The Camp Quality Moto Cyc was created in 2015 as a spin off event in support of the Camp Quality 1,000 Ks 4 Kids Bike Ride Challenge. The Moto Cyc ride has been created in response to some of our wonderful supporters who enjoy taking their motor bikes on long rides, and for some others who would rather ride a motor bike than pedal a road bike! The purpose of the ride United as one team to raise awareness and funds for the children and their families affected by cancer through Camp Quality Newcastle. Accommodation Camp Quality will source and book quality accommodation for the event so we can all stay together. Accommodation will be shared with fellow participants of the same sex unless in a couple. The cost of accommodation on the event is covered by the registration fee. Our first night for Moto Cyc 2018 will be in Inverell and the second night will be in Armidale. Ambulance Cover Please be aware that Camp Quality holds NO ambulance coverage for you in relation to this event. A trip in an ambulance can be very costly. Please note it is the individual s responsibility to have ambulance cover. If you don t already have this, it is extremely cheap to obtain. Please ensure that you have ambulance cover OR are aware that you will need to cover the cost of any ambulance. Bike Requirements All vehicles joining the ride must be able to safely maintain highway speeds, be registered and insured. We ask that smaller machines stay at the rear of the group at all times for the safety of all road users. Breakdowns We will have a trailer at the rear of the group that can carry motorbikes. We recommend that you have your own roadside assist insurance such as NRMA in case emergency mechanical assistance is required. Breath Testing We want everyone to have fun on the ride and at night however, we ask that alcohol be limited to ensure safe riding. Breath tests will be completed on every participant prior to each days ride. Anyone over the legal limit for their licence type will be asked to leave the ride - this is to protect all involved. Communication We will do our very best to communicate with you as often as we can through our emails and phone calls. That doesn t mean you can t call or email us. Code of conduct Camp Quality s culture is about having and promoting fun. There is also a high expectation placed on behaviour standards while you are representing the organisation both with the public and with fellow participants. You are required as part of your registration to sign the Camp Quality Code of Conduct. Inappropriate behaviour contrary to the Code of Conduct may see an individual asked to leave the ride. Corner Man System The Corner Man System is used during the Ride. The lead rider is in charge of the ride and determines the direction and stopping points along the route. The lead rider will be wearing an orange reflective vest. This means all riders are required to stay behind the lead rider. There will also be a corner-man who must stay at a designated position until the sweep arrives and waves them on. All riders approaching the corner-man will see the direction of the bike and go that way. If someone misses a corner the corner-man will inform the next rider or the sweep (whichever arrives first) and that rider or sweep will chase down the missing rider and return to the waiting corner-man. The sweep rider will also be wearing an orange coloured vest. Flexibility At any time prior to or during the event, some aspects may have to change due to other circumstances. It is expected that all participants remain flexible and adapt to changes for the betterment of the event. Fundraising Each individual rider must raise a minimum of $1,000.00 to take part in the Challenge and each pillion passenger must raise a minimum of $500.00. Support Crew members must raise $500.00. Any shortfall from this amount will need to be paid personally by the participant prior to the ride commencement. Camp Quality is happy to help with fundraising options, we do not want this to be a daunting prospect for participants - all you need to do is ask for help. Inclusions Event Polo Shirt Item of Event Merchandise Fundraising Page Once you register, we have the ability for you to set up your own Supporter s Page where you can add a short personal story about yourself and explain why you are taking part in Moto Cyc. You can post updates, images and videos of what you re doing and share these with your friends on social media to help get the word out. So, don t be afraid to put yourself out there and ask people to donate to your page. Your friends, family and wider networks will think what you are doing to raise money for children who are living with cancer is great, so ask them to help you and thank them when they do straight from your Supporter s Page. Laughter Don t forget the reason you are involved to make LAUGHTER THE BEST MEDICINE for lots of courageous kids. 5
Licence A full motorcycle or P-plate licence is required to join the ride unfortunately learner riders are not allowed. Meals The payment of meals and drinks is the responsibility of each individual unless it is being provided by a Service Club such as Lions, Rotary, etc. Breakfasts will be provided by Camp Quality. Mechanics We will not have a mechanic travelling with us however, there are motorcycle dealerships in each of the main towns we visit if needed and they are within trading hours. Media Don t you know who I am? Our PR team will prepare media releases and media information which is then distributed to all media outlets on the event route. Reporters and Journalists often ask to do a story on certain entrants (especially if there is someone from their area). Participants are free to approach their local media to promote the ride and we will be happy to help you out with some background information. Riding Safety Gear All riders will be required to wear appropriate safety gear as per below: Australian compliant helmet Leather Motorcycle Jacket or equivalent Leather motorcycle pants or jeans with Kevlar preferred, or equivalent Leather Gloves Motorcycle boots Safety Our number one priority is safety. Speed limits must be adhered to in all instances. Concentration and vigilance on the road is paramount as individual safety is group safety. 6
Sanction Once you have registered for Moto Cyc, you will be issued with an official fundraising sanction. This letter confirms you are raising funds on behalf of Camp Quality and authorises the activities or events that you are undertaking. You are now ready to start fundraising, which is fantastic! Skill Levels Everyone has different skill levels when it comes to riding. Moto Cyc is a team event and is aimed at all individuals assisting each other to enjoy the event and cross the finish line together. Participants will be broken up into groups with a team captain. The event is not a race and is all about safety, fun and supporting each other whilst raising awareness and funds for the inspirational kids of Camp Quality who are impacted by cancer. Social Media Use of social media must be within the Camp Quality Guidelines. Any inappropriate content or content that is detrimental to the reputation of the event or those involved is not permitted. The Committee or Camp Quality reserve the right to request removal of any content and failure to comply will result in removal from the event. Sponsorship There is an opportunity for you to approach businesses to sponsor a spot on the event polos that will be worn by each participant. Funds raised from sponsorships will go towards your fundraising tally. Please refer to Sponsorship Packages for full details. Storage of Motorcycles Overnight We will endeavour to find accommodation that allows for either storage in a shed or, at a minimum, bikes will be off the road. For example, if we are staying in a motel they may be in the motel carpark within the motel grounds. This cannot be guaranteed however. Support Crew We have a wonderful Support Crew with us on the Ride, who are there to ensure everyone has a safe, organized and fun ride. They will assist the Event Co-ordinators as required, drive the culture of the event and uphold and enforce the safety and values of Camp Quality. Tax Deductibility Monies donated to Camp Quality by individuals are generally tax deductible, provided they qualify as a donation, that is, the donor can prove that they have received no value in return for the donation. 7
Values A Camp Quality Moto Cyc participant requires the following event values: Teamwork and Friendship. Be willing to get out of your comfort zone, helping others and working with the whole group. Commitment. Be willing to raise the required minimum dollars. Respect and adaptability. This is a big event - be willing to compromise and be flexible in the event operation. Selflessness and Understanding. Accept that you will be directed by appointed leaders within the team. Weather Unless conditions are deemed not to be safe to complete the ride distances, routes may be changed at short notice. Assessment of conditions will be made each day and adjusted if necessary. Who are the Participants A participant in the Moto Cyc is an amazing individual who believes wholeheartedly in the support that Camp Quality provides children impacted by cancer and their families. Camp Quality s Moto Cyc is an exciting team challenge visiting interesting places and designed with lots of fun. It is the culmination of lots of fundraising due to the overwhelming dedication and commitment of everyone throughout the year! 8
