Yu will find infrmatin n planning yur travel and administrative timelines, respnsibilities, resurces in managing teams while traveling, expectatins f team cnduct, preparing itineraries, general requirements, traveling tips, nutritin tips, budgeting and much mre. Once arrangements have been made divide the cst f the transprtatin bus r taxi divide this amunt by the number f players traveling t cllect yur funds. Then add the ferry cst per player and the cst fr cvering the caching staff. Caching staff ferry cst, day parking and meals shuld be cvered by the players. Itinerary f the day shuld be prvided t the team s that parents and players are aware f what time players are t be drpped ff and picked up at the ferry. Remind players t bring mney t purchase fd n the ferry and t bring water. Guidelines fr Teams Traveling 1.0 Teams Traveling t the Island Games 1.1 Meeting at the ferry Determine hw yu want t get yur team t the ferry t cmmunicate this with yur team. If players are t be drpped ff and picked up at the ferry terminal ntify parents f the itinerary drp ff and pick up times. Discuss with Head Cach if parents will be traveling with the team. Knw yur numbers first befre bking the size f bus required. If parents are traveling with the team suggestin is fr parents t pay fr their ferry cst t and frm if there is rm n the bus. Check in yur team 45 minutes befre departure time - everyne must be n site befre yu can make a payment. Cnfirm numbers with BC Ferry attendant befre paying incase yur numbers have changed. 1.2 Head Cunts Ensure t d head cunts prir t leaving t and frm fields 1.3 Cquitlam Metr-Frd Dress Cde All players and technical staff must travel with Club Kits - jackets, n PJ bttms r Ugs t and frm 1.4 We are Guests n the Ferry, Bus, Taxi s Mangers t be the last persn n and ff the ferry, bus and check taxi s t ensure everything if left clean with n garbage left behind r items. Ensure players leave the area clean. Ensure n sck tape, wrappers, left n the bus r in taxi s. Team can be fined fr leaving garbage r a mess n the buses r in the cabs. Be respectful we are guests n the ferry, n the bus and in the cabs. 6
Teams Participating in Out f Prvince Turnaments 2.0 Cmmunicatin 2.1 Cmmunicating with Club Technical Directrs Head Caching is required t cmmunicate with Clubs Technical Directr prir t cnfirming any participatin in turnaments t ensure they are sanctined and is a viable turnament t participate in. 2.2 Cmmunicating with Team Once cnfirmed Head Cach and Manager are t lk at the cst in participating in the turnament. Create a tentative budget t present t parent in prviding a cst per player t participate in the turnament. Budget shuld include the cst f the turnament registratin fee, Out f Prvince Insurance fee, fd, htel, laundry, pssible vehicle rentals, gas, refund prcedures and s frth. The cst per player shuld factr in the cst f the Caching staff accmmdatins and fd allwance per day, and any ther expenses. Caching staff accmmdatins and any ther travel expenses shuld be cvered by the team. Head Cach and Team Managers shuld schedule a meeting with the team r send ut an e-mail utlining cmpetitin dates and ensure players cnfirm attendance/participatin. Always a gd idea t cntact ther managers/club members, which may have traveled t the same city as yu are, fr tips and ideas f what is there. 2.3 Cmmunicate Refunds and Last Minute Cancelatins Outline what the refund plicy will be if any players will n lnger be able t participate in turnament due t injury r change their mind. Full refunds wuld nly apply if the player can be replaced. As sn as the turnament fee is paid fr, cllect frm all players and this will be a nn - refundable fee t players alng with the Out f Prvince Insurance fee. If a replacement player agrees t attend they shuld nt have t pay fr the initial payments (registratin fee and insurance). They shuld nly pay fr the accmmdatins, transprtatin, fd 7
If flying Mst airlines will allw fr ne name change. If player can be replaced then a refund can be issued. If there is a name change fee then the player wh n lnger is attending shuld cver the cst f the name change. If the player cannt be replaced then they will receive a flight credit frm the airlines, but ensure t ask this questin when bking flights if they will prvide this. 2.4 Turnament Crdinatr Once yu register in the turnament yu will be receiving emails frm the turnament crdinatr prviding yu with Administrative timelines Itineraries Check-in team infrmatin Events, schedules, & prgram infrmatin Advance purchasing f merchandise (t-shirts, hdies and mements fr players). This persn will be yur main cntact fr the event prir t and when yu arrive at yur cmpetitin. 3.0 Budget Here is a guideline f what t take int cnsideratin when determining yur team budget Flight cst if required call the Airlines directly fr grup bking. Htel Cst need t determine hw many days yu will be requiring htel rms and hw many rms yu will require Search the area yu are staying and try and determine the ging rate fr a htel t guesstimate the cst plus add htel taxes f apprximately 12 16%. Fd - Per player, team caching staff and manager traveling - suggestin $25 dllars fr dinner per day (including tip & beverage) $15 fr lunch per day $15 fr breakfast per day, if it is nt included at yur htel $10 fr snacks & water per player fr the week Fd allwance shuld nt be cvered n traveling day with the exceptin if yu arrive early and require dinner. Laundry purchase f fabric sftener and laundry sap plus the cst f washing and drying 8

