. It is the responsibility of the team leader to sign out the correct number of loaned SIACs and take responsibility for ensuring all are returned. They must be handed in by athletes at the finish of the Long Distance race. A charge of 60 will be made to a Nation for every missing SIAC. During competition should the SI Air (touch-free) punching appear to fail at any control please punch the unit as normal. If this also fails, punch anywhere on your map using the pin-punch attached to the control. Fairness This competition is not JWOC but we would like to keep all the races as fair as possible. Please do not bring any old maps of the areas to the competition areas, do not show your map to runners who haven t started, do not use any communication devices at the pre-start areas and do not go to the pre-start area after finishing your run. We expect Team Leaders and staff to police such things and ensure the competition is as fair as possible. Clothing Please abide by IOF rules (long trousers for Relay and Long). Ticks Athletes may well encounter ticks during the forest competitions. Please do an all-body check after your race and deal with them appropriately. Weather As the famous comedian Billy Connolly said, Scotland has only two season, June and Winter Please come expecting wind, rain, snow, midges, tourists and haggis. For a more accurate prediction, nearer the time, please refer to the yr.no Team Tents We strongly recommend that each nation brings a team tent with them and erects it at the Assembly area for the Relay and Long. The sprint will have some indoor accommodation teams can use.

Insurance & Medical Emergencies Participation for staff and athletes at the Junior European Cup 2016 is at your own risk. Each National Team is responsible for their own valid insurance for travel, medical cover, etc. The nearest Hospital Accident & Emergency department is: Forth Valley Royal Hospital, Stirling Road, LARBERT, FK5 4WR, Telephone: 01324 566000 Or closer to the events: Minor Injuries Unit, Stirling Community Hospital, Livilands Gate, Stirling, FK8 2AU, Phone: 01786 434036 Open every day from 9am 9pm no appointment necessary Team Leaders & Team Leader Meetings Each National team is expected to nominate a Team Leader who shall be present at meetings and be the main contact for the organising staff. Team Leader meetings will be held at the Large Hall at Dounans Centre (details on arrival). It is presumed that not all teams will be present until the Friday evening and so all details regarding the Sprint event are included in this bulletin. Transport The organisers cannot provide any transport for any part of JEC 2016. Allow for delays in travelling times, plus vehicle drop-off and check-in times when departing for your return flights. Entries The cost includes entries to all 3 competitions, maps, accommodation, meals from Friday dinner to packed lunch on Sunday. There will be no reduction for later arrivals. Teams arriving on the Thursday afternoon will be provided accommodation (breakfast, packed lunch) and have access to training areas for Thursday (all day) and Friday morning. Final Entries and Final Payments Final and complete entries with full payment are to be received now (!) using the Final Entry form on the website and the electronic transfer of fees. Remember that entries are closed and only minor changes to your entry lists can be accepted. Start Lists The start lists for the Sprint and Long Distance have been drawn using random number sequencing, under the supervision of someone who we think isn t mad. We have taken into account the team requests for early, middle and late start blocks and all 3 races start times and relay team information will be available in advance of the competition for Team Leaders to print off. Race Bibs There will be bib numbers for all three competitions. For the individual races bib numbers count downwards so the last starter in each class ends in 01. The relay order has been decided using last year s JEC relay results. Bibs should not be folded or cut. Bibs will be in team bags to be collected on arrival at Dounans Centre or will be available at the Sprint competition office on the Friday for teams going directly to the sprint race. Maps Details of the maps are provided in each event details section below. They will be printed on waterproof paper. After the problems at WOC it may be wise that in the event of heavy rain you may wish to bring your own map bag for protection, these will not be provided by the organisers. All maps will fit, folded appropriately, or whole, into an A4 sized map bag.

Starts for the Sprint & Long Distance The start will be silent competitors should make their way to the start and indicate their presence to the Start Official when the pre-start clock shows their start time. Competitors must arrive in time for their allocated start. The pre-start clock will show race time minus call up zones (eg -3 or -4) time. It is a timed start. In the Pre-start area you will have the opportunity to check that your SI Air punching is working with a Clear, Check and Test unit. After this the SIAC needs to be cleared and checked again. A clear station will be located in front of the starts and a final safety check will be done by the start team. Late starters if you miss your start time and it is not the fault of the organisers then you will start when the officials can accommodate you and your start time will be the original start time. If it is the fault of the organisers we will attempt to start you at a suitable time and offer a punching start. Descriptions will be printed on your map in all races and will be available loose, in the start lanes, for the Sprint and Long distances. They will not be available prior to the events. Relay Start See Relay day details. Finish It is a SI-Air punching finish; athletes should register a punch at the finish unit in the same way as at every other control. Results Results will be displayed on laptops at the arenas, on a local Wi-Fi network called O_results, with the URL o.net and, subject to signal, on the internet at: Sprint http://liveresultat.orientering.se/followfull.php?comp=11937 Relay http://liveresultat.orientering.se/followfull.php?comp=11938 Long http://liveresultat.orientering.se/followfull.php?comp=11939, Result links, overall results, team scores, routegadget etc will all be linked from our website: http://www.scottish-orienteering.org/jec2016/ Water/Refreshments In accordance with our Green Policy there will be no refreshments at the finish arenas. Teams are advised to bring plenty of water to each competition for post and pre-race refreshment. In the UK all tap water is regarded as safe to drink unless there are clear signs at the tap advising you not to drink it. Protests In the event of a protest please make this in writing as soon as possible and before final results are published. Pass it to the JEC Day Organiser who will endeavour to resolve the issue as soon as possible. In the event of an appeal against the result of a protest then the race Jury (agreed at Thursday Team Leader meeting) will consider the appeal. A period of 20 minutes will be allowed from publishing the provisional race results until the final results are confirmed.

