MASON ELEMENTARY SCHOOL PTO BOARD MEETING SEPTEMBER 27, 2016 SEPTEMBER MINUTES President: Adrienne Nash Hospitality: vacant Vice President: Amy Lyons Membership: Misty Cooper Treasurer: Kelly Sendoykas Secretary: Alison Kosel Fundraising: Shannon Goodwin Communications Design/FaceBook Rep: Krista Somers Board Rep:Jeff Somers Volunteers: Erin Cavataio & Katie Batts Principal: Mr. Roy Bishop Teacher Representative: Mrs. Cole Call to order- 7:00 by Adrienne Secretary Report - Alison Kosel Approval of minutes from last onth's meeting, motioned by Amy, 2nd by Erin. Sign-in sheet passed around. Request for Thank You cards to be sent to Kroger (Mack) for a $25 gift card that went towards items for the Ice Cream Social and Biggby (Mack) for donating coffee for the Room Parent Tea. Condolence card to be sent to Gina Green in regards to the passing of her Grandmother. Officers' Report : Teasurer Report: Kelly Sendoykas Need to approve 2016/17 budget proposal. Overview - Budget created based on previous years.it is underestimated so that if there is extra left over, it is a bonus. Had to add to the budget because of new Young 5 classroom, but there was an extra 5th grade class last year, so it evens itself out. Small committee meeting with higher officers will be assembled to make sure the budget is on track for the year. It was mentioned last year, and brought up again at this meeting, to look into adding Netflix for

classrooms so there is more to do and watch when weather does not permit students going outside. Amy motioned to have an allotment of money (no discussed amount yet) from the budget to go to this, Misty 2nd the motion. President Report : Adrienne Nash - Gave out a few copies of the PTO Bylaws and they will also be posted on the school's website. Would like to add that a vote on any issues brought up at meetings should be done to ensure any voiced concerns or objections are addressed. (Jumped to Shannon Goodwin to do Committee Report on Fun Run Update) - Fun Run, Friday October 28th at 1:30. Theme is again Superheroes. Kick-off Assembly will be held, and prizes from the Prize Patrol will be handed out on Mondays and Fridays. Friday November 4th will be the big Prize Assembly. Grade Competitions - new this year. Teachers are asked in each classroom to talk about GRADE level competing to earn the most money. The grade (not classroom) that brings in the most donations will have a pizza lunch. Treats will be given to everyone to acknowledge their competing. The Top 10 pledgers will also be acknowledged. One change this year regarding Fun Run - Schoolwide goal is still $15,000, but the students will know that if we reach the goal of $20,000 Mr. Bishop will be in a dunking booth dressed as Superman to give students a chance to dunk him. Hopefully, this will motivate students to get higher than usual donations. Shannon, Kelly and Misty's husbands will once again dress up as Superheroes the day of the event. Fun Run store prizes changed and are too expensive. We have credit for temporary tatoos and TCBY will be donating coupons. We will have glowstix, keychains, and Gold medals to give out as prizes. Need an idea for a $50 pledge prize. Creating/making Mason Buttons was suggested. In addition to coupons given for the Fun Run, TCBY will be giving a large amount of extra freebie coupons to be used at Trunk-or-Treat and to be given out in the front office. Raffle - bikes most likely still a go. Tech Prize - mentioned Beats headphones or possibly mini ipad instead of a Kindle this year. Will check on pricing of each. Discussed possibly using Kona Truck again as an all school treat the day of the Prize Assembly. But, because of the amount of time a dunking booth may take if our higher goal is met, it may just be lollipops. Mr. Bartos is once again DJing the Fun Run event. A Sign-Up Genius will be set up to get more parent volunteers. Class Colors - Mrs. Cole will be talking with other teachers and assigning class colors. Need to price cost of sticker running bibs to be used instead of ones that pin to shirt, or are worn on string around the neck. Vice President report: Amy Lyons - Nothing to report as of now.