Ntes: Equally divide the cst per player t cver the cst fr the abve items and als include the cst f the caching staff flights, htel rms and meals, as listed abve. 4.0 Accmmdatins With mst US turnaments yu are required t bk thrugh their inventry f prperties listed n their turnament web site and submit yur request. Chse htels that ffer free breakfast, free wireless internet in rms and laundry facilities. 5.0 Registering fr Out f Prvince Travel Insurance thrugh BC Sccer is Mandatry. Frm must be cmpleted and apprved 30 Days prir t departure Date Frm required is fund at www.bcsccer.net Click n Cmmunity Drp menu click n frms Travel Sanctining Related Frm Applicatin t Travel Out-f-Prvince 5.1 Timeline APPLICATIONS WILL NOT BE PROCESSED IF ROSTER IS INCOMPLETE If the team is traveling within Canada r the United States, the frm must reach the BC Sccer ffices at least 30 days prir t the teams scheduled departure. Applicatins received less than 30 days prir t departure may r may nt be apprved. Assciatin apprve the applicatin t travel the fee schedule is: Received in the BC Sccer ffice 30 days r mre prir t departure date: $75.00 Received in the BC Sccer ffice within 29 days prir t departure: $100.00 Received in the BC Sccer ffice less than 48 hurs prir t departure: $150.00 5.2 Prcess f submitting and making payment Once the frm is cmpleted yu can email a scanned cpy r fax the infrmatin t the BC Sccer ffice cntact persn. 9
Make Payment by mailing a cheque r credit card payment by calling the ffice. Call the main phne line at BC Sccer t find ut which BC Sccer staff is respnsible t be receiving the cmpleted frm fr apprval. Once submitted t BC Sccer yu will be prvided with a sign cpy fr yur recrds. If yu d nt hear frm the ffice within a week f submitting the frm please cntact the BC Sccer cntact persn just incase they have frgtten r didn t receive it. Head Cach is t review this infrmatin with players and parents prir t leaving. 7.0 Advance Planning Keeping players prperly fed, fully hydrated, well rested and fcused/relaxed during the cmpetitin is essential. The first rder f business is determining yur travel dates with yur cach. Withut knwing when yu are leaving it will be difficult t determine yur budget and event plan. Yu mst likely knw yur players fairly well by nw, but it is a gd idea t have yur players cmplete a survey fr what they like t eat fr: Snacks, Pre-game fds Pst-game fds Preferred beverage fr breakfast, pre-game, pst-game Make sure yu are aware f any fd allergies It is gd t knw in advance, as it will allw yu t ensure that yu have these items n hand fr players t access at any time. 10
7.1 Fundraising It is up t individual teams t decide hw much fundraising yu wuld like t take n and what is yur gal fr raising funds. The Club will prvide a dnatin letter t supprt appraches t lcal businesses. Yu will find a sample at the end f this dcument. Crprate r business dnatins requesting receipts Cquitlam Metr Frd Sccer Club is nt able t prvide receipts fr dnatins. The Club is a nn-prfit rganizatin but des nt qualify as a Charitable Organizatin. Cmmunity sprts rganizatins are nt eligible fr charitable status in Canada. Businesses may be able t deduct dnatins as a business expense, but shuld cnsult their accuntant fr apprpriate guidance. Tip: Purchase a receipt bk and issue receipts by indicating the amunt the dnr has prvided and the reasn. Fr example: [Cmpany Name/Individual] prvided spnsrship fundraiser t CMFSC [Team Name] [Age] [Gender] attending the Canadian Natinal Sccer Champinship in [City, Prvince]. Thank yu fr yur supprt! This can als be dne with duplicate letters ne fr each party. 7.2 Planning Lunches and Dinners Ggle map the area yu are staying t lcate restaurants, grcery stres, pharmacies, etc. Make reservatins fr at least the first tw r three days and then yu can decide when yu are there where else t g. Tips: If yu are staying at a htel that des nt include breakfast: Tim Hrtn s r Mc Dnald s are great if yu call the night befre and pre-rder breakfast egg sandwiches, muffins, bagels and they will have them ready fr yu t pick up in the mrning at the time yu request. Pre-washed bagged salad, bread, ptat salad t cmpliment. Cstc r Safeway r any grcery stres wuld have these items. Purchase instant ndles such as Kimchi s and ask htel t prvide yu with ht water flasks they usually never charge yu fr ht water. Add cut up chicken fr prtein. Everyne lves ndles. Great snack as well. 7.3 Itineraries Prvide Players and Parents with a tentative Itinerary that is rganized with caches input prir t leaving and email yur team s they are aware. Once at htel, make cpies and pst in each rm fr players t see what their