Dear Vendors/Exhibitors: Thank you for your interest in our hosted volleyball tournaments. I am more than happy to provide you with information regarding our upcoming events. This year, we have created a vendor packet that will suit your individual needs. The volleyball events we are offering for the 2018 season are as follows: Florida Fest Boys Bid Tournament Florida Girls National 18Q ASICS Florida Volleyball Challenge Boys Junior Regional Volleyball Championships In order to reserve your booth space for the events mentioned above, please read the information provided in this packet. We have laid out the steps that need to be taken in order to maintain space at our events. Step 1: Complete the Vendor/Exhibitor Application. Step 2: Execute agreement (will be provided by USAV, after application is approved). Pay non-refundable 50% deposit to secure space. Florida ASICS Volleyball Challenge Orange County Convention Center Orlando, FL EVENT ATTENDANCE Estimated Teams: 600 Estimated Attendance: 19, 000 SCHEDULE Set-up Thursday, April 19 th, 8 am 5 pm Show Hours Friday, April 20 th, 8 am 3pm Saturday, April 21 st, 8 am 8 pm Sunday, April 22 nd, 8 am 5 pm Move-Out Sunday afternoon after event concludes. SUMMARY OF EVENTS The Florida Volleyball Challenge will combine the former Florida ASICS Girls Jr. Regional Qualifier and the Florida Girls Jr. Regional Volleyball Championships into one weekend at the Orange County Convention Center. The two tournaments will collectively bring in over 600 teams to the center. The Florida ASICS Girls Junior Regional Qualifier is a regional bid tournament for teams in the 12U through 18U age divisions. Each division is competing to win a bid into the Girls Junior National Championships hosted by USA Volleyball. The tournament is hosted over three days in which there is an AM wave on Friday, an AM and PM wave on the Saturday of the tournament and single elimination playoffs on Sunday. The Florida Girls Junior Regional Volleyball Championships is the seasonending tournament for teams affiliated with the Florida Region. The event is open to Florida junior girls teams ages 10U through 18U. The tournament is hosted over two days in which there is an AM and PM wave on the Saturday of the tournament and single elimination playoffs on Sunday.

Boys Junior Regional Volleyball Championships Orlando Sports Center, Orlando, FL SCHEDULE Set-up Friday, June 8 th, 2 pm 5 pm EVENT ATTENDANCE Estimated Teams: 50 Estimated Attendance: 850 Show Hours Saturday, June 9 th, 8 am 8 pm Sunday, June 10 th, 8 am 4 pm Move-Out Sunday afternoon after event concludes HOST HOTEL INFORMATION Visit the Florida Region website, www.floridavolleyball.org for information regarding the host hotel and other event updates. Vendor Rules & Regulations 2018 Florida Region Hosted Events Limitations No exhibitor shall be permitted to distribute lanyards or promotional bags at the Regionally Hosted Volleyball events without prior approval. Space Rental Floor Plan - All dimensions and locations shown on the official floor are believed, but not warranted, to be accurate. The Florida Region reserves the right to make such changes as may be necessary to meet the needs of the vendors/exhibitors and the event. The floor plan will be available at a later date and exhibitor will be given space at the Florida Region s discretion. The Florida Region corporate partners, sponsors, and advertisers will receive first choice of booth space. Cancellation of Show - In the event of fire, strikes, or other uncontrollable circumstances rendering the exhibit area unfit or unavailable for use, or causing the exhibition to be cancelled 15 days or more prior to the opening date of such event, this contract will not be binding and payments will be refunded. Electricity - Electricity will be included. A 120 volt/15 amp circuit will be provided. Additional electricity needs must be approved in advance. Additional electricity needs will incur additional charges. Chairs/Tables Depending on the space contracted a specific number of chair(s) and/or table(s) will be provided. Additional chair(s) and/or table(s) needs will incur additional charges. Cancellation of Contract Late Cancellation - If the applicant cancels space within 30 days prior to the opening of the show, no refund will be made. Cancellations must be in writing and postmarks will be controlling. Exhibitors canceling prior to 30 days from the opening of the show will be refunded 75 percent. Construction, Installation, and Use of Exhibit Facilities Acceptability of Exhibits - All exhibits shall be used to serve the interest of the members of the Florida Region and shall be operated in such a way. The Florida Region reserves the right to require the immediate withdrawal or modification of any exhibit that is believed to be injurious to the purpose of the membership. In the event of such restriction or eviction, the Florida Region is not liable for any refund of rental fees or any other exhibit-related expense. Restrictions on Use of Space - No exhibitor shall sublet, assign or share any part of the space allocated in the exhibit hall. Aisle space shall not be used for exhibit purposes, display signs, solicitation or distribution of promotional material. Exhibits, signs and displays are also prohibited in any public space or elsewhere on the premises of the meeting facilities or in the guestrooms or hallways of the hotel. Operation of sound amplification devices is not allowed without prior approval.

Vendor Rules & Regulations 2018 Florida Region Hosted Events Drayage - Advance shipments of exhibit material must be made to an Orange County Convention Center representative. No supplies, inserts, or materials are to be sent to The Florida Region office or host hotel(s). Damage to Exhibit Facility - The exhibitor must surrender rented space in the same condition it was at commencement of occupation. The exhibitor or agent shall not injure or deface the walls, columns, or floors of the exhibit facilities, the booths or the equipment or furniture of the booth. When such damage appears, the exhibitor shall be liable for all cost incurred to the owners of the property so damaged. The management agent reserves the right to select contractors for such repairs. Construction of Exhibits - Exhibits shall be constructed and arranged so that they do not obstruct the general view, nor hide the exhibits of others. Exhibits must be setup in a professional manner to include proper shelving and displays. The use of wooden pallets is prohibited. The Florida Region reserves the right to request a picture of the event setup prior to the event to approve. Liability and Insurance Security - The protection of the property of exhibitors shall at all times remain in the sole responsibility and custody of each exhibitor. The Florida Region will provide watchpersons during the hours the exhibition is not operating, but furnishing of such services shall not be construed to be any assumption of obligation or duty with respect to the property protection of the exhibitor. Responsibility of The Florida Region - The exhibitor assumes the entire responsibility for losses, damages, and claims arising out of injury or damage to exhibitor s displays, equipment, and other property brought upon the premises of the convention center, its agents, servants, and employees from any and all such losses, damages, and claims. Insurance and liability are the full and sole responsibility of the exhibitor. Merchandise or items left unattended by vendors/exhibitors during the show will not be the responsibility of the Florida Region. Show Management Responsibility The Florida Region s contract with the facility supersedes the contract it has with exhibitors.
