MINUTES FOR August 17, 2014 - Corrected President Sharon Crisel called the meeting to order at 12:05 pm at Arden Mead Youth & Community Center, #1 Selma Drive, Webster Groves, Missouri. Invocation: Barb Turner Pledge of Allegiance to the American flag: Vicki Wittman Pledge of Allegiance to the Missouri flag: Vicki Wittman Roll Call: Ron Selfors: Directors representing 28 voting positions present; full quorum achieved. A total of 42 directors were present. Introduction and Welcoming of Visitors and Guests: Sharon Crisel welcomed visitors and guests. Minutes of Jun 1, 2014 meeting: Jim Weber made a motion to approve the minutes with corrections. The motion was seconded and approved. Treasurer s Report: Carl Boone reporting. The beginning checking account balance as of Jun 1, 2014 was $18,246.04. Revenue received was $632.03. Expenses paid were $2,923.69. The checking account balance as of Jul 31, 2014 was $15,954.38. There are three CD s totaling $30,094.12. No change in CD s. Total funds on hand: $46,048.50. The report was filed for audit. Membership and Club Longevity: Carl Boone reporting. Dues have been received from 65 clubs. This includes a new club, The Starlite Twirlers (NWD). 2,149 members are reported. Longevity Awards were distributed for Kountry Kuzins (SWD), 45 years; and Travelers (CD) 50 years. Correspondence: Ron Selfors reporting. No correspondence received. Boundaries and Relations: No report. Constitution and Bylaws: No report. Publications: No report. COMMITTEE REPORTS DOIN s Editor: Edythe Weber reporting. Sep 25 is the deadline for the Sep/Oct issue. Please check the name and phone number used in the club directory. Phone number should be for a cell phone so people can reach a club member if they can t find the dance location. Nov 25 is the deadline to submit full year schedule and new locations for Location Directory. DOIN s Circulation: Carol Morris reporting. Carol reported for two DOINs editions. For the Jul-Aug edition, 417 were printed of which 396 were paid subscriptions. For the Sep-Oct edition, 483 were printed of which 462 were paid subscriptions. Balance as of Apr 12, 2014, was $100.80. From then through Aug 16, 2014, total revenue was $1,335.00, expenses were $34.00, and total disbursement to Missouri Federation of Square N Round Dance Clubs was $1,301.80. Ending balance was $100.00. DOIN s Advertising: Carl Boone reporting. Balance as of Jun 1, 2014, was $100.00. From then through Aug 17, 2014, total revenue was $675.00, expenses were $95.60, and total disbursement to Missouri Federation of Square N Round Dance Clubs was $579.40. Ending balance was $100.00. Another 10 puzzles were sold since the last report. 19 more puzzles need to be sold to break even. Carol Morris was recognized with a Certificate of Appreciation for her outstanding performance in selling puzzles. Promotion & Recruiting: Ed Schofield reporting. Districts need to promote Toot Your Horn. It s good for the clubs and good for square dancing. State Festival Site Screening: No report. Insurance Coordinator: Jim Weber reporting. Since the Jun meeting, the Federation has added one club and 62 dancers. There are 1,746 dancers insured through the Mo Federation, and 486 insured through other organizations. Total insured dancers in Missouri are 2,232. Total number of clubs insured by the Federation is 65. Information and forms are available on the state website (www.squaredancemissouri.com) The 2015 initial enrollment packages will be mailed in Sep to each club. For things to go smoothly, I need to know to whom to send it. Please email me your club insurance contact name and mailing info to moinsurance@kc.rr.com by Sep 10. Clubs holding lessons need to submit club class rosters before the students will be covered. There is no cost to having them covered. However, they are only insured at and during lessons and at your lesson location only. Once your new dancers graduate, they are no longer insured until they join a club and pay the insurance premium, and the club submits an additional enrollment form. Remember to complete an accident form for all accidents that occur at your dance, even if they appear minor at the time. It s hard to remember who, what, where, when and how weeks later. Keep them on file and submit them as needed.