Presentation Ceremonies All three ceremonies will take place, as timetabled, at the accommodation centre. Teams are recommended to bring up to three national flags. Entry Status as of 26/09/16 W18 W20 M18 M20 Officials TOTAL 43 44 43 43 30

Sprint Competition Information Friday 30 th September 2016 Airthrey Castle & Stirling University Planner - Graham Gristwood (Forth Valley Orienteers) Organiser - Jon Cross (Forth Valley Orienteers) Controller - Graeme Ackland (Interlopers) Parking/Directions TEAMS ARE ASKED NOT TO ARRIVE AT THE COMPETITION LOCATION BEFORE 14:00 The location of Stirling University is shown on the googlemap linked from page 2 of this Bulletin. It can be approached from junction 11 of the M9 (then through Bridge of Allan) or from junction 10 of the M9 (then through Stirling and Causewayhead). Please use the main entrance to Stirling University, accessed from the A9 between Bridge of Allan and Stirling (see map). Parking will be signed from the main entrance and is at the Pathfoot Building of the Stirling University campus. Toilet facilities are available inside the Pathfoot Building. All teams should note that we are using car parks where payment is required. Please make sure you have some coins to buy your ticket from the Pay and display machine. Please park as directed and follow signs to the arena, do not go anywhere else on the university campus. Arena Please follow event signs from the parking to the arena. There will be access to toilets adjacent to the arena. The arena includes the finish and has an adjacent covered area with information/enquiries, issue of any remaining competitor race numbers and SI-Air cards, start lists, results display. There will also be café facilities. The organisers regret that it is not possible for teams to put up tents in the arena but there is access to the covered area, and kit may be left securely there. Competitors will be visible from the arena during the race as well as for the finish. There will be race commentary. There will be signs from the arena to the quarantine. All athletes (and coaches intending to go to quarantine) must leave the arena in time to sign in at quarantine no later than the first start time of 15:50. The quarantine is a maximum 15 minutes easy walk from the arena. After competitors finish their race, they are not allowed to enter the competition area again until after the last finisher. They will be given a map showing the permitted area for cooling down.

Start blocks M18 start block is 1550-1632 with the winner expected to be known by 1647 W18 start block is 1555-1637 with the winner expected to be known by 1652 M20 start block is 1641-1723 with the winner expected to be known by 1738 W20 start block is 1645-1728 with the winner expected to be known by 1743 Quarantine/Warm Up From the arena, competitors will be directed to the quarantine area (maximum 15 minutes easy walk). Competitors should make sure they have their race bib number and JEC SIAC card before leaving to go to quarantine. At the quarantine there will be shelter, toilets, and areas for changing and warming up. There will be a warm-up map adjacent to the quarantine. ALL ATHLETES MUST REGISTER AT QUARANTINE BY 15:50 AND MAY NOT LEAVE THE QUARANTINE/WARMUP AREA AFTER THAT UNTIL THEY ENTER THE PRE-START. After sign-in to quarantine closes, it is forbidden for anybody else to enter or for anybody inside to have any contact with people or information from outside. Telecommunication devices may not be used in the quarantine. Team leaders/coaches may go to the quarantine but once they have left the quarantine/warmup area, they may not return to it. Kit may be left at quarantine for transfer to the finish but the organisers cannot guarantee that kit will reach the finish before the competitor does! Start Call up to the start will be at - 3 minutes and is adjacent to the quarantine. Control descriptions will be issued at - 2 minutes. Map information Map drawn to ISSOM by Graham Gristwood September 2016 1:4,000, 2.5m contour interval, A4 printed by BML on waterproof paper. Power lines are not shown on the map. The small tree/bush symbol has been used to represent both trees and bushes. Large single trees with branches extending a significant distance at ground level are mapped as thickets. When used as control sites, such single trees are described as "thicket". Hazards The terrain includes a deep lake, steep banks and high cliffs (do not try to cross cliffs mapped as impassable!). One dangerous cliff which is on a straight line between two controls will be marked in the terrain with yellow/black tape. There may also be some parking or slow moving cars on the courses: please take care when crossing roads or car parks. Please also be aware of students and other pedestrians and avoid collisions! Course and terrain information Course lengths / optimal lengths, climb, number of controls M18 2.6km / 3.2km, 85m, 24 controls W18 2.0km / 2.5km, 65m, 20 controls M20 2.8km / 3.5km, 95m, 26 controls W20 2.2km / 2.8km, 75m, 22 controls Airthrey Castle and Stirling University is a beautiful university campus dominated by a large lake, with a forested hillside and accommodation blocks to the north, and university buildings and park and woodland to the south. Runners will encounter runnable woodland and parkland, areas of rough open (long grass), areas of open (short grass) and asphalt. There are very few areas with thick vegetation, and they are easily avoided. There are steep cliffs and some stony areas. The golf course is out of bounds and marked in olive green, but there is no advantage to entering it.

