ORGANIZER GUIDE- EXTENDED

A B Setting up and running a tournament on Battlefy Understanding the player experience on Battlefy

A Setting Up and Running a Tournament on Battlefy 1. Create an Organization 2. Add staff 3. Create Tournament 4. Tournament settings 5. Adding registration fields 6. Creating a bracket 7. Seeding your bracket 8. Running The Tournament

1. Create an organization First you will need to create a Battlefy organization that will host your events. To create your organization, go to www. battlefy.com, create an account or login, and then click organize BATTLEFY ORGANIZATION The entity that will host your tournaments. Contains a list of upcoming tournaments for your organization as well as branding and staffing capabilities Fill in your organization name, as well as a short description. You can also brand your organization here. Check out how Blizzard s Heroes of the Storm team branded one of their organization portals. 1 support@battlefy.com WE ARE HERE FOR YOU! <3

2. Staff While creating your organization, you will notice that you can add additional admins to help run your events In order to add staff, each person must have a Battlefy account. Enter their Battlefy username (case-sensitive) and select a permission level. 2 support@battlefy.com WE ARE HERE FOR YOU! <3

3. Create Tournament Either by clicking on the organize navigation option or by clicking the create button on your organization page Next, select your game. You may have to search for the game title using the search bar 3 support@battlefy.com WE ARE HERE FOR YOU! <3

4. Tournament Settings You will be asked for the following information: Tournament name Tournament start date Tournament start time You can also brand your tournament and add additional information for your players In the Settings section, you will be asked for the following: Tournament type (1v1 / Team registration / Free agent draft / Pre-Made & Free Agent) 1V1 Use this if solo players will be competing against one another PRE-MADE TEAMS Use this if the number of players per team is 2 or more FREE AGENT DRAFT Use this if you will accept only solo players and are willing to draft them onto teams before the tournament begins PRE-MADE & FREE AGENT Use this if you want to allows full teams to sign up as well as free agents that you will draft to teams before the tournament starts We recommend using the Free Agent Draft & Pre-Made & Free Agent only for tournaments up to 16 teams but no larger. 4 support@battlefy.com WE ARE HERE FOR YOU! <3

The amount of players per team at minimum A tournament registration cap Whether you want to use the Check-In feature Whether you want to let players report their own scores (technically called distributed score reporting ) Whether you want to enforce mandatory screenshot uploading when a player reports a score) TOURNAMENT REGISTRATION CAP A limit to the amount of players who the organizer will seed into the bracket. Register fast before the tournament fills up! TOURNAMENT CHECK IN Use this if you are opening registration in advance of the tournament start time. Some of your registered players will not show up for your event and you can avoid seeding these no shows by using the check in feature PLAYER SCORE REPORTING Enabling this option means that players will be able to report their own scores for matches. We recommend you use this feature for tournaments with more than 64 competing players MANDATORY SCREENSHOT UPLOADS Enable this if you want players to be required to upload a screenshot when they report their own score. We recommend using this feature to reduce the number of false score reporting in tournaments Game Server (if applicable) Console Platform (if applicable) Game Mode (For League of Legends only) Game Type (For League of Legends only) Number of picked Hearthstone classes (For Hearthstone only) Whether you want to require password verification at registration 5 support@battlefy.com WE ARE HERE FOR YOU! <3

5. Custom Registration Fields All tournaments on Battlefy will, by default, require players to enter in the appropriate in game name identifier associated with the game title. Organizers can ask additional information from players such as email, country, Skype name, Paypal address etc. Organizers can toggle these fields between private (only you see it) and public (everyone can see it). Organizers can export the data collected in custom fields into a csv/excel file from the participants menu at any time. 6 support@battlefy.com WE ARE HERE FOR YOU! <3

6. Creating a Bracket Battlefy has four types of brackets you can select from and combine in any way you want Single Elimination Double Elimination Round Robin Swiss SINGLE ELIMINATION Players are seeded into a bracket and play until eliminated or crowned the champion DOUBLE ELIMINATION Players are seeded into a bracket and play until they have been defeated twice. Sometimes called Double Knock-Out ROUND ROBIN Players are seeded into groups. Each player inside a group will play each other player in that group once. Sets between players may be set to a Best of X or # of matches format SWISS Play proceeds in sequential rounds. In the first round, all players are randomly paired against an opponent. Once all matches in the first round are complete, generating the second round will pair winners vs winners and losers vs losers. This proceeds for as many rounds as the organizer wishes Select the minimum number of rounds that Battlefy provides after you enter the number of participants. This is our recommended number of rounds for a Swiss tournament and if all rounds are played, only one participant will have a perfect score We will go over how to set-up a single elimination bracket in the section that follows. If you have further questions about the other bracket types, please reach out to us at support@battlefy.com to learn more. 7 support@battlefy.com WE ARE HERE FOR YOU! <3

You will be asked the following: Bracket title Bracket start date Bracket start time An option to enable match check-in # of teams that will be in the bracket (you can edit this later) Round information MATCH CHECK-IN Enabling match check-in will require players to check in for each match that they are paired in on Battlefy. When a player checks in for their match, a countdown timer will start indicating how long their opponent has to check in before they are disqualified. We recommended enabling this feature for tournaments larger than 64 players. It will reduce the amount of times you have to deal with players asking you to advance them as a result of their opponent abandoning the tournament. ROUND INFORMATION Additional text can be added to elimination brackets so that players have the relevant information they need to play. Hosting a Call of Duty Tournament? Add in the maps to be played by round. Want to schedule rounds to be played? Let your players know when each round should start using this feature. 8 support@battlefy.com WE ARE HERE FOR YOU! <3

