VOLUNTEER INFORMATION PACKET SUNDAY, SEPT. 6, 2015 Dear Volunteer: To successfully run the marathon takes over 200 volunteers we truly appreciate your help! There are four types of volunteer opportunities: 1) Pre-and Post-Race help at Medlar Field: Loading supply vans, handing out race packets, finish line support, keeping food and drink supplies out and stocked, unloading vans, and clean-up. 2) Course Marshalls: Keeping the runners going in the correct direction out on the course. 3) Water Stations: Handing the runners water and ade as they pass designated spots on the course. 4) Bicyclists: Escorting the lead runners as they go through the course. On the following pages are: A chart of all the volunteer opportunities and the time commitment required. Maps showing the locations of the Course Marshalls and Water Stations. A more detailed description of Course Marshall, Water Station and Bicyclist duties. 2015 Mt. Nittany Marathon Course Marshal Volunteer Instructions The first important note: For safety s sake, for runner and law enforcement identification, and legally, ALL COURSE MARSHALS MUST WEAR OUR HI- VISIBILITY T-SHIRT (Course Marshals stationed within Ferguson Township will also be assigned a hi-visibility vest.) The second important note: YOU ARE THERE TO DIRECT THE RUNNERS, NOT TRAFFIC! It is illegal for anyone other than law enforcement officials to direct traffic. We have law enforcement presence at any intersection or crossing with potential traffic issues let them direct traffic. Feel free to announce/yell to them that runners are approaching, but let them handle the vehicles! There will be signs and markings on the road/path to show the direction the runners are to proceed, but a highly visible human pointing the way is our best and friendliest way to keep runners moving in the correct direction! There will be a trailing bicycle behind the last runner to let you know your duties are complete! General Notes: Please arrive on time or even early! Point the runners in the correct direction! Articulate clearly and use your arm to point especially after mile 14 when runner fatigue sets in. Cheer on the runners especially further into the course You will be emailed a printable list of the bib number and name of every registered runner feel free to call them by name and encourage them as they approach and pass! Please bring your own folding chair as well as beverages, food, reading material, phone, etc. you may need to get you through your shift. If the weather looks like rain we will provide clear plastic ponchos please use those or an umbrella do not cover your high-visibility shirt and vest. If a Runner cannot continue and is coherent, please call Handy Delivery Taxi at 814-355-5555 and tell them where to pick the runner up they will transport runners to the start/finish line at no charge. 2015 Mt. Nittany Marathon Water Station Volunteer Instructions General Water Station Notes: Please arrive on time or even early! YOU MUST WEAR your hi-visibility T-shirt. It s for your safety and the runners LOVE to see that friendly color in the distance and it lets them know they are on course! If the weather looks like rain we will provide clear plastic ponchos please use those or an umbrella do not cover your high-visibility shirt. On the back of this sheet is the bib number and name of every pre-registered runner feel free to call them by name and encourage them as they approach and go by! Each Water Station will have a table; a supply of cups, water and Gatorade; a container of ice; and trash bags. The Supply Trucks will deliver supplies starting at 6:30 AM at Station #1 and running through the course by number. If you are at a lower-numbered Station you may arrive and the supplies are already there. If you are at a higher-numbered station (6-17) you may arrive on site before the supplies get there they will arrive soon! The supply truck will also have extra Volunteer T- shirts in case you did not pick yours up. Please set up your station by setting out cups and filling them with water and Gatorade. ONLY FILL CUPS HALFWAY for the first 50 runners (they prefer less liquid). For Stations after mile 6 only fill 20-30 cups at a time don t leave cups of liquid out in the sun/elements. You will have plenty of time between runners to refill cups. As runners arrive, offer cups to the runners. CLEARLY ANNOUNCE which liquid is in the cup Gatorade or Water especially at Stations after mile 14 when fatigue sets in for the runners. If a runner asks for a full bottle of either water or Gatorade PLEASE GIVE IT TO THEM! If your station has Gel Packets, have one person holding gel packets out to runners and clearly state GEL. Use the ice to keep some of your water and Gatorade cool DO NOT CONSUME THE ICE OR PUT IT IN THE DRINKS. The ice is there just to keep the liquid cool. It is not sanitary. Although all Water Stations will have enough water and Gatorade for each runner to receive 18 ounces of each, we will have Roving Supply Vans to handle any issues. Please communicate with your supply van by cell phone they will provide a number when they make their initial delivery. There will be signs and markings on the road/path to show the direction, but feel free to point the way to runners it s our best and friendliest way to keep runners moving in the correct direction. Course maps are available on our website at: http://mtnittany.org/marathon/ Please pick up and place used cups in the trash bags as time permits during the race. Please put the plastic Gatorade and water bottles in a separate trash bag from the cups. If a runner leaves an article of clothing or personal item at the water station, give it to the supply van to deliver to the finish line. There will be a trailing bicycle behind the last runner to let you know your duties are complete. There are 265 runners in the race in case you start counting! Once the last runner passes, please fold down your table, pick up and throw all used cups into trash bags, and stack the supplies as neatly as possible for the supply trucks. If a Runner cannot continue and IS COHERENT, please call Handy Delivery Taxi at 814-355-5555 and tell them where to pick the runner up. 2015 Mt. Nittany Marathon Bicyclist Escort Volunteer Instructions For safety, and runner and law enforcement identification, all Bicyclists will wear a hi-visibility shirt provided by us. As needed you can wear additional layers underneath the shirt. You must be able to maintain a 12 mph pace for 3 hours. There will be signs and markings on the road/path to show the runners the race direction, but for the lead runners a highly visible human riding along with them is a great and friendly way to keep them on course. We have law enforcement presence at any intersection or crossing with potential traffic issues let them direct traffic. Feel free to yell to them that runners are approaching, but let police handle the vehicles. General Notes: Please arrive on time or even early! You will be assigned a runner to escort based on their place in the race. Each of the first ten male and first three female runners will have escorts. Each of these runners will have a team of two bicycle escorts. The lead runner escorts will start the race with the runners. All other escorts will pick up their runners at mile 3.5 the corner of Fox Hollow Road and Orchard Road. Make sure at least one escort stays in front of the runner and is visible to the runner at all times. Use a hop-scotch method as you approach corners and intersections one escort going ahead to establish the path is clear, and the other staying near the runner to provide direction. If a Runner cannot continue and is coherent, please get them to the nearest water station or Course Marshall who will call a taxi for them. Then drop back and pick up the first unescorted runner.