Travel Missouri: Jim Marron reporting. As of Aug 16, 2014, 267 dancers have or are participating in the program. They have received 2,720 dangles. Two dancers are working on their 12 th set, and three dancers are working on their 11 th set. Five dancers have their tenth set, and seven dancers are working their ninth set. Total account balance is $78.90. Blue Bird Coordinator: No report. Webmaster: Loretta Marron reporting. Security Codes. I apologize if you are having trouble with the security codes. Security codes have returned to all online forms. Our internet provider shut down the E-Mail part of our website twice in the last two months because of robot attacks. Rewriting these forms involved rewriting almost 800 web pages. If you have trouble reading these codes, remember these two things: Click on the small speaker button, and a sweet young thing will read the code to you. This is often necessary. I's, L's, & 1's look alike, so the system uses only L's, no I's or 1's. Lower case G's & 9's look similar and lower case F's & T's look similar. Let the lady tell you which is which. Remember, these codes are not case sensitive. The program will accept either upper or lower case letters no matter what the code shows. Click on the button below that and you get a different code. You can do this as often as you like, until you get one you can read. Updates. All club websites now have Website Update in the lower left of the page. Click on it to go directly to the update forms. Encourage your clubs to use these forms. When they don t use the forms, they often leave out important information. Club Dance Schedules. I am starting to get Fall 2014 and 2015 club dance schedules. Please remind your clubs to send those to me as early as possible. Bad Weather Season. We are approaching bad weather season. Remind your clubs to send Cancelled Dance information to me. Information on how to do that is on the Notices & Cancellations page. Just click on the Notices & Cancellations button on the left of the Missouri Federation or St. Louis Metro home page. I have added a Text number there. Texting is the fastest way to get information to me - even faster than email. Historian: No report. License Plate: Sharon White reporting. Balance as of Feb 16, 2014, was $75.85. From then through Aug 5, 2014, total revenue was $900.00, and total rebates were $360.00. Total disbursement to Missouri Federation of Square N Round Dance Clubs was $550.85. Ending balance was $65.00. There was one new applicant, one one-year renewal and 16 two-year renewals. Alliance of Rounds, Traditional and Square Dancing (ARTS): Edythe Weber reporting. The annual ARTS meeting was held on Sunday, June 29, in Little Rock. ARTS is working on a rebranding square dancing project. The purpose of the project is to change the public s perception of square dancing. Jim Taylor of Colorado is spearheading the project. ARTS is also working on professional quality, public service announcements to promote square dancing. United Square Dancers of America (USDA): Edythe Weber reporting. The USDA annual meeting was held on Wednesday, Jun 25, 2014 at the National Square Dance Convention in Little Rock, AR.

Jim and Edythe were elected Plains Region Vice Presidents for a third year. District Presidents Meeting Report: Vicki Wittman reporting. The district presidents discussed: Insurance Applications. These are due to Jim Weber by Nov 15. Folding Clubs. Members of folding clubs need to join another club within 30 days to keep insurance current. Festival Callers. Festival callers must call for a Missouri club. Square Dancers of the Year. The awardee(s) has been picked and will be announced at the Festival. Youth and Children Dance: Sharon Crisel reporting. She still has education packets available. Bill Morris Memorial Scholarship Fund. No report. 2014 State Festival: John Stover reporting. The 55 th annual, 2014 Festival will be hosted by Central District and will be at the Cowan Center, Lebanon, 17-19 Oct. Dean Dederman will be the featured caller. Everything is going well. 2015 State Festival: Mary Sue Darwent reporting. The 2015 Festival will be hosted by Northeast District and will be at the Cowan Center, Lebanon. Everything is going well. UNFINISHED BUSINESS Promotions. Ed Schofield reported that there are three active grants. The first is $500 to the River City Squares in Lexington. Liz Rooks reported that they are providing lessons to 11 students. The grant is helping to pay for hall rent, flyers and ads. The second is $500 to the Kountry Kusins in Springfield. Sharon White reported that they have 12 students in lessons. The third is $315 to the Country Squares in Puxico. Bob Turner reported that the additional advertising helped recruit students. They spent $200 and returned the rest. Ed suggested that dancers should walk through Walmart in square dance attire and hand out flyers. He also suggested that club members should approach physical education teachers and encourage them to add square dancing to their classes. State Fair Dance. Liz Rooks stated that the dance was a great success. Over 200 dancers signed in, and there were eight callers. Next year they will have flyers to hand out at the dance and may advertise in the daily program. Caller/Cuer Hall of Fame. Jan Anslinger announced that the recipient has been selected and will be announced at the Festival. There were many good candidates.

