KILWORTH SPRINGS GOLF CLUB SENIORS SECTION Minutes of Committee Meeting held on Thursday 15 th June 2017 (after the Des O Brien Summer Shield) Present: Apologies: Alan Jacques, Brian Tuckley, Alan Saunders, Alan Lilley and Brian Wells Steve Watson and Clive Howe 1. Seniors Finance Clive Howe reported that our present level of funding is good at 3000, this is 400 more than last year at this stage. This gives us a healthy position going forward into the second half of the year with the three main events, Captain s Away Day, Seniors Open and Christmas Scramble. He also reported that having had great success with the prize draw at the Seniors Open in previous years our present funding position takes away some of our reliance on this success. He did say, however, that as previously discussed he considered that the level of funding of the Captains Away Day should remain at 650 as last year was a significant increase on the previous year. Following the Seniors Open we can consider the funding level for the Christmas Scramble and the Senior s Sections charitable donation. Regarding the Seniors Open funding, this is to a certain extent reliant on the entry numbers but again I think should be at similar level to last year. Clive mentioned that if Andy Holloway is going to continue with the leaflet that he produced for our rennet Match, which he thinks is an excellent idea, then we should make a contribution to his costs. Apparently, however, the leaflets are printed in the office. Alan Jacques will check the position with Andy. 2. Competitions 2.1 Disciplinary Protocol As always with Protocols such as this it is invariably aimed at a relevantly small number of our membership but it is felt that some procedure should be in place to enable the Committee to handle repeat offenders fairly and consistently. Alan Saunders gave detailed statistics to put this topic into context and these are summarized below. Page 1! of 5!
There has over the last 12/24 months been a big increase in the numbers of entries in Seniors Competitions Unfortunately this has resulted in the increase in amendments having to be made after the draw for a Competition has been published. These include Additions and Withdrawals resulting in 22% changes having to be made after the draw has been published which is 11 per competition. Although most of these amendments are understandable issues there have been 43 withdrawals on the day with 7 members not even informing Alan Saunders. This needs to be addressed. The Protocol recently issued by the Club Management does not apply to competitions run by the Seniors Committee. Therefore, following a recent incident which involved Alan Jacques and Brian Tuckley meeting with a repeat offender Alan Lilley and Alan Saunders wrote a simple protocol for approval. It was proposed that this Protocol should be used for all aspects of Seniors golf and not just for competitions. This Protocol, with minor amendments, was agreed with immediate effect and would now be inserted into Seniors Section of the Club bible and sent out to all members. 2.2 Seniors Open update. Alan Lilley and Alan Saunders reported that they had met with Luke Atkins last week to review progress against project plan. Everything is on track. 17 pairs are entered so far. Next review meeting is in July when we begin 2 nd round of marketing. Meanwhile Alan Jacques should mention the event in the after match meals. Regarding prizes Clive Howe reported that he was aware of Alan Jacques s thoughts of moving away from pro shop prizes and going for barbeques or something similar. Clive said that he was aware of the links and deals we have had in the past with the pro shop which, unfortunately did not go as well last year. Clive s view is, as long as we can return to deals with the pro shop that we used to have we should stay with them. If we wished to move away from the pro shop as a thought Clive felt that we should go for vouchers, possibly American Golf or M&S. Alan Saunders and Alan Lilley both said that after discussions that they had had with Luke and Ollie they were happy that we would return to getting quality prizes from within the Club. 2.3 Pace of Play. Alan Saunders reported that all measurements are now completed and results circulated to selected Seniors: Guidelines and Manual are finalised; Alan Saunders proposes now sending Guidelines to all Seniors (plus Luke), publishing guidelines on the website (with a link to the Manual for those who wish to read the full story and sending Luke a copy), Page 2! of 5!
