MINUTES OF THE LAST ANNUAL GENERAL MEETING The minutes were agreed as a true record and ratified by the meeting subject to the inclusion of Grand Final on page 3. 3. MATTERS ARISING It was noted that Debs Greenhalgh had accepted after the AGM the role President Elect and Emma Howard the role of Masters Secretary. 4. TREASURERS REPORT LB recommended acceptance of the draft figures previously circulated. The accounts were agreed subject to satisfactory audit. CV reminded the meeting that new auditors needed to be approved following the appointment of LB. LB to look at a suitable local candidate and this appointment will be approved by the Management Board. 1
DG reported that no information had been received from Swim England regarding the National County Team Championships 1,000 subsidy. CV to make enquiries with Swim England. 5. SECRETARIES REPORT 6. CHAMPIONSHIP REPORT SE reminded Clubs to check entry submissions, particularly swimmers details, before submission. An unacceptable amount of time was wasted due to submission of incorrect information prior to the 2017 Championships. Incorrect entries will be returned for correction and resubmission. SE also advised the meeting of options for the 2018 Hoodie design. Any comments to be sent to SE 7. DEVELOPMENT CHAMPIONSHIP REPORT 8. RECORDS REPORT As circulated 9. TEAM MANAGERS REPORT 10. TROPHIES REPORT CCo to order further medals for 2018. LP asked about 2 No outstanding medals that were still awaited. CCo believed that these had been provided at a previous meeting but it was agreed that these would be sent to LP ASAP 11. LEAGUE REPORTS SE suggested the following dates for the 2018 Summer League, 14 April, 2 June and 30 June. It was suggested that the number of swims restrictions be removed from the Winter League Rules to encourage entries from Clubs. CV to produce draft rules for discussion and approval at the League AGM. 12. DISABILITY REPORT Clubs were again reminded that a volunteer is required to take on this role. JW has said that she will be happy to assist during the transition period. 2
13. MASTERS REPORT CV thanked DG for helping EH with the Team for the Masters Intercounty Gala. Thanks also went to DR for helping with provision of officials. 14 OPEN WATER REPORT DR continues to represent the County at East Region as no one has come forward to take on this role. DR reported that the Open water Championships went well in 2017 and thanked SE for her help. He reported that the East Region Championship Age Groups, in 2018 they will be 1km, 2km, 3km and 5km. 15. WATER POLO REPORT 16. REGIONAL REPORT 17. OFFICIALS REPORT SC added that Jo White of West Suffolk had qualified as a referee in 2017. DR informed the meeting and congratulated SC for being accepted on the British Swimming Referee Development Programme. 18. WEBSITE REPORT PE advised the meeting that the domain fee will be increasing. 19. PRESIDENTS REPORT SE reported on her year, see below: Diary of a President, aged 50 and a bit! November And so it begins! My first official duty was to present Dave Whelan with a memento in recognition of his many years service to the county. I think it s going to be a busy year. December Not so busy yet! January What an exciting time at Crown Pools for the Winter League Grand Final. I presented five trophies and it was great to see that they went to three different clubs. February County Champs was always going to be very busy! At least I couldn t present any medals until I d run off the results! I entertained Ian Knight, East Region President with the help of Chris Vinter in the spectator gallery and my support team in the office. March 3
I doubled up duties again for the event previously known as The Three Counties. Running the meet in conjunction with the SportsPark staff again meant that the sooner I got the results out the sooner I could present the trophy. Congratulations to the victorious Suffolk swimmers (not that I was biased)! April The Swimability Meet in Lowestoft was an enlightening evening. The smiles on everyone s faces from the competitors to the young volunteers from Lowestoft and Oulton Broad made for a fun time. May Here comes a busy month! A day spent in Luton watching the older swimmers at Regionals. Along with Ian Knight and Bedfordshire President Rosemary Currell, I presented a number of medals to Suffolk swimmers and others from the rest of the region. A second day out this month, up to Norwich this time. More medals and trophies for Suffolk swimmers. June No major journeys this month but still plenty to keep me busy. More medals and trophies at the Development Meet and then the Summer League Grand Final. July I ve never been to an Open Water event before. Fortunately, the weather wasn t too unkind and we kept dry on the pontoon. I presented more medals along with Ian Knight and incoming Swim England President Richard Whitehead. Didn t try to arrange things so that I could present medals to the Suffolk swimmer at all! August A well earned summer break. September Family commitments meant that I was unable to attend the Junior Inter County competition in Luton. October A wedding and club competition meant that the National Inter County Competition in Sheffield was just too far to get to. November The year has gone out on a high! Another day in Norwich for the Winter Regionals. I met the new East Region President Stuart Murray who I will be welcoming to Suffolk for our Counties next year. Definitely made sure that I presented trophies to Suffolk swimmers. My last event was the East Region Master Team event in Newmarket. Great to see some familiar faces racing rather than officiating or coaching. I m going to recommend that we retire the current chain and replace it with something easier to wear. The history needs to be preserved but the chain has become unwieldy. And so it s time to handover. Good luck Debs! 20. APPROVAL OF COUNTY CHAMPIONSHIP CONDITIONS It was agreed that this item will be removed from future AGM agendas as the meet conditions are now subject to approval by the East Region Licensing panel. 22. APPROVAL OF COUNTY LEAGUE RULES Agreed as approved at the League AGM. 23. ANY OTHER BUSINESS LP asked if the County were also planning to hold reverse 800/1500 championships going forward. It was agreed that this would be considered for future years, possibly in discussion with Norfolk. 22. DATE OF 2017 ANNUAL GENERAL MEETING The date will be 24 th November 2018 at a venue to be announced. 5
