Mount Brenton Golf Course ( the Club ) asks for responses on or before 12:00 PM on December 15, 2012. Emailed PDF responses are preferred. The Club will confirm receipt of emails (not the contents). Background Mount Brenton Golf Course is located in the scenic town of Chemainus, BC on Vancouver Island. In operation since 1948, Mount Brenton is an 18 hole scenic gem with plenty of creeks, ponds and towering firs, these combine to make a challenging course for every level of golfer. The current power cart fleet consists of 18 gas powered vehicles. It is not known if these are owned or leased by the professional nor how much revenue is derived from the rental of these carts. Information provided by the Board of Directors indicates that Mount Brenton has 121 private cart owners and that the average age of the membership is 60 or older. The consultant is available by phone to provide further background information. 2. Opportunity The Club would like to engage capable participants, through a Request for Expression of Interest (RFEI) to explore possible options for the Golf Professional Services by an Independent Contractor. Interested applicants must be a Member in good standing of
the PGA of Canada and hold a Class A designation. The Club believes there are a number of possible opportunities and financial structures available for respondents to evaluate. A private operator is being sought to take over the Golf Shop Operations of Mount Brenton on a contract basis. A revenue sharing arrangement is preferable in addition to fee for service. The RFEI is a request for information only. It is not a Request for Proposal RFP or Request for Tenders. The RFEI is the first step in a process, which may or may not result in an RFP from respondents or the Club may enter into negotiations for a contract with any parties, at their discretion. The purpose is to seek the best company to provide Golf Professional Service for the Club, it s Members and Guests. 3. Submission We ask that the submission be a maximum of 10 pages [plus attachments]. The RFEI will include: 1. Respondents name, contact person s name and contact information, 2. A short letter stating their interests in the opportunity, 3. Description of the organization/ entity [e.g. corporation, partnership, joint venture] participants/ lead staff, size, depth, annual sales, operational capability and experience of the respondent, 4. List of references, 5. Respondents should briefly describe their ability to provide (at minimum) the following: What member and guest services the respondent would provide How the Respondent would represent the Club in the community Management of the first tee A full compliment of men s and women s clothing Quality products at competitive prices Golf instruction (group, private and junior) Golf cart and pull cart rentals Rental clubs Club repair services Professional, custom club fitting Organization of member and non-member tournaments Custom orders of product not available on site
6. Any other information the respondent feels is important to the opportunity. 4. Information for Respondents 1. Process Responses to the RFEI are being requested in order to afford the Club the opportunity to evaluate respondent s expertise and to select a shortlist that may be invited to submit a proposal in response to a Request for Proposals or will be invited for an in-person interview. The Club will review the RFEI submitted to determine whether, in the Club s opinion, the respondent has demonstrated that it has the required experience and qualifications to meet the Club s requirements identified in this RFEI. 2. Right to Not Accept Any Expression of Interest The Club reserves the right to accept or not accept any Expression of Interest and is not bound to enter into an agreement with any respondent or issue a Request for Proposal. The Club reserves the right to enter into negotiations and contract with any party, regardless of whether or not such party previously participated in the RFEI. 3. Inquiries The Club, in its sole discretion and without having any duty or obligation to do so, may conduct any inquiries or investigations, including but not limited to contacting references of the Club s choosing, to verify the statements, documents, and information submitted in connection with the submission. 4. Interviews The Club may, at its discretion, invite some or all of the respondents to appear before Club representatives to provide clarifications of their responses and for further discussions. 5. Conflict of Interest and Disclaimers 1. A respondent shall disclose in its response any actual or potential conflicts of interest and existing business relationships it may have with the Club, Board of Directors or employees. 2. The Club and its directors, officers, employees, agents, consultants and advisors are not liable or responsible for any oral, verbal or written information, or any advice, or any errors or omissions, which may be contained in this RFEI or otherwise provided to the respondent pursuant to this RFEI. The Club and its representatives, agents, consultants and advisors will not be liable to any respondent for any claims, whether for costs, expenses, losses or damages, or loss of anticipated profits, or for any other matter whatsoever, incurred by the
respondent in preparing or making a submission, or participating in negotiations for a Contract, or other activity related to or arising out of this RFEI. 3. Ownership of Submissions All documents submitted to the Club, including the RFEI become the property of the Club and will not be returned to respondents. They will be received and held in confidence by the Club, subject to the provisions of the Freedom of Information & Protection of Privacy Act of British Columbia.