Runners may encounter 'Private' signs - these can be ignored. There is a bridge over the lake - it is possible to run over OR under the bridge (see picture). Courses have a lot of controls, and there will be many controls in the terrain, often close together and on similar features, so it is very important to check your codes! There are a number of uncrossable features and some 'special' features in the terrain (see below). There will be marshals in the terrain who will disqualify people who are seen as crossing anything marked as uncrossable on the map. Please note there will a number of artificial barriers in the terrain which will be marked on the map by a thick purple line, and in the terrain by red and white tapes - do not cross them! Recommended shoes and clothing Shoes with good grip are the best choice, as there is relatively little asphalt running, and a large amount in runnable woodland and parkland. There are also steep slopes and cliffs which may be passed on the course. Orienteering shoes with studs are recommended but metal dobs are permitted if desired. It is possible to wear shorts, but competitors may prefer to have leg cover because of the long grass and vegetation. Spectator races There is a JEC Spectator Sprint event after the JEC races are completed. Competitors should make their way to the quarantine area/pre-start as soon as JEC has concluded. There will be a short start window because of impending darkness. Courses will close at 6:45pm.

Relay Competition Information Saturday 1 st October 2016 South Achray, Aberfoyle Planners: Roger Goddard, FVO / Alasdair McLeod, CLYDE Organiser: Roger Goddard, FVO Controller: Ted Finch, FVO Directions The Relay Event is based at the Accommodation at Dounans Centre. If not staying at the accommodation, parking will be self-park in Aberfoyle. 5/10 minute walk from there to the camp. This walk crosses the competition area so entry is only allowed up to 10am on the route marked in blue (faint!) below. Parking in the Aberfoyle main car park is free but if parking in the town itself please park sensibly and be considerate to the local residents. Overview of the Relay Competition Centre The Assembly is adjacent to the Accommodation. Teams will be asked to spectate in the assembly area unless changing in accommodation. Warm up is restricted to the parking area and assembly, as indicated on the warm-up map. The competition passes through Dounans Centre and there will be controls in the area. Although competitors are allowed into accommodation blocks, in the interest of fairness, competitors are requested to spectate in the assembly area when not competing. Club tents may be pitched in the assembly area. Toilets will be available as part of Dounans Centre. There is outdoor adventure equipment around Dounans Centre. Please do not climb on the equipment. Any late changes to relay teams must be submitted to the organisers before 10am on the day of the race. Changes to teams can be made in the assembly at the download tent. Race Numbers Numbers must be worn. Without a number you will not be handed a map at the map issue tent. Each team bag will contain 3 different coloured bib numbers and correspond to this leg order: Leg 1 = Red, Leg 2 = White, Leg 3 = Blue.

Details of the Terrain South Achray is a mixture of deciduous runnable woodland, plantation forest slope and open areas with significant coverings of undergrowth. The terrain has contour detail throughout and some parts can be wet and marshy underfoot. A map extract is shown on the right. On the right is an example part of the map with bracken (ferns) covering the area. This vegetation is head high and not recommended to be crossed. Courses have been planned to cross these areas only through the use of a path network, open marshes or runnable woodland. Some paths are indistinct. There is a small river that runs through the middle of the area. After heavy rainfall this river can rise significantly and be dangerous to cross. Courses have been planned to cross the river at crossing points which will be marked on the map and ground. This will be via a bridge at one of the crossings and a rope will be available to provide assistance at the other. Any competitors crossing the river at a location other than these marked points will be disqualified. The men s course passes close to a golf course, please be aware of stray flying golf balls. Map 1:7500, 5m contours, surveyed by GG Maps December 2015. Because of the small size and intricate nature of the area each relay leg will be split into two parts. Part 1 and Part 2 will be clearly labelled with both parts printed on one side of A3. An example of the map layout and the course layout is given on the right.
