All complete entries will be posted online Competitors and persons completing the entry are asked to check the details carefully and to contact Laura Hillyard immediately with any errors. If you are entering teams please take the time to check you have included all the members of the team Final competitor confirmation and order of draw will be available online, via the events page of the swimming.org website approximately one week before the Championships. Please ensure your entry information is correct and notify the Events Officer immediately if there are any errors. ALL ENTRIES CLOSE: 12 Noon Thursday 17 th March 2016 All individuals and team entries and appropriate payments must be received by this deadline. Late entries, entries without payment or athlete photographs and entries incorrectly completed will not be accepted. Masters Free Combination Teams who have entered the Arena LEN European Masters Championships 2016 are invited to attend this event as an opportunity to swim their routine in front of judges ahead of the competition in May. Entrants will not be part of the championships and medals will not be awarded. However judges will provide a score and feedback. Please note teams will still be required to complete a Biogs form. 20 Teams wishing to request a swim should enter via the event online entry system where the Masters Free Combination Display is listed. The management team will then be in touch to confirm their swim.

If a swimmer is not appearing on the entry system please check whether it may be because of one of the following reasons: Prior to entry, if you/your swimmers have not updated your photo in the past 2 years (2013-2015) you/your swimmers will be required to upload an up to date photograph in Biogs. Entry will not be possible without this. You can check whether a swimmer has a photo by checking their Biogs page by CLICKING HERE. You can update your biographies page by using the same link. Anyone who has difficulty updating their data can find full instructions via the index page or CLICKING HERE. When uploading your photo to Biogs please follow these guidelines. 1. PHOTO: Clear Head and shoulders shot. Please crop it down if it s not. 2. SIZE: Width of 200 pixels 3. An easy way to resize is to open the photo in Microsoft Office Picture Manager. > Edit Pictures> Resize> Type 200 in Custom Width x Height and hit enter to adjust the height accordingly. Similar can be achieved in Paint. > Resize> Select Pixels > Type 200 in Width and the height will adjust accordingly> Select Ok. 4. If your photo is not suitable, it doesn t look like you, you may not be permitted entry into the event. All swimmers must be Category 2 members. Please refer to the Conditions for further information. Their membership category can be checked via the Home Country Membership Check. If you do need to register a swimmer as a category 2 members the club will need to work with the swimmer and contact the memberships department. The required skill levels are detailed in the conditions. A swimmer s Skill Level can be viewed via the Home Country Membership Check. To ensure your swimmers appear under your team on the entries page before the closing date, please ensure you contact ASA Memberships or the events office with any queries no later than 7 days before the closing date. After this time it cannot be guaranteed queries will be processed in time and swimmers will appear on the entry system. Please email Laura Hillyard. Throughout the Championships we will be providing in ear commentary and we will be live streaming and recording the event. In order for the commentators to provide some detailed commentary all clubs are asked to provide some biographical information on the athletes and teams and in order for the event footage to be available online all clubs must provide accurate details about the music being used during routines. Please use the links below to complete the online Biography forms. Or otherwise please fill in the forms at the back of this pack and return completed forms to the Event Officer via email Please return/complete these along with your entries by 12 Noon Thursday 17 th March 2016. Swimmers will not be able to enter the competition without uploading a photo, this photo will be used for accreditation; this is completed when entering the event using the online system. It is important that you follow the photo guidelines in the Uploading a Photo section to ensure the photo is suitable. Accreditation must be worn at all times inside the venue and athletes will not be allowed to gain access to the changing rooms or poolside without it. The location and times of accreditation pick up will be confirmed in the team confirmation pack. If you lose this accreditation you will be charged a replacement fee of 10.00. Any