General competition rules 1 Participation restrictions All events are subject to the competition rules (Wettkampfbestimmungen, WB), the legal regulations (Rechtsordnung, RO) and the anti-doping provisions (Anti-Doping-Bestimmungen, ADB) of the German Swimming Federation (Deutscher Schwimmverband, DSV) in their currently valid versions. For disabled persons with proof of classification, the competition rules of the German Disabled Sports Federation (Deutscher Behindertensportverband, DBS) additionally apply. To be eligible to participate, swimmers must be a member of and entitled to swim for a club that is a member of one of the state associations affiliated to the DSV or be a member of and entitled to swim for a club whose national association is a member of FINA. Participants must be a minimum of 20 years old (as at December 31, 2017). By submitting a registration, the club recognises these conditions. All events are subject to the one start rule pursuant to section 126 (6) of the competition rules (WB). Judges will be provided by the host. 2 Age group classification Age groups (AG) are classified pursuant to section 152 of the competition rules (WB). Age is determined according to the competitor s age on December 31, 2017. The age groups of the individual swimmers are not relevant for this purpose. German age-group records in relay races cannot be recognised if a swimmer has participated who is in age group 20. Mixed relay races must consist of 2 women and 2 men in any order. 4
3. Pre seeding, Results and Awards All races will be conducted as finals. The individual events will be pre seeded using the registration times, regardless of gender or age group. The relay events will be pre seeded using the relay age groups (A-I) irrespective of gender starting with the oldest group. If necessary, heats will be filled up with the following age group. Each participant is responsible for his/her punctual arrival in the marshalling area. Results will be published separately according to gender and age group. Medals will be awarded from 1st to 3rd place in each age group for each individual event and relay. An exception to this is Event 9 (8x25m Freestyle relay), where medals are awarded to the first three teams, irrespective of age and gender. Medals will be awarded at the medals table at the venue (collection). Medals will not be forwarded after the competition. 4 Registration 4a General provisions Registrations are to be made via http://www.fvv.org/de/xmas-willkommen. The registration closing date is Friday November 24, 2017. Subsequent changes to registrations can be made via the registration tool up to the registration closing date (November 24, 2017). Participants declare by registering that they are entitled to compete for the club, have paid the fee according to section 16 (2f) WB-AT and have a valid health certificate which was issued no more than one year prior to the competition. Participants of foreign swim clubs accept these rules by submitting a registration. This includes the health regulations according to section 8 WB-AT. The organiser of the competition shall not be liable if it emerges that a swimmer does not have the required health certificate or a valid annual licence. The event organiser reserves the right to ask the clubs for a declaration that the registered swimmers are entitled to compete for the club, have paid the fee pursuant to section 16 (2f) WB-AT and have a valid health certificate that was issued no more than one year prior to the competition. The declaration may be given to the event organiser prior to start of the first event 4b Registration fee The registration fee is 45 per person. This fee covers registration for any number of events at the competition and free food and drink during the competition. The registration fee must be paid by November 29, 2017 (receipt of payment) using the payment methods specified on the registration site. Registrations only become valid once payment has been received. 5
4c Registrations and competition results The registrations and the competition results will published at http://www.fvv.org/de/xmas-willkommen in a printable format soon after the registration deadline/the end of the competition. An announcement that the files can be downloaded will be sent by email if the participant has specified an email address. In addition, the results will be posted at the venue shortly after the end of each event. 5 Relays All swimmers that take part in at least one individual race are eligible to swim in the relays. Relay teams comprising members from different clubs are permitted in any combination but are not eligible for medals or points and will not be recorded in the results. Each swimmer may swim only once per relay event. The mixed events are treated as separate events. Team captains are responsible for registering relays (age group and participants) via e- mail to fvv-schwimmen@fvv.org by November 24, 2017 at the latest. Subsequent relay registrations or changes to existing relay registrations can be made via e-mail at any time until the registration closing date. On the day of the competition, changes to relay participants can be made at the competition office until 30 minutes before Part 1 of the competition and until 15 minutes before Part 2 of the competition. Changing the age group of a relay or registering additional relays after the registration closing date is not possible. Age groups are not taken into account for the 8 25 m Freestyle relay (Event 9). As long as all swimmers in the relay team are in the same club and the relay team is comprised of at least two women and two men, this relay team will be eligible for points and medals. 6 Warm-up, changing rooms A warm-up pool is available throughout the entire event. Swimmers may warm up in the competition pool from 9:00 a.m. to 10:00 a.m. and during the lunch break (until 15 minutes before the start of the second part of the competition). There are a limited number of lockers in the changing rooms. The lockers require the deposit of a 1 or 2 coin. Outdoor shoes must not be worn in the barefoot areas, shower rooms or the pool area. The house rules of Badebetriebe Frankfurt apply. 7 Rules for Event 4 (400m Freestyle) Event 4 (400m Freestyle) is limited to 8 heats (including men and women). Should the total number of registrations exceed capacity, the available places will be allocated to participants in the order of registration and a waiting list will be established. The order of registration is determined according to the order in which payment is received. An announcement will be made promptly if registrations exceed the available places. Should the procedure in the above paragraph be triggered, a registration list (including a waiting list) for this event will be established and published along with the list of general registrations. All participants on the list for event 4 have to confirm their registration on the day of the competition at least 15 minutes prior to the start of the first part of the competition. The organiser reserves the right to increase the number of heats above 8. 6
8 XMAS Swimming Challenge Cup Each club forms a team with all of its swimmers. The following points will be awarded for each successful swim: Every individual race and every relay that is swum exclusively with members of the same club will be awarded points according to the points system of the German Swimming Federation (DSV): MMMMMMMMMMMMMM wwwwwwwwww rrrrrrrrrrrr PPPPPPPPPPPP = 1000 TTTTTTTT ssssssss 3 The basis for this is the current short course masters world records at the time of the competition, which are available at http://www.fina.org/content/masters-records. Detailed information on the DSV points formula are published on the DSV website (under:schwimmen/fachsparte Schwimmen). For the purposes of points allocation, the 4 x 50m breaststroke relays (events 7 and 8) and the 8 x 25m freestyle relay (event 9), which are not part of the official programme, will use the times of the current world records for 200m breaststroke (m/w by age group, or the female records for mixed relays) and 200 m freestyle (m) respectively. The points from the best two swims (in terms of points) for each individual swimmer will be added together. For each club, the points of the best four swimmers (in terms of points) will be added together. This will then added to the number of points from the club s best two relays. The cup goes to the club with the highest number of points. 9 Miscellaneous Depending on the number of registrations, the event organiser reserves the right to: Change the start time of the competition, Reject registrations, Cancel events. Changes pursuant to the above will be announced separately. By submitting their registrations, the clubs and participants agree to the customary usage and dissemination of their personal data and photos (e.g. publishing the list of registrations and the results of the competition in print and online media). The event organiser and the competition venue do not accept any liability for lost or damaged property of participants or accompanying persons. This competition has been announced to the Hessian Swimming Federation (HSV) and the German Swimming Federation (DSV).