placing the guidelines on the competitions table. The Seniors Committee are in full support of the Guidelines 2.4 Monthly Stableford Championship. As this has no engraved trophy Alan Lilley and Alan Saunders have offered to purchase a suitable trophy to be called the Lilley Saunders Monthly Stableford Championship Trophy. This was agreed and the trophy will be made available for the presentations after our Christmas Scramble. 2.5 Knockout Singles and Pairs Competitions New Rules for 2018. Alan Saunders raised the issue of disputes occurring in either the Singles or Pairs Knock Out competitions that cannot be satisfied between the competitors during the match. After much discussion It was agreed that any such issues should be referred to the Seniors Committee for a ruling. 2.6 Outstanding Competitions issues from last meeting. 1. Stoneleigh Deer Park Team - Competition cancelled 2.6.2 Club May Festival did not go ahead; the club may do it next year; await to hear. 2. Lefties v Righties - Date and Format to be agreed by Alan Saunders and Alan Lilley. 2.6.4 2017 Eclectric Competition Del Spicer has enquired and said he would speak to Brian Wells. Brian Wells will look at the easiest way to run the competition off the computer system and advise the committee of his findings. He will also liaise with Del Spicer to keep him up to date.. 7. Other Outstanding issues from last meeting. 7.1. Tee Pin Collection Boxes Alan Jacques is still progressing the purchase of these for the par 3 holes. 7.2. Club Sweaters This was discussed but it was unclear at to what the Seniors requirements actually are. Alan Jacques will discuss what options are available and report back. 8. Seniors Section of the Club Bible Alan Saunders will update everything (including Disciplinary Protocol) and issue June 2017 edition. 3. Matches Alan Lilley said that over 60% of next year s fixtures have now been agreed. Page 3! of 5!
Alan said he is still in contact with other Clubs as it is obvious that several Clubs are now struggling to get out 16 man teams. With this in mind he confirmed that he is in constant contact with several Clubs concerning possible fixtures. These Clubs include Kirby Muxloe, Lingdale, Longcliffe, Nuneaton, Hinckley and Brampton Heath. Stoneleigh Deer Park are also interested in a fixture but mainly play 12 a side matches. Regarding dress code 9 of our opponents now have smart casual as their normal dress code with others looking to move away from jacket and tie. 4. Captains Away Day - Monday 17 th July) Alan Jacques confirmed that this year the event will be held at Northampton Golf Club. Format will be a 9 hole Texas Scramble in the morning with an 18 hole Pairs Better Ball Stableford in the afternoon. Cost including lunch and evening meal is 45 per head. Alan said that he currently has 47 entrants and although the Entry sheet is still up he will be sending out an Email reminding all as he will shortly have to confirm numbers. The issues regarding members wanting a buggy on the day was raised and Al;an will cover this in his Email. A subsidy for the day of 650 was confirmed which will leave Alan with about 400 for prizes on the day. Alan Lilley suggested that if the numbers rise too much above 50 we should reconsider this figure. 5. Results and Handicaps Brian Wells said that everyone was aware that there had been issues with the new Website software that the Club had recently installed. These are mainly to do with the layout but more importantly with use of passwords and security. Brian is working extremely hard to resolve these issues for which the Committee are extremely appreciative. Brian had nothing to report regarding handicaps. 6. Members Issues 6.1 Harry Bartlett, Bob Collinwood and Brian Tuckley all raised issues concerning tee times for Seniors Socials/Roll-Ups. Alan Lilley confirmed that after a meeting with Luke Atkins for all of the dates published in the Seniors Section on the website a fourth tee time at 8.44 has been added. Bob Collingwood had also requested that we booked tee times on Bank Holiday Mondays. After discussion it was agreed not to do this as it felt it would be Page 4! of 5!
inconsiderate to other members who do not very often get an opportunity to play on a Monday due to work commitments. Seniors wishing to play on Bank Holiday Mondays can obviously use the booking system to arrange their own tees times if they so wish. 6.2 Ian Crewe reported that following his comments earlier in the year regarding the untidiness of the course he felt that there had been a big improvement. He was advised that Alan Jacques is still looking for suitable tee boxes to help clear up the plethora of broken tees left lying around. 6.3 Bernard Croft raised the point about the poor state of some of our bunkers. Alan Lilley had told Bernard that he agreed completely and had raised it with Luke Atkins at their recent meeting. At this meeting Luke had mentioned that the Club had had a recent quote of 250,000 to reline and refurbish all of the bunkers on the course/? I will let everybody know the outcome once Luke gets back to me. 6.4 Dennis Brewster had raised the cost of buggy hire and felt that perhaps the Club could look at concessions for over 65s. Dennis felt that more Seniors would take up the offer if the cost was slightly cheaper and said that it makes sense rather than having 20odd buggies sitting there gathering dust. Dennis s comments have again been passed onto Luke Atkins for consideration. Alan Lilley said that he will reply to all of the above advising them of the position. 7. A.O.B.. There being no further business the Meeting closed at 18.15. The next Meeting was set for Monday 14 th August (after the Seniors Championship) primarily to review the position regarding the Seniors Open being held on Tuesday 12 th September. The October Meeting was also confirmed as Monday 16 th October (after the Pinehurst Team Competition) Page 5! of 5!