NEW BUSINESS Showcase of Ideas. Dave Shafer stated that he and Dee would be unable to take the Showcase to Springfield in 2015. He asks that a new individual or couple volunteer for this opportunity. State Festival. John Stover asked that districts let him know if they have any suggestions to make the festival better. Insurance Rebate. Bob Turner proposed at the last meeting that the Federation adopt a policy of returning some of the insurance payments for clubs that pay their insurance on time. Bob made the following motion: Beginning with the 2015 Missouri Federation and insurance year, the Federation shall reimburse qualifying member clubs an annually-set dollar amount for liability insurance purchased through the USDA according to the following criteria: 1. The amount, from $0 up to the minimum club amount (currently insurance minimum of $50), shall be set each year through approval of the annual Federation budget. 2. The amount shall be reimbursed to the district in which the qualifying club is a member. The district shall then reimburse the individual qualifying clubs. 3. The amount shall only be reimbursed to clubs that submit Federation dues and completed insurance forms and payment by Nov 15, the Federation deadline. 4. Future timetable: By May1, Federation approves budget. By Nov 15, clubs pay dues, clubs file insurance forms and pay insurance. In December, the Federation Insurance Coordinator and Treasurer determine which clubs qualify for reimbursement, and the Treasurer reimburses districts for the qualifying clubs, who shall in turn reimburse their qualifying clubs. The motion was seconded by Carl Boone and approved. National Convention in Kansas City. Carl and Cindy Boone reporting. Missouri won the honor of hosting the 67 th Convention in Kansas City in 2018. Karen Fleher, the convention advisor from the National Executive Committee (NEC), commended Carl and Cindy Boone and the Federation for assembling and leading such a great team. She is very proud to be advising this convention team. Carl reported that they already had 269 registrations for 2018. Attached to these minutes is the preregistration form for the convention. Registering early provides the committee with needed funds and gives the dancers free admittance to the Saturday evening Pre-Convention Dance on March 18, 2017. Dave and Dee Shafer will be the Assistant General Chairs and Jim and Edythe Weber will be the Registration Chairs. The website for the 67 th is www.67nsdc.com.

Nominations for Federation Officers. Jan Anslinger proposed the following slate for 2015 Federation officers: President: Carl and Cindy Boone First Vice President: George and Cleva Roth Second Vice President: Dan Reedy Third Vice President: Ron and Marie Selfors Secretary: Ruth Ann Reynolds and Pat Hunt Treasurer: Toni Sharp Elections will be held at the October Federation meeting. Other New Business. Micky Lee shared that the Illinois State Dance is better attended and more fun than the Missouri Festival. He believes that part of the reason is that Illinois allows all callers/cuers to participate from both in and out of state. He feels the Federation should review its current policy. CLOSE Sharon Crisel recognized the St. Louis District hosts that provided the hearty lunch at the meeting. The next meeting will be hosted by the Central District on Sunday, Oct 19, 2014, at 12 noon, at the Cowan Center in Lebanon, Mo. The meeting was adjourned at 2:45 pm.
