Gala Information, Awards & Trophies Sevenoaks Swimming Club Championships 2017 Under Swim England Law & Technical Rules Level 4 Sevenoaks Leisure Centre, Buckhurst Lane, Sevenoaks, Kent TN13 1LW

Introduction This year s Club Championships series is made up of two parts: 25M Festival Aimed specifically at the junior end of the club these swimmers will be ages 7, 8 and 9 years as at 31 st December 2017. Main Championships Aimed at all swimming members including those competing in the 25M Festival, with events as per the event schedule and promoter s conditions. All ages are as at 31 st December 2017, some events have minimum ages requirements: Event Age as at 31 st December 2017 50m all strokes 100m all strokes 10 and over 200m all strokes 400m freestyle 10 and over 800m freestyle (girls only) 11 and over 1500m freestyle (boys only) 12 and over 100m individual medley (100IM) 200m individual medley (200IM) 400m individual medley (400IM) 10 and over Please ensure you only enter an event you are old enough to compete in out of age swimmers will be rejected. Results and successes from the Clubs Championships event are celebrated at the presentation evening which will be held in the Summer 2018. This is an excellent social event to recognise and celebrate the achievements of the club and the swimmers over the previous year and is a must attend event in the club s annual calendar. The purpose of this document is to provide all of the information you will require relating to the club championship events. If you do need further information you should speak with your squad coaches or contact the event organisers. The championships are organised and managed by an army of volunteers. Recruitment to the volunteer army will start soon. Every swimmer entry is expected to be accompanied by an offer to help, you will be contacted directly to help at sessions when your swimmer is competing. Changes to normal training Sessions All swimmers are invited to participate in the club championships from entry level squad to top squad, and as a result, the swimming time required to run all the events is significant. As such Club championships events do use scheduled training pool sessions so please take careful note of the schedule and, where they clash, check if your normal session is running. Further details of any cancelled sessions will be provided by email or can be found on the club website. Who can enter? All Swim England registered members of Sevenoaks swimming club can enter the 2017 Club Championship & 25M Festival events. These events are Licensed under the Swim England Laws and Regulations and as such

they are required to be run in strict accordance with these conditions and those set out by the promoter for the times to be recorded and accepted by the Swim England for inclusion on the British Swimming National Ranked Database. These times can then be used to enter open galas and County Championships if qualification times are met. We would encourage you to enter as many events as you can or are eligible for and gain Licensed recorded times for future gala entry. However, it is also important that the swims are competently executed to ensure a positive outcome. It is also useful to give consideration to the information provided under Trophies and Awards when deciding which events to enter in order to ensure you can compete for all possible Awards. How to enter? 25M Festival Entries must be made using the official Swimming Club on line entry form, reference Club Champs. The entry fee shall be 2 per event. Payment for entries must be made in advance (At the time of entry submission). Main Championships Entries must be made using the official Swimming Club on line entry form, reference Club Champs. The entry fee shall be 4 per event. Payment for entries must be made in advance (At the time of entry submission). The club s online entry system can be found under the Club Championships section of the club website. Entry closing date Entries shall be accepted up to and including the closing date on Main Championships 11 th September 2017, 25M Festival 25 th September 2017. No late entries will be accepted. Please note it is the responsibility of the swimmer/parent to check the published entry list carefully and report errors or omissions in the requested time scale. Entry lists will be published one week after entry closing date swimmers will have one week to report errors or omissions. What happens after entries close? The following notes have been made to give some guidance as to what happens next with regard to the general organisation of a Gala or Meet like Club Championships. Valid entries will be processed via the Clubs Meet software. A report of entries will be published and distributed. Swimmers will have an opportunity to check their entries for errors or omissions. A full Meet programme will be produced covering all dates and events detailing all swimmers entered in all events. This can be downloaded from the club website. Sign in sheets are produced and become available on the date of each session covering only the events in that session. Swimmers must sign in for each event at each session. Swimmers who do not sign in are assumed to be absent or have withdrawn themselves. Poolside whips organise swimmers in preparation for their heats in selected lane order. It is the individual swimmer s responsibility to report to the stewarding area in sufficient time for their event. Stewards will not seek out absent swimmers. Swimmers are marched across the starting block line so they can position themselves behind the correct block Starts will be over the top where possible, at the referee s discretion, to ensure events run to time in each session. Timekeeper will ensure the correct swimmer is in their correct allotted lane before the swim Timekeepers make a note of the swimmer s times after the heat is swum and pass these to the Chief Timekeeper. The Chief Timekeeper checks the times against the placing s, if the times do not match the placing times will be adjusted to match the visual placing recorded result The Judge s provide details of any infringements they witness, to the Chief Timekeeper and Referee and these are noted before any final decision is made. It should be noted the Referee may reject the report if there is any uncertainty of the infringement by the Judge. Emphasis is on the benefit of doubt goes to the swimmer! The Referees decision is final. Results for the heats are passed to the recorders who enter all the times onto the official Meet software. Once all the heats for an event are finished a report of the times and places for each age group are published on the day for swimmers and spectators to see. These will also be available live on the club website. Please see the trophies and awards section below.

