McKinney Late: CJ Denk Welcome & Thank You (S. Seabridge) Addition to original agenda: Election Update Points of Information: acknowledgement to people regarding WEVA festival. Thank you to all who participated in set-up, logistics, etc. Spelling correction on previous minutes. T. Tait instead of T. Pait Motion: Approve previous meeting minutes as presented 1 st C. D Errico/2 nd T. Weislo/ Passed (9-0-0). Registrars Report (J. Hughes) 98% of registrations are in Total registrations 2367 USA putting on a big push for Beach Canadians playing in the USA (J. Hughes & R. Lucci) o At beginning of season, NFVB registered a player that lives just over the border (lives in Ontario, Canada). Membership has been paid. o NFVB received an email a few weeks ago from M. Chandler from USA Volleyball stating that Canadians are ineligible to play in the US. o Foreign team policy that was updated in 2004 that was sent to NFVB, speaks mainly of foreign team participation, but not much about players. It does say that Canadian players can be released from their federation. It also states that they cannot be members of Canadian Federation and USA Volleyball at the same time. o Q: When was the player was released from the Canadian Federation? A: There is no documentation of the player being released until after the complaint. o J. Hughes did present the bi-laws from USA Volleyball to support their decision to deny her membership o R. Lucci awaiting a decision from USA Volleyball as to what defines a resident. Financial Report (J. Hughes) Close to meeting budgeted income regarding registration fees. Down on other income, mostly because those items haven t occurred yet. Region store is doing well. Will receive at least one more order before the year is up. Anticipating a $5200 - $5300 profit from the WEVA Fest. Motion: Approve budget report as presented 1 st C. D Errico/2 nd S. Seabridge/Passed (9-0-0). Review Action Items (S. Schoenl) Nothing to report Education Report (J. Hughes) Items have been covered previously in the meeting when discussing the coaches clinic. Impact Report o All have been held. If we get a request to hold another one, then we may consider it based on the number of entries. o WEVA has run 8 clinics this year. o John to send out email to all club directors and coaches who have not yet met the requirement.

Tournament Report (S. Seabridge) Summary to sent out to everyone See summary for actual numbers Request to add a field to the website for open/closed/canceled to help with official assigning Requesting to flag tournament schedule to notify of libero serve Working on adding tournament results to website Setting dates for WEVA tournaments and events for 2012 (J. Hughes) o For such large tournaments, should allow early request for dates. o Will discuss at next meeting deadlines for future tournament submissions. Website Update (S. Seabridge) Nothing to report Junior Business (C. D Errico & T. Weislo) High Performance Development (T. Weislo) o WEVA is not prepared to forward with this issue o Need to get a better handle on the girls schedule as to promote it properly. o Boy s deadline was March 1 st. o Would like to push out to discuss for next year. o Propose to roll out plan/budget at WEVA year-end meeting Recruiting and Marketing of Players Review of proposed guidelines as submitted by M. Robinson (C. D Errico) o Information that was proposed has been merged into the current Code of Conduct. o Sending email to solicit feedback o Bringing back to May BOD meeting for final vote WEVA Festival Review (J. Hughes) o 63 total team over 2 days o Kudos to CJ Denk, B. D Errico, K. O Hara for helping to tear down nets o Question on format and seeding email sent out, no response yet o Request from a couple clubs try to get finals in the back gym and Penfield WEVA Girls Bid Tournament Update April 30 & May 1 distribute registration procedures and timeline for ranking and qualifying info (C. D Errico) o 12-15 on April 30 o 16-18 on May 1 o Email sent on 11/24 to all directors about deadline, how it was going to be run, liaison, with no response. Re-sent out with deadline of 4/10/11 o Will take up to weekend of 4/24 tournaments for seeding o Anticipating problems with 16 age group due to large size of teams o Registration procedures were sent along with the Girls Bid info Junior Team Rankings posting standings to aid tourney directors (C. D Errico) o Last rankings was posted on 3/9 Winter challenge (C. D Errico) o Over 150 teams o Went well, except for weather problems on Sunday o Will re-do 16 s so there is no conciliation match Penfield HS complaint

o WEVA received a complaint that Volley FX was a horrible host for a recent tournament. They stated that water was stolen, locker rooms were trashed, did not leave the facility clean, used the Espresso Machine o Volley FX is preparing a response to send to Penfield HS o Volley FX is at risk of losing Penfield HS and WEVA may be too o J. Hughes has been talking with Penfield HS Athletic Director to smooth things over WEVA Boys Regional Championships Update March 20 (T. Weislo) o 29 teams for Sunday at BNCC o Largest in a long time Player Transfer (J. Hughes) o It is allowed and this information is discussed in the WEVA Handbook Officials Report (J. Newland/F. Chase) Feedback from tournament directors that tournaments are running over schedule. o Working to keep good time management. o Only head referee should ask about a room, food, drinks, etc o Nothing is required to provide the officials, except water Candidates approved to go to Nationals for certification: o A. Chavers for Jr. National, K. Micelli for Jr. National, and R. Paull for National AVCA Convention National Meeting/Clinic Report (F. Chase) tabled from last meeting o Written report to be sent to the BOD. o Best of the 3 he has been to o Lots of options on meetings o Karch Kiraly info session on the future of volleyball o Info session with an attorney regarding officials as independent contractors o Has the full DVD set for what he participated in if anyone wants to see it Officials Appeal RE: D. Lambert (T. Weislo) o D. Lambert missed some officiating on one day of a two-day tournament, gave various reasons as to why he did not attend o Came back on Sunday and resumed normal duties, was assessed a fine, appealed his fine. o Reasonable thing to do is to impose a $20 fine and move on Upcoming BOD Elections Status (F. Chase) o Worked with Scott, Rocco, John for outline of positions, election process, and how to get interest o Thus far, current positions are interested in running again: VP, Officials Rep, Jr Coordinator, Adult/Outdoor Rep o Only one nomination has been submitted for Jr. Coordinator: Mark Thomey. o Nominations due by 3/31/11 o Elections will be held on 4/30/11 New Business Beach HP Tryouts at Hot Shots (R. Majeski) o USA Beach Volleyball will be running a high performance Beach try-out at Hot Shots on 5/7 for ages 12-26 yrs. o Must be USA Volleyball member

o They will bring their staff to register members, if necessary o Fee includes t-shirt and instruction o Can qualify for the Pan-Am games. o R. Majeski to send flyer to S. Seabridge Issue with having teams arrive late to tournaments due to weather (C. D Errico) o A team was late over an hour at the Winter Challenge due to weather. o Had to follow o What is procedure in bad weather? o Must follow standard policy. Great Sports in Geneva, OH (R. Lucci) o Upon coaches check in at tournament, a bucket was taken and delivered to each court for players to put their water bottles in. o Officials did not start match until all o Great for safety and for clean up Sport Court Status (R. Lucci) o Still own 2 systems. o Rocco states that Great Sports may be interested in the systems. Next Meeting: Monday, May 9 th at 6PM at TF Browns. Motion to adjourn meeting: 1 st R. Majeski/2 nd F.