day will lk like. Include key cntacts rm and cell phne numbers 8.0 Bking f Rms and Special Requests Manager s Rm Yu can request fr the manager t have a suite r a larger rm r a rm with just a king bed will prvide yu with extra space. Request an extra table fr yur rm t place all snacks n, fr players t cme in at anytime t access and if yu are required t serve breakfast. Players Rms Rm phnes and TV shuld have a blck n them t avid incidentals and extra unnecessary csts. Players can at anytime ask if they culd rder a mvie with the head cach s permissin. What t wear when traveling (t and frm turnament, t and frm fields, t meals/functins/events) CMFSC issued team training kits and tps. Disciplinary actin if any issue arises while away. Itinerary Tips: Have yur daily breakfast/ lunch and dinner allwances in separate envelpes per day s yu knw hw much yu have t spend. If Flying - Purchase flagging tape find it at Hme Dept r Rna. This really helps t identify yur team luggage when arriving at the baggage claim area. Place/tie strips f this flagging tape n all teams baggage t identify it quickly. They cme in flurescent clrs. This helps t identify ur players t the htel staff and if there are any issues htel staff can identify they are nt f ur grup. Htel staff has prvided feedback that they really appreciate this and helps them with having t addresses any cncerns r cmpliments as well due t many teams staying n the same prperty. Bring a pen Bring water Bring zip lck bags with ice fr injuries ice available at htel Bring snacks, bananas 13.4 Managing the Laundry Ask husekeeping if they wuld d yur team laundry at a cst. Ensure they knw that all they have t d is wash and dry it - n flding. Ask them hw much they wuld charge and I m sure yu can wrk ut a deal. If yu can give them the wash and ask fr it fr the mrning they will gladly take care f it thrugh the night. Sme htels staff may nt be able t d this fr yu. Tips: Find a drp ff laundry service in the area. If all else fails yu will have t d it alng with all f the ther teams. Have player label all clthing items. Game jersey are nt an issue due t player numbers. Have game shrts players place their player number n tag in side shrts. White scks - Have players place their names r player number n sck te piece. Black scks have players place player number r players initials n the white line tp f sck the gets flded ver. Have players prvide yu with mesh laundry bags with their names printed n. Cquitlam Metr-Frd Players Team Traveling Cde f Cnduct TRAVEL A successful team is as much abut n-field perfrmance as ff, s a prfessinal attitude, appearance, and mature behavir are expected at all times. Yu are representing, yur family, yur team and the club when yu travel, and shuld cnduct yurself accrdingly. The team is t travel t and frm games as a grup, including players, caches, and manager. All players are t travel t and frm games in CMFSC Metr tracksuits. Persnal infrmatin, care card #, and ther emergency service infrmatin must be upt-date befre the players travel. If n parent is traveling, players shuld be prvided with sufficient funds fr incidentals by the parent. PLAYER PROTOCOL AND GUIDELINES Rm assignments are dne by Caches and/r manager. Players are t be n time fr all team meetings and fllw team itinerary. All players are t remain n htel prperty unless apprved by the caching staff. Games, training, dinners, and team excursins will be pre-planned fr players. Players leaving htel prperty must be in the cmpany f a caching staff r have permissin t leave. Player functins (TBA) utside f the htel are as a team, in cnjunctin with supervisin. Use f htel facilities (i.e. pl, fitness rms, etc.) is t be cleared thrugh the caching staff. ROOM CONDUCT Curfews will be set by each individual team and t be respected. During dwn time/free time at the htel; players are expected t rest r hang ut in their rms and nt hang ut in the hallways. N alchl, drugs r members f the ppsite sex t be allwed in the player rms. N team members will be permitted t g t the rm f players frm anther club. Players shuld be quiet and respectful f their rmmates, as well as htel guests & staff. DRESS CODE Players are required t wear CMFSC Metr kit tracksuits and r tracksuit jackets fr all team events (dinners; etc). Players are required t wear CMFSC Metr kit t all practices & games (inclusive f tracksuit, shirts, shrts and scks). Please bring alternate white jerseys and any alternate ft wear t all games r practices 17
SPORTSMANSHIP AND RESPECT FOR THE OPPOSITION AND OFFICIALS Realize that a team's reputatin is built nt nly n its playing ability but als n sprtsmanship. Players are t respect their ppnents and reserve any cmments regarding decisins by fficials. Players are representing their team, their sccer club and their Prvince and their cnduct (n and ff the field) shuld be exemplary. As per any games, parents are nt t prvide n field directin and are t refrain frm cmmenting n decisins during the play f the game NON COMPLIANCE If the cnduct rules are nt fllwed, suspensin and pssible remval frm the team may result, depending n severity.
