MPORTANT EXHIBITOR NFORMATION 9 This year our tradeshows will be held on Monday, January 15th at the Hyatt Regency Huntington Beach Hotel located in Huntington Beach, CA. The morning Tradeshow will be held from 9:00 a.m. to noon in the Grand Ballroom (DEFG), and the afternoon Tradeshow will be held from 2:00 p.m. to 5:00 p.m. in the Mariners Ballroom. To increase the value, quality and length of time spent with HPSI attendees and buyers during your show time, HPSI will once again be limiting the number of exhibitors in each tradeshow. Please be sure to read the Tradeshow Rules & Regulations that are included in this brochure. Participation will be by invitation only and invitations are not transferable. Each Exhibitor may participate in one Tradeshow, either the morning or afternoon session, but will not be able to exhibit in both shows. If you have questions regarding your invitation or booth space please contact the HPSI representative that extended an invitation to you. The fee for a 10 x10 booth is $2,700.00. Your fee includes a 10 x 10 space, 8 high backdrop, one skirted table, 2 chairs, a booth identification sign, one trash can, an HPSI attendee list, and an invitation to the Partner Appreciation Dinner being held on Monday, January 15th at 6:00 pm. RULES AND REGULATIONS 10 1. INVITATION ONLY 2. RESERVATION OF SPACE 3. BOOTH RATE, PAYMENT AND CANCELLATION POLICY 4. DIMENSIONS AND LIMITATIONS 5. LIABILITY Vendors will be admitted as exhibitors in the AM or PM tradeshow on Monday, January 15, 2018 by invitation only. Each Exhibitor may participate in one Tradeshow, either the morning or afternoon session, but will not be able to exhibit in both shows. Invitations are non-transferable and will be verified by HPSI prior to accepting booth reservations or payment. Reservation of space will be confirmed in the order in which registration forms with payment are received. Registration forms can be faxed to (919) 706-5443, emailed to info@premiermeetings.com, or mailed to Premier Meetings at PO Box 99067, Raleigh, NC, 27624. Telephone registrations will NOT be accepted. Priority for booth space will be as follows: priority will be given to the company that has submitted BOTH the completed Registration Form and Payment. Space will be allocated on a first-come, first-served basis. HPSI reserves the right to assign booth location for the benefit of the exhibitor, or for the betterment of the Tradeshow. Booth space will be subject to availability. The cost for one booth is $2,700.00 and includes a 10 x 10 space with 8 high backdrop, one skirted table, 2 chairs, one trash can and a booth identification sign. Exhibiting companies are limited to a maximum of one booth. In order to confirm assigned booth space, full payment must be received. Confirmation letters will be sent to the person listed as the show contact on the registration form when BOTH registration form and payment have been received. Written cancellations received on or before December 1, 2017 will receive a 50% refund of the total amount required under the completed registration. Cancellations of the registration received after December 1, 2017 will not receive a refund and all amounts paid will be forfeited. In the event of cancellation, any fees paid cannot be credited toward future trade shows. Submission of the Registration Form or Payment does NOT guarantee that your company will receive booth space in the 2018 Tradeshow. Exhibits must be constructed as not to obstruct the general view of the adjoining booths. Permission to display equipment wider than 10 x 10, or taller than 10 feet must be obtained in writing from Premier Meetings and The Grand America Hotel, and the exhibitor will be advised of which booth locations will meet their requirements. DISMANTLING and all damages or changes imposed for violation of any laws or ordinance, whether caused by the negligence of the exhibitor, its representatives, agents, employees, or those persons acting under the express or implied authority of the exhibitor. The exhibitor and its representatives, agents, employees, or those persons acting under the express or implied authority of the exhibitor, shall comply with all applicable terms, conditions, rules, and regulations of The Grand America Hotel. The exhibitor assumes complete responsibility and liability for all loss, damage, or destruction of property of the exhibitor, its representatives, agents, employees, guests, or those persons acting under the express or implied authority of the exhibitor. HPSI and The Grand America Hotel or any representatives, agents, employees, officers, members, or director thereof will not be liable for any loss, damage, or destruction of the property of the exhibitor, its representatives, agents, employees, or those persons acting under the express or implied authority of the exhibitor, as a result of fire, accident, or any other cause. The exhibitor also assumes full responsibility and liability for all injury to any and all persons or property caused by the exhibitor, its agents, representatives, employees, or those persons acting under the express or implied authority of the exhibitor. The exhibitor will indemnify and hold harmless HPSI, The Grand America Hotel, their members, directors, officers, agents, representatives, employees against and all liability whatsoever arising from all damage property or personal injury or loss caused by the exhibitor, its agents, employees, those under the express or implied authority of the exhibitor or any other such persons. Said responsibility for loss, damage or destruction is solely that of the exhibitor. Set up times for the 9:00 am Tradeshow held on Monday, January 15th will be Sunday, January 14th from 3:00 pm 5:00 pm, and Monday, January 15th from 7:00 am to 9:00 am. For the 2:00 pm Tradeshow on Monday, January 15th, set up time will be Monday, January 15th from 10:00 am to 2:00 pm. Space not occupied by start times on exhibit day will be forfeited by the exhibitor, and their space may be resold, reassigned, or used by HPSI without refund. Displays may be dismantled no earlier than the published end time for the shows on Monday, January 15th. All exhibits for the AM Tradeshow must be dismantled and removed from the exhibit area by 1:00 pm on the day of the Tradeshow. Exhibits for the PM Tradeshow must be dismantled and removed from the exhibit area by 6:00 pm on the day of the Tradeshow. The exhibitor authorizes HPSI to remove, at the exhibitor s expense, any materials in the exhibit area belonging to said exhibitor after the required end time for the AM and PM tradeshows. RULES AND REGULATIONS 12 9. PROHIBITIONS 10. ALCOHOLIC BEVERAGES Subleasing or assigning of booths or part of a booth is NOT permitted. Exhibits, signs, displays are prohibited in any of the public rooms or elsewhere on the premises of The Grand America Hotel during the HPSI National Meeting and Tradeshow. Aisle space shall not be used for exhibit purposes, displays, or signs, solicitation, or distribution of cards, circulars, samples, or any other promotional materials. Distribution of marketing materials must be done at the booth site only. Any activity conducted by an exhibitor, its representatives, agents, employees, or those persons acting under the express or implied authority of the exhibitor, which interferes with other exhibitors is prohibited. HPSI retains the right to require discontinuation or prohibition of such an activity. Alcoholic beverages are not permitted in the Tradeshow area at any time. 11. NON-EXHIBITING VENDORS Non-Exhibiting vendors are not allowed in the show area. 12. WATER HOOK-UP Water hook-up is not available. 13. AMENDMENT TO REGULATIONS All matters and questions not covered by these regulations are subject to the decision of HPSI. HPSI shall have sole authority to promulgate, interpret, and enforce all rules and regulations, and to make any amendments to the regulations as shall be necessary for the orderly conduct of the Tradeshow.