coaches/chaperones wishing to gain access to the changing area and poolside will need to apply for a coach/chaperone pass. Please note all pass applications must be made online via the ASA website. Synchronised Swimming Annual Coach Passes will not be available for purchase this year. The cost of a pass for this event is 7.00. to apply for your pass. Every club needs to have a Level 2 Coach on poolside at all times, a Level 1 coach can apply for a coaches pass but they will need to be accompanied by a Level 2 coach at all times. Only coaches with these qualifications will be issued with a pass. - If your highest qualification is a Synchronised Swimming Assistant Teacher or Synchronised Swimming Coach Level 1 you will be issued with a Level 1 Coach pass. - If your highest qualification is a Synchronised Swimming Teacher or Synchronised Swimming Coach Level 2 or higher you will be issued with a Level 2 Coach Pass. Failure to show your pass will result in not being able to access the poolside. Any chaperone found to be coaching on poolside will have their pass removed. Please ensure the Coach/Chaperone has relevant DBS disclosure issued by ASA/WASA/SASA. If there is any doubt as to whether the coach/chaperone has the relevant DBS disclosure please contact: 01509 618738 01509 640261

Please be aware the application process for a DBS could take up to 4 weeks to complete and is valid for 3 years from the date of issue. The closing date to apply for a pass: 12 noon 1 st April 2016 Please note a late additional fee of 20.00 will be payable if you apply for a coach pass after this closing date. Passes will be available to collect from the event at the Clerk s Desk from the start of warm up on Saturday 16 th April. Lost/replacement passes will be charged at 10.00. Whether by accident or on purpose, doping is against the rules of the sport. The ASA and British Swimming promote a culture of doping-free sport. Athletes are advised that Anti-Doping control may take place during these Championships. Please ensure you keep your accreditation on your person at all times, as this will be used for identification. For this event we will be offering an event bundle price of 5 for the Official Programme and commentary Ear Piece. 5.00 3.00 4.00 - buy one get the second half price (if the first is brought at full price) The ASA and British Swimming are aware of the wide range of devices including mobile telephones which have photographic and filming capabilities. This enables the capture of both static and moving images. Used responsibly, such devices are perfectly safe, but sharing images widely may betray a confidence or identify of a child/children which may present a risk of harm to the child/children concerned. The use of such equipment is difficult to control but we can all be vigilant if you have any concerns in this area, please bring them to the immediate attention of the events officer present at the event. This event will be photographed and filmed. Static images will be displayed on the ASA and British Swimming website www.swimming.org and at the venue. They will be used to promote the sport at this event and events in the future.

Moving images will be displayed at the venue and on the live stream via www.swimming.org. In addition to the featuring the routines, swimmers and coaches may be asked for interviews to feature on the live and highlights footage. The safety of children and young people for the ASA and British Swimming is of paramount importance. If you have any child safeguarding concerns at the event please contact the Events Officer present at the event. Data Protection - Recording and Photography Images of individuals, whether in still photographs or moving film images, will often be caught by the definition of personal data in the Data Protection Act 1998. In many cases consent from the individuals will need to be obtained in order to process (capture and use) the images fairly and lawfully. The ASA and British Swimming may record the competition events in which you participate and general images of swimmers will form part of the information we hold and use. In addition to the purposes for general information set out above, the ASA and/or British Swimming may use these recordings and images for the purposes of education and training, swimmer analysis, promotion, performance, development and selection and event analysis. If you are a swimmer and have any concerns about being photographed/filmed at our events please complete the Refusal of Consent Form provided at the end of this pack. If you are a Parent/Guardian/Carer who has concerns about your child being photographed/filmed, please refer to the ASA Wavepower document section 2.5, pages 84-85. If you have any concerns in this area, please contact the Data Protection Officer.