After the session results will be sent to British Swimming for inclusion on the national Ranking Database. Full results will also be published on the club website. British Swimming rankings can take up to five days to update. As you can see a huge amount of work and effort goes into ensuring these events run smoothly once the swimmer entry process has been completed you will receive an email indicating how you can help and when we will require your assistance. You will only be asked to assist during sessions that your swimmer is competing in. Terminology Sign in ~ At every session sign in sheets are produced for each event divided into Boys and Girls. It is essential that swimmers sign in for each race at that session. Sign in takes place prior to warm up at the beginning of each session and will be open for 30 minutes to ensure everyone has plenty of time. What is an Event? ~ An event is the distance and stroke being swum for either Girls or Boys, their may be a number of age groups within an event for award purposes, eg. Girl s 50m Free. What is a Heat? ~ Swimmers for each event are divided into heats, there may be 46 swimmers for an event these will be split into heats. Usually 4 in the first heat followed by 7 heats of 6 Swimmers. This to avoid empty lanes which helps swimmers obtain their best time. What do I receive for winning my Event or Heat? ~ Events are swum in mixed age group races and heated based upon Swimmers entry times. This means a Swimmer can win a heat but not be the fastest for their age group in the event. Swimmers need to be the faster competitor in their gender and age group across all heats in the event to be awarded a gold medal. What happens if I get disqualified? ~ As all the events take place under Swim England Laws and Technical Rules qualified judges will be in place during all races to ensure Swimmers complete their events within the rules. It is not uncommon for Swimmers to occasionally be disqualified, DQ d and while this can be disappointing, everyone experiences this at some point during their swimming career. The important thing is to learn from any mistakes. If you have been DQ'd your time will not be recorded on the results and will not appear in rankings'. For clarification of DQ codes you should speak with your squad coach as they will help you rectify any problems.

Trophies & Awards There are many awards and trophies available to be won at the annual club championships all of which are presented at the Sevenoaks Swimming Club annual presentation evening which will be held in the summer 2018. The awards mostly fall into two categories age group medals and age group cups with awards being presented for both boys and girls. There are also a number of additional open trophies and cups awarded including those for participation and endeavour and of course the hotly contested Individual Medley cups and the Laddie Chester trophy. Age Group Medals Are to be collected by swimmers from the medal table which will be poolside during the session in which they are won. Gold, Silver and Bronze medals are awarded for first second and third respectively with placing ribbons for fourth fifth and sixth. Medals and ribbons are awarded for all age groups in each gender as detailed below. Naturally medals can only be won in an event you are eligible to enter as per the eligibility table. The swimmer with the most points for each age group wins the cup. 9 and 10+ ~ Fina Points are awarded for each race a Swimmer gets a time for (not DQ d) Their best score under each of the following categories are then added up: Event 100M (all strokes) Distance (200M+ Free) 200M (form stroke) Individual Medley Sprint (50M all strokes) Age Group 9 10+ The Swimmer with the highest point score in each age group, Under 8 through to under 18 and 18+ wins the age group cup with the runner up winning the age group plate.