Committee Reports - Fun Run Update - Shannon Goodwin - see above. Fall Fest Update- Chaired by Erin Cavataio, Katie Batts and Amy Lyons. Event to be held on Saturday October 22nd from 2-4pm. The first hour will include donuts and cider, chili cook-off, simple games and Lou's Pet Shop is coming to put on a demonstration. There will not be pumpkins for sale this year. The second half of Fall Fest will be designated for Trunk-or-Treat. This year, there is no entry fee but families choosing to be involved will provide their own candy, preferably nut-free. There is a $5/child fee to participate in this event. Discussed having an ipad at Trunk-or-Treat to sign families up for Kroger rewards. If a family signs up on the spot, one $5 fee to the event would be waived. Krista inquired about a past discussion regarding a Garden Budget for the front of the school. Wants to make our entry way look better. Both Adrienne and Krista have offered to come and plant mums. Someone will look into seeing if any nearby nursery businesses would be willing to donate garden plants and flowers. Haunted Garage Update - Jen Michalski Event to be held on Sunday October 30th from 6-9pm, with a rain date of Monday October 31st. $10/entry with Mason receiving $4 of that back. Once again, their will be blinking lights for those younger children, or anyone else, who do not want to be too scared. Credit cards will be accepted at the door for those who do not pay ahead of time. Some schools are doing PayPal, and there is also a Square Account, but doing it that way takes approximately 3.75% away from each transaction. A flyer will be set up and used for those paying in advance. Copies of the flyer will be made and put in backpacks and it will also be posted on Mason's PTO FB page. The owner and operator of the Haunted Garage may send out a Robo call to remind everyone about the event. Need two Mason volunteers to help out the night of the event. one from 6-7:30pm and another from 7:30-9pm. Santa Breakfast - Anna Kociba chairing, Jen Michalski running the shopping room. Event to be held on Saturday December 3rd. The Pancake Guy is returning. There will once again be two seating times. We need someone to dress up as Santa. Spirit Wear Update - Cynthia Lattimer Approximately 41 orders so far, and others trickling in. deadline to order is September 30th. Monty Card Update - Alison Kosel and Amy Lyons The cards are out and available through Monteith Elementary school PTO (contact person is Rochelle). Waiting to bring to Mason familys' attention until after the Fun Run. President Report : Adrienne Nash (CONTINUED from above) -

Smencils - scented pencils that cost approximately $0.50/pencil and could be sold at $1.00/pencil to raise some money, or they could be purchased by PTO and used as a Fun Run prize giveaway. Back to School Supply Kits - Ferry and Maire Elementary parents and teachers bought in bulk and put together baskets over the summer of grade specific school kits to be sold and put on student's desk the first day of school. If Mason decided to try this, the kits would be sold at cost with no profits desired. Will continue discussing this topic throughout the school year. Teacher Representative Report - Mrs. Cole Young 5's class and two Kindergarten classes are once again doing a Fall Apple Orchard field trip. They will need two buses to transport them to and from, and once again this will be paid for and provided by Mason PTO. As a change this year, instead of the Kindergarten classes doing a Spring Zoo field trip, both K classes and the Young 5's class will do a field trip to a farm. The zoo field trip is close enough for parent volunteers to drive students to and from. A Farm field trip would once again require the use and expense of two buses for transport. Vote for buses to be added to the budget for this Spring field trip motioned by Erin, and 2nd by Amy. Mrs. Cole will talk to other teachers and assign class/grade colors that will follow the students each year as they progress through Mason. Discussed the addition of A/C to the school building. It is a costly matter that will also take a lot of time to do. Needs to be discussed further, and possibly set up a seperate fundraiser to raise money specifically for this. Will need to be done in stages over the course a few + years. Principal's Report/Ideas/Proposals - Mr. Bishop Big Thank You for the warm welcome to our Mason Family. His goal is to keep buidling strong relationships first to anything else. Proud Dad's Club - Wednesday October 4th at 6:30 in the gym. One meeting for the entire year that will last 1 to 1 1/2 hours. This is a meeting to get dads more involved. Will suggest to the dads that they can look into the desired A/C addition to Mason. Also, suggest that the Dad's Club take over planning and organizing the Mother/Son Dance. October is National Bully Awareness Month - Wants to discuss bullying compared to peer mistreatment. Mr. Bishop wants to empower those being bullied and also those bystanders that witness it. Inclusion is very inmportant! One Community, One Family. Adrienne suggested incorporating discussions of bullying on a parents level. Bullying will not be tolerated at any age. Everyone deserves respect. "Mindful Program" was mentioned. It helps focus better. Needs to be discussed further at the next meeting to determine cost and specifics. Evacuation Drill - scheduled for Friday September 30th to Parcells Middle School. Safety is our first priority. Asks that no students leave school at that time, and no parents come on campus during this drill.

Had a successful Fire Drill. Wants to do Coffee with Mr. Bishop to get the community more involved at Mason. Would occur about once per month with parent driven topics at each meeting. Wants to build the feeling of community and communication. Announcements - Jet's Pizza fundraiser will be held the 2nd Tuesday of every month from 4-8pm and includes delivery. The first one brought in $800-900, which Mason receives a percentage of. Motion to Adjourn - 8:40 by Adrienne. 2nd by Amy.
