5.1 General Information A number of rooms have been reserved for The International Congress on Planted Forests 2013 participants in hotels close to the venue. All the hotel selections are based on objective analysis of the properties and on a quality-cost basis. All the hotels chosen are of a very high standard at excellent discounted rates. All hotels are located within 290 m to 3,3 km from the Estoril Congress Center. Prices are in Euro ( ) and include VAT and breakfast (except where otherwise specified). All rooms have private bath or shower. To ensure that you get your preferred accommodation from the list, we advise you to book your room(s) as soon as possible. Important Notes Reservations will be made according to the check-in and check-out dates indicated on your online reservation. If you wish to make any changes to your reservations you can do them online or in writing (by post, fax or email) until 26 April 2013. After this date changes are only accepted in writing. All changes made in writing must mention your PRN "Personal Registration Number" which you will receive when you book your accommodation. All dates are based on Portuguese standard time (GMT). 5.3 How to pay Credit Card Accommodation is only payable via credit card. Hotel booking can only be processed or guaranteed when the cardholder's details are provided in advance (online). Only Visa, Master Card, American Express will be accepted. Credit card data will be given to the selected hotel to guarantee your room(s), as well as for payment of late cancellation or no shows. Confirmation of accommodation will be made once credit card details has been confirmed and verified. The first night of your stay will be charged as soon as the hotel receives your reservation. The remaining payment for accommodation will be made directly to the hotel at checkin/check-out. Accommodation invoices will be issued directly by the hotel at checkout. 5.4 Cancellations, Refund and No Shows All cancellations can be made online or in writing (cancellations will be accepted by fax or email) to CPL Events and received by the congress secretariat by 26 April 2013. All cancellations after 26 April 2013 must be made in writing (fax or email). All cancelations made in writing must mention your PRN "Personal Registration Number". After 26 April 2013 or in case of a "no show" the number of nights reserved will be charged. In case of cancellation, no refund will be made. 6.
