Apologies Jo Sheppard, Sandra Jackson, Carl Joslin Chairman Good evening, thank you for turning up on such a cold night. Secretary s Report Many thanks to those who generously gave up their time to help at the 500. The work party this year was very small as few people volunteered to help out. This will need to be addressed before the 2017 Windsor and 500 shoots. A full report on the event will be provided by JS. On a visit to the park to replace some things from the 500, Mark and I found the club hut door open. Having done some testing between Mark, Gary and myself, we discovered a problem with the lock which hopefully we have solved. Everyone, therefore, needs to ensure that the door is properly locked as per the instructions on the noticeboard. GB and CJ completed the beginners course with Ruby Rainbow. She did very well as the weather took a turn for the worse on her first day. She has been issued with her certificate etc. and has applied for membership. 24 members will be attending the Christmas meal on the 10 th. Again we will need to review the date set as having moved it by a week this year, it has clashed with other things for a lot of people. Since its inception, we have awarded the Most Improved Junior of the Year. I would like to suggest we award William/Billy Liversidge. (Committee Agreed) We need to set the dates for the 2017 beginners courses. I suggest, 10 th /11 th and 17 th /18 th June and 9 th /10 th and 16 th /17 th September 2017. We could then go indoors (assuming we stay with our Saturday slot) on 23 rd September 2017. As yet we have not received any paperwork from Knebworth Estates regarding next years contract and its renewal. We have also not been notified of any increase in rent. I think we are safe to say that we can renew and probably at last years cost, although that could still change. I have emailed the estate anyway asking about it and a date for the Windsor shoot. (14 th May Field setup on 13 th May)

I have contacted Nobel regarding booking the 500 for next year too. (12 th November shooting area set up on 11 th November after the normal Saturday shooting). I have emailed the membership about the Christmas/New Year shooting times and dates. Hard copies have been given to those who do not have email. Over the next two weeks I will prepare the usual fun targets for the Christmas fun shoot. I have received the following applications for membership:- Senti Browne (Jnr from 2 years ago. He will only be shooting at coaching for the moment as he has some special/emotional needs.) Ruby Rainbow (Jnr who completed her course with GB and CJ last month.) Enfield have transferred affiliation to Herts from Middlesex. Finances are pretty healthy with a total of just under 27,500. County Indoor Champs being held on 12 February 2017 -this year s competition was fully booked so recommended to get entries in early to avoid disappointment. A reminder about score submissions for anyone wishing to shoot for county next match is Middlesex v Herts on 19 Feb at Sunbury (Middx organising). County Champs scheduled for July 2017 needs an organiser and venue Beds v Herts match likely to be early August Tri-Counties match unlikely to happen but interest has been expressed in having an outdoor match v Middlesex rcounty Western - early September, likely to be organised again by Sarah Gowans

County Clout will be in October - Rachel Boynton organising? County and Open Club Team Champs will again be in November at Gosling with Carol from Bishop s Stortford organising. Main other business was discussions about what to do with County Equipment. Celtic Harmony are no longer operating and cannot store the equipment after the end of this year. There is hopefully a short-term solution for 3 months via one of the members of Bishop s Stortford. One option mentioned was to sell off the equipment and hire on as required basis from Tenzone. The next meeting is on 30th January with the AGM being held beforehand on the same evening. New Chairman is required, also another selector and Tournament Organiser. Other current incumbents are likely to stay in post. Nominations should be sent to Tracey Jackson by 17 December. Records Officer Not present. Tournament Officer Apologies for my continued absence from the Monday meetings it is the only night of the week I can t do very sorry, guys! I ll try to make it at least once in a while if I can. Anyway, thank you to everyone who helped in any way, shape or form for the 500 either with the setting up, the running of the shoot, shooting, donating raffle prizes, or cakes, and the take down I know we say it after every single competition, but it really is true we just couldn t do it without all the help from club members. So, wholeheartedly, thank you. The 500 was a brilliant success yet again. We have had positive feedback from many of the archers who took part, which is always great to hear. Both sessions A & B were completely full and the final session had 5 or 6 spaces only. We had over 30 archers who did The Double this year. This was a fantastic turn out and actually meant there was quite a lot of competition for the archers who took part in more than one round which is nice to have for a change. Hopefully this will continue next year. There was only one alteration to the results that were announced on the day and that was due to an incorrect score. The archer in question was exceptionally honest and contacted me via email the day after the shoot to let me know that the score sheet was incorrect by 10 points (higher). I had told him that if the correct score didn t affect the final results then I would just adjust the score in the results but not mention it however, it did alter the Team Recurve score. Quite incredibly, by reducing his score by 10 points, this meant that the previous 4 th place team now shared the exact same Total Score. Their Golds were the same also. So it came down to their Hits and there was a difference of a single point. This meant that the previous 4 th place team moved up into 3 rd place. The medal situation has already been resolved because the archer got hold of all 4 team Bronze medals and took them along to a shoot and passed them over to a member of the other team to hand out. Still on Trophies the Senior Ladies Longbow trophy for the 500 (which I know was created) seems to have totally disappeared. So, could I ask some of the club members who shoot outside

throughout the whole year to keep an eye out for some more antler pieces and gather them up with the aim to possibly creating some more trophies, especially replacing the Ladies Longbow? The Senior Ladies Recurve trophy for the 500 was not returned and I have not heard back from last year s winner. I will continue to try to get in touch with her (or her fellow club members) and continue with my efforts to locate and retrieve the trophy. Medals Finally, we are now in need of some more sticky medal centres. We issue around 130-150 each year for the Windsor and the 500 shoots, along with all the in-house medals issued (awards and club shoots) we are using nearly 200 a year. I know that they are quite a big expense but the price does go down if we buy a large quantity. Carl has requested around 70 coloured pins (with butterfly pin backing) for the club awards: 5 x Gold 5 x Black 5 x Red 5 x Orange 10 x Blue ~20 x Yellow ~20 x White I know that Denise is in need of some more club badges (yellow background, brooch pin backing) so could you please let me know a number? Finally, how many sticky medal centres (green dragon on white background) should we go for? Just enough for another year? Or increase the amount to cover a couple of years perhaps? > 200? > 400? > + 70 Coloured pins for Carl > + QTY? Club brooches for Denise I think they work out at about 1.80 each (plus VAT) but I can check that before we confirm the order as the prices may have increased since our last order, so it will be quite a large outlay whatever quantity we order. Junior Representative 25 scores have been handed this month across 11 juniors 5 juniors took part in the 500 which was great to see Child Protection Officer Nothing to report A.O.B. GB reported the hut strips have been restored and painted. DC has received a request from Knebworth Nursing Home for us to donate a raffle prize for their Bazaar. Also asking if we would give a donation towards their fund, 25% of which is going to Barnados. The club will provide a raffle prize. Also DC has been contacted by Debra Clark, Nobel. There was a misunderstanding regarding the use of the Gym for the 500.It has been agreed that the club will book the gymnasium at a cost of 10 per hour. DC will make booking for 500-12 th November, 2017. MC stated there was an issue regarding the taking down of equipment after the 500. Next year something will need to be done to stop this happening again. There was hardly anyone who stayed to help and as usual it was left to two or three members. The Committee need to find a solution to this We made a loss of 166 on the 500. Raffle money was down. The club needs to reduce the number of prizes it provides but continue with amount of medals given. CW asked should we increase the entry fee Committee decided no. DC mentioned there is a Coaching Conference at Hendon in March, entrance fee 55 each. This is subsidized 20 per head, are the committee willing to pay 220. Committee agreed.