ASA National Synchronised Swimming Championships General Conditions 1.1 The ASA reserves full powers over the ASA Synchronised Swimming Championships 1.2 The Championships shall be competed for annually under FINA Rules, the British Swimming Disciplinary Code and any additional conditions (printed in the respective Meet information). Where FINA Rules do not provide (for example: Health and Safety regulations and guidelines and Child Protection), the requirements of the ASA shall apply 1.3 Entries will only be accepted from: 1.3.1 Competitors registered as members of the Amateur Swimming Association (ASA) 1.3.2 Competitors from Scottish ASA (SASA) or Welsh ASA (WASA) and countries affiliated to FINA. 1.4 A Competitor must have been a registered member, or equivalent, of the club in whose name she/he is entered, at least 60 days prior to the first day of competition. 1.5 The promotion of the Championships shall be the responsibility of the ASA Management Group (The Promoters). The Promoters shall decide any matter that is not covered by these conditions. 1.6 These Championships shall be held at a venue and for a period determined by the Promoters 1.7 The date and venue of the Championships shall be decided by The Promoters 2 Entry Qualifications 2.1 All competitors shall have obtained the appropriate ASA Synchronised Swimming Skill Level (as listing in table 1) by the closing date of the Championships, or such equivalent standard as shall have been agreed by The Promoters for competitors referred to in 1.3.2. Table 1 Event SOLO FIVE (5) DUET FIVE (5) ASA SS Skill Level TEAM FOUR (4) FREE COMBINATION FINA Junior Figures FOUR (4) No Skill level required 2.2 A competitor may enter only one Technical Solo, one Free Solo, one Technical Duet, one Free Duet, one Technical Team, one Free Team and one Combination 2.3 Minimum age for entry for all competitors is 15 years of age on the 31 st December in the year of the competition. 2.4 Competitors representing England/GB Team will be jointly entered as England/GB and their home club for figures, Solo and Duet Championships events. Competitors from the England/GB Team who are registered with different clubs swimming in the Duet, Team or Free Combination events will swim in the Open event 2.5 In all events female and male entries will be allowed. In the mixed duet entries must be for one male and one female. 2.6 No club may enter more than two (2) Free Combination Routines. A Free Combination has four (4) to ten (10) competitors who make a combination of routines. 2.7 The total number of competitors entered for a duet shall not exceed three (3) 3 Method of Entry 3.1 On-Line entry system contact - National Events Department, Pavilion 3, SPORTPARK, OAKWOOD DRIVE, LOUGHBOROUGH, LEICESTERSHIRE, LE11 3QF. 3.2 Entries shall be submitted to the ASA Events Department together with the appropriate entry fees, no later than 12:00 noon 17 March 2016. An updated photograph of each competitor must be also submitted online. 3.3 All music information must be registered with The Limited Manufacturing License, Mechanical-Copyright Protection Society. (MCPS) 3.4 All music shall be recorded on a CD one routine per CD with a lead in of 4 seconds. 3.5 Competitors shall report to the Clerk of the Course not less than 30 minutes prior to the start of the event.

4 Championship Events and Open Events (swimmers referred to in 1.3.2) 4.1 Junior Events 4.1.1 FINA Junior Figures (15-18 years old) 4.2 Senior Events 4.2.1 Technical Solo Championships (18 years and older) 4.2.2 Technical Solo (Open) 4.2.3 Free Solo Championship (15 years and older) Top 6 swimmers from Junior figures. Top 6 Swimmers from Technical solos 4.2.4 Free Solo (Open) 4.2.5 Technical Duet 4.2.6 Technical Duet (Open) 4.2.7 Technical Mixed Duet (male and female) (18 years and older) 4.2.8 Free Duet (15 years and older) Top 6 pairs swimmers from Junior figures. Top 6 pairs from Technical Duets NB: If the pair comprises one senior and one junior swimmer, they must compete in the Technical Duet 4.2.9 Free Duet (Open) 4.2.10 Free Mixed Duet (male and female) (18 years and older) Top 6 pairs from Technical mixed duets 4.2.11 Technical Team (Championships 4.2.12 Technical Team (Open) 4.2.13 Free Team (Championships) 4.2.14 Free Team (Open) 4.2.15 Free Combination (Championships) 4.2.16 Free Combination (Open) 4.3 Open Event International competitors listed in 1.3.2 may enter all events 4.1.1 4.2.16 in the Open section. If England/GB Teams (Technical, Free and Combinations) enter, they will compete in the Open section. 4.4 The final scores in figures, shall be calculated using FINA scoring. All routines are 100% 5 Routines 5.1 Time limits for Technical routines and Free routines, including ten (10) seconds for deck movements shall be: Table 2 Event Routine Time Limit Allowance Solo Technical Routine 2mins 00 secs Fifteen (15) seconds less or plus 5.2 The accompaniment and judging shall begin upon a signal from the referee. After the signal, the performance shall continue without interruption. 5.3 The names of the competitors in the Free Duets must be submitted to the Referee in writing within two hours of the Figure and/or technical routine results being available, and also the competitors in the Free Team and Free Combination Team or at such times as stated in advance by The Promoters. Changes after this time may only be made in the case of sudden illness or accident of a member of a Duet or Team, and if the reserve is ready to compete without delaying the event. If a reserve is not ready to compete without delay the duet or free combination shall be disqualified. 5.4 If the lack of a reserve reduces the team or combination size to less than four (4) the team shall be disqualified. 5.5 Failure to notify the referee of substitution and/or deletion shall result in disqualification. 6 Order of Appearance Free Routine 2mins 30 secs Fifteen (15) seconds less or plus Duet (incl Mixed) Technical Routine 2mins 20 secs Fifteen (15) seconds less or plus Free Routine 3mins 00 secs Fifteen (15) seconds less or plus Team Technical Routine 2mins 50 secs Fifteen (15) seconds less or plus Free Routine 4 mins 00 secs Fifteen (15) seconds less or plus Free Combination 4 mins 30 secs Fifteen (15) seconds less or plus Order of appearance for all events shall be selected by a random draw.