7. Seeding a Bracket Battlefy allows you to seed all players or a portion of players based on the seeding filters you wish to apply. Seeding Filters: Checked In Only Not Previously Seeded CHECKED IN ONLY Removes players from the seeding list that have not checked into the tournament. Use this if you do not want to seed players who have not indicated they are ready to participate NOT PREVIOUSLY SEEDED Removes all players from the seeding list who have already been seeded into another bracket in the tournament. Useful for splitting large sums of players into multiple brackets 9 support@battlefy.com WE ARE HERE FOR YOU! <3

After filtering the seed list, you can proceed to seed players in two ways AUTOMATIC SEEDING If you are a first time organizer, use Automatic seeding Select Auto-Seed to get started and you can then seed players either randomly or via registration order RANDOM SEEDING Using this option will seed players into the bracket in a random fashion. We recommend this option for most tournaments SEED BY REGISTRATION ORDER Using this option will give priority seeding to players that have registered first in the tournament. Next, select the amount of players you want to seed into the bracket. 10 support@battlefy.com WE ARE HERE FOR YOU! <3

Click Generate Bracket After generating the bracket, you will be shown a preview. Double check your seeding and click Start Bracket once you want players to begin playing Manual Seeding Battlefy allows you to seed teams/players into specific seeding slots using the seed table and lock commands. As these are advanced features, we recommend trying the aforementioned automatic seeding for your first tournament. Contact us at support@battlefy.com if you have further questions about manual seeding 11 support@battlefy.com WE ARE HERE FOR YOU! <3

8. Communication Once you have started your bracket, your players will receive their first round matchups, or be notified if they have a BYE in the first round. More information on the player experience is in the following section of the guide. A typical organizer s primary focus while running an event is on the following: Answering questions Handling score disputes Advancing teams on the bracket In order to facilitate this, we recommend a useful communication tool such as Discord. However, organizers on Battlefy use a variety of tools to connect with their players including: Twitter, Facebook and IRC. Every quality organizer on Battlefy has a communication channel. Additionally, a chat room is available on Battlefy in each match that is only accessible by the tournament administrators and relevant players. This is a useful tool for players to communicate while setting up the match lobby. 12 support@battlefy.com WE ARE HERE FOR YOU! <3

9. Score Reporting To report scores once the bracket has started, you will need to navigate to the match page where score reporting options are available. For large tournaments, we recommend using the search functionality to easily access a list of the matches you are looking for. Clicking on a match will take you to the match page. 13 support@battlefy.com WE ARE HERE FOR YOU! <3

Clicking on Report Score will allow you to report scores, as well as correct them should the need arise. 14 support@battlefy.com WE ARE HERE FOR YOU! <3

10. Need help? Battlefy has a support team that operates at most times during the week. From your tournament, just click the floating (?) on the bottom right of your screen to voice your questions, concerns and product feedback 15 support@battlefy.com WE ARE HERE FOR YOU! <3

3. Editing tournament roster At any point up until the tournament start time, the captain of a team can edit their roster by navigating to the tournament and clicking on the tournament roster tab 19 support@battlefy.com WE ARE HERE FOR YOU! <3

4) Tournament check-in If the organizer has enabled check in on the tournament, the team will receive check-in reminder emails 24 hours and 1 hour in advance of the tournament start time. In order to check-in, a player from the team should come back to the tournament page at the time set forth by the tournament organizer. Your team is now successfully checked-in for the tournament. After checking-in, simply wait for the organizer to seed and start the bracket. This generally happens between 5 and 10 minutes after the tournament start time. 20 support@battlefy.com WE ARE HERE FOR YOU! <3

5. Match Navigation Once the tournament has started, and after the organizer has seeded and started the bracket, each team/player in the bracket will receive a notification card indicating their next match. They will receive all subsequent match notification from the same place. The player should click into their match in order to perform necessary actions for play 21 support@battlefy.com WE ARE HERE FOR YOU! <3

6. Match level check-in If match check-in is enabled for the bracket, each team will receive a notification indicating that they must check in for the match. Only one player from each team needs to check their team in. In this picture, I have checked in for my match against the Bronx Bombers and the countdown has started from 10:00, counting down until 0:00. If the Bronx Bombers do not check-in for the match within the allotted time, they will be disqualified from the competition. 22 support@battlefy.com WE ARE HERE FOR YOU! <3

7) Reporting Scores If the organizer has enabled distributed score reporting, the players may report their own score after the match is completed An organizer may also enforce the uploading of screenshots to ensure their players submit proof when reporting their own scores. 23 support@battlefy.com WE ARE HERE FOR YOU! <3

8. Communication On each match on Battlefy, a chat room is generated to easily allow players to communicate while coordinating and setting up a game lobby. Admins may also post in this lobby.these chatrooms are created automatically once the match is set. 24 support@battlefy.com WE ARE HERE FOR YOU! <3
