Lawful Purpose Expenditures (August 2016) Routine (City of WBL taxes) Routine (City of Vadnais Heights Update Investigation Employee theft The city of Maplewood was unable to press charges. They didn t have enough evidence. The city of White Bear Lake is still reviewing it. There was an employee who was working raffles and gained access to the back up bank funds in the safe. There was $500 stolen from McCarron s and $600 stolen from the White Bear Bar. Donation to the City of Vadnais Heights There has been some discussion regarding a possible donation to the City of Vadnais Heights Fire Relief, however, we received a donation request from Terry Nyblom of the Vadnais Heights City Council for the skate park they are building. They ve raised $25000.00 so far and are looking for donations. Chris LeClair made a motion to donate $3000.00 for the Vadnais Heights Skate Park. Heide Geir seconded. Motion carried. Annual Audit Last year we used Abdo, Eick and Meyer to complete our annual audit. The cost of the audit was $10,000 which was significantly higher than our previous audits. In addition to the $10,000 was the cost to complete the 990 and 990T. I ve done some research and found a certified accountant that deals with charitable gambling and they gave me a proposal to do the audit for $6500 and the 990 and 990T for $1100 for a total of $7600 The board and membership agreed to stay with the current accounting company. Village Sports Bar WBL Donation I ve received a check for $104 from the Village inn for the months of March, April and May. For every burger that is purchased $1 goes to the WBL Hockey Assn. Handheld Devices
The contracts for handheld bingo devices state that the charitable Gambling will lease the handhelds for 1 year for $55 a unit (30 units per month) for $1650 a month. The following year, it will increase to $65 a unit. We will have the handhelds at Saks, Village, Jimmy s and McCarron s. We will be adding 3 new bingo occasions in September so that each location has bingo twice a week. Along with handheld, we will now have the TV s working in conjunction with the devices and our bingo caller and we will now have the balls and caller live on the designated TV s. The purpose of adding the handhelds is to increase our bingo profits. Calendar Raffles If we are going to conduct the calendar raffle again this year, we need to vote to approve it so that we can move forward. Will we be doing the calendar raffle again this year? An email was sent to the board by Joel Cessna on 7-20-16 asking for an electronic vote to move forward with the Calendar raffle for this season, requiring each family to sell 6 calendars at a cost of $25.00 each. Should a family elect to opt out, the fee to do so would be $100.00. Brian Griffin seconded. Motion carried. Gambling Managers Salary Increase Request I ve met with Kevin McFarlane (President) Sarah Smith (Girls Director) and Joel Cessna (Boys Hockey Director) to review my job duties. The last increase I received was 3 years ago. Since then our sites, sales and functions have doubled or tripled. We have also added event planning to the list of my job duties (the season kick off party and the player appreciation party). Joel Cessna motioned to increase Chris Olson s pay from $1000.00 per site to $1250.00 with an annual review with the board and 3-5 association members approved by Kevin McFarlane. Scott Ide seconded. Brian Griffin approved June s meeting minutes. Scott Ide seconded. Motion Carried. Open Forum: Sean Padden spoke in regards to the VFW State Tournament. The tournament is Sept 17 and is being moved to WBSC. It is currently a 10 team tournament. He needs volunteers to help with minor officiating and concession, would also like volunteers to help with the skills training. He wants to bring back the banquet and asked that the board brainstorm some ways to get volunteers to step up so that this banquet can be brought back. Kevin McFarlane suggested that we start by putting together a committee and move forward from there. Secretary s Report: Jessica Goeltl Sarah Smith sent an email on 7-30-16, requesting to make a motion to purchase a gift card from Strauss for $300.00 to help replace her gear that was lost in a house fire. Scott Ide seconded. Motion passed. 4. Treasurer s Report: Heide Geir General fund: $80,266.00 Still receiving money for summer training Meeting with the accountants on Friday, July 15, to go over financial statements Need to get something in writing that states how we are paying the tournament director, ice scheduler, concession, etc 5. 2 weeks to go until the golf tournament. We currently have 15 foursomes signed up. Going to send out an email to the Alumni Polar Chevrolet is sponsoring a hole Donations and prizes are still filtering in 6. Vice President of Hockey Report: Kirk Miland Would like to increase coach s reimbursements. Discussion was tabled and will be discussed at a later date Registration to open on August 1 st. Deadline to register will be at 11:59pm on September 23 rd. Swap meet and Jersey pickup will be September 24 th from 10am 2pm. Boys tryouts will have level coordinators involved. The level coordinators will also be at 1 practice per team per month to see how the coaches are doing. Would also like to have evaluators go to the tryouts to make sure they are being run fairly. This would also deflect complaints from coaches once teams have been chosen. Tentative dates for tryouts: Peewees beginning October 8 th, Bantams beginning October 1 st, Squirts will be held after MEA and Mites the last week in October. Prior to tryouts he d like to have an all association parent meeting, hopefully at the end of August for each level where details can be explained to parents so that they know what to expect during tryouts and once their child has made a team. All tryouts will remain closed. Would like to have 1 or 2 dedicated goalie guys 7. President s Report: Kevin McFarlane Met with Ramsey County commissioner Blake Hoffman who made it clear that he doesn t care about WBL hockey, only Moundsview. The Vadnais rink has given over 50% of our ice to them. This has shortened our tournament hours by 50 hours Ramsey County is trying to figure out a way to purchase the WBSC. Pushing to change the name of the Hippodrome to the Fred Espe Hippodrome. Would like to get this done as soon as possible with a plaque out front and new sign. D2 Representative: Chris LeClair Level 4 classes are September 17-18 in Bloomington. U15 will no longer have A&B specific tournaments, can register for either.
MN hockey is making ½ sheet ice games for Mites until December 31 st and then after that they are allowed to have 6 full sheet games. Parity rule is GONE! Forest Lake petitioned down AA Peewee and Bantam to single A. Will have B1/B2 squirts for 2 years and then will reassess and see if it s working. Need Preliminary declarations in August and final declarations in September. 8. Motion carried. Would like to start to registering for C tournaments 9. Girls Hockey Director report- Sarah Smith Manitou days parade went great. There were 27 girls and the U19 girls with the State banner. July 31 st is the banner raising at the WBSC at 3:30pm Would like to give Hannah Anderson her shadowbox that day. Coaches applications are due by July 18 th and will then set up interviews if applicable. Girls High School team is looking for sponsorship donations for their golf tournament. Sarah Smith made a motion to donate to the girls and boys high school teams $1000.00 and an additional $450.00 for their golf tournaments, for a total of $1450.00. Kirk Miland seconded.