7 Officials Technical Officials for all events shall be selected by The Promoters or its delegated agent from lists approved by FINA, LEN, the ASA, SASA or WASA. The Referee shall be approved by The Promoters. 8 Victory Ceremonies Finalists must proceed to the marshalling area for the parade when requested to do so. Appropriate clothing, e.g. full tracksuit and training shoes must be worn for the presentation. 9 Competitors Accreditation Accreditation cards, which will afford admission to the event, will be issued to competitors on arrival at the venue. 10 Safety All competitors are required to ensure that they observe all safety announcements and conduct themselves with safety in mind at all times. 11 TV, Video or Close Range Photography When the competition involves young persons under the age of 18 years it shall be a requirement that staff shall be appointed at the entrance control to register details of any persons wishing to engage in any video, zoom or close range photography. 12 Doping Control Competitors taking part in the Championships may be subject to random doping control. Accreditations cards with photograph identification will be accepted. 13 Trophies and Medals 13.1 Medals will be awarded to competitors who are placed first, second or third in Junior Figures, Technical Solo, Free Solo, Technical Duets, Free Duets, Technical Teams, Free Teams and Free Combination 13.2 A Medal will be awarded to the Junior who with the highest place in the Free Solo. 13.3 Medals will be awarded to the Junior Duet with highest mark in the Free Duet Competition. 13.4 Medals shall be awarded to competitors referred to in 1.3.2, who are placed first, second or third in t h e Figures events. 13.5 A Medal will be awarded to the competitor referred to in 1.3.2, (Junior) with the highest place in the Free Solo. 13.6 Medals shall be awarded to competitors referred to in 1.3.2 who are placed first, second or third Championship events (Technical Solo, Free solo, Technical Duet, Free duets, Technical Team, Free Team and Free Combination. (medals will also be presented to those reserves who swim in Duet and Team and combination events and achieve these places). 13.7 Only swimmers registered with an ASA England club will be eligible to receive a trophy listed in 13.7.1-13.7.4 13.7.1 The Holland Trophy shall be awarded annually to the swimmer, that is registered with an ASA England Club) with the highest total of routine scores in the Free Solo, Free Duet, Technical Team, Free Team and Combination Events. (from Open and Championship events) 13.7.2 The Colin Lushington Trophy shall be awarded annually to the swimmer with the highest score from the Technical Solo event (from Open and Championships events) 13.7.3 The Helen Elkington Trophy shall be awarded annually to the swimmer with the highest score from the Free Solo event (from Open and Championships events) 13.7.4 The Spencer Trophy shall be awarded annually to the pair who are registered with an ASA England Club with the highest score in the Duet Free Routine (from Open and Championships) 13.8 The Redwood Trophy shall be awarded annually to the English Club team with the highest routine scores from the technical and free team routines added together from the Championships. 13.9 The Gemma Yates Trophy for Endeavor shall be awarded at the discretion of the Yates family.
